2 This tutorial assumes the Microsoft has been completed to create the Basic Sales System Database Objective: to create an input form to display an existing sale or record a new sale while allowing customer details to be updated: Sandra Dyke, 2010
3 Create a new form in design view using the Create Form Design Make sure the form is selected Open the Property Sheet and select the Sale table as the record source for the Form Select the Add Existing Fields option in the Design tab and click on the + boxes to display the fields available in each table. Double click on all of the fields from the Sale table: Sandra Dyke, 2010
4 First display the form header by clicking on the Arrange tab Add a Combo Box to the form Header Select the third option in the wizard. If there are only 2 options available, make sure only the fields from the Sale table have been added in the previous step. If not, delete the fields included, check that the form record source is the Sale table and include the fields for the sale table. Sandra Dyke, 2010
5 Accept the options on the next screen. Name the label as Select Sale ID Rename the combo box to cboselectsaleid View the form. When a sale ID is selected from the drop down list, the rest of the fields should change to display the appropriate data. Sandra Dyke, 2010
6 This form is not very useable, so make the following adjustments: Select the Add Existing Fields option to open the Field List screen Select the Customer table in the Fields available in other tables section and then double click on all of the Customer fields except CustomerID and CustomerPhoneNumber. Repeat for Employee and double click on EmployeeFirstName and EmployeeLastName Repeat for Inventory and double click on InventoryName (NB if the fields go on top of the existing Sale fields, move the Sale fields over to the right) Sandra Dyke, 2010
7 Rearrange the fields in the Detail section so it is suitable for our needs: View the Form. Now when a sale is selected, all of the fields contain related data. Sandra Dyke, 2010
8 Turn EmployeeID into a drop down menu Make sure you have a query called qemployeename which returns the employee full name: Place a combo box on detail section and follow the wizard to link it to the Employee table Sandra Dyke, 2010
9 Change the name of the combo box to cboemployeename and the control source to EmployeeID Delete the other EmployeeID label and text box Now when the form is viewed the employee details related to the selected Sales ID but a new sale can also be entered. Sandra Dyke, 2010
10 Place a new text box on the form and use the expression builder to create the following: Delete the employee first and last name labels and text boxes Repeat with Customer using qcustomermailinglist Sandra Dyke, 2010

12 Repeat for Inventory using the Inventory table Give the InventoryID text box a control source of InventoryID Place a text box on the form and label it Total Value Use the Expression Builder to calculate the total value Format the text box as currency Sandra Dyke, 2010
13 Rearrange everything so it meets requirements. Place the business logo into the header along with a line to separate the header from the detail section. Sandra Dyke, 2010
14 Add New Record Button Click on the Button control and place in the form header Select Record Operations Add New Record from the command button wizard Select Text When the button is clicked it will move to a new record Sandra Dyke, 2010 Page 14
15 Enter the details for a new sale. Some of the text boxes are populated from the controls so disable these by selecting each text box in turn and changing the Enabled option to No Sandra Dyke, 2010 Page 15
16 Finally, it will be handy to be able to add a customer or change customer details on this form. Create or adjust a form which displays customer details Click on the Subform/Subreport control Draw a Subform on the form in a suitable position.
