2 2 Why do students need a LiveText account? - Executive Overview The College of Education has to abide by state and federal standards that recently indicated the College of Education needs to provide our students with resources beyond graduation, including a portfolio tool and the ability for students to retain work completed in your Education program(s). With these new federal requirements, it became necessary to update our former assessment system (COEdata) with a more comprehensive tool. In Fall of 2013, the College of Education reviewed multiple commercial assessment and e-portfolio programs (including taskstream, LiveText, Chalk&Wire, Tk20, and Blackboard). The College of Education ultimately decided that LiveText provides the most comprehensive suite of features for all users at the most reasonable cost to the College of Education as well as students. The College of Education shares the cost for LiveText with students: we have to pay for faculty and cooperating teacher accounts, as well as implementation fees for using LiveText. College of Education faculty were notified of the transition to LiveText in April of The College of Education publically announced the decision to begin using LiveText in July of 2014, with implementation beginning in Fall of Students were notified of the transition in their courses, through , and in online announcements. The key benefit for students is LiveText provides you with access to assessments faculty complete for assignments within your program (as well as copies of selfassessments). Unlike Blackboard that typically deletes assignment information after the end of each semester, your LiveText assignment materials are available across semesters and beyond graduation. Having access to this data allows you to share your assessments and showcase standards and areas that you excel in within your program. Additional features for students are described on the following pages of this Student User Guide. It is the College of Education s hope that you will be able to continue to use your LiveText account beyond graduation to showcase the work you have completed within your program. What is LiveText? LiveText is a leading, international provider of campuswide solutions for strategic planning, assessment, and institutional effectiveness. Their system has been successfully used by institutions across Michigan, including Eastern Michigan University, Madonna University, Ferris State University, Andrews University, Northwestern Michigan College, and Miller College. With LiveText, the College of Education is able to effectively measure outcome-based learning goals and provide students with a professional portfolio system. LiveText provides students and faculty with personal accounts that they use to create/submit assignments, manage data, and build electronic portfolios. These electronic portfolios can be used to showcase professional skills or as a classroom management portfolio. Additionally, submitted materials in LiveText are retained in the system across semesters and beyond graduation, allowing students to showcase work to potential employers (see pages 21-25). 3 3 - Student Overview Why do students need a LiveText account? LiveText is an online data collection and portfolio system that provides strategic planning to the college and students. LiveText s personal accounts provide faculty, students, and cooperating mentor teachers with online assignments, assessments, and electronic portfolios. These electronic portfolios showcase professional skills and can be used for classroom management. Additionally, materials in LiveText are retained in the system across semesters and beyond graduation, allowing students to showcase work and professional growth to employers. What do I pay to purchase LiveText? 4 4 Forgot LiveText Username and/or Password If you have forgotten your LiveText username or password, use one of the following methods to retrieve access to your account. Retrieve Username If you would like to have your username ed to you, follow these steps: 1. In the upper-right corner of the LiveText homepage, click the Login button. 2. Click the "Forgot you password?" link that appears under the Sign In button. 3. Click the link I forgot my Username. 4. Enter the primary address for your LiveText account and click Continue. Resetting Your Password by If you would like to receive an with a link to reset your password, follow these steps: 1. In the upper-right corner of the LiveText homepage, click the Login button. 2. Click the "Forgot you password?" link that appears under the Sign In button. 3. Enter the primary address on your LiveText account. 4. Click the Continue button. 5. Make sure the first choice to is selected. 6. Click the Continue button. 7. Check your account. Look for an from support@watermarkinsights.com with a subject line that begins with LiveText Password Reset Code for. 8. Within the you've received, click the link provided. This should take you back to the LiveText website and you should see a message stating Reset your password. 9. Enter a new password for your account in the textboxes labeled New Password and Confirm New Password. The password must be identical in both boxes. The password must be at least six characters in length and contain a mix of character types with at least two from the following categories: uppercase letters, lowercase letters, numeral, and symbols. 