3 Introduction Overview TSB Bank has developed an Internet based electronic banking solution for third parties. This is a view only application, where users have access to view and manage their client accounts, 24 hours a day, 7 days a week. Purpose of Document The purpose of this user guide is to provide you with an overview of the functionality of ProBank and a guide on how to easily access the functions. Summary of Functions The following functions are available to users: Functions On Main menu Accounts The functionality allows the user to View the balance and the available balance of an account Statistics View the account statistics over the past 3 months and current month to date, as well as the past three years and the current year to date Statements Transactions Download Clients Tab Clients Summary Tab Change Password Manage Users Logout View Statements for up to one year View transactions for a specific date range Download transactions in a variety of formats View all their clients with one login Consolidated client base reporting. The users have the capability to change their password at any time Provides the Administrator with the ability to create and manage users of ProBank See Manage Users Logout of the system INTERNET BANKING SERVICES 3
4 Terminology The table below provides definitions on terms that will be used throughout this document. Name Broker Company Administrator User Description This refers to the Financial Planning or Broker company that employs Advisors or Brokers to manage client investments The Administrator is the nominated user in a Broker company who has been given access to: View all the accounts they manage To create and manage users and provide them with access to ProBank to view their specific client base For more detail on an Administrator s functions, see Administrator Function Is a person (Planner, Advisor, Broker) who has access to a specific client base to view the accounts they manage Before You Begin You require a User Id and Password to access ProBank. If you are an Administrator, then If you are a User, then You will be created as a ProBank Administrator for your company: A password will be generated and ed to you You will contact TSB Bank as per the instructions on the TSB Bank will provide you with the user id Your ProBank Administrator will set you up as a User. You will: Be provided with an 8 digit user id by your Administrator Receive an from TSB Bank that contains your temporary password It is recommended that you DO NOT allow the browser to save the password, as this would allow any subsequent user of the PC to login to ProBank. 5 Signing On System Requirements System requirements for accessing ProBank are listed below: System Requirement Description Hardware Any late model PC with an Internet Connection Software ProBank requires no special software to be downloaded or installed Operating System Windows or any other operating systems that support Java Browser There are many internet browsers available and while the site will work on most browsers we support Internet Explorer 8.0 and above, Chrome 5.0 and above and Mozilla Firefox 3.0 Sundry Adobe Reader, or similar PDF reader/viewer product, is required to view downloaded reports and statements Security Access to ProBank is through a security sign on function, which requires a valid user number and password to be entered. You will be issued with a temporary password which you must change when logging in for the first time. Once signed on you will have access to view all the clients assigned to you. We recommended logging off when not using the system however the system has a default timeout of 15 minutes which will log you off if the system isn t being used. Internet Address The secure internet URL (address) for ProBank is INTERNET BANKING SERVICES 5
6 Overview - Functionality Login Page When you have entered the specified internet address you will be taken to the following page (The 8 digit user id and password needs to be entered here). Navigation ProBank is a menu driven system. All functions can be accessed via the menu list in the top section of every page. You will not be able to access the prior page by using the back button of the browser as this facility is disabled in ProBank. If you wish to see the prior page, navigate back to the page via the menu provided. ProBank will automatically log you off the system if there is no activity within 15 minutes. Change Password When logging into ProBank for the first time, you will be asked to change your password. Passwords must be a minimum of 8 and a maximum of 25 alphanumeric characters and must contain at least one letter and one number, no spaces allowed. It is recommended you change your password at least once a month for security reasons. When a password has been changed, the following message will be displayed. INTERNET BANKING SERVICES 6
