1 Pop-up Notes The purpose of Pop-Up Notes is to streamline your internal communications. Pop-Up Notes gives you the ability to repeatedly issue Notes and reminders electronically. Instead of scribbled on memos or scraps of paper that are easily misplaced or accidentally thrown away you now use Pop-up Notes right within Navision. Notes taped to computer screens or laid in desk chairs will become a thing of the past. No longer will you have to coordinate the schedules of two or more people just to relay information. No more mental notes to try and remember to tell something to a co-worker because you just got a busy signal or found their desk empty. Pop-Up Notes accommodates the convenience of all employees company wide, while ensuring delivery. Pop-Up Notes can pertain to Customers, Vendors, Items, and Service Items or combinations of Customers/Items and Vendors/Items. They serve as reminders to whoever is entering a transaction for that particular Customer, Vendor or Item. Features: Pop-Up Notes specific to a Customer Pop-Up Notes specific to a Customer for a Specific Item Pop-Up Notes specific to a Vendor Pop-Up Notes specific to a Vendor for a Specific Item Pop-Up Notes for Items. If non-specific to a Customer or Vendor it is available to Pop-Up for all Customers and Vendors. Easily create the same Pop-up Note for a group of Items.
2 Easily specify which documents will display these Pop-Up Notes, such as: Sales, Purchase or Service Yes! Pop-Up Notes are available for Service Items, Service Documents, and Service Contracts. The Service Item Card can display the Service Item Pop-Up Notes, as well as the connected Item No. and Customers Pop-Up Notes. 3 Installation Instructions: PLEASE READ ENTIRE INSTRUCTIONS BEFORE BEGINNING. THE INSTRUCTIONS AND OBJECTS INCLUDED HERE ARE FOR USE WITH A 3.01 Navision Attain DATABASE OR GREATER. These instructions require a working knowledge of the C/SIDE development system. Add-on object files will arrive with all objects necessary to run the add-on including the dependencies. We bundle all add-on products that are needed to work together. This allows a one time installation of all the necessary objects. The following is a list of all objects that will be modified when Pop-up Notes is fully implemented. IMPORTANT: Compile ALL existing objects before starting the installation. Resolve all compiling errors before starting installation. This assures that when you compile objects after the installation, any compiling errors at that time will be caused by the installation and not something before the installation started. Determine if any of the above listed objects have been modified in the database in which you are going to add Pop-up Notes. 5 WE HIGHLY RECOMMEND THAT YOU READ OUR TIPS AND WARNINGS PAGES LOCATED AT THE BACK OF THIS DOCUMENT BEFORE STARTING. If this is the first time that you are importing Pop-up Notes, then the only objects that may have conflicts are the base Navision objects. If you find that you have modified the same base Navision objects then you will need to manually integrate the Pop-up Notes changes found in those objects. To assist the manually integration process we have supplied a detailed Change Log. Files available for importing are: PopUpNotes_301b_All_ fob Start by importing this one file. It contains all the Pop-up Notes objects and all dependant addon objects. If you have conflicts. Then use the following Change Log to read about where the modifications exist and manually integrate the changes. 1. Copy the supplied fob(s), Documents (This manual), and optionally any provided sample databases to your local hard drive for integration and testing. 2. Start Navision Attain. 3. Go to Tools, Object Designer 4. Go to File, Import 5. Go to provided fob - PopUpNotes_301b_All_ fob 6. Select Open 7. You should get the following message. 8. Say NO. Open the Import Worksheet for review. (always) If none of the objects listed above have been modified in the target database you can import the object file. When you start the import, you will get a different message than the one shown above that states that no conflicts were found, select yes to import the objects immediately or select no to open the Import Worksheet. It is recommended that you select no so the Import Worksheet will open in all cases. Even when there are no conflicts you will need to import the.fob file in two(2) passes. 1. Once the Worksheet is open, go to the Action column and select SKIP on all the base Navision objects, and make sure the Higher numbered objects ( ) have the Create or Replace action and then select OK. 2. Next do the File, Import process again on the same.fob file. This time use the Replace All Button to flag ALL the objects with the Replace action. 6 You should get a screen similar to this. If there are conflicting objects the Import Worksheet will indicate which objects are in conflict. If you have any conflicting objects make a list of these objects. These are the objects you will have to hand integrate the Sales Pop-up Notes changes into. Instructions for hand integration of individual objects can be found in the Change Log. If some, but not all, of the above listed objects have been modified in your database you can import the ones that have NOT been modified by using the Import Worksheet to indicate which objects to replace and which objects to skip. Choosing replace next to an object in the Import Worksheet will cause that object in your database to be replaced by the import object of the same number. Choosing skip will prevent the object in your database from being replaced. Select replace for all objects NOT on your conflicting object list and select skip for all objects ON your conflicting object list. Using the merge option is not recommended as a means of dealing with modified objects. Using this option could make your task much harder. 