1 Altru Fundraising Events Reporting on Event Attendance & Revenue

2 Taking Attendance for a Special Event On the Registrations tab of an event record, you can mark whether a Registrant attended, was a no-show, cancelled or let you know they will not attend. Highlight the registrant, click Mark As

3 Globally Updating Attendance Altru allows you to globally update all registrants whose attendance is unspecified to either no-show or attended. This is normally done after an event. In the Tasks menu, click Update event attendance

4 Reporting on Attendance To report on attendance for a program, daily admission or special events use the Event Attendance Report. This is found on the Sales page under Reports. Run this report for the date of the event. There are additional ways to view the report, by Event, Price Type or Date. Each change the way the report shows.

6 Reporting on Attendance (cont.) If you need to see how many of each registration option was sold, select Group by: Price Type

7 How to get a summary view of your event? Event Summary Report The Event Summary Report includes information about the event such as the start date, how many people were invited/registered/attended, event income and expense information, and more

8 How to get a list of all registrants for an event? The Event Profile report shows information such as coordinators, location, seating, expenses and information about registrants like date registered, host and balance. You can select which sections you want to see on this report If you just select Registrants, the report will look like this:

9 How to get a list of all registrants for an event? (cont.) Lets say that you need a list of people with addresses who attended a event. Since the default reports do not give address information, we can get this through query. We will build an Event ad-hoc query. Keep in mind that if you are needing this for a mailing and not a door list, use a constituent query because appeal mailings require constituent based queries. Highlight Event, drag Event Record to the Include records where select equal to (Event Name) Expand Registrant, drag Name to Results fields to display Highlight Constituent, expand Address Primary, drag Address, City, State, Zip to the results fields to display

11 Reporting on Revenue for a Special Event Event Revenue Report- This shows a breakdown and comparison of revenue and expenses for the event.

12 Reporting on Revenue for a Special Event (cont.) Another great report to use that just reports revenue (not expenses) is the Total Revenue Report. You can find this from Analysis, Revenue Reports, Total Revenue You will want to run this report for a range in which the incorporates the date of the first to last payment for the event.

14 Other ways to report on revenue Query-using a Revenue query to pull all payments from event registrations Create a Revenue ad-hoc query Expand Application Details, highlight Event, event record to include records where select equal to (Event Name) Expand Constituent, drag Name to results fields to display

16 Reporting on Revenue for a Special Event (cont.) Other useful reports: Sales Report -This will only show event registrations taken from Daily Sales, Online Sales or Advance Sales Event Comparison Report This report compares the effectiveness of multiple events. For example, you can use this report to compare the effectiveness of an annual event over consecutive years.
