1 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.03 SP1 Changes affecting WinAccs Cash posting Corrected a transaction posting issue introduced in v7.03 which appeared when posting payments or receipts with discounts. Company details Added a warning to the sales order, purchase order and quotation reference numbers, warning the users if they do match the correct criteria. When creating a new company, if the default VAT codes have not been set, as soon as a VAT code is enabled, choose this as a default. Added new electronic banking type "Santander". Added new electronic banking type "LloydsLink Online BACS Multiple". Database utilities Change option 1 (Contracts (jobs) - Mark as complete, as incomplete or delete) so it allows blank start and end contracts and in this case, show a warning about processing all contracts. Intrastats export New program to export a CSV file for submission of Intrastats data.
2 Invoices and credit notes Allow credit notes to update stock. So a sales credit note will allow the stock to be returned from the customer to stock. Similarly if you are returning items to a supplier, you can despatch the items from stock. When creating records for printing invoices, on the cost price field, use the unit cost price (for profitability analysis) if available rather than the update stock cost value. Added the ability to store the cost on the detail line. This is also passed between quotations, orders and invoices. Added a new option to lock the representative controls so the user cannot change the representative entered against the account. If set to not allow representative change, but if the representative is blank, allow it to be entered during document entry, but not changed once saved. When invoicing purchase order items, warn if no delivery has taken place. Get the trade discount, representative etc from the order. If invoicing from orders, use these details from the order without asking. If entering the invoice manually against an order, check and offer to copy them. When returning goods with a credit note, if the user ticks the checkbox to post the goods back into stock, if the bin is currently blank, it fills it with the default bin. Added a new feature which will check the account VAT number and if it looks like a foreign country, then offer to change the default VAT code to Z (zero rated). Added a new option to automatically select the return to bin option by default when entering a stock related credit note. Changes affecting WinPay Automatic enrolment to a pension scheme The WinPay AE module now outputs enrolment and contributions CSV files compatible with Friends Life, Scottish Widows, NEST, The People's Pension and Standard Life. Company details Added new electronic banking type "Santander". Added new electronic banking type "LloydsLink Online BACS Multiple".
3 Employee maintenance When copying an employee from a non-working frequency, correctly calculate a working tax year from any available frequency. Export pension contributions Moved from "Reports, More" to "Pension automatic enrolment". Payslips If there are no available working frequencies, handle it with a message rather than aborting. When performing an auto-generate timesheets, produce a log file of anyone who is automatically enrolled or has their enrolment status removed. Updated the code which calculates the director's NI contributions so that accumulated NI is rounded to the nearest whole number before being used to reduce the remaining banding available for each NI letter. Modified the pre-list report so that the departmental summary does not contain any NI letters. Pension report Stop a rarely occurring error where a pension report is requested but there are no working frequencies. Reset period Now deletes pension contributions awaiting release if they are "in the future" based on the new reset period. Also corrected an issue deleting P32 records from previous tax years. RTI - Earlier year update Updated to allow deleted employees to be selected. Deleted employees are leavers who have already been purged from the system by the end of year advance. Also don't allow an EYU if there have been no payments made in the selected tax year. RTI - End of year During P60 production, leavers were included even if not selected.
4 Statutory payments Do not allow new statutory payment records to be added or edited where the employee has a non-working frequency. Statutory tables Added support for the new NMW from Oct Timesheet entry If there is a gap in taxable period and the very first period of the year is when an employee should have been paid has been missed, report it like this as opposed to saying "Period 0". If the pension AE wizard has not been run, ask the question as normal, but also offer to stop reminding the user about the wizard if they don't want to. System reports Security laser mailer report corrected to show the YTD figures in the lower sections which were previously omitted. Also created more space for year to date figures. Changes affecting WinStock Customer prices Added a new function to show all customers' prices in a grid. Allow this to be printed. Added a new feature to allow customer prices to be copied to another customer. Corrected the display of the mark up or margin percentage. Also updated the report which includes the extra information to show mark up or margin as appropriate. Enquiries Corrected an error with the sales history enquiry not working on the correct key. Find stock (when searching for a stock code) Updated the find stock function to use the natural sort order from the database.
