1 Researcher information Starting January 1, 2014 researchers can be registered and orders can be submitted to Budapest City Archives online via the Digital Archives Portal ( You have to visit the archives in person only when the ordered archival materials are already prepared for you. Research orders via will not be accepted. To send a research order online, you should register at the Digital Archives Portal, submit an online Researcher Registration Form, and login to the Query of the chosen archive following the steps described below. A. Registration at the Digital Archives Portal B. Researcher Registration to Budapest City Archives C. Using the Query (Research Catalogue) D. Sending research orders to the archive Registration at the Digital Archives Portal 1) Click on the Create Account link at the home page. (If the page is in Hungarian, you can switch to English using the flag button in the upper right corner.) 1
2 2) Fill in and Save the registration form. You will receive a temporary password per e- mail. If you have not received your password (also check your Spam folder), contact the archives! 3) You can sign in with this password on the portal and you will be asked to change it immediately. Once you are successfully logged in, your name will appear at the top of the page. You are now registered as a portal user, but in order to become a researcher in the Budapest City Archives, you have to follow the next steps. Researcher Registration to Budapest City Archives 1) Following registration and log-in at the Digital Archives Portal, choose the Services menu and click on Submitting the Researcher Registration Forms. 2) To register at the Budapest City Archives, choose the e in the second line. 2
3 3) Fill in the registration form (no need to enter again the data you have already provided). The fields marked with * are required. Use the YYYY-MM-DD date format. In the Subject of research field describe your topic in a few words. In the age of the records field it is enough to write 19th-20th century, if you do not know it exactly. Accept the Research Room Regulations and Send your registration form to the archives. 4) Having sent in the form, please register in the Query (Research Catalogue) in order to be able to submit research orders online. 5) You can always renew your registration form of the previous year by selecting it in the My researcher registration forms list. Using the Query (Research Catalogue) 1) To register in the Query (Research Catalogue) system, please click on the Budapest City Archives Research Catalogue link in the list of searchable databases in the Search and enquiries menu. 3
4 2) The Query home page will appear. If the page is in Hungarian, change the language using the buttons in the upper right corner. Click on the Login button. The first part of your e- mail address will appear as your login name. 3) When you are already accepted by the archives as a researcher, your name appears as a login name instead of your address. Until then, you can use the functions accessible to registered users of the webpage (searches, workbooks) but you will not be able to submit research orders. 4
5 4) You can use various search options in the Query. The descriptions are, however, all in Hungarian. Browse the archive plan hierarchy if you know where to find the material you are looking for. If this is your first order, or you are to order many items, it is best to place the items in a workbook first, since the contents of a workbook will be saved but the contents of the shopping cart will be lost when you log out. If you want to submit an order for an item that has not been described electronically, go on with the order without any search. Sending research orders to the archive 1) You can submit research orders online after your registration has been confirmed by the archive. (Data synchronisation might take up to 30 minutes.) Add the wanted items to the shopping cart and choose the Shopping cart menu. 2) Click on the Order for loan on the left to order all items in your shopping cart. Only electronically not yet described items can be added to your order in the next step: if you want to order only such documents, your shopping cart is empty, nevertheless you should click on Order for loan to be able to proceed. 5
6 3) On the next screen, select your látogatói jegy of the present year in the usage dossier field. If at least one hour has passed since the confirmation of your registration and there is still no dossier to select, please contact the archive. 4) Items not yet described electronically can be added in the Reference Code field by entering their full reference codes. If you order more than one such item, Add them one by one. When the list of items to be ordered is ready, submit it to the archive by clicking the Send order button. 5) After submission you can save the list of your orders in pdf format by using the menu on the left. Download the list and send it to the archives per , if you do not get a confirming of your order on the next workday.
