5 Overview - OnePass Agent for Exchange Mailbox Overview Prerequisites Deployment Deployment - Cluster Deployment - Non-Microsoft Cluster Configuration Backup Restore Introduction The OnePass Agent for Exchange Mailbox is a comprehensive solution that incorporates the traditional backup and message archiving in a single operation. It enables you to move the mailbox messages to a secondary storage and use these messages to function as both backup and archive copy. Stubs are retained on the production storage, which point to the messages that were moved as part of the backup. The archived messages are available for quick and easy retrieval to administrators and end users. This integrated agent is also able to selectively age off messages and stubs to reclaim space on the primary storage and the secondary storage based on message age in the mailbox. Messages are also selectively pruned from the primary storage based on the message age in the mailbox for compliance purposes. OnePass Data Management A key feature of OnePass Agent is that large number of mailbox messages can easily be protected by a single backup job. The backup operation will also archive the messages to a less expensive secondary storage based on archiving rules. 6 The archived messages can be easily recovered. End-user can recover the original messages using Outlook Add-In, Outlook Web Access (OWA), Universal Recall Link and the Web Console. Alternatively, users can also ask the administrator to browse the CommCell Console to recover the message. Granular Protection of Mailboxes The OnePass Agent backs up mailboxes to enable quick retrieval of messages and attachments that may have been lost from a user's mailbox. Terminology Archiving Stub Data Recovery Persistent Recovery Database Non-Exchange Server Affinity Archiving is a process of periodically moving unused or infrequently used mailbox messages to a secondary storage. Stubs replace the archived messages in the mailbox, thereby reducing the space consumption of the mailbox. Stubs are placeholders of the original message after it has been migrated to the secondary storage. The archived message can be recovered in any of the following three methods: Browse and Recovery of archived messages using the CommCell Console. Recovery of archived messages from stubs using third-party applications. For more details see, Outlook Add-In. Recovery of archived messages from any remote location using Outlook Web App. For details see, Outlook Web App. Recovery of archived messages from any mobile device through which they can access Outlook Web App. For details see, Mobile Access. Multiple stub recoveries are submitted to the Job Controller as one job called a Persistent Recovery job. The job will wait for some time in order to allow other stub recovery requests being submitted on the same client to be batched into the same job. Includes all operational elements of the Exchange Server, such as Stores and Transaction Logs. A computer other than the Exchange Server on which the OnePass Agent for Exchange may be installed. Using a non-exchange Server often results in less overhead on the Exchange Server during backup and restore operations. An association between two entities used in Automatic Discovery scenarios. OWA Proxy Enabler 256 MB minimum of hard disk space for installing the software. 9 Deployment - OnePass Agent for Exchange Mailbox Overview Prerequisites Deployment Deployment - Cluster Deployment - Non-Microsoft Cluster Configuration Backup Restore Where to Install The OnePass Agent for Exchange can be installed in one of the following ways: Directly on the Exchange Server This method is referred to as 'On-Host installation' and is useful if you want to preserve hardware resources. On a proxy computer This method is referred to as 'Non-Exchange Server installation' and is useful if you want to offload the memory and processing resources required for backups and restores from the Exchange Server. Note that the proxy computer must be on the same domain as the Exchange Server and must have connectivity to the Exchange Server. In a clustered environment, install the software on the physical computer. The computer will be added as a client in the CommCell as soon as the installation completes successfully. Before You Begin System Requirements Verify that the computer in which you wish to install the software satisfies the minimum requirements specified in System Requirements. Download Software Packages Download the latest software package to perform the install. Installation The software can be installed using one of the following methods: Method 1: Remote Install Using CommCell Console Use this procedure to install remotely on a client computer. Method 2: Interactive Install - Standard Use this procedure to install the software using the standard installation options. Method 3: Interactive Install - Custom Use this procedure to install the software by specifying installation settings and options. Method 1: Remote Install Using CommCell Console 1. Open CommCell Console: Click Start and point to All Programs. Click HDPS. Click Backup and Recovery Administrative Console. 2. From the CommCell Browser, click Tools Add/Remove Software Install Software. 3. Click Next. Published On: 11/19/2013 V10 Service Pack 4A Page 9 of 177

