2 2 CHAPTER 1 Extra Spaces Automatically Removed in Data Entry 16 New Idea Bank 16 This guide lists new features and enhancements in etapestry 7.6.0, released on September 30th, New Look etapestry has a new look. We redesigned the login page to give you quick access to new features in the program, module information, and useful links. You access the login screen the same way you did previously, and your user name and password do not change with this update. The new login page design includes several new features. See what is new in etapestry and get news about events and happenings around Blackbaud. Easily navigate to the most popular areas of our website, such as etapestry Mobile, Conversions, and Training Schedule. Access your database from another location even if you are already logged in. When you try to log in with a user account that is currently logged in, you can re-enter your password to log out of the previous location and access your database from your current location. Previously, you did this with the "Force Login" checkbox. Request a new password from the main login screen by clicking Can't Access Your Account?
3 ETAPESTRY NEW FEATU RES 3 We have also redesigned the menu bar on the program. When you access your database, you can see the new colors on the top navigation bar and the menu bar. Menu options and locations have not changed with this update. Create a Journal Contact from DIY Forms When a contact or volunteer signup DIY form is submitted, it now creates a contact on the constituent's journal. Previously, when a form of these types was submitted, it created a note. Online giving and event registration pages continue to create gifts in the constituent's journal when they are submitted. When you create a contact or volunteer signup page, you must now enter a journal contact subject in the configuration screen in the new Journal Contact Subject field.
4 4 CHAPTER 1 To access DIY forms, from the Main tab or the Manage tab click DIY Forms. Note: If you already have a published contact or volunteer signup form, you must edit the form's configuration to include the journal contact subject and republish the page if you want to take advantage of this functionality. Otherwise, submissions from your forms will continue to create a note on the constituent's journal. Select Donation Frequency Options in DIY Forms You can now select which donation frequency options appear on your transaction-based DIY forms. Previously, when you had a Donation Frequency field in one of your forms, that field had standard fixed options of onetime, annually, semi-annually, quarterly, monthly, and weekly.
5 ETAPESTRY NEW FEATU RES 5 You can now select which of these options appear. You can also rename the options if you choose. To change the donation frequency options on a form, click the Edit Content icon on the section where the Donation Frequency field appears. On the Edit Gift Information screen, select what options you want to show and rename them if necessary. Note: You can change the labels on your forms to match your wording preferences, but each label maps to a standard frequency option in recurring gift schedules. For example, if you rename the label "Monthly" to say "Annually," the recurring gift schedule created will still be monthly, because that label is associated with the monthly value. When you rename the labels, do not change the meaning of the frequency. Copy a DIY Form You can now copy an existing DIY form. This can save you time if you need to create a new form that is similar to an existing form. To access your forms, from the Main tab click DIY Forms. To copy a form, click Copy next to the form you want to copy. You can choose to make a direct copy of the form or copy the style into a new form type. CVV2 Field on DIY Forms CVV2 fields on DIY forms are now limited to four characters. Previously, users could enter additional characters on this field. Since CVV2 numbers never exceed four characters, we have limited the field to avoid confusion. The CVV2 field is required and automatically added to DIY forms that include payment information. To access your DIY forms, from the Main tab click DIY Forms. DIY Forms Walkthrough The new DIY Forms Walkthrough gives you an overview of DIY forms and how to create them, edit, and publish them. The walkthrough includes short instructional videos that show you how to perform these functions in
6 6 CHAPTER 1 etapestry. To access the walkthrough from the program, from the Main tab click DIY Forms and then click Take a Walkthrough under Tasks. Set Favorite Correspondence Templates You can now set correspondence templates as favorites in your database. When you set a correspondence as a favorite, a link to that correspondence template appears in the Favorites tile on your dashboard. To access a correspondence template, from the correspondence area click a template to select it. To mark a it as a favorite, go to step 1 on the correspondence wizard and select Favorite Correspondence Template. Change the Location of "Forward to a Friend" Link in Correspondence You can now choose the location of the "Forward to a Friend" link in advanced templates. Previously, if you chose to include this link it always appeared at the bottom of your message. You can now choose to place it at the top of the message instead. To include the "Forward to a Friend" link in your communication, select Include "Forward to a Friend" Link on step one of the correspondence template wizard, and then select whether to include the link in the footer or the header.
7 ETAPESTRY NEW FEATU RES 7 See All Personas on Account Home Page You now see all personas on the Personas tile of accounts by default. Previously, you only saw the primary persona and had to click Show All Personas to see the remaining personas. To manage whether the Personas tile appears, from any account's Home page click Select Tiles and Layout. Advanced Find Fields Transfer to Add Account Wizard When you enter search terms in the Advanced Find screen and click Add Account, the fields you completed now transfer to either the Add Account screen or the Add Account wizard, depending on which you use. To perform an advanced search, from the Main tab click Find Account. On the Find Account screen, click Advanced Find. Set Default Persona in Queries You can now set a default persona type for queries. When you choose a default persona type, any query you create searches for matches on that persona type. You can still change your selection for each individual query when you create it.
8 8 CHAPTER 1 To change your default persona for queries, from the Main tab click My User and click the Preferences tab. The new Default Query Persona field is under the User Preferences category. Select a persona type and click Save And to apply it. This selection appears on the Persona Options field on the Create a New Query screen. The field defaults to the preference you indicated, and you can change it for any individual query. Default Correspondence Delivery Methods You can now set whether you want your correspondence to default to PDF or Word format. When you choose a default delivery method, any correspondence that you create under your user login defaults to that format, but you can change your selection for each individual correspondence when you generate it. To change your default correspondence delivery method, from the Main tab click My User and click the Preferences tab. The new Default Letter Delivery field is under the User Preferences category. Select a method and click Save And to apply it.
