1 Hello and welcome to the UAA proposal/abstract submission system! IMPORTANT: Read the information below to make sure your proposal is acceptable! Failing to abide by and/or understand the following policies may affect proposal consideration and/or paper presentation. 1. ORGANIZED PANELS This form is for pre-organized panels consisting of 3-5 research papers. You must have 3-5 papers whose authors have agreed to participate on the panel. This form should be completed by the panel organizer. Note: Your panel proposal will only be reviewed if it is complete. You must supply all abstracts and contact information, a panel summary, as well as identify a moderator. 2. WORD OF CAUTION TO PANEL ORGANIZERS It is wise to verify that each proposed panel presenter has not made any other UAA conference commitments, as such commitments may be in violation of UAA's One Session/One Presentation Policy. 3. ONE SESSION/ONE PRESENTATION RULE UAA conference policy limits each presenter to participation in ONE session and to making ONE presentation within that session. This policy is strictly enforced and applies regardless of the role you are playing: presenter, moderator, speaker, etc. Three Exceptions: a) Moderating Your Session: A paper presenter may also serve as the moderator for her/his panel session. b) Serving in a UAA-Sponsored Session: Persons invited to serve in a UAA-sponsored session may participate in an additional session. c) Participating in a Breakfast Roundtable (BRT) discussion: A presenter may participate in one or more BRTs, as well as in a regularly-scheduled panel/colloquy OR poster session. 1
2 Note: There is no limit on the number of papers that a presenter can be listed as a co-author. 4. SUBMISSION LIMIT You may only submit one (1) proposal. 5. UAA MEMBERSHIP You do not have to be a UAA member to submit a proposal. However, UAA members do receive a conference registration discount. 6. PROPOSAL/ABSTRACT CHANGES Once you click "SUBMIT" you CANNOT RETURN to your proposal submission to make corrections. After November 30, minor changes may be made to accepted proposals/papers using the UAA online Change Form. Questions or concerns? Contact the UAA Office at: conf@uaamail.org 7. CANCELLATION OF SESSIONS Each panel or colloquy session must have a minimum of 3 registered paper presenters or speakers to remain on the conference program. UAA reserves the right to cancel sessions if there are not a sufficient number of presenters/speakers registered by the Late Registration deadline. We will notify presenters and relocate any papers that are affected by session cancellations. 1 / 17 2
3 Acceptable Paper Proposal Submission Do NOT submit paper abstract proposals where the author(s) are just beginning to formulate their research. Paper presentations require findings. As the panel organizer, you should only submit paper proposals if the authors are very confident that they will have findings to share by the date of the conference. If the authors are not sure, they should use the Poster Proposal option instead. As a poster presenter, an author will receive feedback that can help him/her finalize his/her research. Note: Only presenters on your panel will count towards the panel's 3 presenter minimum panel requirement. 2 / 17 3

11 Policy Reminder UAA conference policy limits each presenter to participation in ONE session and to making ONE presentation within that session. This policy is strictly enforced and applies regardless of the role you are playing: presenter, moderator, speaker, etc. Verify that each proposed speaker in your organized panel has not agreed to participate in another session. Any person who has been given a waiver from the rule will have written verification of their exemption. Multiple session commitments violate the one-session rule, and can result in forced withdrawals from your pre-organized panel. In extreme situations, your panel may be cancelled if withdrawals result in fewer than 3 speakers. Please provide information for the FIRST paper in the panel. 21 SESSION SCHEDULING POLICY Formal conference sessions begin on Thursday morning of the conference period, and end on Saturday around noon. Individual presenters cannot be guaranteed a specific presentation time slot within those days. Changes in presentation schedules can occur due to late withdrawals. Presenters should therefore check the preliminary and final program for scheduling details. If a presenter is unable to attend his/her assigned session as it appears in the final program, he/she may be required to withdraw from the program. * I understand and accept the scheduling policy. 14 / 17 21
22 REGISTRATION POLICY All conference session presenters are required to register and pay a fee. Failure to register and pay required fees by the late registration deadline will result in removal from the conference program. 23 IMPORTANT NOTE REGARDING UAA REVIEW DECISION Review decisions (i.e. acceptance/rejection letter) will be sent via to the individuals you have designated as the presenters for this proposal by Nov. 30. If November 30 arrives and the presenters has not received the decision letter, please contact us at Note: We do not send acceptance messages to co-authors. * I understand that the UAA review decision will be sent to the presenters of this proposal by November 30. It is my responsibility to contact the UAA office if Nov. 30 arrives and the presenters of this proposal have not received a review decision. 16 / 17 23

Please save this confirmation receipt, as it is the only proof that the submission was received. IF THE ORGANIZER DOES NOT RECEIVE A CONFIRMATION , THE SUBMISSION IS NOT COMPLETE.
