1 PHYSICAL RETURN TRANSACTION: ZCRM VA01 1. In ZCRM in the sales activity screen, click the Create with Reference icon next to the order you are creating a return for to launch VA01. Make a mental note of the last few digits of the invoice number from the original order associated with the lines that you are returning if the invoice is unpaid. 2. VA01: Order Type: RE Sales Office: 1000 Dallas Call Center (or appropriate sales office) Sales Group: 020 phone (or appropriate sales group) Click enter
2 3. Pop-up will appear (create with reference) Enter original order number To copy entire order click enter or hit the copy button To copy individual items, click selection list 4. Selection list Click through warning screen by hitting the green check mark Select the line or lines that you want to carry over to the return Click copy to put it into the replacement, enter through the warning
3 5. Enter order reason If the customer should not get credit for the original shipping, change the incoterms to X. 6. Stock items will have an item category (ItCa) of REN (Standard item) All drop ship products will be ZREN automatically. Note: If the return is for an order that has a plant designated as Pass Through, you must change the plant to reflect the delivery plant (DC). 7. If product is a drop ship, you must put a Z1 (3 rd party return) billing block on the return. Use a Z2 billing block if you want the material inspected before credit is given. The inspection will be performed by the return manager or product specialist.
4 8. Go to Text and make notes Header, Text Tab, Returns Internal Info hdr 9. If you are charging the customer a restocking fee, add RESTOCKING FEE as a line item on the return. When you enter the amount, make sure you use the negative (-) sign so that the amount is subtracted from the credit total.
5 If it is a credit card return, you must check the complete billing box on the additional data B tab at the header level. This will keep the system from charging the restock fee before the credit is issued. 10. Go to Sales tab to do debit credit linkage-only needed if invoice is unpaid. Click on button debit credit linkage Click on button selection criteria
6 Green check mark or enter A list of all open invoices will appear. Choose the invoice number that is attached to the original order by selecting the grey square next to the invoice number, then hitting the green check or enter. If that number does not appear then you do not need to link anything. (If the invoice is not paid, we link it. If it has been paid, no linkage necessary). 11. On the debit credit linkage page populate the following fields Amount Appl Enter the credit amount Reason Enter RET for return. (There is a drop down menu to select from) 12. Save (This will return you to the previous screen while saving your data) 13. Green arrow back once. This will return you to the Create Returns: Overview) 14. Edit, Incompletion log If complete, click the save icon If incomplete, it will tell you what you have missed. 15. Freight surcharge pop-up may come up. On a return, this is not used. To get past this, click save on the icon. 16. If you have a document to scan, enter the bar code on the pop-up. If you do not, then red x the enter bar code pop-up 17. The RA number (Return authorization) will appear on the bottom left hand side of the screen. ****If the original order included a credit card and the credit amount needs to be returned to the credit card, you must copy the tokenized number from the original sales order. Follow the steps below to obtain the number. 1. Go to ZCRM and enter the original order number. Then execute to see order in ZOSR.
7 2. Click on the highlighted order number which will take you to the display of the order. 3. The tokenized number and expiration number are on the sales tab of the overview section. 4. Copy the tokenized number, and paste it in your return along with the card type and expiration date.
8 5. If the return has been received in complete but a credit has not been issued, and you need the credit to post the same day, In change mode (VA02), go to the header level and under the tab billing documents, change the billing date to today s date and save. The credit will post that night. Returns containing LWO If you copied over the lettering work order, and the LWO does not have any charges to the customer that you are giving credit for, delete the LWO from the return. Drop Ship Returns with Vendor Credit Expected If you are returning a drop ship product, you must complete the vendor credit portion of the return. For drop ship returns where vendor credit will be issued: 1. Go to the header and in the Additional Data B tab, enter Y in the box next to Vendor Credit Expected.
9 2. Click on the Detail button and you will be presented with a pop up that will bring over the vendor number and vendor name for the drop ship product(s) on the return. Enter the vendor RA number, Y for vendor credit expected and the amount of the credit that is expected from the vendor (this should be the cost of the product, not the selling price). Enter any notes from the vendor if needed. If you have multiple drop ship lines on the return, enter the above information for all vendors. 3. Click save and you will see the total credit amount expected from the vendor(s) for this return. 4. Save return as normal. NOTE: If your return has multiple drop ship lines and not all lines are expecting vendor credit, in the detail for those lines that will not be given credit from the vendor, enter N in the vendor credit expected field of the detail screen, or simply delete from this detail. You can do this by highlighting the line by clicking the box to the left of the vendor number and then clicking the red minus icon. IF you are not expecting any credits from the vendor(s) on the return, simply put an N in the vendor credit expected field in additional data b.