5 Mark up or margin Created a new option to allow the user to choose between the display of mark up percentages or margin percentages Order import Added representative, trade discount %, early settlement discount % and payment terms to the header import structure. Added delivery company name and invoice company name. Extended the free text length of text details to 80 characters. Purchase orders Changed the way the total line on details is shown. It now includes total quantity and total order/quote value. Added a new option to lock the representative controls so the user cannot change the representative entered against the account. If set to not allow representative change, but if the representative is blank, allow it to be entered during document entry, but not changed once saved. Set the user reference to the user initials and the originator to the full user name. New option to control whether to automatically print, not print at all or ask to print (the default) the new order. Also removed the check stationery message. Added 3 new fields: trade discount %, early settlement discount % and payment terms. These new fields will be used during the invoicing process. Added a new feature which will check the account VAT number and if it looks like a foreign country, then offer to change the default VAT code to Z (zero rated).

Added a new feature which will check the account VAT number and if it looks like a foreign country, then offer to change the default VAT code to Z (zero rated). Stock maintenance Added a new option so that the stock extra numeric 1 value can be picked up and displayed on the front stock maintenance screen as an additional cost price. Combined all stock maintenance fields onto one screen. If the supplier ledger is blank, default to purchase ledger rather than subcontractor ledger. Corrected the display of the mark up or margin percentage. Stock reorder report New report program to create stock reorder reports. Stock turnover history report New report for stock turnover by period with last and current years.
8 System reports Added 3 new extended stock movement reports. Added a new report "Delivery note (Acknowledgement style)" to produce delivery notes based on orders rather than despatches. Simply enter a date and all orders entered on that date will be included in the document set. Added 2 new sales order acknowledgements for trade discounts on orders (SORDACKN_TDS, SORDACKN_TDV).
9 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.03 Please note this is your WinPay 2014 year end release and contains all changes necessary for processing payroll in the 2015 tax year. *** IMPORTANT *** Some Businesses, Charities and Community Amateur Sports Clubs will be able to reduce their Employer Class 1 NICs bill by up to 2,000 per year. Check your eligibility, and if you can claim this allowance, you must tick the 'Claim employment allowance' box on the HMRC tab of company details before processing any periods in the 2015 tax year. Changes affecting all systems Compact calculator The calculator will now show at all times, but only allow recall of a value into the current entry field if it is appropriate, i.e. it is a numeric field. Note, for those users who are not aware of the Calculator function, it may be accessed by pressing Ctrl-Alt-C simultaneously on the keyboard. It acts like any other calculator, but with the added advantage that a resultant value may be recalled into the field where you are working. VALACDOS Updated for use from February Changes affecting WinAccs Account maintenance New ability to maintain a trade discount percentage against each account, which can then be applied to invoices. Applies to all ledgers. Advance period Allow budget uplift percentage to have decimal places. Credit note password A new facility has been introduced to set a password for credit note entry. If a password is set in the Company Details, it must then be entered by the user when they wish to enter a credit note (also applies to negative value invoices). See subsequent points below for where this has been effected.
10 Applications / certificates If a credit note password has been entered in the company details, it must be entered before accepting a sales certificate with a negative total amount. Also applies to invoicing. Company details Allow the maintenance of the next quotation number. Increased the space for the bank name to 40 characters bringing it into line with nominal account maintenance. New function to allow the user to enter a password which must be entered before invoicing will accept a sales credit note (or sales invoice with a negative total amount due). Also applies to sales certificates. Allow the user to set budget periods to 'None' if there are no existing nominal budgets for the year. Contract analysis codes maintenance Not allowed to maintain contract analysis codes if not registered for contract costing. Contract (Job) maintenance Cosmetic change to show percentage complete figures as right justified on the budgets form. Not allowed to maintain contracts (jobs) if not registered for contract costing. Database utilities Added a new option (number 21) to reset the ledger field on all printed invoice records. Financial reporting Now checks that a 'Trial Balance' or 'Other' report is selected before printing. If the year end date is not set, can now set the budget period. Disable the budget period entry if the budget periods are set to 'None' for the relevant report year.
11 Free text maintenance Gracefully handle the situation if attempting to browse through an empty data set. Invoicing Change so that if the invoice delivery address is not the same as the selected order, it offers to update the invoice delivery address from the order. Do not allow any special characters (tabs etc) in the invoice description or multiline text. If a credit note password has been entered in the company details, ask for it to be entered before accepting a sales credit note (or sales invoice with a negative total amount). Updated the address selection system so that if a purchase or subcontractor account does not have a default delivery address, use the company details instead of the account address. A (new) trade discount percentage can be applied to invoices. A default discount can be maintained in the ledger account record, which may then be overridden in the header of the invoice. If a discount exists, an additional line will be automatically applied to the invoice, reducing the goods amount by the value entered. Additional note re trade discounts for sales invoices. Optionally, the user may choose whether to post the whole amount of any discount to a single nominal code, or to reduce the nominal analysis of each line entered. By default, the latter will apply, however if you wish to enter a nominal code for trade discount, it may be done in settings, Stock/Invoicing options by company (Stokoptn.ini), Invoicing options, Trade discount nominal (sales). Job group maintenance Not allowed to maintain job groups if not registered for contract costing. Nominal maintenance Allow budget uplift percentages to have decimal places. Representatives Updated to allow the entry of a monthly targets for sales performance reporting. Representative performance New report pre-processor to prepare data for representative performance reporting.