10. Click the Continue button. At this point, you will receive a confirmation message on screen that states your new password has been reset successfully. 11. Click the link Continue to your LiveText Membership account. Reset Your Password by answering a Security Question The following steps will enable you to reset the password on your LiveText account by answering your security question (if you forgot your password or your password isn't working). The process does NOT involve sending you any . These steps will work even if your primary address is no longer valid. 1. In the upper-right corner of the LiveText homepage, click the Login button. 2. Click the "Forgot you password?" link that appears under the Sign In button. 3. Enter the primary address on your LiveText account. 4. Click the Continue button. 5. Select Answer a security question. 6. Click the Continue button. 7. In the box labeled Username, enter your username. 8. Click the Continue button. 9. You will be asked your security question. In the Answer textbox, answer the question. You must provide the exact wording of the answer you entered at the time you set up the question, answer, and hint. 10. Click the Continue button. 11. If you've entered the correct answer, you will be asked to enter a new password for your account. Enter a new password for your account in the textboxes labeled New Password and Confirm New Password. The password must be identical in both boxes. The password must be at least six characters in length and contain a mix of character types with at least two from the following categories: uppercase letters, lowercase letters, numeral, and symbols. 12. Click the Continue button. At this point, you will receive a confirmation message on screen that states your new password has been reset successfully. 13. Click the Continue to your LiveText Membership account link. 5 5 LiveText FAQ Q: Which version of LiveText are students required to purchase? A: Students need to purchase their copy of LiveText Student Membership (regular edition) directly from LiveText s website: Watermark s current price for LiveText Student Membership is $ (price valid from 5/31/2018) for a 7-year student membership. Your student LiveText account is a one-time purchase that is valid for 7 years from the date of purchase. You will be using LiveText throughout your Education courses and have access to your files and portfolio across semesters and beyond graduation. Q: Do I really need to buy LiveText? A: Yes, all* students taking College of Education courses are required to purchase LiveText. This one-time purchase, which is comparable in price to the cost of a textbook, is valid for up to 7 years from the date of your purchase. A few courses do not complete assessments at this time and are therefore currently not requiring students to purchase LiveText. Q: I am only enrolled in one College of Education course; do I need to purchase LiveText? A: Yes, College of Education students (undergraduate, graduate, endorsement) need to purchase LiveText, regardless of how many courses you are taking. Since many courses (especially capstone courses) in our programs require students to complete assessments, all College of Education students should purchase the program to be able to complete their assessments and receive access to LiveText's e-portfolio tools. Q: Why do I need to buy LiveText? A: LiveText enables College of Education students to complete course assignments, submit program assessments, save projects and papers in a secure location, build an electronic professional portfolio, and showcase your educational growth. Additionally, LiveText is required by the College of Education in order to maintain our quality programs. Q: How is LiveText different from Blackboard and Google's Drive? A: While LiveText's user interface has a similar layout to Blackboard and provides students with the ability to create documents (similar to Google Drive), the main feature that makes LiveText unique is its ability to link program and college standards directly to assessments and assignments. This provides the College of Education with an effective way to collect summative data on how our students are performing in specific areas of our programs and seek ways to improve our courses. With LiveText, students also now have the ability to comment on assessments and receive feedback from faculty. For e-portfolios, LiveText provides students with the ability to create personalized portfolios and spotlight key assignments, standards, and work samples that you have completed in your program. Q: Is GVSU's College of Education the only institution using LiveText? No, LiveText is used by universities across the United States. Other Michigan institutions that use LiveText include Michigan State University, Eastern Michigan University, Madonna University, Ferris State University, Andrews University, Northwestern Michigan College, and Miller College. If students already have a LiveText account from another institution, they do not need to purchase another copy (unless their account has expired).

