1 Evatic Version (incl. Dashboards) New features and enhancements overview Review of the most important features of the last releases

2 1. General information 1.1 About this document This document gives an overview and summary to the most important features and bug fixes of the last Evatic Releases from the version to the current release All bug fixes are listed with an internal process ID (e.g. #10231). The current Release is described including the new dashboard functionalities. A chapter is also added with a prospect view to features of the new release Information about Release number structure Release numbers are built in the following way: Example: Release > Major release.minor release.patch level Major Release: Usually contains very significant changes in the program. Minor release: Generally refers to the functional extensions of the program. Patch level: Contains bug fixing. 1.3 Important notice for installation of new releases Evatic recommends to install a new Evatic release on a test environment before doing this in a production or live system. Please contact our support in technical issues: support@evatic.com The complete Release notes and installation manual can be found here: (Login: evatic Password: download) 1.4 End of life Be aware that the following products reach their end of life (End-of life date ): Evatic Mobile Android (EMA) Evatic Mobile PDA (EMPDA) Evatic Mobile PC (EMPC) All these products are not supported anymore and will be completely replaced by Evatic Mobile Service (EMS) based on HTML5. Evatic Release New Features and Dashboards Release date: Dashboards By changing to the new license model Evatic provides its customers with the new KPI-Dashboards, included in the Release These dashboards allow crucial indicators of daily business to keep an overview. Whether contracts are profitable, changes in the MIF's, too much toner supplied or compliance with the Service Level agreement, our dashboards are the perfect tool to move your business into the right direction. Note: The Dashboards are only available within the new license model of Evatic. Please contact our sales manager to obtain more information. Also your system must be upgraded to the newest Release to use the whole functionality of the Evatic Dashboards. Some of the new features in the Release are related to the Dashboard functionalities and are marked (DASHBOARD). What are the benefits of new Dashboards? Detailed contract statistics with a best view on cost and income and specific evaluations of all machines and models in a contract: Toner analysis based on specific toner coverage and with potential of recalculation:

4 Overview of all machines/models and development of your contract volume: Service overview (quantity of service calls, open projects, SLA-fulfilment, rate of recurring visits):

5 2.2 Features / Enhancements Evatic Service Multi Time Zone (MTZ) Evatic Service is now able to handle different time zones for service projects and calendar activities. That makes it possible to work in different time zones within one Evatic Service client. The time zone is shown in the Project and client screen:... as well as in the calendar screen:

6 If a customer, a machine or a technician is located in a different time zone this is visualized in the Evatic Service screens. Evatic Admin -> Country table allows a default time zone setup the for each country code: Also setup the correct time zone as default on the department screen: Contract In the Contract Heading it is now possible to setup a person responsible for the contract (selectable from the Evatic Service users). It is also possible to search for this field in the contract search screen. Model (DASHBOARD) The fields Lifetime units and units per Month can be filled with the suggested values provided by the manufacturer. These values are needed to use the dashboard functionalities and create reports.

7 Meter (DASHBOARD) The table Settings -> Machine -> Meter contains a new column: Type of meter: The correct meter type must be selected from the available types to allow the dashboards to run and calculate correctly. Evatic Mobile Service Action It is now possible for the technician to decide if he wants to add just the Action Code to the codes service project or to add the Action Code description (use arrow icon) as text to the Action text field:

11 4. Former Releases Features in Release Release-Date: New Features (selection) General (Installation and Upgrade) Setup A new Setup-Routine (new GUI) for Evatic Database and all web modules. This is more user friendly and simplifies the setup and upgrades processes. Evatic Service M2M New columns in Contract -> M2M -> Machine list added (#3480, #3483, #3484, #4981) The following fields and values are editable on machine level: - Order remaining days - soon remaining days - Minimum toner level - Order split by location: Control toner delivery to different/specific machine locations.

12 Sales Calc Notification in sales calculation: Number of accessories must be dividable by number of machines. This prevents wrong calculations. Packing slip overview A new screen for packing slip overview is implemented. The status of each packing slip is now shown and can be edited by the user. E.g. set status of packing slip to picked/not picked. A change of status can also be found in the stock log for each article. Stock admin New field bin location in stock admin when booking articles to stock. When booking an article with mandatory serial no. to stock, the exact bin-location can be entered:

13 The info from bin-location is also shown in the stock admin log the in article screen. New field stock account no in article screen: New info column in tab Stock-> Serial number: New/Used: This column shows if a machine is new or used. The machine status used is applied if a machine has been returned from the customer s location to stock in Evatic. The status can also be changed by a right click on the serial no. Model New date fields in model screen: Launch date and Out of prod (Out of production). For informational use. These data fields are for information purposes only, but can be used for reports and analysis.