9 ETAPESTRY NEW FEATU RES 9 This selection appears on the second step when you send correspondence. It defaults to your preference, and you can change it for any individual correspondence. Mark Persona Fields as Required You can now mark persona fields as required fields during data entry. When a field is required on a screen, users cannot save that screen until that field has been completed. Requiring persona fields is an organization-wide preference in the database. You can select this option for the following fields. Start and End Dates Address City State Postal Code County Country Web Page Note Short Salutation Long Salutation All enabled phone types
10 10 CHAPTER 1 Note: Previously, you marked the Country field as required from the Country Field screen in System-Defined Fields. That option is now part of the persona fields preferences described here. } Mark persona fields as required 1. From the Manage tab, click My Organization. The organization account appears. 2. Click the Preferences tab in the account. The Preferences page appears. 3. Under the Required Persona Fields section, select the fields that you want to mark as required. 4. Click Save And to commit the changes and navigate to the page selected in the Save And menu. Mark Fund as Required on Soft Credits You can now mark Fund as a required field for soft credits. To enter a soft credit, from the Journal screen on a constituent record, select "Soft Credit" on the Add New field. The New Soft Credit screen appears.
11 ETAPESTRY NEW FEATU RES 11 On this screen, the Fund field is not required. To make it required for all soft credits, from the Manage tab select "Funds" under Defined Fields. On the Funds screen, select Require Fund on Soft Credits under Settings. Soft Credits on Quick Entry When you enter a gift using quick gift entry and there is a soft credit associated with the gift, you can now set your selections as quick entry defaults and the soft credit preferences are saved. Previously, a defect prevented the soft credit information from becoming part of the defaults when a user entered soft credit information on the Quick Gift Entry screen and clicked Set as Quick Entry Default. New Account Summary Report There is a new Account Summary Report. This report lists all your interactions with a given constituent. To access the Account Summary Report, from the Reporting tab click Report/Export and select etapestry Standard Reports from the menu. Under the Account Reports category, click Account Summary Report. The report launcher appears.
12 12 CHAPTER 1 You can choose whether or not you want to include relationships, user-defined fields, and recognition information in the report. You can also choose to limit journal entries to the most recent 15. To launch the report, select a query and click Submit.
13 ETAPESTRY NEW FEATU RES 13 You can also launch the report for an individual account. From the Quick Actions tile on an account's home page, click Generate Account Summary Report. New System-Defined Fields Report There is a new System-Defined Fields Report. This report lists all system-defined fields in etapestry and details about how those fields are currently used, such as whether they are required, their type, and their selection values if applicable. To access the System-Defined Fields Report, from the Reporting tab click Report/Export and select etapestry Standard Reports from the menu. Under the Defined Fields category, click System-Defined Fields Report. The report appears.
14 14 CHAPTER 1 To export the report, at the bottom of the screen select the export format you want and click Export. Export Options in Delivery Report The Delivery Report can now be exported in CSV or Excel format. In the past, even when these options were selected, the report was exported as an MRG file. To access the Delivery Report, from the Reporting tab click Report/Export and select etapestry Standard Reports. The Delivery Report is under the Mass Reports category. Security Codes in Personal Fundraising Pages If you use the Advanced Security Module, you can now select security codes for personal fundraising pages. When your constituents submit a form on a page with a security code, the account created for that constituent carries that security code. To access the Personal Fundraising Module, from the Manage tab click Modules and select "Fundraisers." To create a new page, click New Fundraiser under Tasks. The new Security Rights field is on step 8 of the New Fundraiser wizard.
15 ETAPESTRY NEW FEATU RES 15 Note: When you add a security code to a fundraising page, existing accounts with no security code are not updated with the new security code. Existing accounts that already have a security code are updated with the additional security code. Save Fundraiser Order You can now save the order in which fundraisers appear on the Fundraisers page. To rearrange your fundraisers, drag and drop the fundraisers on your list and click Save Fundraiser Order under Tasks. To access your list of fundraisers, from the Manage tab click Modules and select Fundraisers. Values on User-Defined Fields When you create a user-defined field with single selection or multiple selection, you must now enter at least one value for the field. Previously, you were able to create a user-defined field with single selection or multiple selection and no values. This resulted in fields that could not be completed on your accounts. To prevent this, you can no longer save a new user-defined field until there is at least one value assigned to the field. To create or edit a user-defined field, from the Manage tab click Defined Fields and select "User-Defined Fields." You enter field values on step 6 of the user-defined fields wizard.
16 16 CHAPTER 1 Extra Spaces Automatically Removed in Data Entry Leading and trailing spaces are now automatically removed in name and persona data-entry fields. For example, if a user accidentally includes a space before or after the data in a field, such as the name of a city, this could previously create problems when you generated a correspondence and the address got printed with those extra spaces. In that case, you would see errors like " Chicago, IL" in the address line. With this enhancement, unnecessary spaces at the beginning and end of these fields are automatically stripped from your data when you save it. New Idea Bank etapestry now has an idea bank where you can submit product suggestions and ideas, and vote on your favorites. The idea bank replaces the suggestion box we had previously. To access the idea bank from the program, from the Help tab click Contact etapestry.
