2 1 Who is Tribal? Tribal offers a range of consulting, support and delivery services focused on improving the delivery of services to the public. In the UK, we work in partnership with a wide range of organisations across the public sector, including schools, colleges and universities; the NHS and primary care trusts; local authorities and housing associations; central government departments and government agencies; and third sector organisations. We have a depth of expertise in education, healthcare, financial management, the built environment and other aspects of government, which has made it the partner of choice for over 2,500 government clients in more than 40 countries. Tribal s success is based on a collaborative approach which focuses on transferring skills and knowledge for the lasting benefit of clients. Who we are Within Tribal, we are Tribal Inspections Services. We have been the leading and largest provider of inspection services for Ofsted for over 10 years. In February 2009, we were successful in winning the contract to inspect the Southern region which will maintain Tribal s position as Ofsted s largest contractor and largest inspector training provider in the country, having trained over 2000 inspectors for the national inspector pool. Since the start of the last Ofsted framework in September 2005 we have inspected over 10,000 maintained schools and childcare providers in the following educational phases: Early Years Primary Secondary SEN Pupil Referral Units As of September 2009, we now also inspect: Children s Centres Independent Schools Initial Teacher Education Learning and Skills Our website, the tribal inspections portal, is our liaison between yourselves, our inspectors, and the general public.

3 2 The Tribal Inspection Portal The Tribal Inspection Portal ( is an interactive inspection website designed to provide you with the inspection details, inspector details and inspection documentation you will need for your inspection. Logging In Following the phone call from your Inspection Officer, you will be provided with a user name and password to allow you to log in to the portal. Typically this will be comprised of your address which becomes your username and your school s URN as an initial password; however, your Inspection Officer will confirm this with you. Once logged in, you will be asked to change your password to something more memorable and more secure. This new password will need to include: A minimum of eight characters. At least one upper-case character At least one lower-case character At least one number If you experience any difficulties logging in, please contact your Inspection Officer who will be able to assist you.

4 3 Logged In Upon logging in to the website, you will be presented with the event screen showing details of the inspection of your school: On the left-hand side of the screen, details of your inspection and your school are shown. If you believe any of these details to be incorrect, please contact your Inspection Officer. On the right-hand side of the screen are details of the team for your inspection. Information about individual team members can be found by hovering your mouse over their names. If you are unable to view the details for any reason, please contact your Inspection Officer. Further down on the right-hand side of the screen is a link to the inspection workflow: On this page you can view the pre-inspection documentation that the inspection team will be using. During the inspection, you will also be able to download documents as they become available. Your Inspection Officer will notify you once they become available.

5 4 Messaging Service On this page you will be able to communicate directly with your lead inspector via a secure messaging service facility. You may wish to use this facility if you need to send additional information and/or documentation to your lead inspector. Sending Messages To send a message, do the following: Navigate to the Event Messaging box (see above); Click on Create New; Type a title for the message in the Title box; If you would like to attach a file to the message, click on Browse, locate the file you would like to attach and click on Open; Click on the tickboxes next to the recipients you would like to send your message to (your role in the inspection will dependent on who you are able to send messages to); Type your message in the Message box; Click Send.

6 5 Sent messages can be viewed by clicking on the Outbox tab and clicking on the message. When the message has been sent, the recipients will receive an informing them that they have been sent a message by you in relation to the inspection of your establishment. Additionally, they will see a New Message icon on the topright hand corner of the portal if they have an unread message. Receiving Messages To receive a message, do the following: 1. Navigate to the Event Messaging box (see above); 2. Click on the new message to read it; 3. If a file is attached, double-click on it to open it.

7 6 School Inspection Survey After the inspection has taken place and the report has been published, you will have an opportunity to feed back to Ofsted about how you found the inspection process via an online survey. The survey is short, taking no more than a few minutes, and asks for your views on the inspection process, including the impact that the inspection is likely to have in bringing about improvement of your school. Ofsted greatly values your response, which are used to help keep HMCI informed about the quality and impact of inspection, and to guide Ofsted in reviewing and improving the inspection process. You will be provided with two ID codes from your Inspection Officer that will be included in the with your report attached one access code for the headteacher to give feedback and one for all other members of school staff. These ID codes will be different from your portal log-in details. To access the survey, navigate to and click on Views. In the User ID box, enter the appropriate ID code given to you by your Inspection Officer and click Next.

8 7 You will now be presented with a screen displaying the details of your school. If the details are correct, click on Confirm. If the details are incorrect for any reason, click on Cancel and let your Inspection Officer know. You will now see a screen on which you can answer questions on the inspection process via multiple-choice questions: Once you are happy with your responses, click Submit and your responses will be saved and sent to Ofsted.