10 4. Click Next. 5. Click Manually Select Computers. Click Next. 6. Enter the fully qualified domain name of the client computer. For example: mycomputer.mydomain.mycompany.com Click Next. Choose one of the following: Click Next if you want to use the default cache location Click Override Software Cache and specify a new location in the Software Cache box and then click Next The software cache is the location from where the remote install program installs the software. This screen will not appear if the remote cache is not configured. For more information, see Managing Cache - Remote Cache. 8. Specify the User Name and Password that must be used to access the client computer, and then click Next. The user must be an Administrator or a member of the Administrator group on that computer. Account information is required while performing remote installs for the first time on a client. For subsequent remote installs on that client, click Next without specifying the account information. 12 9. Click Mailbox under Exchange. Click Next 10. Select the following: Select a client group from the available Client Groups, and then click Add. From the Global Filters list, select one of the following: Use Cell level Policy to inherit the global filter policy configuration set for the CommCell. Always use Global Filters to apply the global filters policy to the default subclient regardless of the policy set for the CommCell. Do not use Global Filters if you plan to define specific filters for the Agent. From the Storage Policy To Use list, select a storage policy. Click Next. This screen will not be displayed if Client Groups are not configured in the CommCell Console. For more information, see Client Computer Groups. 13 11. Enter the following Exchange Administrator information then click Next. Server Name - Name of the Exchange Server that the agent will communicate with for data protection and recovery operations. User Account - Domain user account created with the exchange server administrator permissions. Do not include the domain name here. Mailbox Name - Mailbox associated with the user above. Profile Name - Specify profile name to be created during agent install. This profile is associated with the domain user's mailbox. Enter the Mailbox Role Server name (NetBIOS). 12. Click Next. Select one of the following: If firewall configuration is not required, click Next. If this computer and the CommServe is separated by a firewall, click Configure firewall services. For firewall options and configuration instructions, see Firewall Configuration and continue with the installation. 15. Select Immediate. Click Next. 16. Click Finish. 15 This screen will reflect the components you selected for install, and may look different from the example shown. 17. You can track the progress of the job from the Job Controller window of the CommCell console. From the Home menu, click Job Controller. Once the job is complete, view the job details from the Admin Job History. Right-click the <CommServe>, point to View and then click Admin Job History. Click Select Install/Upgrade/Remove/Repair Software. Click OK. 16 If you have installed on a clustered computer, make sure to install the software on all the physical nodes and then follow the steps described in Cluster Configuration. 18. To disable automatic process specific profile creation follow the steps given below: From the CommCell Browser, navigate to Client Computers. Right-click the <Client> and then click Properties. On the Client Computer Properties dialog box, click Advanced. Click the Additional Settings tab. Click Add. In the Name box, type CreateProcessSpecificProfile. The Category and Type details will be automatically populated. Alternatively, you can click Lookup and search for the additional setting using the Find box. In the Value field, enter 0 to disable the key in the Value field. Click OK. Restart the services on the client computer. 19. If you have installed on a clustered computer, make sure to install the software on all the physical nodes and then follow the steps described in Cluster Configuration. 20. To create a storage policy, you must have configured a library in the CommCell. If you do not already have a library configured, go to Disk Library Creation. If you have a library configured, go to Storage Policy Creation. DISK LIBRARY CREATION: 1. From the CommCell Browser, navigate to Storage Resources, right-click the Libraries, point to Add and then click Disk Library... Alternatively, you can also navigate to MediaAgents, right-click <MediaAgent>, point to All Tasks Create Library and then click Disk Library From the Add Disk Library dialog box, specify the following: In the Name box, specify name of the disk library. From the MediaAgent list, select the MediaAgent. Perform one of the following: Select Local Path if you wish to specify a local path in the MediaAgent computer. In the Disk Device box, type the name of the folder in which the disk library must located or click button to select the folder. Select Network Path, if you wish to specify a network path as the target share. In the Connect As box, type the user name. In the Password and Verify Password box, type the password to access the network share. In the Folder box, type the mount path or click button to select a mount path. Click OK. 3. The newly created disk library will be displayed under Libraries node. This will create a library and Storage Policy. Click to proceed to the Configuration section. Storage Policy Creation 1. From the CommCell Browser, navigate to Policies. 