2 WELCOME! Based on feedback we received from you, we have made several enhancements to choiceadvantage. These enhancements will be delivered to you in the form of a system upgrade, which is scheduled to be released Monday, June 4, The transition will require no functional training; however, this user guide is designed to assist your staff members with the new features so they are better able to provide exceptional service to your guests. HOW TO USE THIS GUIDE This guide has been specifically prepared to help hotel staff get the most out of the new features and functions of choiceadvantage. For more information on the new functionality and other changes to choiceadvantage, refer to your online help system once the upgrade has been implemented. Online help should be the first place you look for answers. 2

4 ELITE CHOICE PRIVILEGES MEMBER RECOGNITION This enhancement introduces new banners to call attention to Elite members. During the check-in process, you will see banners indicating the guest s Choice Privileges Elite status. 4
5 ELITE CHOICE PRIVILEGES MEMBER RECOGNITION (CONT.) You will see a slightly different image indicating that this account is missing a valid address. 5
6 CHOICE PRIVILEGES MEMBER LOOKUP DURING CHECK IN This enhancement allows you to look up a Choice Privileges member number during the check in process. If the guest is a Choice Privileges member, click the Guest Search link located on the Guest Info tab of the reservation. 6
7 CHOICE PRIVILEGES MEMBER LOOKUP DURING CHECK IN (CONT.) The Guest Search box will be auto-populated with the information from the Guest Info tab. Fill in any missing required fields. Click Find Guest. If the provided information matches more than one account, a list of options will display. Select the desired guest. 7
8 CHOICE PRIVILEGES MEMBER LOOKUP DURING CHECK IN (CONT.) A list of matching accounts will display. Select the desired guests by clicking the name. You will be prompted to overwrite the existing guest information. Click Yes. 8
9 NEW CHOICE PRIVILEGES ICONS New icons have been added to choiceadvantage to represent your Choice Privileges members. Elite Diamond Status Elite Platinum Status Elite Gold Status CP Member Non-Elite These will display on the Stay Info tab and guest list screens. 9
10 CHANGE DEPARTURE DATE This enhancement introduces the ability to change a guest s departure date to the current business date without having to check them out. This will make managing your guest s stay easier. To change a guest s departure date to today: Access the guest s account; click Change Stay. 10
11 CHANGE DEPARTURE DATE (CONT.) Change Departure to the current business date. Click Save Changes. 11
12 UPDATE CENTRAL RESERVATION SYSTEM RESERVATION This enhancement allows you to update reservations from CRS that may be missing required information without adding the missing required information. For example, if a guest with a reservation calls to update their arrival date but the address is missing from the CRS reservation, you can make that change without adding the address. This enhancement only applies to reservations originated from Choice s CRS. The address will need to be added prior to completing the check in process. LIST AND MENU ORDER This enhancement changes the sort order in which rate plans display on search screens. This specifically affects the rate plan drop-down menu in the following areas. Rate plan fields in choiceadvantage system and report screens will default to BAR. All other options will be listed alphabetically. 13 ADDITIONAL REPORTS IN CSV FORMAT This enhancement provides the ability to save additional reports in the CSV (comma separated values) format. This makes importing your financial information into third-party programs easier. The newly formatted reports are: Reservation Activity Report Final Transaction Closeout To run one of these as CSV: Run Reports Select a report Put a checkmark in Generate as CSV report * Suppress headers is optional RESERVATION ACTIVITY REPORT This enhancement adds the following information to the CSV formatted Reservation Activity Report. Shared Account Track Code Package Code Cancellation Date User Code that canceled a reservation 13
14 ID REPORT - IN HOUSE ONLY FILTER This enhancement adds a filter to the ID report which allows you to specify that only in house guests will be reported. To run the ID Report for In House guests only: Run Reports ID Report Select the In House Only checkbox, then click Submit. 14
15 SCREEN LAYOUT UPDATE This enhancement updates the layout of the Additional Names screen improving your experience within choiceadvantage. To access the Additional Names screen, click the Guest Info tab then click the More link next to the Last Name field. Note: The More link will be replaced with the number of existing additional names if appropriate. For example, an account with 1 additional name will say 1 More next to the Last Name field. 15
16 SCREEN LAYOUT UPDATE (CONT.) For each additional name to be added, click Insert Row. Fill in the name for each guest. If this is to be a shared account, place a checkmark in the Share Charges box. 16
17 SCREEN LAYOUT UPDATE (CONT.) The Billing Information screen will display. Provide the new guest s billing information and click Save. Once you have added all additional guests, click Save. 17
18 SELLING LIMITS (RATES CENTER SITES ONLY) This enhancement applies selling limits from Rates Center in choiceadvantage for local rate plans. This enables you to more closely manage the number of rooms sold under a given local rate plan. To set a selling limit, go to: Rates Center Rate Plans Select the desired Local Rate Plan Place a checkmark next to Selling Limit and set the desired value. Click Save. 18
19 EXCLUDE EXTRA PERSON (RATES CENTER SITES ONLY) This enhancement applies the Exclude Extra Person Charge as it is set for a given rate plan in Rates Center. This means the extra person charge will be applied or omitted to the rate in choiceadvantage when a reservation or walk in is created. To set or remove the Exclude Extra Person Charge, go to: Rates Center Rate Plans Select the desired Rate Plan Set or remove the checkmark next to Exclude Extra Person Charge as desired. Click Save. 19