3. Select OK ONLY after you have decided to Replace All, OR you have edited the Action column on the import worksheet. (Reminder: Please read our Tips and Warnings about Navision s Import process at end of this manual.) 7 you can manually integrate the changes later. (Write them down now or take a print screen.) 4. After saying OK, the Navision Import dialog box will say: create: X and replace XX. 5. At this stage there are new tables, forms, and reports added to your database. But they have no data in them. 6. If you were able to import and replace ALL objects then Compile all the objects. Problems or objects that were not able to be compiled will be marked. Use the View, Marked only choice from the tool bar at the top of the Navision screen while still in the Object Designer. If you exiting object designer will remove the marks!! And you will have to compile again to know which objects failed. 7. If there were Conflicting objects or compile errors, please continue reading and compare the Change Log to the database objects. 8. If there are not conflicts or compile errors then you have completed the installation and you can skip the change log area and continue on with the Addon Setup & Workflow section. Click the textbox control then go to properties. The first property to set is the OnPush Action = RunObject. Once all the changes have been made, COMPILE ALL objects again. If compile errors still exist, Navision will mark the problem objects and you will need to double check the integration in your database with the change log. If you are sure that all changes are in the database and compile errors continue please contact you NSC immediately. If all objects compile, then continue on with the Setup & Workflow instructions. 29 POP-UP OTES - SETUP Notes Creation There is no special Setup for Pop-Up Notes. You just have to create the Notes themselves from the Module Setup Area. (IE: Sales & Receivables Setup, Pop-up Notes) Access to Pop-Up Notes can be wherever you feel is most convenient. We chose to put it on the Sales & Receivables Setup Menu. However you could just as easily put it on the General Ledger Setup, Inventory Setup, or Purchase and Payables Setup area or create a command menu button on a menu. Check out the Change log to see how access is called. Version 3.x From the Sales & Receivables Setup Menu, the Pop-Up Notes option will take you directly to a Note Card. 30 Version 4.x - Access Entry o. Each Note has it s own unique number. This fills in automatically. Type You can choose the type of Record to which each Note relates. The choices are Item, Customer, Vendor and Service Item. If the Note relates a combination of records, such as a Customer and an Item, you would select Customer as the type, and then fill in the appropriate Item No. in the Item No. field. 31 If you select Item or Service Item, you will not be allowed to save a Vend/Cust No. entry. These types of Notes will show up related to the Item or Service Item regardless of the Customer or Vendor. Vend/Cust o. Enter the appropriate number if the Type you selected was Customer or Vendor. Leave this field blank if this is an Item or Service Item Note. Item o. Enter the appropriate Item No.. If Type is Item, Customer, or Vendor, you will be given the Inventory Item list from which to select. If Type is Service Item, you will be given the Service Item list. Bold Check this box if you would like the Note to appear in Bold print when it pops up. Creation Date Automatically fills in with the date the Note was created. Effective Date Automatically fills in with TODAY s date. However, if the note needs to activate later, then fill in the date you want to Note to start appearing. Expiration Date Fill in the date you want the Note to stop appearing. If you leave it blank, the Note will never stop appearing. This date can be entered or changed at any time. Sales Documents Check this box if you want the Note to appear when entering sales documents. Purchase Documents Check this box if you want the Note to appear when entering purchase documents. Service Documents - Check this box if you want the Note to appear when entering purchase documents. ote Enter your actual Note here. It is free form text, so the Note will appear exactly as you type it. Sorry there is no spell checker. If you type more that what can show on one line the text will wrap into multiple lines. When you type the note will appear as if it is one long line but wraps when you leave the note field. Enter or moving to another field saves the note. Hitting the Esc Key while you are in the note box will not save what you typed in the field. Insert otes from Master Files: Customer Card, Vendor Card, & Item Card Useing popup note entry from the Customer, Vendor and Item Card area is for the off hand, i.e. less frequent inserts of notes. The inserting