1 Eaglesoft 16: Account Eaglesoft 16 offers a modernized Account window with sophisticated technology and improved functionality. Dockable panels and tabs make it easier than ever to navigate the Account window. Customizable Patient Bar Floating Panels New Icons indicate Unassigned Credits and Unpaid Debits Tabs The Patient Bar A new toolbar known as the Patient Bar has been added to patient windows. This toolbar allows for quick one-click access to patient specific functions such as Eligibility and Treatment Plans. Customized Patient Bars are workstation specific allowing each team member to view their most frequently used activities. 1

2 Icons that are available in the Patient Bar include the following: Edit Patient Patient SmartDoc Insurance Information Chart ereferral Wizard Account Patient Summary View Claim for Patient Video Exam Referral Information Patient Notes Send to View Claim for Perio View/Re-Print Walkouts Account Schedule Patient Send to InTouch View Rx Information PSR Patient Signature Schedule Family Patient Route Print Statement Clinical Exam Check Eligibility Sheets Patient History Treatment Plan Re-Print Last Statement Advanced Imaging Fast CheckIn Customizing the Toolbar 1. Right-click on the toolbar to open the Customize menu. 2. To remove items from the toolbar, click and drag the toolbar icon off the toolbar. 3. To add an item to the toolbar, click and drag the item from the commands to the toolbar. 4. If desired, select the Options tab to Show Toolbar Text. 5. The Last Patient button and space next to the Patient hyperlink. Change Patient button now share the same Patient Information Select the Patient Information drop-down arrow to view the Patient Details and Insurance Information! 2

3 Dockable Panels Dockable panels are miniature windows that can be opened, closed, moved and attached to different areas of existing screens. An open panel that has not been docked is considered a Floating Panel. Floating panels can be placed anywhere on the window and will always remain floating in the same area, even if the Account window is moved or re-sized. To open a panel, select an Action button. Floating Panel Account Action Buttons Balance Activity Acct Alerts Preferences Balance Display the Account Balance panel (Current, 30, 60, 90 day balances) Activity Display the Activity panel (Last account & last insurance payments) Acct Alerts Display the Account Alerts panel (attach alerts to this account) Preferences Display the Account Preferences panel Reports Display the Account Reports filter for the Account History Report. This panel is not dockable. Smart Claim Quickly re-create a claim Smart Invoice Generate Today s Receipt, view/re-print Walkout How to dock a panel to the desired location: 1. When moving a panel, the docking helper icons appear. 2. Grab the title bar of the panel and drag it to the desired locking icon. When you have located the desired icon, a blue bar will appear. 3. Release the docking panel title bar. The panel now appears at the selected location. 4. Select the push pin button located next to the X button to tab the Dockable panel. Hint: Hover your mouse over a tab to open the desired panel and back again to hide it Sort Columns All columns in the Account window can now be sorted! Sort columns by clicking on the column heading. An arrow will appear on the column heading once a column has been sorted. Account Ledger Patient List 3

4 Filter Columns Filter the ledger items displayed within the columns using the column heading. Select the icon located on the upper corner of the column header to see a list of available filter options. Select an item from the list to narrow the ledger display. The ledger will be filtered, based on your selection. Note: ***Running balance is not available when viewing filtered items Customize Columns The account ledger can now be customized with the addition of customized columns. Select the title bar to drag and drop columns. Right-click the column heading to open the customizing menu. Click and drag a column off the Account window to remove. Click and drag a column from the customization window to the desired location to add. Sort Ascending Changes the order of that column from A to Z. Sort Descending Changes the order of that column from Z to A. Clear Sorting Changes the sort back to the default for that column. Group By This Column Will place all items together by group. Right click on + to open that group. Right click again to clear the grouping. Show Group By Box Click and drag a column to the box to see all related items (see example below). Hide Group Box Will remove any groupings that have been created. Customize Columns Example below. Remove this Column Right Click on the undesired column and choose remove this column. Best Fit The system will shift the selected column for better viewing. Best Fit (all Columns) The system will shift all columns for better viewing. Filter Editor (Filter Ledger) Will bring up the Filter Ledger. You can also bring up the Filter Editor by selecting the Filter Ledger button on the Account Screen. 4