12 System reports Added new report 'stkpricesbygrp.vrx'. Stock prices by group. Added new report 'SalDelAdd.vrx'. Sales delivery addresses. Changes affecting WinPay Advance Updated to calculate and report on the employment allowance. Attachment orders Added support for Direct Earnings Attachments (DEA's), including fixed amount DEA's. Retrospectively add the same DEA table values for 2014/15 into the 2013/14 table values record. Company details Businesses, Charities and Community Amateur Sports Clubs will be able to reduce their Employer Class 1 NICs bill by up to 2,000 per year. The amount of allowance claimed per period will be reported on the P32. Removed NICS holiday YTD field when company data is in the 2015 tax year. Allow the waiting days to be changed even if there are timesheets entered. Data validation Scheme contracted out number (SCON) are usually associated with COMPS pensions, however HMRC have requested that SCON's are reported on FPS submissions for employees on COSRS pensions. For company data in 2014, such employees are reported as warnings. For 2015 and later, these will be errors. HMRC have issued a temporary SCON, but do warn that employers should endeavour to obtain the correct SCON as soon as possible.
13 Earlier year update (RTI EYU) Once you have told HMRC that you have made your last RTI submission and made your end of year declarations, the only way to correct a mistake in an earlier tax year is to use the earlier year update function. This feature is only available to those users who have purchased the Advanced RTI module. Employee maintenance Default both percentage and fixed amount Direct Earnings Attachments to use 60% as the protected earnings percentage. Added support for the extra hours worked band. Updated to allow the entry of an SCON where the employee is on a COSRS pension. Added an ability for the postponements days entered on the company details to be overridden for a particular employee. Employer payment summary Corrected a minor error where the SSP recovery flag was not read correctly. Removed SSP recovery, NICs Holiday YTD. Added an ability to add bank details in case the EPS is recording a refund from HMRC. Added the claim employment allowance flag. End of year (RTI) Added a new section to process changes to employees related to the new tax year. In this case, the change to the hours worked. Allow the user to select the previous tax year for P60 production and global employee changes. Added a check to warn the user if steps 3 and 4 have already been processed. This is the stop the routines being used twice. Increased the default purge values. Export pension contributions WinPay can now export data in the Scottish Widows Assist Me format. Created a country conversion system to convert country names into their ISO 3166 equivalent (e.g. Poland becomes PL).
14 Full payment submission Added a new field "Reason for late reporting" which can be used to inform HMRC why a particular submission was made late. Now correctly removes trailing spaces from the old payroll ID (if included in the submission). P32 maintenance Updated to remove SSP recovery and add the employment allowance. Pay element maintenance Show the department tab so that is is visible so long as departments are selected. This tab used to be hidden unless timesheet entry on company details was selected. Pay element summary report Corrected a minor problem with the production of the pay element summary report where there is more than one period in the timesheets. Pension AutoEnrolment wizard Added an option to produce the reports only and not add the pension record to an employee. Updated to allow the assessment to go ahead even if the pay dates would not normally allow it. In this scenario, tick the report only box and don't allow a full assessment to happen. Reset period Addressed a minor issue when removing a new AutoEnrolment pension when accumulators were not recorded against an employee. Security Keep more pre advance AutoBackups, particularly weekly and 2 weekly. SSP percentage threshold scheme (PTS) The percentage threshold scheme for SSP recovery is abolished for the 2015 tax year. All references to SSP recovery will be removed, once the company data is set for the 2015 tax year.