6 6 LiveText FAQ (Cont.) Q: When do I need to purchase LiveText? A: You will use LiveText to complete assessments for your e-portfolio/folios each semester, so we recommend students purchase LiveText early in the semester. A LiveText membership is valid for up to 7 years from the date of your purchase. Q: What do I do if I forgot my LiveText password? A: Go to to enter your address and reset your password. Additional directions appear on page 4 of this PDF guide. Q: Do faculty need to purchase LiveText? A: The College of Education pays for faculty to have access to LiveText. Faculty LiveText accounts are being managed by the College of Education's Administrative Services department. If you are a course instructor and do not yet have a LiveText account, please contact Alex Jacobsson at jacobale@gvsu.edu or via (616) Q: When can my cooperating mentor teacher expect to receive a LiveText account? A: Cooperating mentor teachers are ed an account login and password a few weeks before the end of the semester. The is sent directly from LiveText. More information on cooperating mentor teacher accounts can be found on our website at Q: When are course assignments posted on LiveText? A: Most course assignments in LiveText are collected toward the end of the semester, so course assignments may not appear in LiveText until the middle of each semester. For each semester, this means course assignments will be posted: Mid-March (approximately March 15th) for Winter courses. End of May (approximately May 30th) for Spring courses and 12-Week Spring/Summer courses. Early July (approximately July 8th) for Summer courses. Mid-November (approximately November 15th) for Fall courses. These dates may fluctuate some each semester, and faculty may request to have assignments posted in LiveText earlier if needed. Q: If I need help with LiveText, who should I contact? A: You have four options to receive assistance with using LiveText: 1. 7 7 NOTES on Percentages, Grades, and Assessment Timelines PLEASE NOTE: Percentages and Grades within LiveText should be ignored. When a rubric is completed in LiveText, a percentage may appear in the bottom right corner of the rubric. This percentage will not be regarded by the College of Education and is no reflection of the Grand Valley student s grade or performance within the course. It is a result of assigning numeric values to the columns of the rubric. This numbering generates numeric data for the College of Education to inform us of areas within our courses that we need to improve in the future. Likewise, LiveText provides instructors with a grading tool to grade assignments in LiveText. The College of Education asks faculty not to use this tool, as official grades are currently managed through Banner. Any grade shown in LiveText is non-official and should not be regarded by LiveText users. Please also remember that an "assessment" is not an end goal, nor is it the same as a course grade. Rather, an assessment is a learning tool that demonstrates students ability to meet course expectations and allows the College of Education to look for ways to improve our programs. An assessment is also not a student satisfaction/opinion survey. Instead, it is a direct measure of student learning and development outcomes. Providing students with access to these assessments ensure all College of Education students have the ability to showcase their progress throughout their program(s) and beyond graduation. When are assessments posted/available for me to complete? Assignments in LiveText are posted by Administrative Services in GVSU s College of Education. Please note that nothing in LiveText is automated, and each assessment has to be set up manually by Administrative Services. This means that some users will receive access to assessments before other users as we work to distribute assessments each semester. Thank you for your patience in this process. Most course assessments in LiveText are collected toward the end of the semester, so course assessments may not appear in LiveText until the middle of each semester. For each semester, this means course assessments will be posted: Mid-March (approximately March 15th) for Winter courses. End of May (approximately May 30th) for Spring courses and 12-Week Spring/Summer courses. Early July (approximately July 8th) for Summer courses. What assignments are in LiveText? LiveText will typically only include assignments that have been identified as key assignments within your program. These are typically the final/end of semester projects and papers that exhibit the student s work and growth throughout the semester. Please confirm with your Program Coordinator or Department Chair if you have questions about the assignments for your course.