2. Right-click the Storage Policies and then click New Storage Policy. 3. Follow the prompts displayed in the Storage Policy Wizard. The required options are mentioned below: Select the Storage Policy type as Data Protection and Archiving and click Next. Enter the name in the Storage Policy Name box and click Next. 17 Ensure that you select a library attached to a MediaAgent operating in the current release. From the MediaAgent list, click the name of a MediaAgent that will be used to create the primary copy and then click Next. For the device streams and the retention criteria information, click Next to accept default values. Select Yes to enable deduplication for the primary copy. From the MediaAgent list, click the name of the MediaAgent that will be used to host the Deduplication Database (DDB). In the Location box, type the name of the folder in which the DDB must be located or click the Browse button to select the folder and then click Next. Review the details and click Finish to create the Storage Policy. This will create a storage policy. Click to proceed to the Configuration section. Several additional options are available for remotely installing the software from CommCell Console, refer to Install Software from the CommCell Console (Remote Install) for more information. Method 2: Interactive Install - Standard 1. Log on to the client computer as an Administrator or as a member of the Administrator group on that computer. 2. Run SetupAll.exe from the Software Installation Discs. 3. Click I accept the terms in the license agreement. Click Next. 4. Click Standard. Click Next. 18 5. Click Join an Existing CommCell. Click Next. 6. Click Exchange. Click Next. 7. Verify the default location for software installation. Click Next. If necessary, click Browse... to change the default location. Do not install the software to a mapped network drive Do not use the following characters when specifying the destination path: / : *? 19 8. Click Install. The Summary on your screen should reflect the components you selected for install, and may look different from the example shown. 9. Click Yes. 10. Click Next. 11. Select one of the following: If firewall configuration is not required, click Next. If this computer and the CommServe is separated by a firewall, click Configure firewall services. Enter the fully qualified domain name of the CommServe in the CommServe Host Name box. Do not use space and the following characters when specifying the CommServe Host Name: \ `~!@#$%^&*()+=<>/?,[]{}:;'" Click Next. 13. Enter the following: The local (NetBIOS) name of the client computer is displayed in the Select a Client name list. If necessary you can also type a new (friendly) name for the client in this box. This name will be used in the CommCell and will also be displayed in the CommCell Console. Do not use spaces when specifying a new name for the client. The default network interface name of the client computer is displayed if the computer has only one network interface (NIC card). If the computer has multiple network interfaces, select the interface name that is preferred for communication with the CommServe. Click Next. If a component is already installed on this computer, this screen will not be displayed; instead, the install program will use the same name as previously specified. 21 14. Select one of the following options: If you do not want to disable Windows Firewall, click Next. If you want to disable Windows Firewall for all profiles, click Yes, disable Windows Firewall for all profiles and then click Next. You will get this screen if you did not configure the firewall settings in step Select a Client Group. Click Next. This screen will not be displayed if Client Groups are not configured in the CommCell Console. For more information, see Client Computer Groups. 16. 22 If you do not have a Storage Policy, the list will not be displayed. You can create the Storage Policy later in step Select Exchange Server Name and Exchange Server Version from drop-down list. Click Next. 18. Select the backup type for Exchange Database backups. Choose either of the following options, then click Next. Differential - Specifies that each non-full Exchange Database backup secures all data that has changed since the last full backup. Transaction logs are not purged. Incremental - Specifies that each non-full Exchange Database backup secures only that data that has changed since the last backup of any type. Committed transaction logs are purged. 