1 Membership Miniseries: Episode 3-Increasing Membership Renewals through Online Sales May 29 th, 2013
2 Getting Started In this miniseries episode, we will discuss the importance of offering easy renewal options for your members. One way to do this is to send renewal notices In the renewal notice, you can include a customized link to the membership web form. When each member clicks the link, the web form will auto populate the members names and select their current membership level. This saves time and confusion when renewing online Today we are going to discuss how to set this up in Altru and how it works
3 How to implement the customized renewal link? We are going to discuss two ways to implement the customized renewal link. #1: Some organizations already send renewals. We will walk through how to insert the customized link in your existing renewal . #2: For other organizations, renewals might be a new concept. We will walk through how to configure the renewal and put into your current renewal process.
4 How do you create the customized renewal link? First, lets talk about what this customized renewal link looks like. If you already use Altru web forms to sell memberships, you can take the main program URL, remove the /Program Name and insert /Renew. So, your link will end up looking like this: m/12345/renew
5 What are the benefits of using a customized renewal link? The benefit of using this customized renewal link instead of a direct link to the membership web forms page is that the system will auto select the members current level and insert the members names. It makes it easy for the member to renew and prevents duplicate records & duplicate memberships from being created since its directly linked to the constituent record.
6 Option #1 Option #1 is for organizations that already send renewals Lets walk through inserting that customized link to the existing From Web, click Manage Membership Forms Highlight the program Name, click the URL Copy this link
7 Option #1 (cont) From Marketing and Communications, click Marketing, click View s In the Membership section, highlight the , click Edit Place your cursor where you want the link. Type in text, like Click here to renew your membership. Highlight the text and click the link icon
8 Option #1 (cont) On the Insert Link window, paste the URL from the membership web form Remove the /Membership and insert /Renew The link will look similar to this ew Click OK Click Save
9 Option #1 (cont) Now, lets run the renewal process so that you can see how this process comes together. 1. From Memberships, click the Membership program name 2. Click Process membership renewal notices 3. Select the process in the drop down (Ex. Renewal w/link) 4. Click Start 5. Once Complete, click Start job
10 Option #2 Now, lets discuss option #2. If you do not already send renewal notices, there may be a little more initial setup required. 1. First, you will want to write the . You can do this from Marketing and Communications, click Marketing, click Add a membership . Select an export definition, which is the list of merge fields and click Continue. 2. Fill in all the required fields, like Name, Subject, From Address and From Name and then write the Make sure to insert the privacy policy and preferences in order to save the . This is also when you will insert the customized link to the renewal form.
11 Option #2 (cont) 4. Now, you will need to create a package. 5. From Marketing and Communications, click Packages, click Add an package 6. Insert the name, like Month Before Expiration Renewal 7. In the message field, use the magnifying glass to select the you just added 8. Click Save
12 Option #2 (cont) Now, we need to connect this package with your existing membership renewal process. 1. To do this, go to Marketing and Communications, click Membership renewal efforts 2. On the Templates tab, you will see the list of renewal processes that you currently have 3. Click the name of the process that you currently use. 4. In this example, select Membership Renewal Process
13 Option #2 (cont) As you can see, this renewal process is only set up to send Mail renewal notices Lets say, that you want to replace the 1 month before expiration with an notice On the Membership Rules tab, highlight the 1 month before expiration, click Edit In the package field, use the magnifying glass to select the package we added in the previous step
14 Option #2 (cont) Click the pencil next to the segment field and rename the segment (just remove Mail) Also, in the selections window delete the mailing preference smart query
15 Option #2 (cont) 1. Click Save, click Save again 2. Now you are ready to run your membership renewal notices 3. To run membership renewals, click Memberships, click the membership program name, click process membership renewal notices 4. Select the process and click Start 5. Start the job for the 1 month before expirations and download the letters for the other segments (month of expiration and 1 month after)
16 Let s walk through a web membership renewal 1. Open the renewal notice 2. Click the link in the 3. In the Altru web form, click Add to Cart or Continue 4. To expedite the process, you can sign in and it will fill in all the personal information 5. Continue and complete the sale 6. In Altru, open the constituent record and notice the renewal on the memberships tab