8 8 Purchase & Activate LiveText Student Account Students need to purchase a copy of LiveText Student Membership (regular edition) from the LiveText website. To register and activate your LiveText Student account, go to and click Login Register Buy on the top menu bar of the LiveText homepage. On the Sign In page (shown in the lower screenshot below) you have the ability to: choose Purchase a student account from LiveText. or Register an account if you have a registration/activation code that you purchased outside LiveText. Click on Login to log into your account, or on Register to purchase or activate and account. The login page allows you to Sign In if you have an active LiveText account. You can Purchase or Register new LiveText memberships using the links below.

9 9 Purchase & Activate LiveText Student Account (Cont.) If you selected Purchase Membership to buy your account directly from LiveText, you will proceed to Enter Your Personal Information. When entering your name, please use the official name you have on record at GVSU. For your address, please use your GVSU address. The form requires a personal address as well, but you can simply enter your GVSU address twice. If you receive the message Username is already taken, you will have to modify your username for it to be accepted. As you navigate through the steps to create your account, please ensure you select LiveText Student Membership (regular edition). LiveText offers a Learn360 edition, but the College of Education is only using the regular Student Membership. The program currently retails for $ (price updated 5/31/2018). If you selected Register Membership, select your role (Student) and enter the key code that you purchased. You will then create your account. Make sure you select Student to begin the registration process for student accounts. After successfully completing the registration process, LiveText will display the Congratulations page. This page will display your username and the option to click to reveal your password. REMEMBER: You are responsible for maintaining your LiveText username and password. Instructions for retrieving a forgotten password appear on page 4 of this PDF guide.

10 10 Using Templates to Create a LiveText Document or Portfolio 1. To begin using a LiveText Template, make sure you are logged into your LiveText account. Visit and login with your username and password in the top-right of the screen. 2. Click the LiveText Docs tab. 3. Click the New button to access the templates. 4. Click TEMPLATES under the section MI: Grand Valley State University. These are GVSU s templates. 5. Select the template you want to use. 6. A preview of the template should appear on the right side of the screen. Scroll down to the very bottom of the page and click the Create Document button that should appear in the bottom-right.

11 Using Templates to Create a LiveText Document or Portfolio (Cont.) A dialog box should appear on the screen, asking you to give the document a title. Since LiveText auto-saves all documents after a section is edited, you are required to have a title for all document. The COE recommends you include your name in the document title, then click Ok to create a document using the template you selected. 8. The Template should now open within your LiveText Docs tab and allow you to edit and customize the template to create your own document. Modify Content By clicking "Edit" at the top of each section of a document, you can easily modify the content of a section and have the option to upload images or files to the page. These can be added to each section using the "Image" and "File Attachments" options in the "Edit" screen. Adjust Access Using the Advanced Sharing Options from the "Share" menu, you can manage access to your document. There are 3 level of access you can set for each document. Private (Only creator can see or modify.) Shared (Viewers can see. Editors can modify.) Public (Anyone can see. Only editors can modify.) More information on sharing documents and creating Visitor Pass codes is pages of this PDF guide. 9. If you leave the document and need to return it access it, you can do so by returning to the LiveText Docs tab of your LiveText account. Any documents that you create are saved here. NOTE: LiveText never permanently deletes a document: all documents that are deleted are saved in your LiveText Docs sub-folder titled Trash and may be accessed at any time.

12 12 Attaching Files & Images to a LiveText Document To edit documents/portfolios and attach images and files, you must first open a document for editing. 1. After logging into your LiveText account, click on the LiveText Docs tab from the top menu bar. This will display a list of the documents you have created. Clicking the title of one of the documents will open that document. Open your LiveText Docs by clicking the tab. Click a document title to open the document for viewing/editing. 2. The document viewer will open, allowing you to view the document in LiveText. Documents are organized into pages and sections, similar to a website. This allows content to easily be organized for larger documents, such as a portfolio. To Edit a section of the document and revise the content, click the Edit button that appears to the right of the content section you wish to edit. Click the Edit button to revise the content of the section below. If the document has multiple pages, folios, or sections, you can access them from the Page List. Files attached to the pages will appear at the bottom of the content sections.