19. Enter the following Exchange Administrator information then click Next. Account Name - Domain user account created with the exchange server administrator permissions. 23 Mailbox Name for this Account - User principal name (User Logon name) or Samaccountname. Profile Name - Specify profile name to be created during agent install. This profile is associated with the domain user's mailbox. Exchange Server Name - Name of the Exchange Server that the agent will communicate with for data protection and recovery operations. Enter the Mailbox Role Server name (NetBIOS). After installation configure the roles as described in Configure Mailboxes in Database Availability Group (DAG) Servers. Domain - The installation detects and enters a domain name. If necessary, modify the domain name by specifying Windows domain that the Exchange Server resides in. 20. Click Finish. This screen will reflect the components you selected for install, and may look different from the example shown. If you already have a storage policy selected in step 16, click to proceed to the Configuration section. If you do not have Storage Policy created, continue with the following step. 21. To create a storage policy, you must have configured a library in the CommCell. If you do not already have a library configured, go to Disk Library Creation. If you have a library configured, go to Storage Policy Creation. DISK LIBRARY CREATION: 1. From the CommCell Browser, navigate to Storage Resources, right-click the Libraries, point to Add and then click Disk Library... Alternatively, you can also navigate to MediaAgents, right-click <MediaAgent>, point to All Tasks Create Library and then click Disk Library From the Add Disk Library dialog box, specify the following: In the Name box, specify name of the disk library. Default Options Selected During Standard Install Listed below are the default options that are automatically selected while performing the Standard Install. OPTION ENABLED / DISABLED DESCRIPTION Add programs to the Windows Firewall Exclusion List Disabled This option allows you to add Data Protection Suite programs to the Windows Firewall exclusion list. 25 This option is not selected. Global Filter Options Enabled This option is used to filter out specific directories or files from the backups within the CommCell. The filters are set using the Control Panel in the CommCell Console and, if enabled, they will be effective for the default subclient. Cell level policy is automatically selected. Method 3: Interactive install - Custom 1. Log on to the client computer as an Administrator or as a member of the Administrator group on that computer. 2. Run SetupAll.exe from the Software Installation Discs. 3. Click I accept the terms in the license agreement. Click Next. 4. Click Custom. Click Next. 5. 26 6. Expand Exchange, and then click Mailbox. Click Next. 7. Verify the default location for software installation. Click Next. If necessary, click Browse... to change the default location. This name will be used in the CommCell and will also be displayed in the CommCell Console. Do not use spaces when specifying a new name for the client. The default network interface name of the client computer is displayed if the computer has only one network interface (NIC card). If the computer has multiple network interfaces, select the interface name that is preferred for communication with the CommServe. Click Next. If a component is already installed on this computer, this screen will not be displayed; instead, the install program will use the same name as previously specified. 14. The default port numbers used for CommCell communication is displayed. If necessary, you can modify the port numbers. Click Next. If you want to disable Windows Firewall for all profiles, click Yes, disable Windows Firewall for all profiles and then click Next. You will get this screen if you did not configure the firewall settings in step Select Add programs to the Windows Firewall Exclusion List, to add CommCell programs and services to the Windows Firewall Exclusion List. Click Next. This option enables CommCell operations across Windows firewall by adding CommCell programs and services to Windows firewall exclusion list. It is recommended to select this option even if Windows firewall is disabled. This will allow the CommCell programs and services to function if the Windows firewall is enabled at a later time. Do not include the domain name here. Account Password - The password assigned to the domain user. Mailbox Name for this Account - User principal name (User Logon name) or Samaccountname Profile Name - Specify profile name to be created during agent install. This profile is associated with the domain user's mailbox. Exchange Server Name - Name of the Exchange Server that the agent will communicate with for data protection and recovery operations. Enter the Mailbox Role Server name (NetBIOS). After installation configure the roles as described in Configure Mailboxes in Database Availability Group (DAG) Servers. Domain - The installation detects and enters a domain