15 Tax code changes (P9X) Updated to increase 944L to 1000L (all other L suffix codes also increase by 56). Timesheet entry Ensured the extra periods are correctly recorded regardless of how the holiday period is selected (either by the default setting for all weekly employees or one at a time using the holiday option). Changed the way the automatic enrolment refund is put into the default list. The refund was not appearing in all cases. Changes affecting WinStock Purchase orders The new order locking system did not allow out of sequence orders numbers to be entered manually. It simply reported "Order does not exist". This functionality is restored in this update. Default the purchase order delivery name and address to the company details name and address. This reverts it back to v7.02 SP2. 16 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.02 SP3 Changes affecting all systems Free text maintenance Created a new system where the user can enter free text in 2 different styles, with fixed spaces and paragraphs. This free text can be entered into sales orders, quotations, purchase order and invoices. Menu Added a new system setting to set global options for default, non-company related items on the menu (install reports, security etc). Made the "Perform an Auto Backup" check the security rights of the user. V-Rex Pressing "Cancel" on the "Save Report" option was not operating correctly. Correct the syntax checking of "Mid" statements. Grey "Document Password" text in Report Properties for non edoc reports. Valacdos Updated for use from November Changes affecting WinAccs A new function is available in WinAccs & WinStock for importing sales orders, and exporting sales invoices, using the Freeway standard interface. This has had an effect on a number of programs in the system which are mentioned below. Another new function is available in WinAccs, which allows budgets to be set for nominal accounts by period. Again, this has had an effect on a number of programs in the system which are mentioned below. Account maintenance If Freeway export is selected, allow the user to enter an account code that is the company's account number with their customer.
17 Advance period New option at year end to retain this year's budgets with an uplift % or move next year's budgets into this year. This year's total and variable budgets can also be moved to last year. If the year end date is not set, the Periods tab of the company parameters will be shown. Company details Corrected a minor issue where a new company year end date could not be saved. Database utilities Added a new feature to reset the statement flags for all sales accounts to use the company defaults. Financial reporting Budget periods for the current reporting year are now obtained automatically from company parameters. Budgets for the relevant period will either be calculated from the total budget or by using relevant variable budgets. If the year end date is not set, the Periods tab of the company parameters will be shown. Invoicing Corrected a minor error when closing the WinAccs Invoice Import function manually. Expanded the printed invoice header database to include the company name in the invoice address and to also include a full delivery address. Added a new index to the printed invoice header table to link invoices by account code. This makes it much faster reproducing invoices and performing an invoice enquiry. Increased standard line length to 80 chars. This is to accommodate the new free text lines. Freeway/GXS sales invoices (in Freeway standard file format) can now be exported. Nominal account maintenance
18 Added a Budgets tab to allow entry of variable period budgets. Added ability to uplift and copy variable budgets from previous years. System reports New report "salinc_dlvry.vrx" to demonstrate how the invoice can now contain a delivery address. Updated all default invoices to use the new company name field and where possible simplify the report by removing the link to the sales ledger. New report "FindSalesTX.vrx" allows the user to enter a range of values and find all sales transactions in that range. Changes affecting WinPay AutoEnrolment assessment Use a different base date when creating the employee pension start date. It is now the latest of Staging date, employee start date or current pay date. Unless being assessed using the AutoEnrolment wizard. Updated timesheet entry and auto-generate so that the first timesheet after the pension start date (i.e. the postponement period) is re-assessed and if earnings do not match the minimum, then the AE pension is stopped. If the employee wants to opt in, the user can simply re-activate the pension. AutoEnrolment wizard After looping through the setup once, if prerequisites are not yet complete, show the reason why. Employee maintenance Added new fields for controlling the old payroll ID. This is to stop HMRC charging double for tax and NI when a payroll is moved from one package/company to another. Pay element maintenance Allow the departmental pro-rate control flag when not registered for WinAccs contract costing. Pay element summary Updated to pro-rata amounts to the relevant departments without needing a registration for WinAccs contract costing.
19 Pension maintenance When the pay element records are updated, any existing nominal account codes are saved and re-used. Reset New automatic enrolment pension records will be deleted along with related pay element and accumulator records, if a reset is processed. RTI EPS Corrected the calculation of the P32 recoveries where the company had child companies as part of their consolidation. RTI FPS Updated to include the old payroll ID tags and details in the XML submission. Security Updated all applications so that the frequency security is correctly applied. System reports Force frequency security on SSPDets, so that users cannot see details they are not authorised to see. Changes affecting WinStock Purchase orders Created a new method for locking orders. If an order is locked, you will now see a message showing the user who had the record lock last, along with a date and time. Also see sales orders and quotations. Updated to include the company name in the order and delivery address. Also added other information. Pick up the correct default addresses. Increased standard line length to 80 chars. This is to accommodate the new free text lines. Changed the term "Text only" to "Multi-line text" to be consistent with invoicing.

