1 We re excited to have you sign-in and get started with our optimized website. This serves as a step-by-step guide for improving your firm s online profile. Follow these next steps to: 1) Verify your contact information; 2) Assign a primary and secondary contact to oversee your firm profile; and 3) Discover how to optimize your extended online profile at AIASF providing opportunities for greater engagement and networking opportunities. Let s get started: Go to aiasf.org s home page and locate the Sign In text in the upper right-hand corner. See the red box and arrow? Click on that text. 1

2 The Member Login page will appear. Enter the username and password information, provided by AIASF, into the coordinating fields and hit sign in. Once you re signed in you will be directed to your profile. Design and Allied Firm profiles are stored only on the AIASF website and are not linked to AIA National s site or database. If any changes to your firm s profile occur, please be sure to update the information by signing in and changing the relevant information. 2

3 We ve created Julia Morgan, Architect s design/allied profile as an example. Once you log-in, you ll see a similar screen, but less robust until you complete the following steps. Locate the area entitled Professional Information. To the right of that label you ll find text that reads Edit. Click on that text. 3

4 Once you click on Edit you ll be taken to a screen entitled Edit My Member Profile. We ll now walk through the process of editing profile components within your AIASF design/allied profile. We ll begin with your: Personalized URL Username Password Next to each of these personalization options you ll see text that says change. Within the screenshot below, we ve underlined them in red. To change any of the bulleted items above, click change. 4

5 Your Personalized URL Choose a user alias that will be utilized within your personalized URL, which will point directly to your profile page. You ll see that we chose juliamorganarchitect as our alias and entered it within the Enter your new alias field. In order to save the alias, hit Submit. Once you hit submit you ll be taken back to the Edit My Member Profile page, where you ll see your finalized personalized URL. It should display something like user alias) in Julia Morgan, Architect s case Now you can begin sharing your URL with other members. 5

6 Username You have the option to change the username that you were provided and we encourage you to do so. Your username will be used throughout the site, including within Groups. Under Edit My Member Profile, where Username is located, click change. A window will pop up and you ll have the opportunity to choose a new username. You ll be prompted to enter your password for confirmation. Type your password in the Verify your password field and hit Submit to make the change. 6

7 Once you hit submit you ll be taken back to the Edit My Member Profile page. You ll be able to confirm that your username has been updated. 7

8 Password The password you were provided to log-in to our new website was identical to everyone else. So, we re positive that you ll want to change your password immediately. Next to the Password field, click change and follow the instructions. The new password must be a minimum of eight (8) characters in length and contain at least one number and one non-numeric character (letters, punctuation, etc.). Choose your password and then enter it within the two fields. Click Submit to confirm the change. Once you hit submit you ll be taken back to the Edit My Member Profile page. To ensure security, your new password will not appear. As we scroll further down the screen, the next steps for updating your profile include (under Account Information): Provide/confirm primary contact address Managing Preferences Uploading a Headshot Image 8

9 Primary Contact To ensure that you receive communication, please update the address listed under Account Information. You ll need to enter the address twice. Once that s completed, scroll to the bottom of the page and hit the red Save Changes button. Managing Preferences In order to choose what you would like to receive click on the Manage Preferences text within the Edit My Member Profile page. The text is outlined in red, above. A pop up window will appear and you ll have the opportunity to check off the lists that you would like to be on. We suggest the following, at a minimum: archsf monthly newsletter: Once a month Around the Chapter weekly newsletter: Once a week General Correspondence: Rarely Group Correspondence: Rarely Stand Alone Event s: Rarely Stand Alone Opportunities and Competition s: Rarely 9

10 If at any time you begin to receive too many s, you ll have the opportunity to change your preferences. It s just a click of a button. Once you ve chosen which s to subscribe to, click Save Preferences. Your preferences will be saved and you ll be taken back to the Edit My Member Profile page. Uploading a Headshot Image To add a headshot image be sure that you re on the Edit My Member Profile page. You ll find the text that reads Manage Headshot Image. It s highlighted with a red box in the screenshot on the following page. Click on Manage Headshot Image. 10

11 Once you click on Manage Headshot Image you ll be taken to your firm profile page. To upload your headshot, find the building avatar. When you hover over the avatar a small icon will appear with a green up arrow. This is the upload icon. Click on the box. 11