13 Attaching Files & Images to a LiveText Document (Cont.) In the Section Editor, you can type, cut, and paste text into the content section. You have options to format the text, add tables, lists, and links to websites, documents, or YouTube videos. To attach images or files to the content section, you can either use the tabs that appear near the top of the Section Editor [ Insert Image and File Attachment ] or click the Edit links at the bottom of the page next to Inserted Image and Inserted File. By selecting one of these options, you will link to another page that will allow you to attach either an image or a file to this content section. 14 14 Attaching Files & Images to a LiveText Document (Cont.) A. The image below shows the Insert Image tool. You can upload an image from your computer and change the display size and its placement in relation to the content section you are editing. B. The image below shows the File Attachments tool. You can upload a file from your computer and have the option to add a label to it using the Current Label function. If you have files that you have uploaded to LiveText in the past, these will appear in a list near the bottom of the screen. For example, if you uploaded a document to LiveText in the past for an assignment and wish to feature it in your portfolio, you can do so by selecting the file from the file browser at the bottom of the File Attachment screen. To review files you have uploaded in the past, click the File Manager tab on the top menu-bar.

15 Linking Google Drive Documents into LiveText 15 If you have a Google Drive file or folder that you want to share in your LiveText portfolio or attach to a course assignment in LiveText, you must first check the settings for the item in your Google Drive to ensure the file/folder has sharing enabled. The following steps show how to allow Anyone with the link to view a file or folder in your Google Drive. This means that the item can only be accessed by directly linking to it, and will not appear in any online search. 1. In your Google Drive, click the title of a folder or document. 2. After selecting an item, either right-click (Ctrl+click for Mac users) and click the Share button, or simply select the Share icon above. This will open the Share with Others menu. 3. When the Share with others menu opens, click on Get Shareable Link in the top-right corner to create a link that shares the document. 5. Copy this link for sharing. 4. After clicking Get shareable link, you should see the settings for the file or folder change so Anyone with the link can view. 6. Click Done to save these settings. To share the file or folder, you will need to Copy the link Google provides, as shown in Step 5 above. This link can then be used to share the file or folder. To share the link in an assignment on LiveText, you can paste the link into the Comments box of any LiveText assignment. This is shown on the next page, with directions for Submitting Regular Assignments in LiveText.

16 16 Submitting Regular Assignments in LiveText Students who need to submit regular course assignments in LiveText should follow the directions below. If your course has Field Experience assessments (used for field and some capstone/final courses) please refer to the next page of this guide. 1. Log into your student LiveText account. 2. Locate the appropriate assignment on your Dashboard. Once you have located the assignment, click on the corresponding Begin Assessment or Continue Assessment button. 4. Review the assignment details. The information available in the Assignment Details area is dependent on the information entered by the instructor of record (or the LiveText administrators at GVSU). 5. Under the Assignment Submission area, notice the Attachment List section. This section may contain file type constraints and a required number of files. The attached files must match these constraints in order for the assignment to be submitted. 6. Click on the Attach button to open the Attach Resources to Assignment window. This will allow you to upload files from your computer to attach to the assignment, or attach a LiveText document that you have created (such as a portfolio or narrative response). Click the Attach button to attach all selected items to the assignment. 7. Any uploaded files or LiveText documents you have attached to this assignment for submission will appear under Assignment Submission across from Attachment List. If you would like to remove an item you have attached, click the item s corresponding icon. 8. In the Comment box, you can add comments before submitting the assignment. If you have a document you created online (such as a Google Drive file or a website), you also have the ability to post the link in the comments field. 9. You must click the Submit Assignment button to submit the attached files to this assignment. If the assignment has been successfully submitted, then the assignment status will change to Awaiting Assessment and the following message should be displayed: PLEASE REMEMBER: If your course has Field Experience assessments (used for field and capstone/final courses) please refer to the next page of this guide.

17 17 Assessments in LiveText s Field Experience Module If you are enrolled in a course that uses LiveText s Field Experience Module (this includes field courses and some final/capstone courses in Education programs), you may have assessments that are setup in the Field Experience tab on LiveText. The Field Experience is used primarily for courses where multiple users need to assess a single student (such as faculty, field coordinators, and cooperating mentor teachers), or when a student has self-assessments to complete within a course. Please follow the directions below and on the next page to access the Field Experience assessments. NOTE: A video tutorial for navigating the Field Experience module is available on YouTube at: After logging into your LiveText account, click the Field Experience tab to view your placement. The menu tabs may be arranged in a different order on your account depending on which screen you are currently viewing. PLEASE NOTE: Field placement is a tool that is used in LiveText to coordinate many of the field and final/capstone courses that students take in GVSU s programs. This includes teacher education courses, school counseling placements, and courses with field experience in K-12 classrooms and buildings. You should see the current course(s) that you are enrolled in appear in a list towards the bottom of the Field Experience screen. You can access a course s assessments by clicking on the View Placement link to view the placement s details and assessments. Each course will be listed here with a course number. The View Placement screen is shown in detail on the next page.