Also added other information and routing code. Increased standard line length to 80 chars. This is to accommodate the new free text lines. Changed the term "Text only" to "Multi-line text" to be consistent with invoicing. Added a new function to allow copying of quotations/templates to different accounts. Sales orders Created a new method for locking orders. See purchase orders and quotations. Updated to include the company name in the invoice (acknowledgement) and delivery address. Also added other information and routing code. Increased standard line length to 80 chars. This is to accommodate the new free text lines. Freeway/GXS sales orders (in Freeway standard file format) can now be imported. Changed the term "Text only" to "Multi-line text" to be consistent with invoicing. System reports Updated all acknowledgements, quotations and purchase orders to use the expanded addresses. Updated goods despatched notes and goods received notes with new delivery company name.
21 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.02 SP2 WinPay/Automatic Enrolment to a Pension Scheme is included in this release. This is a comprehensive management tool, which has been designed to undertake employee assessments, and where appropriate, enrol employees into a designated pension scheme. All key points in accordance with the guidelines issued by the Pensions Regulator, are accommodated within this system, including the management of postponements, opt-outs and opt-ins. This suite of programs is available as an additional module to WinPay. Describing what has changed and how to implement it, is beyond the scope of this document. In due course, the WinPay manual will be updated with a full description, but if you would like further information, then please contact the Compact Software Support team. Changes affecting all systems Menu After running the registration, reset the menu to include or exclude any relevant new options. Addressed an issue where the user was using a low screen resolution. Show an error message to handle this gracefully. Could also be an issue if a user is using non-standard text size and/or non-standard desktop DPI settings. Addressed a minor issue where the tidy files routine was not clearing out files in subfolders. Also allow XML files to be kept for 2 years. Disable the menu forms while the monthly Autobackup checks are taking place. Prevent the user closing the delete old autobackups form until it has finished processing. This fixes an occasional problem where it may appear that the user was disconnected by BOSS, when in fact the user was never logged on fully. VALACDOS New bank sort code and account number validation weighting table. Valid from October V-Rex Allow reports to always export by adding an entry to central.ctl (see SAMPLE CENTRAL.CTL in the data folder to see an example). When cancelling a report from the "Page Dimensions exceed Form Size" warning form, used to give an "Error deleting <temporary file>" message. New option to "Print items down the page first, then across" added to 'Fixed items' to print multi-column reports in 'telephone book style'. Allow 'Fixed items' to be used with 'Continuous' style reports with headings.
22 Changes affecting WinAccs Aged balances Moved the checkbox "Include zero balance" into the period parameters and renamed it to Include fully matched transactions. This is what it actually does, but only for current and pending period transactions. Added new checkbox into the ledger and accounts box called "Include account with zero balance" which will ensure all matching accounts are included even if there are no transactions. If this new box is not ticked, then restrospectively go back through any extracted accounts and if the net effects from transactions is zero, then remove all transactions and the account from the report. Company details Added company registration no to company parameters. Added a setting to lock the current period. If the current period is locked, any new transactions will be posted into the pending period. This setting will be cleared as part of the advance. Moved period dates to a new tab "Periods" which also now contains nominal budget period settings. Enquiry / display Disabled the main view grid while reading and displaying transaction data. Added the ability for the nominal account view to include contract and contract analysis code details. Added more search fields to invoice enquiry. Added a reset button. Added "Their ref" to the grid. Disabled the "Recall" button. If the sales account has not been changed before clicking the invoice enquiry button, do not clear the main view grid. Allow a right click on a sales invoice or credit note to call the invoice enquiry function automatically, displaying the document line details automatically. Financial reporting