5 Filter Ledger Select the filter button to customize the information displayed in the Account ledger. Use the drop-down list to select a Provider and View. To view unpaid transactions in the ledger, select Show Unpaid Transactions Only. Select Apply Filter to save your selections and Reset Filter to restore the default options. Message Icons Icons appear next to fields containing missing or inaccurate information. These icons replace pop-up windows, eliminating extra clicks. Hover over the icon to reveal a tool tip explanation. Additional Information Required Invalid Entry Information is Available Changes have been made by Another User A Non Critical Warning FAQ Help Patterson Eaglesoft s Help has been upgraded to FAQ. Use the Help menu in Eaglesoft to access a wealth of searchable knowledge. FAQ #14159 will list all live webinars. Hint: Selecting F1 in OnSchedule, Account and Clinical areas will open the FAQ focused to the area of the software from which it was summoned. 5

6 Tabs Use the tabs along the bottom of the Account window to access Walkout, Account Payment, Insurance Payment and Adjustment. Move between tabs without losing entered information. Tabs let you do more without ever having to leave the Account window. Account Tab All patient history can be viewed on this tab. 6

7 Walkout Tab Create patient or family walkouts on this tab. Account Payment Tab Select the Account Payment Tab to apply an account payment without exiting the Account window. 7

8 In the Receive Payment On section, select Patient Account or Payment Plan and enter the desired Payment Information. Select the Distribute button to distribute the payment among multiple Providers, multiple Patients or Line-Item (individual services). Select Oldest Bal. First or Oldest Non-Ins. Bal. First to distribute payments according to those criteria. Select the Save button to save and apply the payment; the Cancel button to exit without saving. Posting an Account Payment Distribution Options Distribute button will not be open by default but once open will keep a running preference per workstation. The default distribution is Patient and Oldest Non Ins. Bal First. User can choose to distribute payment by Line Item (individual services), Patient or Provider 8

9 Insurance Payment Tab Select the Insurance Payment Tab to apply an insurance payment without exiting the Account window. In the Open Claims area, select View Selected Claim to review the details of the selected claim. Select Coverage Book to add the claim information to a Coverage Book. From the Open Claims section, highlight the claim you wish to receive payment on. Select the Save button to save and apply the payment; the Cancel button to exit without saving. Adjustment Tab Select the Adjustment tab to apply adjustments without exiting the Account window. Select from the available radio buttons: Credit Adjustment, Debit Adjustment, Returned Check, Write-Off Account, Billing Charge and Finance Charge. 9

10 Credit Adjustments can now be distributed by Line-Item, Patient or Provider. Adjustments can be setup to impact Adjustments, Production or Collections. To impact production, the amount will either increases or decreases production. A debit adjustment set to impact production increases production. A credit adjustment set to impact production decreases production. If the collections impact is selected, the amount of the transaction either increases or decreases collections. The same is true for the adjustment impaction; the amount of the adjustment either increases or decreases adjustments. The chart below explains how credit adjustments affect Production/Collections/Adjustments as well as the impact on your Accounts Receivable. 11 The Day Sheet and Reconciliation Reports will reflect these impactions. Smart Claim Highlight the desired transaction(s) and select the Smart Claim button. The Recreate Claim window appears with the highlighted transactions selected. If no line item has been highlighted before selecting Smart Claim, a list of today s transactions without attached claims will appear. Smart Invoice Use Smart Invoice to access a report of Today s Receipts and preview the Walkout Statement. Highlight multiple items in the account and select Smart Invoice to create a customized invoice (re-print Walkout). 11