18 18 Assessments in LiveText s Field Experience Module (Cont.) You can click the envelope icon next to any name to that individual. The is sent to the primary address that the LiveText account is registered to. You can also All : the student, supervisor (field coordinator), and mentor. Any assessment that you are responsible for completing will have a Begin Assessment link, or a Continue Assessment link if you saved an incomplete assessment. PLEASE NOTE: You can upload attachments for your field coordinator/supervisor to review for the course (including portfolios and folios) using the Add Attachments tool at the bottom of the screen. You may have to scroll down to see it. This tool will allow you to add documents you have created in LiveText and/or upload files. This is the easiest way to share attachments for Field Experience courses. NOTE: Students can see if cooperating mentor teachers and field supervisors have completed the assessments for the field placement, but do not have access to view these assessments. A name only appears next to an assessment if someone else is required to complete the assessment.

19 Sending a Document for Review in LiveText In LiveText, you can Send this document for review to share your document with other LiveText users. Sending a document for review will allow other users to comment on the document and send the comments back to you. Reviewers will also be able to print or copy your document. NOTE that sending a document for review to another user creates a snapshot/copy of that document, so any change that you make to the original document in LiveText after sending the document will not be shared with the reviewer, unless you send an updated review copy to the other user Open a LiveText document from the LiveText Docs tab. 2. After opening the document, click Send this document for review. A menu will popup. 3. Use the Search for Reviewers tool to type in either a person s name or their LiveText username. 4. As you begin typing the name or username, a list of possible matches should appear. Click the name of the person you want to share the document with. 5. Users you add as Selected Reviewers will appear listed below the search bar. 6. After you select one or more LiveText users, you MUST click the Submit for Review button. The reviewer(s) will be able to access the document from their Reviews tab, comment on your work, and return the document.

20 20 Accessing a Shared Document from your Reviews Inbox 1. Click the Reviews tab to view documents that have been sent to you from other LiveText users for review. 2. Click the Inbox sub-tab to view the LiveText documents that have been shared with you for review. 3. Documents that have been sent to you for review will be listed here. Click on a document title to open the document for review. 4. To add comments to a section of the document, click on one of the Add Comment buttons. A small box will appear for you to type comments. Note that each section will have its own Add Comment button. 5. Make sure you click the Save icon to save any comments you add. As a Reviewer for the document, you have the ability to leave comments on each content section and page of the LiveText Doc, and you can also print a copy of the document. Type your comments into the textbox. 6. When you have finished reviewing the document, you may click the Submit Review button to send the document back to the owner with a copy of your comments.

21 Make a LiveText Document Viewable to the Public 21 The easiest way to share a LiveText document or portfolio is to make the document viewable to the public. By changing the Settings for a LiveText document, you can allow anyone to view your document simply by typing in the document s URL web address. Please note that sharing a document publically means that ANYONE with the URL web address can access your document, and it may be saved in online search engines. If you want to use a more secure method for sharing your document, please see the instructions to Share LiveText Documents using Visitor Passes that begins on page 23 of this guide. To make a LiveText document public, login to your LiveText account and select a document that you have created from your list in the Documents tab on your account. 1. LiveText documents, folios, and portfolios can be shared using Visitor Passes by first selecting (or creating) a LiveText document within the LiveText Docs tab. After opening a document in LiveText Docs, you have the ability to share the document. 2. When viewing the document, click Share this document. 3. In the Share pop-up, click on Advanced Sharing Options to link to a separate page with Sharing options for this document. The Advanced Sharing Options are shown on the next page.

