3 1 Login 1.1 Traveler Login and access to profile Open the URL in your browser to access TripSource: Profile Manager (TS:PM). To login, please enter your TS:PM user name and password. Use the Add to Favorite link on the login screen to bookmark the TS:PM login page to your favorites. 1.2 Login for the first time When your profile is created, you will usually receive your login credentials in two s. The first contains your user name and the second a randomly systemgenerated password for your initial login. At first login, TS:PM prompts you to change the system-generated password. Please note, for data security reasons TS:PM follows a strong password policy. Page 3 TS:PM End User Manual May 29, 2017
4 Next, you must select and answer a secret question. This information is used for the Forgot Password process. This step is mandatory and must be completed before you can proceed. You will be returned to the login screen after clicking on Update User Details. If you only know your user name but not the password at initial login, you can click on Forgot Password to receive a new system generated password by . You will have to enter a CAPTCHA (Completely Automated Public Turing Test To Tell Computers and Humans Apart) code and set a secret question and answer before you can click Get Password. 5 You are required to change your password after logging in with the temporary password and you will need to provide your secret question and answer a second time before you will be able to login with your user name and self-defined password. Please note, your TS:PM password automatically expires every 90 days. It is recommended to clear your browser history before logging in with a temporary password. If you try to login using a wrong user name and/or password, the following message will be displayed and you are asked to verify your entries with an additional CATPCHA code: After three unsuccessful login attempts, your user will be locked. 6 1.3 Forgot Password In case you have forgotten your password, please enter your user name on the login screen and then click Forgot Password. You are directed to select your secret question and provide the correct answer. The secret answer is not case sensitive. If the selected secret question or the entered secret answer is wrong, the system will show an error message. You can continue trying to enter correct data. If the combination of secret question and answer are correct, the new password is sent to you by . Click Back to return to the login screen. Page 6 TS:PM End User Manual May 29, 2017
7 2 Main Profile Screen Your traveler profile will automatically open once you have successfully logged in. Please note, profile views may be different due to customization and varying requirements. The screenshot used in this example may look different than your profile view. The menu items on the left panel guide you to other parts of your profile. They take you to pages where payment options, booking preferences and membership cards can be stored. All profile fields with a red asterisk next to the label are mandatory fields. Other fields may be grayed out and are not editable. You can navigate between different pages without saving. Once you are satisfied with all your changes, please save them by clicking on the Save button. If you want to exit the profile without saving any changes, choose the Exit Without Saving button. This will close your profile and exit TS:PM completely. Page 7 TS:PM End User Manual May 29, 2017
8 You may be asked to accept the security section on the bottom of the main profile page. This allows BCD Travel to process your profile data. Please note, leaving your traveler profile open for several minutes without activity may cause a time out. Three minutes before the timeout is reached, you are notified by a pop-up message. Click OK to keep the session open. Once the session has expired you will see the following notification. You need to login to TS:PM again to continue working on your profile. 9 2.1 System information window Once your profile updates are saved successfully, the system will tell you so with a small message on the bottom left. The system makes sure all your entries are correct when you click Save. If a mandatory field is not filled or your entry does not match the required format, a system message will guide you to the incorrect fields. By clicking the Go To Error link, you are taken to the field that requires correction. You can reposition the Error Details Window by right clicking, holding down the mouse, and dragging it to the new position on your screen. You are also informed when profile information will expire or has already expired. Warnings start 30 days prior to the expiration. It will appear every time you access your profile until you update the expired value. This message is for your information only. You can still save your profile without updating the expired profile information. Page 9 TS:PM End User Manual May 29, 2017
10 3 Travel Arrangers You can select travel arrangers who will be allowed to update your traveler profile. 3.1 Select Your Travel Arranger Select Travel Arrangers and then Add New to search for the person you would like to nominate as your travel arranger. Then enter the search criteria, which can be the first name, last name or address of the travel arranger. If you are unsure about the spelling, use _ as a placeholder. Please note the travel arranger needs to be in the same company as you. In addition the travel arranger has to be given the role as travel arranger in the background. 11 Click on Assign to select the person as your travel arranger. The travel arranger section of your profile shows your selected travel arrangers. You can remove a travel arranger by selecting the check box in front of their name and clicking Remove. Page 11 TS:PM End User Manual May 29, 2017
12 3.2 Updating Traveler Profiles as a Travel Arranger When a traveler has selected you as their travel arranger, you are allowed to update their traveler profile. To update another traveler s profile, select their name from the drop-down list under Other Profiles. The traveler profile will open and you can update all profile information. Instead of the My Profile section you can see the name of the traveler profile open as a menu item on the left. Page 12 TS:PM End User Manual May 29, 2017
13 4 Other Profiles Features Additional menu items are available in your user profile. 4.1 Change Password and Secret Question You can change your password at anytime. Just click on the Change Password menu item. For security reasons, the system requires you enter your current password before creating a new one. The password must contain the specified criteria. 14 4.2 Help & Support The Help & Support link in the main navigation panel opens this manual. 4.3 Log Off Remember to always use the Log off button to end your TS:PM session. If you close the Browser screen without logging off, the system will automatically end your session after a few minutes. Once logged out you will see the following screen that allows you to return to the login page. 4.4 Support If you encounter a problem while using TS:PM that is not covered in this document, please contact your support team for assistance.