23 Added support for cost centre reporting. Show process information when calling FRCalc and V-Rex. Corrected an issue where it was printing the wrong sign for this year column 3 items on balance sheet credit lines. Other period balances were printing as normal period balances for main reports. Used to say "From Report is Greater than To Report" when From Report was entered and To Report was left blank. Added the ability to extract balances from the period archive if dates match. Invoicing Added a preview button so the user can preview sales invoices, then make any amendments if necessary. Updated to increase the size of form, spacing items out more. Added the cost per qty field. Added an ability for the stock record multiplier to be applied to the qty and not the rate during line value calculations and presentation (i.e. 12 per 100 = 120). Added a completely new sales invoice import function. Set 'Our reference' as the order number when calling invoicing from sales orders. If registered for Quotations, allow the import of quotation lines directly into an invoice. The user must select "Link to WinOrders" on "Select Invoice Parameters". Nominal ledger / Purge accounts Updated so that when a nominal account is purged, it is automatically deleted from any financial reports. System reports New SALNAMES.VRX, PURNAMES.VRX and SUBNAMES.VRX reports which print sales, purchase and subcontractor account codes and names, 3 across a page. Transaction posting (Invoicing, cash, journals etc) Updated to use the new lock current period setting and if set, always post into the pending period. Posting functions updated to warn the user if the current period is locked and offer a chance to exit the program. V-Rex spooler
24 Corrected a minor issue where it was not finding audit trails with lower case filenames. Changes affecting WinPay Auto-enrolment to a pension scheme As noted earlier, WinPay now contains the ability to manage automatic enrolment of an employee to a pension scheme, under the guidelines set down by the Pensions Regulator. This comprehensive suite of changes to WinPay is only available as an additional module. Please contact our Support team for further information. Database utilities Added an option to set the RTI EAS flag where it's already been submitted by a third party. Link to accounts Added a new option in "WinPay settings, Contract options" to allow the link to WinAccs to skip any costed pro-rata elements where there are no jobs to allocate against and the total value of the cost would go to "unallocated costs" The value is still posted to the Nominal account, but not to the default contract. Pensions Updated to allow the setting of 3 different NI calculations which are allowable on the pay element (NIable < LEL, NIable band and NIable > UEL). Real time information Don't include previous pay and tax on the FPS. Added a date stamp marker to the XML filenames. Timesheet entry If selecting a pay element where the calculation is one of the NIable bands, this was not shown on the timesheet properly. Changes affecting WinStock Customer prices
25 If no records and the screen is left blank, allow the program to close without asking to save the record. Stock as at date Added an option to calculate the fixed price based on the last found adjustment in movement record.
26 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.02 SP1 Changes affecting all button Fixed a minor problem when searching on address. It was only working on the first address field. Changed the algorithm to ignore any non-printing chars. Added the extended fields to the subcontractor ledger search. Removed the surname option from any WinAccs or WinStock selection. Electronic banking If set to use the Co-op Bank, restrict the payee name to 18 characters. Menu When reloading the menu multiple times, the autoupdate check happened each time (just once per session). Made it so that it only happens once per day per system. Stopped the copy company function from re-adding an unnecessary character to the new company name. VALACDOS New bank sort code and account number validation weighting table. Valid from June V-Rex Allow multiple addresses in To, CC and BCC fields and extended the length to 240 characters. Corrected the display of the Exit button which was corrupted after installing some new Microsoft Office updates. Picture and formula names can now be reused if deleted. Addressed a minor error when it was sometimes producing a 'subtotal gap' after the first item on a new page. Changes affecting WinAccs

Made is so that the user can use the keyboard to select the required record. Account maintenance When deleting a sales account, also delete any customer prices. Cash posting Corrected an occasional error caused by running and then rerunning a payment schedule. CIS records Strengthened the character stripping during the creation of the CIS XML data files. Now, entries such as "See Notes" which previously led to a single space being sent, are now not sent at all. Enquiry / display Show cost price on the invoice enquiry form. Also affects sales orders and quotations. Added a new option to show the Total O/S. Also added the due date column to the subcontractors ledger. Financial reporting Corrected a problem printing the wrong sign for variances on credit lines. Automatically adjust the column widths when printing landscape reports. Validate column numbers and digits in default parameters. Invoicing
28 Stop clearing the invoice number if swapping between the header page and the batch page. Show the last entered document in a label at the bottom of the form. If a stock location record does not exist, create a dummy record to allow the stock to go negative (if allowed). Corrected a minor error which could occur after accepting a credit note. If the company data is set to update the stock cost price during invoice entry, now store the entered cost price on the printed invoice item record for later display. Updated to pick up the new customer price. Purge Delete customer price records if deleting a sales account. Turnover analysis A new function to create a turnover analysis report. System reports New reports for turnover analysis. Changes affecting button on employees Added a surname option so the user can choose to sort the list of employees by surname. CIS records Strengthened the character stripping during the creation of the CIS XML data files. Now, entries such as "See Notes" which previously led to a single space being sent, are now not sent at all. Database utilities New option to clear any invalid SCON details from employee and P11 records. Employee maintenance