14 Printer Setup New possibility to setup an own printer for internal move: Evatic Admin User rights /access permissions New access permissions for Order module: No Access to M2M consumable preview. Allow create order on customer «not open for invoicing». Report Designer New data fields for Report Designer are available for the following reports (Please use F1- Helpfile in Evatic Admin to get a full list of all new/available fields):

15 Packing slip Supplier order Invoice reminder Invoice Check list Signature of a checklist will be printed when «Signature» is marked in in checklist options: Service order/report: CustomerSatisfaction Smiley icons to visualize the customer satisfaction. Setting has to be turned on: ->CUSTOMER_SATISFACTION_SURVEY_MODE=1 Evatic Mobile Service (EMS) Preferences New option for enable/disable hardware acceleration on android phones. Login Login with Department and Company was removed from Login screen and is not necessary anymore If a technician is connected to more than one department the department can be selected Evatic Partner Web (EPW) Project A new Setting (ALLOW_ADD_SYMPTOM_TEXT) allows the Partner Web user to add further Info Symptom texts:

16 Evatic Customer Web (ECW) Machine New Settings allows you to hide/show specific machine properties. For example if you want to properties show just 2 of your 10 machine properties to the customer. Evatic Web / MACHINE_SHOW_PROPERTIES Evatic Web / MACHINE_PROPERTIES Meter reading New Settings allow to make the entry of current meter readings for every machine mandatory when customers add a new order or service project. METER_REPORTING_CHECK (1,0) METER_REPORTING_PROJECT_CHECK (1,0)

17 METER_READING_DAYS_BETWEEN (e.g. 10 Days: The user just has to report a meter when the last reported meter is more than 10 days old)

18 4.2 Release 3.9.8/ Release-Date: November 2014, : New features / Enhancements (selection) Evatic Service Contract The tab «Quick order» now shows if articles (quick order articles from model) are included in type / the contract type or not. This allows the user to immediately recognise if an article is subject Quick to charge when creating a sales order (these articles are highlighted green). order article A new checkbox in the Contract type screen can be used to hide invoiceable articles in the quick order tab of a sales order. This prevents an unintended delivery of items that are not included in contract:

19 Project history / statistics Project history now also shows the «task title»: Discount Customer/ Contract New Columns are added to tab «discount» in customer screen and contract screen to regulate discounts: End date, comment, created date, changed date,... End date allows you to apply a time limit to a discount. The same columns can also be found in the discount tab in the contract screen. Evatic Help-Desk module Service It is now possible to select the service article which should be used to register time on support article tasks and calculate work hours in the Help-Desk screen. A drop down field shows all available service articles. Service article can be selected separately on each support task to be more flexible: Setting must be switched on to use this functionality: SUPPORT / SHOW_SELECT_SERVICE_ARTICLE

20 Evatic Partner Web Project info Project summary now shows the assignment date and time in an additional column: / article search Article search is now possible with the parameters «starting with» and «containing» to make article search more efficient: Performance issues Numerous performance issues have been solved in listing machines and projects (#1050).

21 Evatic Customer Web Order The order tab now shows the customer which articles are included in their contract and which are not. This prevents mistakes when ordering toner or parts and increases the transparency for the customer. Machine A new Setting is added to determine whether the customer should be able to edit machine addresses in Customer Web: Setting: Evatic Web / ALLOW_MACHINE_ADDRESS_EDIT The field «information» in the machine screen can be hidden (for example if you use the information field for internal comments then it shouldn t be visible for the customer): Setting: Evatic Web / SHOW_MACHINE_INFORMATION Contact New contacts can be added when using the order functionality (contact will be used as «your reference» in order):

22 Setting: Evatic Web / ALLOW_OTHER_CONTACT_ORDER Evatic Mobile Service Quick As in Evatic Service and other Web Services Evatic Mobile also shows the technician which order articles are included in the customers contract and which are not: article / contract type

23 4.3 Release / Release date: / : New features / Enhancements (selection) Evatic Service It is now possible to add s by drag&drop to the following document screens/tabs: drag&drop Project, machine, contract and order. Stock address A stock in Evatic Service can now be linked to a specific address. In screen Settings -> Stock: These addresses can be added on supplier order reports to trigger e.g. a direct delivery to a technician s home address. The address fields are available in the Report Designer for Report «Supplier order» (please see F1-Help File). Service article A new functionality is added to define default service articles depending on specific combinations of symptom codes. Settings -> Project -> default service articles: Impact on service planning: When service planning team/service dispatcher registers the correct symptom code combination for a service call, the connected service article will automatically be selected. This is a huge advantage especially for companies that use various invoicing and calculation methods for services. Example (from picture above): All service calls with Symptom code combination INSTALL / NET will select Service article S4 to calculate services.

