5 Patterned Housekeeping Update Summary This enhancement is expanded to include additional functionality of overwriting default room cleaning date assignments so that this can be specified on a per-guest basis which will include the ability to update Housekeeping cleaning schedule upon modification of a stay by a CloudPM user. This enhancement will primarily be utilized by extended stay hotels and/or hotels that require some use of extended stay cleaning scheduling. Requirement Clerk has the ability to ask the guest what day they would like to choose their service PMS allows user to select a specific day, and then place a frequency for their room record to come up in the housekeeping module for this guest to receive Housekeeping/ Cleaning service The frequency of days should allow every day, or specify a number of days between servicing Functional Changes 1) The GM Functions setup for Extended Stay Housekeeping (Daily Mode/Extended Stay Mode) has been removed in favor of a new utility to create housekeeping Plans. A Plan will function as a cleaning schedule and configuration that will be able to be applied: 1. Automatically to guest stays based on guest length of stay i. A Housekeeping Plan will, as a setup parameter, have a Minimum Nights property that will automatically apply the plan to guest stays equal to or greater than the Housekeeping Plan Minimum Nights setting. If another Housekeeping Plan exists with a greater Minimum Nights setting, a threshold will be established so that a stay equal to or greater than the next higher Minimum Nights value will apply the corresponding Housekeeping Plan. ii. As a business rule, CloudPM will validate the Minimum Nights setting on each Housekeeping Plan, so that no two Housekeeping Plans use the same Minimum Nights setting, so that a length of stay on any guest reservation may be paired with a Housekeeping Plan on a 1-to-1 basis. 5 of 10
6 iii.a default Housekeeping Plan will always be in place that is systemgenerated, which will require a Minimum Nights value of 1 ; the default Housekeeping Plan will be a daily-cleaning plan that will be used by most transient hotel properties. Additional plans that are configured will be used primarily in extended-stay scenarios. 2. Manually to a guest reservation, on demand i. A guest reservation will have a reset function that can effectively change the next scheduled cleaning day ii. Changing a next scheduled cleaning date will reset the pattern dictated by the Housekeeping Plan to schedule future cleaning dates based on the (new/reset) anniversary date. 2) The Guest Reservation form now has a command and configuration form to allow for next cleaning day reset and selection of an alternate Housekeeping Plan, if necessary Secondary Changes To accommodate the new UI controls required to complete this enhancement, adjustments have been made under GM Functions Property Settings layout, as well as the guest reservation ribbon bar 1) GM Functions Property Settings Default Settings This configuration area currently includes some Housekeeping-related settings, which will no longer fit within the current Default Settings view. A new page view under GM Functions Property Settings will be created specifically for current and future Housekeeping & Maintenance configuration items. The GM Functions Property Settings Default Settings 2) Reservations Guest Reservation Form The ribbon bar on the guest reservation has a new tab has been created that will contain Guest Service actions, including the utility that allows a CloudPM user to select cleaning dates and a Housekeeping Plan 6 of 10
7 User Interface (UI) Changes GM Functions Module 1) A new page under Property Settings (Housekeeping) will contains utilities for creating Housekeeping Plans, and applying default settings (including guest name suppression on Room Assignment Sheets from prior CPM versions). Figure 2 1. Assign Housekeeping Plans By Allows user to select a method to apply Housekeeping Plans. i. Length of Stay default selection; radio button. This selection has the effect of having CloudPM determine the Housekeeping Plan for each reservation based on Length of Stay. This means that guest stays equal to or greater than the Housekeeping Plan Minimum Nights setting will inherit that Housekeeping Plan. If another Housekeeping Plan exists with a greater MinLOS setting, a threshold will be established so that a stay equal to or greater than the next higher Minimum Nights value will apply the corresponding Housekeeping Plan. 7 of 10
8 Examples: Default Housekeeping Plan Minimum Nights = 1 Plan A Minimum Nights = 5 Plan B Minimum Nights = A 1-night stay or a 3-night stay would automatically be assigned the Default Housekeeping Plan 2. A 5-night stay or a 21-night stay would automatically be assigned Plan A 3. A 30-night stay, or any stay greater than 30 nights would be assigned Plan B 2. Default Housekeeping Plan allows user to choose 1 Plan to be assigned as a default value to all guests; if CloudPM is configured with more than one plan, a PMS user may change the desired Housekeeping Plan for each guest a. Delete Deletes a Housekeeping Plan. A Delete action may only be used if no reservations are associated to the Housekeeping Plan. If a user attempts to delete a Plan that has reserved or in-house guest stays associated to it, and dialog box must display: Reservations are assigned to this Housekeeping Plan. A Plan may only be deleted if there are no reservations assigned to the Housekeeping Plan. [OK] b. Days to Repeat Cleaning Cycle Numeric up/down control (required); sets the repeat cycle for full housecleaning schedule date; required. Default = 1 8 of 10
9 c. Inactive checkbox; default value = unchecked. A checked value for Inactive has the effect of removing the Housekeeping Plan from the default drop-down on the Property User Interface (UI) Changes Guest Reservation Form 1) Ribbon Bar & Navigation for Guest Reservation A third tab was created to include commands that are more related to Guest Service. i. Reservation Action to the Guest Services Guest Services tab and ribbon button group 1. Create Key 2. Add/Edit Task 3. Housekeeping Plan (new); Icon = Scheduled.png (exists in CloudPM office icon set) Figure 3 2) Housekeeping Plan selection / Next Cleaning Date The new Housekeeping Plan command on the Reservation Ribbon will give the CloudPM user access to a utility that will allow the user to: a. Change the Date of the Next Scheduled Housekeeping Service ; this date is based upon the Housekeeping plan that is associated to the guest reservation; 9 of 10
10 For example if a guest is assigned to the default/daily Housekeeping Plan, the next scheduled date will appear as Today s Business Date, until the business date is updated during Close Day. Users may reset the Next Cleaning date, which will in all cases re-start the repeat pattern dictated by the Housekeeping Plan selected. b. Select an alternate Housekeeping Plan, if applicable. All systems will have the default (Daily) Housekeeping plan pre-built. If custom Housekeeping Plans are created, the plans are listed in a read-only grid, showing the setup properties of each plan (Minimum Nights, repeat pattern/frequency, description, etc.). Users may set a new plan from the list of configured plans. For most guests, this step will be unnecessary as CloudPM will default a Housekeeping Plan for each guest, based on length of stay or a global default setting, noted in the Functional Changes and User Interface Changes GM Functions sections of this document. c. The 'Next Cleaning Date' is set by the system, based on the Housekeeping Plan that is built corresponding to the guest's length of stay (or default plan if a hotel prefers to specify one plan for all). The user only alters this if they need to make a deviation from the normal plan in place. Therefore, this button is activated upon reservation Save.