7 Your Clients This is the main menu when logging into ProBank. All clients allocated to the User or Administrator will be displayed on this page. To access client details either search by the surname or select from the client list. Main Menu When you have selected a client the full menu and Account Summary page will be displayed. 8 Please note the Manage Users menu item will only show if you are the Administrator. Single Client If you have access to just one client under ProBank, the page below will be displayed. Your Clients and Client summary tabs will not be visible. Accounts This tab allows you to view the balance and available balance of the selected client. If you click on the account arrow, the details on the accounts will be shown. If you click on the available balance the transactions will be listed as shown on the next page. 9 Statements This page lists recent statements, from the most recent to the oldest. These are available for viewing and saving to your local PC. Clicking on a statement number will result in the statement being downloaded as a PDF file and automatically opened for viewing. INTERNET BANKING SERVICES 9
10 Statistics This page shows statistics for the specified account over the past three months and the current month to date, as well as the past three years and the current year to date. By selecting the right arrow on the account number, the account statistics are displayed. Transactions When the transactions tab is selected, you will be provided with options to search transactions for a specific date range. You will also be able to download transactions. 11 Downloads The Downloads can be accessed on the transactions menu. Options allow for the downloading of transactions in a number of industry standard formats: CSV dd/mm/yy MYOB yyyymmdd Nimbus QIF dd/mm/yyyy QIF mm/dd/yyyy QIF dd/mm/yy Accomplish CM Easy Books CSV with balance To download select the account, the date range, the transactions per page and the download format. Client Summary Tab The client summary tab provides you a view of all your clients under management. INTERNET BANKING SERVICES 11
12 Logout When you logout of ProBank, the following page will be displayed. INTERNET BANKING SERVICES 12
13 Administrator Function Prerequisite- Administrator Access Prior to the Administrator having access to ProBank, TSB Bank will create an Administrator as per the details on the ProBank application form. If you are the Administrator you will receive an from TSB Bank with instructions to gain access to ProBank. Manage Users The Manage Users page is used by the Administrator to maintain details and access rights for all Users who are permitted to use ProBank. The following functions are available: Create (add) new users Provide user access to clients and nominated account (s) Update existing users Delete a user Enable or disable users Reset a user s password Create a User The following steps must be followed to create a new user: Step Action 1. In the User selection, select the Create User button and complete user details. 2. Assign clients and accounts by ticking the respective accounts from the Account access section. 3. Select Create User once required information is entered. 4. An 8 digit number will be generated by the system and displayed on the screen. 5. This is the user log in number and needs to be provided to the User. 6. A system generated will be sent to the User, advising them the temporary password. 7. The User will use the 8 digit number and temporary password to log into ProBank. INTERNET BANKING SERVICES 13
14 Update User This function is used when you need to change User details or change the account(s) the User has access to. Select the User you wish to update and perform the changes before selecting the Update User button. Deleting an Existing User To delete a User, select the users name and click the Delete User button. You will be asked to confirm before been shown a confirmation message. INTERNET BANKING SERVICES 14
15 The following message will be displayed to confirm the User is deleted and will no longer have access to ProBank. Disable an Existing User To temporarily disable a User s access select the User from the list and click the Disable link. Once disabled a message will display. INTERNET BANKING SERVICES 15
16 Enable a User A User may be disabled by the Administrator or following 3 unsuccessful login attempts. To re-enable a User select the User and click the enable link. Reset Password Should a User forget their password or if their password has been disabled, the Administrator can unlock the User and reset their password. To reset, select the User and click on the reset password button. If the Administrator has forgotten their password or been disabled, please phone TSB Bank Operations on to reset. 18 Frequently Asked Questions Common Login Problems These are messages you may encounter when trying to log into ProBank: Error Message Displayed You do not have access to any accounts. Please contact your Administrator. Invalid username or password, please try again. Account Locked This user account has been disabled either by your Administrator or due to the number of invalid logons attempted. Please contact your Administrator to reactivate your account. TSB Team Explanation of what the problem could be The User may not have been allocated access to any accounts. Either the user number or the password could be incorrect. You have attempted to log in 3 times with an incorrect password and your access has been disabled. Assist with rectifying the problem Contact your Administrator. The Administrator has to check, if you have been allocated access to any accounts. Check with the Administrator if the correct user number is used. If the password cannot be remembered, request the Administrator to reset the password before you are disabled. Contact your Administrator. They will enable you as a User and reset your password.
