3 General information Procedures and laws apply, even if you do not know them so it's best to know them! Only use your adress Check your mail regularly or have it forwarded to an account you do check

4 Documents and Identification Bring your ID when you come to the Examinations Office! You need both your Student-ID and your Photo-ID: Student-ID and Photo-ID

5 Glossary PO (Prüfungsordnung): the rules and regulations of a course of study LSF/QIS: online system you use to register for exams and view your grades [you use this system] HIS-POS: database system used to store your grades [we use this system] Modulkonkordanz: a list of examinations and examination codes TAN (Transaktionsnummer): a passcode used for exam registration TAN-Liste: a list of TAN Veranstaltungsnummer: code of an actual course, irrelevant for registration purposes

6 Prüfungsordnung Rules and Regulations of the course of study Every course of study has a Prüfungsordnung (PO) When a PO is changed it only affects new students, you keep the one you enrolled under All PO are available online: You have to know your Prüfungsordnung!

7 HIS-POS and LSF/QIS-System the Rules and Regulations (Prüfungsordnungen) are programmed in the HIS-POS software programming is done on basis of modules and examinations, not: courses! courses are not relevant to the system

8 Possible problems and errors Rule of thumb: Errors do not correct themselves! If something does not work, take action immediately! Too late is too late!

9 Table of Modules - Modulkonkordanz A list of all examinations (written exam, oral presentation, online project &c.) of a course of study Tool to navigate between the Prüfungsordnung and the online grade database The Table of Modules for the M.A. North American Studies is online at: Makes communication about examinations unambiguous Does not refer to courses or course-numbers (no Veranstaltungsnummern) Contains the official list of modules with their titles and examinations

12 Register for Exams via LSF/QIS You have to register for all exams online: Prüfungsleistung: graded exam Studienleistung: ungraded work registration has to be done within deadline at start of semester each exam (graded and ungraded) has to be registered separately requirements are already checked at registration, not when awarding grades

17 TAN list In order to register for the exams, you need a list of TAN-numbers (TransActionNumber (TAN)). You can use every TAN only once. Your first TAN list is available form the examinations office (bring your student ID card and personal identification) subsequent TAN lists: generate yourself (1) then activate (2)

21 Registration and cancelling of registrations You have to register for your exams within the deadline! The deadline is published online each semester. It is only possible to cancel a registration during the deadline. After the deadline it is too late to register for exams or to cancel existing registrations. Too late is too late.

26 Cancelling registration after end of deadline To cancel a registration for an exam during the Semester (after end of deadline): e.g. illness on day of exam request for de-registration (including statement of reasons) to be handed to your instructor if reasons are deemed to be valid, the instructor will give note of the accepted cancellation (anerkannter Rücktritt (RAN)) to the English Departmental Office (Geschäftszimmer, 01D04) no negative ects-points are awarded, does not count towards your maximum number of attempts

28 Viewing your currently registered exams you have to check whether your registrations were processed successfully! registrations have to be displayed correctly, if something is missing, there is a problem! if there is a problem, act immediately!

32 Viewing your grades (Notenspiegel) you can check your grades at any time at end of semester: check if all grades were entered correctly at start of semester: check if you meet requirements for intended exams All grades have to be entered online paper documents are not relevant! if grades are missing, have them entered into system!

35 Possible errors and problems Problems with TAN-Numbers: accidentaly used them all up numbers invalid pick up new list at Examinations Office during opening hours do not forget to bring your ID and student-id

36 Possible errors and problems Registration was processed without error message, but is not displayed correctly: repeat registration process if error persists: make screenshot and contact Examinations Office only possible before end of deadline!

37 Possible errors and problems Registration "does not work": server has crashed incomprehensible error message retry registration next day, check again if problem persists: make screenshot and contact Examinations Office only possible before end of deadline!

38 Possible errors and problems error message: Voraussetzungsfehler ~ requirements not met do you really meet the requirements for this exam? Check list of modules again. are the required grades on record in the system? if not, have them entered into the system otherwise: make screenshot and contact Examinations Office only possible before end of deadline!

39 Possible errors and problems not registered for an exam due to your own fault missed deadline forgot to register I thought I didn t need to register for this exam I was not told I had to... Nobody explained to me,... without registration you cannot take an exam, grades cannot be registered in the system, any work already performed (presentations, tests, term papers) is forfeit

40 Possible errors and problems not registered for an exam without your own fault i.e. serious illness during entire registration period (doctor s statement necessary) prereqisites are met, but relevant grades not yet registered in system to avoid negative consequences: written, signed request for registration after end of deadline state reasons (see above), and give proof state your name, your matriculation number, examinations number and examiner request to be filed with Prof. Birkle

41 Possible errors and problems registration not cancelled due to your own fault exam not taken deadline for de-registration not met forgot to cancel registration I thought, I d just not show up for the exam... if a registered exam is not taken, it has to be graded with 0 points, fail