29 Updated the validation on the date of birth so the earliest reasonable date is based on 99 years rather than 65. Enquiry Removed the warning about the pay date if attempting to filter on the pay date. Full payment submission Even if the user has entered the partner details on the employee maintenance, do not include the partner details unless there is an ASPPb or ASPPa payment on a timesheet. Made it so that the NINO is not included on the FPS if it's not entered on the employee record. Exclude dummy payment records created by timesheet entry putting people on holiday. If the payment header table does not contain any valid payments, handle this gracefully and simply show a message and return control back to Advance as a successful transmission. During the calculation on the employee NIC values for the FPS, if the NI letter is X, C or W, then reduce any calculated figures to zero. Corrected an error passing the secondment status to HMRC format. Updated to use the new pension pay element flag. If a company data set uses their own pension pay elements, ensure the YTD EMPACCUM records are made negative if needed for the FPS. Also, do not include "Don't pay" pay elements in the FPS at all as these are employer contributions. NINO verification request Made it so that the NINO is not included on the NVR if it's not entered on the employee record. Pay elements Updated with a new field to indicate that this pay element is a pension pay element. This is to address the scenario where a company has manually added pay elements to add as pension deductions. Pensions must be reported separately on the full payment submission. Pensions
30 Automatically set the new pension pay element flag for pension records. Statutory tables Added NMW rates from October Timesheet entry Updated the SMP lump sum algorithm as it was ignoring the user's choice after recalculation. Don't create a dummy P11 record if the selected period is 1. This is to stop timesheet entry from crashing if someone missed a period 1 payment (usually Directors). Changes affecting WinStock Customer prices New maintenance program for specific customer prices. Purge Delete any related customer price records while deleting stock records. Do not purge quotations marked as "Template". Quotations Updated to pick up the new customer price. Added 2 new status options; Template and Converted to order. Stop the user choosing cancelled or complete. Also stop the user selecting "Converted to order" unless that was the original status. Sales orders
31 Updated the order despatch system so that if the stock to go negative (if allowed) does not yet have any stock, create a blank location record to accept the negative stock. Updated to pick up the new customer price. When a quotation has been converted into an order, update the quotation status. Fixed a minor problem caused by the introduction of the new status types for quotations. If a quotation is set to Template or converted to order, convert it to authorised or new as appropriate. Stock items Updated to show if there are custom prices allocated to the current stock code. Stop removing the purchase and sales units even if they are the same as the main stock units field. Stock revaluations New function to revalue a stock item and retrospectively update all of the stock movements records. Will also post a journal to WinAccs if necessary. Stock transfers Correctly allow negative stock items if set to allow them. System reports Added 2 new reports for customer prices by customer and stock code. CUSTOM_PRICES_BY_STOCKCODE.VRX & CUSTOM_PRICES_BY_CUSTOMER.VRX.
32 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.02 Real Time Information - This release also contains WinPay Real Time Information (RTI). RTI is mandatory for all employers from April Please note, in this release, the new menu is chosen by default during installation. If you wish to revert to the classic WinAccs menu please select Settings, Use Classic Menu. Changes affecting all systems Government Gateway Created a new option to store the users gateway credentials between online filing sessions. The credentials are securely encrypted and stored in the company data folder. So the user may need to enter them for each individual WinPay or WinAccs company, but they will be retained from that point. New menu, Classic menu When copying a company, the "From" company must now be at the current version before it can be copied. On the new menu, retain the last option selected. Useful during the main Payroll cycle. V-Rex Add the ability to change the Server Settings for edoc. PDF documents can now be password protected for transmission security. While producing payslips, each individual PDF can be password protected using the password field from the employee record. Changes affecting WinAccs Account details report Updated to correctly extract only the relevant transactions if using the adjust balances option. Account maintenance Validate the VAT code to check that it contains at least 1 number.