24 Contract / Minimum price New option for contracts with calculation method 004 (actual consumption): Minimum price: Procedure: If a minimum price is entered, this amount will be used as minimum amount for each meter reading invoice (for all machines and meters connected to the volume row!). If a meter reading invoice for this volume row is below the minimum price, the minimum price will be used for the calculation. If not, then the real/current price will be applied. Order / Warnings In Order screen a warning will be shown if the selected articles have recently been shipped to the same machine: Warnings in detail:

25 This example shows that a consignment of toner was shipped to the same machine one day ago. The user is now able to check for the possibility of a surplus delivery and can intervene accordingly. This prevents multiple delivery and optimizes your toner management. Warning functionality can be controlled with the settings: COMPANY_XXX / ORDER_WARNING Supplier order by mail It is now possible to edit the text body of supplier order mails: Settings are available in the following folder: COMPANY_XXX / MAIL_SUPPLIER_ORDER / BODY_... Evatic Partner Web Return / New functionality to return and complete service projects. Complete The Return button can be hidden. The Complete button can be customized with a specific functionality: This only allows the complete button to be pressed if a specific Action code has previously been selected. If the specific Action code is not selected, the complete button will remain greyed-out and cannot be pressed. By hiding the Return button the user is forced to complete projects consciously by using the correct Action codes and prevents unintentionally returning projects. The Action code therefore functions as a confirmation that a service project is completed: Example: Complete button is only visible when Action Code 3 OK/Finish has been selected: Settings: Evatic Partner Web / SHOW_RETURN_BUTTON Evatic Partner Web / PROJECT_FINISH_ACTION_CODES

26 4.4 Release Release-date: New features / Enhancements (selection) Evatic Service Machine accessories New column for accessories in machine screen: Installation date. Contract managemen t / Accessories The contract screen now allows you to manage accessories separately on fix price rows. The requirement for this is that accessories are added to the machine card. Each fix price row with a connected machine (and accessories added to machine) has a new option called «Use price on machine»: The Details-tab subsequently shows all accessories connected to this machine. Each accessory can be added to the periodic invoice of the fix price row with its own article and price. In Settings -> Contract -> Invoice layout new display options are available for accessories:

27 M2M The M2M consumable preview has additional functionalities and information: 3 new columns in preview screen Order type, Order no, Order status for better control of the connected sales orders. It is now also possible to open the connected sales orders with a right-click on the row. Project / Pre Order The Pre-Order tab in the Project screen now also allows you to add articles from the quick order table (only possible if a machine with configured model is connected to the service project):

28 Evatic Mobile Service URL If a URL is added to the Symptom text of a project it is shown as a hyperlink: Task list Task list is now able to show the date of the contract termination: Machine / edit machine no In EMS it is now possible to edit the machine number. In task details the «edit-button» can be used to edit the machine no (technician must have «machine edit» user rights):

29 Evatic Customer Web An automatic confirming the entered meters can be triggered when the customer confirmatio registers the meter readings in Customer Web -> Meter reading. n Settings to control the content of s: Evatic Web / MAIL_RECEIPT_METER_READING Evatic Web / MAIL_RECEIPT_METER_READING_BODY Evatic Web / MAIL_RECEIPT_METER_READING_SUBJECT Login If a customer is not «open for invoicing» (checkbox in Evatic Service customer screen) the access to the Customer Web will be denied: The «Error»-Message can be edited with the following Setting: Setting: Evatic Web / NOT_OPEN_FOR_INVOICE_MESSAGE

View on next Release A selection of expected features of the next Evatic Release (planned as Release 4.3.0): The User Interface of Help-Desk module will be optimized to give the user a more clear and proper GUI Enhanced functionality to create contracts from templates: o New Pre-Settings for templates o Machines can be added to existing volume rows (e.g. for «Pool»- or Shared-volume contracts) o Invoice and delivery address can be edited when creating a contract from template New options on Invoice layouts for volume contracts A new module/screen in Evatic Service to control s sent by the Evatic Server (Error-Log, option to resend s,...) Optimized Reports and statistics on contract and customer level Evatic Mobile (expected in Q1-2016) Based on Google Design Guidelines the GUI of Evatic Mobile will be re-designed in order to meet current standards in usability and design of mobile Apps