of notes from the "master" files puts the note record in a temporary condition until you close it and if the note is not filled in then the temporary note record is never inserted, but if you do insert a note the span of time the record is open in a temporary condition can be a cause of multiple user interference, which causes a record is already in use and the loss of the entered note. 32 Creating Multiple otes at once: You can also create several Notes at once. For example, if you had several Items on sale and you wanted to create a Pop-Up Note for each sale Item, you could create one Note, choose all the related Items, and NAVISION would create each individual Note for each Item. To do this, go to the Note button at the bottom of the Note card and select Create Multiple Notes. Notice, it does not matter what Note Card you are on when you go into the Create Multiple Notes option. 33 You will fill in the options on the header and then type the Note. Next you will select the Items. Holding down the Ctrl Key while you click the items will hold the highlight on the selected items. After all the items are selected and highlighted, Last but not least hit the Ctrl and F1 keys together. This last process marks the items. 35 Pop-up otes Workflow: There is not much training to Workflow. The system is set up to be able to view the Pop- Up Notes from Master records like Customers, Vendors, Items and Service Items. There is a boolean field on the Master Card that indicates that Pop-up Notes exist. If Notes have expired then the check mark will not appear. 36 Notice in this example the customer has one customer specific message and one Customer / Item specific message. What Item No. required a special message for this customer? The Service Item displays flags for three components. See below: In this example the Item No. related to the Service Item has a Pop-Up note. What Item No. is that? How can you see the note? The Customer related to this service item also has Pop-Up notes. What Customer is it? How can you see the Customer s Pop-Up note? There is more than one way to see the Item and Customer s Pop-Up note but the quickest way is to just click on the check boxes. Does this Service Item have a Pop-Up note? How can you tell? The answer is No. There is no check mark in the Service Item Has Notes? Transaction Automatic Pop-Up display: The main benefit of Pop-Up Notes is that it will automatically display the notes upon entry of the Customer, Vendor, Item and Service Item on all Sales, Service and Purchase Documents. 38 Another example below where we have entered the Item No on a sales order to Customer Notice on this display we see a Item only note as well as an Item / Customer specific note. The Quick Note Display as seen above is Non-editable. The Note Card button would allow you to view the Pop-Up Note Entry screen. If you do not want some users to have access to the Note Card, the button would have to be removed, made non-visible base on some criteria, or you may want to ask about Field and Control Security. You may have noticed the different colors on notes. Customer and Vendor notes appear in red. Item and Service Item only notes appear in black. 39 POPUP Notes Improvement Auto Insert Comments Version 4.02 and 4.04 Item Specific Notes and Customer/Item Specific Notes can be flagged to become automatically inserted comments on Sales Lines. Like Extended Text but allows the comments to be Customer/Item specific and with Activation and Expiration dates. Dependency: Extended Text. I.e. must have the Extended Text granule to use this feature. POPN4.02 Customer Specific Notes can be flagged to auto insert Sales Header Comments and on what documents to print. Dependency: None POPN4.04 Improved Visible and Non-Visible fields depending on what combination is allowed. New Tab to hold flags on what will be inserting comments. When the field Sales Header Comments is checked, you will still receive the popup note and the notes with the check will be inserted as Sales Document comments in the comment box on the header. 40 When the No. field is filled in then the only options is be become a Sales Line Comment.associated with the No. on the Sales Line. See the difference in the Notes setup screens below: If you place a check in the field Sales Line Extended Text then you will still receive the popup note message, but the notes checked will also be inserted as comment lines below the line that you are on when you triggered the note. 41 POPUP Notes Improvement 4.03 For Resources You can now enter a note for Resources. You can have Resource only notes or Resource Customer specific notes. Since Standard Navision does not use Resources on a Purchase line, you do not have the option of Popup notes related to resources and purchases. Setup is just like with Items. 42 Special Situation: Entering Orders from Customer Card or CRM. When entering Sales Orders from the Sales Order menu, the popup note is triggered by the entry of the Sell-to Customer No. However when entering Sales Orders from the Customer or Contact card, the popup note cannot be triggered from the Sell-to Customer No. so it is triggered from some other field. Our sample date has the "Requested Ship Date" as the secondary popup note trigger. Please note: The code to pop the note can be moved to some other field based on the client s work flow.