33 Aged balances Changed the payments filter so it works on the account payment type rather than the transaction payment type. Cash posting Corrected a rarely occurring posting error when the user posted unmatched which also had a discount applied to it. Instead of matching off ALL discounts and putting unmatched discount back onto the original transaction, leave the unmatched value on the discount transaction. Company details Increased the space for company name and address to 40 characters. Added address and website URL. Database utilities New option to clear the retained government gateway credentials settings. Financial reporting Was asking for budget period for non P&L reports in other period, then gave Error 5. Was not printing totals when preceded by only group items or profit line. Invoicing If editing an invoice from a batch and then rejecting the invoice, the batch totals were not updated. System reports Added a new sales invoice for 3 part invoices Changes affecting WinPay Advance Updated the message when the last advance has taken place to talk about the real time information end of year. Company details
34 Increased the space for company name and address to 40 characters. Increased space for company address to 60 characters. Added website URL. Database utilities Allow the user to globally update the minimum pensionable earnings by pay frequency. New option to clear the retained government gateway credentials settings. Employee maintenance Added a new field so the user can add minimum pensionable earnings to an employee record. If gross earnings do not reach this amount, pension deductions are reduced to zero. Added a button next to the payslip password to generate a random password. Employee name Throughout WinPay, show the employee name as Title, Forenames and Surname (e.g. Mrs Abigail Smith). With the exception of any reports where the employee name is the sort order. This remains as surname, forenames. End of year There is a brand new, more simple end of year routine for end of year 2014 and beyond. HMRC general validation Added a check to see if there is an active ASPP payment but no partner details on the employee record. P45 control For the 2014 tax year, remove all references to filing online and make these options unavailable. The printing options remain the same. Reporting of new starters and leavers is now done in the RTI full payment submission (FPS). Pay element maintenance Added a new field to the pay element to mark an "add" pay element as a benefit in kind. Statutory payments
35 Added a check to ensure that the partner details have been added to the employee record and if not, don t allow the user to enter or edit an ASPP record. Corrected a minor and rarely occurring error calculating the end of the ASPP period. Timesheet entry (and auto-generate timesheets) Check the 2 possible reasons (earnings below LEL and earnings below minimum) and if needed, reduce any pensionable deductions to zero. Added "Hours" to the list of allowable pay elements for performing Net to Gross calculations. System reports Cheque.vrx - Lengthened the date field by 1 character to accommodate a 4 character year and moved the name along by 1 character. NewStarterForm.vrx - New form to collect new starter information. empmain.vrx - Updated to show all the new fields for RTI in Employee Maintenance. pslip1edpwd.vrx New report for ing payslips with password protection. Changes affecting WinStock Find Stock Wherever you need to find a stock code, updated to show the full description, to right align the value and to make the form resizable. Purge Updated to remove quotations up to the purge date. Quotations New system to allow the entry of quotations which can then be imported as orders. Also allows you to use Quotations as an order template system. This is a new registerable module. Sales orders
36 Updated to allow the import of quotations. Allow the despatch of stock to go negative if using the appropriate WinStock settings. Stock group maintenance Corrected a rarely occurring error when copying a stock group record to a new record and the selected record to copy didn't exist. Stock maintenance Added the Notes system to stock records. System reports STKBYGRP.VRX - New report for stock items by group. SORDBYDA.VRX Addressed a problem with the date filter not working correctly.
37 WinAccs/WinPay/WinStock Upgrade Notes - Version 7.01 SP5 Changes affecting all systems Database utilities Added a new function to delete any AutoBackups with an invalid filename. Menu If there were any invalid files in the regular AutoBackup folders, handle this gracefully and show a warning message. V-Rex If a report contains a large text that would previously cause an error, show a message and truncate the text. Changes affecting WinAccs Account file verification Identify where contract (job) receipt balances do not balance with the relevant transactions. Advance Addressed a problem where contract (job) receipt balances were not updated correctly during an advance. When moving transactions into the current period only check the transaction date to be less than or equal to the new current period end date. Aged balances Added a new function to include the account current period and year to date turnover figures. Also created a new report (AgedAll3_TO) to show which fields have been used. If you select a turnover report, the turnover button is ticked automatically. Although the user can still remove the tick it if required. Database utilities
38 Created a new function to clear an existing CIS statement set. Created a new function to rebuild CIS statement data from CIS300 data. Created a new routine to correct the contract (job) receipt balances. This also produces a log file of original values and modified values. Financial reporting Increase the number of lines that print on reports and listings. Reports can now be printed in Landscape mode. Underlining of titles is now operating correctly. 'Single' and 'Double' overline and underline have been renamed to 'Normal' and 'Bold'. Selecting 'Other' reports showed some text on the right hand side of the report list. Report check printout now includes the nominal account balance and total. The main P&L and B/S reports can now be specified in the report check program. The main P&L and B/S reports are selected by default in report print. Report check will be automatically run if either the main P&L or B/S report is selected in report print. Default the budget period to Monthly. Calculate the default budget period from the dates. Zero lines were being printed when unprinted fields were not zero. Only print total lines if associated detail lines are printed. Do not print overline or underline on detail line descriptions. Period end reporting When producing a report that uses period end balance as its basis, scan the newest period selected and ensure that any new accounts have been copied (with zero values) into every period selected AND the BF period.