12 Once you click on the box you ll be taken to the Upload Profile Image page. You ll either choose an image to upload from your computer or you can drag and drop an image into the area with the red box, in the screenshot below. Whatever you choose to upload will appear in the place of the avatar at the left, where the red arrow is pointing. We suggest that you upload a project photo or firm logo rather than a personal photo or headshot, since this will be your firm s profile photo throughout the website. Once you see the image appear, uploading the image is complete. There are no other steps required. 12

13 To continue editing your profile you ll need to click Your Profile in the upper right-hand corner, followed by edit within the Edit My Member Profile section. Please see the series of screenshots below. 13

14 Once you click on Edit you ll return to the Edit My Member Profile section, where you can resume editing your profile. The next step is to update your Professional Information. This is the information that you want listed for your design firm. 14

15 Organization Ensure that your organization s name is correct (your design or allied firm name). If you need to complete any updates, complete them in the field and then scroll to the bottom of the page and hit Save Changes. Your Firm s Website If you would like to add your firm s website to your profile, please add it here. Your website URL will need to begin with as noted in the site instructions. This is a great location to add a portfolio website or your company s. Once you add the URL, scroll to the bottom of the page and click Save Changes. Address In the Address field type in your mailing address. We suggest that if your firm has a headquarters, that you add your San Francisco Bay Area address information as an alternative. A Bay Area address will be more relevant in results for firm searches. If your address includes a suite, floor, apartment, or other number, please add that to Address Cont. to ensure proper formatting. Following the address and address cont. fields, add your firm s address City/Town, Country (most likely United States), State (most likely California), and Postal Code. Phone & Fax Please provide the primary phone number for your firm, in addition to a fax number, if applicable. 15

16 Practice Areas When someone conducts a design firm or allied professionals search, one of the options is practice areas. Be sure you show up in the search results by adding your practice areas. Using the drop-down menu, check as many that apply to you. To save your selections click on Save Changes at the bottom of the page. Firm Size If you would like to disclose your firm s size, click on the drop down menu and choose amongst sole practitioner, 2-10, 11-19, 20-35, 36-60, 60+. Please keep in mind that the total number of employees includes architects, designers, technical staff and support staff. If you do not want to disclose your firm size, choose the blank option. 16

17 Design Firm The Design Firm should be the same as what you listed as Organization on page 15. It s the name of your design or allied firm. Year Established What year was your firm established? This is a required field. Please enter a year. Logo To upload your firm s logo, hit the Upload File button. A pop-up window will appear, where you can choose a file to upload. Please keep in mind that there are only certain file extensions allowed and they are listed in the Upload a File pop-up page. Choose your file, then hit upload. Business Type What is your firm s business type? From the drop-down menu choose either Sole Proprietorship, Corporation, or Partnership. You can also choose the blank bar, which will not disclose your business type. Office Type For office type, choose amongst Headquarters, Sole Location, or Branch Office, to indicate the type of office space, as it relates to the office address listed in your profile. You can also choose the blank bar and not disclose this information. 17

18 Minority, Women or Disabled Vet Owned If you would like to indicate if your business is Minority Owned, Women Owned, or Disabled Vet Owned, choose amongst the drop-down menus. You can either choose Yes or No or leave the option blank if you don t wish to disclose. Work Locations Locations are listed in the design or allied firm search. Ensure that your firm shows up, by marking all that apply. You can choose San Francisco, Other Bay Area, Other California, Other US, International, Europe, Asia, South/Central America, Africa, Oceania, - or Select All/None. Number of Architects, Designers, Administrative Staff, Technical Staff How many architects, designers, administrative staff and technical staff do you have on your team? If you would like to share these details, please enter them next to each of the fields. Once you complete that, you can then add up all your staff members and enter that into the field entitled Total Number of Staff. Principals If you would like to indicate the names of your Principals, there are six spots to do so. Please list each on a separate line. 18

19 Firm Description Your Firm s Description is a required field. Please enter information about your firm, it s specialties, etc. This will appear to all members. Firm Fax Number, Website URL and Phone Number Repeating the information previously provided from instructions on page 15, repeat the process of adding in your firm s fax number, website url and primary phone number. Organization Type From the drop-down menu, choose your organization s type. For Julia Morgan, Architect, we chose Architecture Firm. There are 20+ organizational types for you to choose from. If you should choose to not display your organization s type, leave the drop-down blank. Primary and Secondary Contact Primary and secondary contact information is essential to ensuring we are able to contact your organization to either update your profile, or reach out regarding upcoming events. Please keep in mind that this information is no visible in your public profile. The contact information that you share will not be shared with other members or the public. But it will ensure that we re able to reach out to your firm. Please provide a primary contact, aside from a principal, who will be responsible for updating your online profile. The contact information we request is: Primary Contact First Name, Last Name, Contact Phone Number and . The same goes for the secondary contact. Please provide the following information for an individual in your firm, should we be unable to reach the primary contact. We request: Secondary Contact First Name, Last 19

