1 Overview of the Desktop Review process for 2018 One Awards require all providers to submit the following Access to HE Diploma assessment planning documents by the end of September each year: A Diploma Assessment Plan for each diploma being delivered (AP1 with dates or AP1 without dates) An Assessment Timetable for the Diploma A Unit Assessment Plan for each unit being delivered (AP2) An example of an assignment brief for each unit being delivered (AP3), including all parts of the assignment e.g. test papers An Internal Moderation Record for each AP1 (IM1) An Internal Moderation Record for each AP2 (IM2) An Internal Moderation Record for each AP3 (IM3) Please note that all documents should be word processed and not handwritten. This document provides step-by-step guidance for the secure upload of your assessment planning documents to SharePoint, a secure intranet site. Once uploaded, the documents will be moderated and feedback provided by the Diploma and Lead Moderators appointed to your programme. For further information about the One Awards moderation process please refer to the One Awards Access to HE Provider Handbook, Section Four. Sharepoint will be open to receive documentation between 9.00am on Monday 9 th July and 5.00pm on Friday 28 th September The system allows for single or multiple document upload, and upload of zipped folders. Once the close off date has been reached, you will no longer have access to the upload facility. Your uploaded content will be checked by the AVA and any omissions notified to your nominated Access contact. In extenuating circumstances an extension may be requested by the Head of Quality or their representative. If approved, the facility will be reopened for a fixed period to allow the remaining documentation to be uploaded. For further information about applying for an extension to the 28 th September deadline please request a copy of the application form. What will happen if a deadline date is missed? If the required documents have not been uploaded to Sharepoint by 5.00pm on 28 th September and no extension has been approved, the AVA will apply a Sanction, the details of which will be sent to the provider s Head of Quality. The same process will apply if an extension deadline date is missed without a further extension having been approved. Therefore, if there is any likelihood that you will not be able to upload your by the 28 th September or extension deadline date, please contact Jennie Lawson, Head of Quality, as a matter or urgency. 2 Logging in There are two ways in which you can log in; via the Internet or through the ONE Awards website. You will require your Centre number and password, which will be sent to you separately. For logging in via the Internet, the best web browser to use for accessing SharePoint is Internet Explorer. Enter the the following address: replacing the crosses with your 5 digit Centre number. This will take you to the login screen. Enter your Centre Number (prefixed by the letters NO), and password. To log in via our website, go to the home page and click on Centre Login; select Sharepoint from the section list, enter your 5 digit Centre number prefixed with NO and click go. You will be asked to enter your username (Centre number) and password again at this point. Once you have logged in, the following screen will appear: From the list on the left hand side of the page, click on AHE Desktop Review. Version 2.0 Page 2 of 7
3 Please prepare your documents for upload as follows: On your own work PC or laptop, create a folder for each Diploma title that you deliver and within each Diploma folder: Save the AP1, IM1and Assessment Timetable for that Diploma title. Create a separate folder for each unit being delivered and add the relevant AP2, AP3, IM2 and IM3 document files (please do not place these documents within any further subfolders) A DTR Checklist is available on the One Awards website, which you might find helpful to use when compiling your documents and before you complete the upload. File naming conventions The following process for naming files should be used for all documents. This system has been devised to provide you with a built-in self check to ensure that no documents have been omitted. The first part of the file name should denote the type of form (eg. AP1, AP2 etc) followed by either the Diploma title (in the case of AP1) or the unit name. Finally the academic year for which the documentation will apply should be added. For example: Document Type File Name examples Diploma Assessment Plan (AP1) - one AP1 Health for each Diploma title AP1 Science Assessment Timetable AT Health Assessment Plan for each unit being AP2 Word Processing delivered (AP2) AP2 Human Biology Example of assignment brief for each AP3 Word Processing unit being delivered (AP3), plus test AP3 Human Biology papers etc Internal Moderation Record for the AP1 IM1 Health (IM1) IM1 Science Internal Moderation Record for each IM2 Word Processing Unit Assessment Plan (IM2) Internal Moderation Record for each example assignment briefs (IM3) IM2 Human Biology IM3 Word Processing IM3 Human Biology Please go to pages 6 and 7 to see screenshots showing how your folders should look once they have been uploaded to Sharepoint. 4 To upload the zipped folder to SharePoint, go into the AHE Desktop Review section, and click on the Documents tab at the top of the page: From the toolbar, select the Upload document icon Then Upload Document Version 2.0 Page 4 of 7
5 A box will appear asking you to browse for the document or folder you require. Click on the Browse button and search for the document or folder you wish to upload; select it and click on Open. The filename of your chosen document will appear in the Browse Name box Click on OK and the document will appear on the AHE Desktop Review screen If you upload an incorrect document it can easily be removed. Hover the cursor over the uploaded document and a box will appear to the left of the document title. Click the arrow to open the menu, then select Delete Version 2.0 Page 5 of 7
6 Repeat the folder upload process until you have uploaded all the zipped Diploma folders, then log out of Sharepoint. How should the Desktop Review submission look when uploaded to Sharepoint? Your main DTR page should now look something like this for the year: Your Diploma folders should look like this, with the AP1, IM1 and Assessment Timetable in main Diploma folder and a unit folder for each unit delivered in the Diploma. The internal provider DTR checklist has been included here but this is optional. Version 2.0 Page 6 of 7
7 Each unit folder should look like this with the files labelled correctly. Once you have completed the upload please send an to to confirm that the upload is completed. If you encounter any problems with uploading your documentation please notify One Awards immediately using the same address or telephone the office on Post upload actions Once the close off date has been reached, you will no longer have access to the upload facility. Your upload content will be checked by the AVA and any omissions notified to your nominated contact for Access. If an extension has been approved the facility will be reopened for a fixed period to allow the remaining documentation to be uploaded. What happens next? The AVA will notify the moderation team that the documents are ready so that the Desktop Review can take place. Your Lead Moderator will contact you directly if there are any queries.