22 22 Make a LiveText Document Viewable to the Public (Cont.) The screen below shows the Advance Sharing settings: these allow you to view and manage who has access to View or Edit your LiveText document. This screen is also where you select whether the document is Private or Viewable to the public. 1. Click on Advanced Access Options. 2. To make the document viewable to the public, select Public. Anyone with the URL for your LiveText document will be able to view the document online. ( If you would like your document to appear in LiveText s public library of documents, select Yes.) 3. REMEMBER to click Save to save the settings. If you return back to view your LiveText document, you will be able to copy the document s URL web address for sharing. Each LiveText document has a unique URL web address that will look similar to where the ######## is a series of numbers that form a unique ID for your document. This is the document s unique URL web address. If the document is viewable to the public, anyone can enter this address into their internet browser to view your LiveText document. The numbers that appear at the end of the URL are a unique ID for each document. Each document s URL will be different. To share your document after you have make it publically viewable, simply copy the document s full URL web address and share this with anyone (faculty, classmates, supervisors, employers, co-workers, students, etc.) who may need to see the document. Paste the LiveText document s URL web address into an or letter for sharing with others. Remember, this allows ANYONE to view your document if they have the link. A more secure method of sharing is explained on the following pages.

23 Share LiveText Documents using Visitor Passes Visitor Passes can be created to allow non-livetext users to view LiveText documents/portfolios. This method of sharing creates a special guest Pass Code for the Visitors to access to the documents you share with their Visitor account To create Visitor Passes, click on Tools on the top-menu bar. Then select Visitor Passes from the sub-menu. 2. In the Visitor Passes tool, click the New button to create a visitor pass. 3. Type a name/group title here for the visitor pass. 4. You can type a description here to remind yourself in the future how this visitor pass will be used. 5. REMEMBER to click Save to save the settings and create the visitor pass. Each Visitor Pass is assigned a unique Pass code that visitors will have to enter when they visit LiveText to view your documents, folio, or portfolio. You can track how often your document is viewed by clicking the Visits link. This is the number of documents currently linked to this Visitor Pass. See the next page for how to link LiveText Docs to a visitor pass.

24 24 Share LiveText Documents using Visitor Passes (Cont.) After you have created a Visitor Pass (shown on the previous page), you will have the ability to share individual LiveText documents with that Visitor Pass. LiveText documents, folio, and portfolios can be shared through a Visitor Pass by opening (or creating) a LiveText document in the LiveText Docs tab. After selecting and opening a document in LiveText Docs, you can Share the document using the normal Share settings. 1. When viewing a document in LiveText Docs, click the Share this document button. The pop-up below should appear. 2. Use the Search tool to type part of the name of the Visitor Pass account that you want to share the document with. 3. The name of the Visitor Pass should appear as you type the name. Select the name to add that Visitor Pass as a document Viewer. 4. The Add to Share button should appear after selecting a user. You MUST click Add to Share to share the document with the viewers. Please ensure you select this before closing the Share pop-up. After you have added the Visitor Pass account as a document Viewer, you will need to the URL and Pass Code to the person/ group you are sharing the document with so they can access the document using their Visitor account. All Visitor Pass Accounts can be accessed by visiting Visitors will need to login using the Pass Code for their account: this was illustrated on the previous page of this guide and should be a 8-character code that uses letter and numbers. The code will be unique for each Visitor Pass that you create. The Visitor Pass account view is illustrated on the next page.

Visitors will need to login at: Visitors can access the Visitor Pass at Visitors must type in the unique Pass Code you created for their Visitor Pass. They will then click Enter to access your LiveText documents. See f32d409c as an example (shown below). After you have logged in using the Visitor Pass, you should see a screen similar to that shown below. From the Visitor Account, you can view the documents that have been shared, and download either PDF or ZIP copies of those documents. The name you created for the Visitor Pass will appear here. Any documents that you share with the Visitor Pass are listed, with a link to view each document. When viewing a document, visitors may print/create a PDF copy of the document, or export documents as ZIP files.