20 Name, Contact Phone Number and . Please list these in the required fields. Once you have completed these fields, scroll to the bottom of the page and hit Save Changes. Once you have completed these steps and Save Changes, you have completed editing your profile information. To view how your profile looks, click on My Profile from the menu. You can confirm all the contact details are correct and then move onto uploading your photo gallery and social links. 20

21 Our new website boasts great new features, including: A photo gallery to feature your projects Opportunities to add files and links Sharing social media networks you re active on We ll now guide you through the process of making your profile multidimensional. Photo Gallery The photo gallery provides you the opportunity to add photos with captions and tags, while developing thematic galleries. To add photos to your gallery, start on the My Profile page. Click on the green + sign to add imagery, and then choose Photo Gallery. Please see the screenshot below. You will be taken to a page where you can drag and drop, or upload your photos. To upload a photo, click on the area in the red box, and choose your files. Or drag and drop from your desktop or a folder. Your image will begin uploading. You can choose the visibility prior to upload (Members Only or Everyone). When the photo has been chosen, you will see it appear as it does on the following page. The green below the photo indicates that the image is uploading. 21

22 Once the photo has been successfully uploaded it will appear in the photo gallery. Once the photo has successfully uploaded, click on the photo to add a caption and tags. 22

23 The Caption and Tags are particularly important so that your photos are searchable within the website. Choose tags that are related to your images, such as the project name, location, company, your name. Anything that you would want to make the image optimized for search. Find the areas for adding your caption and tags in the red box below. Add captions and tags to every image in your photo gallery to optimize them for search. Click the Save Icon to save your caption, and click enter to save your tags. To manage your albums, locate and click Manage albums on the main Photos page. 23

24 You will be taken to the page below, where you can add an album by typing a name in the text box to the right of the Add a New Album text. Click Submit to create your album. Once the album is created you can edit the information by clicking the notepad icon on the far left. 24

25 To change setting of the photos once they are in the albums, click the View Albums button. 25

26 Select an album by clicking the main photo. Select the photo by clicking the photo, then checking the circle in the top left corner. A green arrow will appear. Then, locate and click Settings. From here you are able to move the photo to another album, change the visibility settings, or choose permissions for comments. 26

27 Files & Links To add files or links to your profile, go the link entitled Files & Links from your profile. See the screenshot below. Alternatively, you can click on the Files & Links text in the right-hand column. 27

28 You ll be taken to the Files & Links page where you ll want to click on Manage Files & Links text in the upper-left hand corner. This is where you can add, edit, or delete your files and links. Please see the red box in the screenshot below. To add a new file or link click on Add a New Item, as seen in the screenshot on the following page. Once you re on the Files and Links page you can add an item. Choose whether the Item Type is a file or URL, Name the item, and choose its visibility (private, members, everyone). If applicable, upload your file by choosing Choose File, and provide a maximum 1,000-word description. Once you re done adding your file or link, click that you agree to the terms of the Upload Agreement and click Submit. You file or link has now been added. 28

30 A complete list of your files and links are available by clicking back to the Files & Links area. 30

31 Share your Social Networks Increase your network and connect with members outside of our website. Share which social networks you re firm s on for greater engagement. To start, click on Networks in the right-hand column. You ll be taken to the My Networks screen where you can add networks to your profile. 31

32 Choose from the menu of social media networks available. We suggest that you list the following (And we ve made it easy for you to join us on social media. Just click on the links below): Twitter LinkedIn Facebook Instagram Houzz Choose the social network, then type the link. In our example, we ve chosen to add Julia Morgan s Twitter feed. See the example below. Once you are done entering the URL or social network details as instructed on the site, click Add to Profile. 32

33 Once you click Add to Profile, you ll be taken to a screen where you ll see all your social media networks listed. This is where you can edit, delete current social media networks or add additional networks to your profile, following the aforementioned steps. You re off to a great start!