name. If necessary, modify the domain name by specifying Windows domain that the Exchange Server resides in. 21. Click Finish. To create a storage policy, you must have configured a library in the CommCell. If you do not already have a library configured, go to Disk Library Creation. If you have a library configured, go to Storage Policy Creation. DISK LIBRARY CREATION: 1. From the CommCell Browser, navigate to Storage Resources, right-click the Libraries, point to Add and then click Disk Library... Alternatively, you can also navigate to MediaAgents, right-click <MediaAgent>, point to All Tasks Create Library and then click Disk Library From the Add Disk Library dialog box, specify the following: In the Name box, specify name of the disk library. From the MediaAgent list, select the MediaAgent. Perform one of the following: Select Local Path if you wish to specify a local path in the MediaAgent computer. In the Disk Device box, type the name of the folder in which the disk library must located or click button to select the folder. Select Network Path, if you wish to specify a network path as the target share. In the Connect As box, type the user name. In the Password and Verify Password box, type the password to access the network share. In the Folder box, type the mount path or click button to select a mount path. Click OK. 3. The newly created disk library will be displayed under Libraries node. This will create a library and Storage Policy. Click to proceed to the Configuration section. Storage Policy Creation 1. From the CommCell Browser, navigate to Policies. 2. Right-click the Storage Policies and then click New Storage Policy. 3. Follow the prompts displayed in the Storage Policy Wizard. The required options are mentioned below: Select the Storage Policy type as Data Protection and Archiving and click Next. Enter the name in the Storage Policy Name box and click Next. From the Library list, click the name of a disk library to which the primary copy should be associated and then click Next. Ensure that you select a library attached to a MediaAgent operating in the current release. From the MediaAgent list, click the name of a MediaAgent that will be used to create the primary copy and then click Next. 34 Configuration - OnePass Agent for Exchange Mailbox Overview Prerequisites Deployment Deployment - Cluster Deployment - Non-Microsoft Cluster Configuration Backup Restore After installing the agent, verify the Exchange Server Name and the Exchange Version from the following location: 1. From the CommCell Browser, navigate to <Client> Mailbox idataagent. 2. Right-click Mailbox idataagent and click Properties. Once the Exchange Server Name and the Exchange Version have been verified, the agent can be configured using one of the following methods. Answer the following questions to determine the method: How much data do you want to backup? Do you want to stub data to reclaim space on primary storage? Method 1: Backup Mode Backup mode allows you to protect all content within the mailboxes and does not reclaim space on primary storage. Method 2: Backup with Selective Stubbing Mode Backup with selective stubbing mode allows you protect all content within the mailboxes and also archive based on stubbing rules. Stubbing rules allows you to reclaim space on primary storage. Method 3: Archive Mode Archive mode allows you to protect the mailbox content that meets the pre-defined stubbing rules. This option allows you to aggressively reclaim space on primary storage. Backup Mode In this mode the data on the primary storage (mailbox) remains intact and a copy of the data is created on the media. This mode is recommended if: You are primarily looking for the ability to perform granular data recoveries. You want to restore an entire mailbox to a point-in-time, but you do not want to do it from a database backup. You want to content index your Exchange data so that full mailboxes will be searchable for end users and the compliance officers. Follow the steps given below to configure the Backup Mode: 1. From the CommCell Browser, navigate to <Client> Mailbox idataagent Default Backup Set. Right-click Default Backup Set All Tasks and click New Subclient. 2. In the General tab, Enter Subclient Name. Click Discover. Hold down CTRL and click the mailbox listed in the Mailbox Name list. In the Change all selected mailboxes to list, click the name of the custom subclient. Click OK. Select Include All Messages to backup all the s present in the selected mailboxes and click Ok. Backup with Selective Stubbing Mode In this mode all content within the mailboxes is backed up and is also archived based on stubbing rules. This mode is recommended if: You are primarily looking for the ability to perform granular data recoveries. In the Message Rule tab set the Collect Messages after n Days to 0 and the Collect Messages larger than n Kb to Click the Retention tab. On the Source Pruning tab, if the options are selected then based on the received time, the messages and the stubs will be deleted from the primary storage (mailbox) after the specified number of days.
