11 Preface This document describes how to perform the following DRRS-N administration tasks: The Admin choice on the DRRS-N main menu provides the following functions: The Identity Management function enables admin users to perform all DRRS-N Ashore user account management functions. The Information Center function enables admin users to display system messages and Release Notes on the DRRS-N Ashore log-in page for all DRRS-N Ashore users to see. The Framework Administration function enables admin users to register modules and configure the application framework. The Bulletins function enables admin users to create and schedule bulletins to be displayed so that DRRS-N users can be notified of important information concerning the application. The CSG/ESG Mapping Utility provides a tool for CSG/ESG weighting. The Reporting Method function is used to specify the unit's reporting method: NMETL w/sorts, TRMS Only, or NMETL Only. FOM Mapper Account Administration enables administrative users to use the Innovative Readiness Reporting Initiative (IRRI) to perform account creation and management functions for users of the PFOM, SFOM, and OFOM Mappers. 13 Chapter 1: Identity Management Identity Management consists of the User Search function, which gives you the ability to search for user accounts, edit existing user accounts, and create user accounts. 1.1 Accessing the User Search Function To access the User Search function: 1. On the DRRS-N Main menu, highlight Admin. A drop-down menu is displayed. 2. From the Admin drop-down menu, highlight Identity Management. A sub-menu is displayed. 3. Click User Search. The User Search window is displayed. See See Figure 1-1: User Search Window on page Registering New Accounts An account request is initiated through one of the following methods: Most users will request an account through the DRRS-N log-in page. Refer to the user registration instructions in the DRRS-N Ashore Software User Manual for information on how to do this. The ability to register a new user also is provided as an Enterprise Administrator function for DRRS-N Customer Support. See Section 1.2.2: Adding a New Account on page 1-2. 14 Registering New Accounts Chapter 1: Identity Management Required Information Before requesting a DRRS-N account, the user must have the following: SECRET clearance SIPRNet account In addition, if DRRS-N Customer Support is submitting the request for the user, the user must provide the Enterprise Administrator with the following information: First and last name Social Security Number Note: DRRS-N Customer Support deletes all SSNs that are provided to them, so the user s SSN will not be revealed to anyone other than the Enterprise Administrator who creates the user s DRRS-N Ashore account. However, the user has the option of sending his or her SSN directly to the USFF Security Officer by separate secure correspondence, such as SIPRNET . In this event, the Enterprise Administrator should enter as the user s SSN. Commercial and DSN phone numbers Unclassified and classified addresses Parent organization and government affiliation Paygrade and rank Planned rotation date, if known Unit security officer's name, phone number, and address The DRRS-N role that is to be assigned to the user Primary and secondary Unit of Assignment information, i.e., the name of the unit and/or the Unit Identification Code (UIC) of the unit to which the user is assigned and any other units whose NMETLs the user is to assess Adding a New Account To add a new user account to DRRS-N Ashore, the Enterprise Administrator would take these steps: 1. From the main menu bar, select Admin Identity Management User Search. The User Search window is displayed. See Figure 1-1: User Search Window on page Click New User. The New Profile window is displayed. The New Profile window is divided into the following areas: Tip: To return to the User Search window without creating a new profile, you can either click the User Search icon ( ) in the DRRS-N toolbar or click your browser s Back button. This area is divided into the following sections: User Details User Account Security Classification & Registration Information 4. In the User Details section, enter the user's first name, last name, commercial phone number, DSN (Defense Switched Network) phone number (if available), and a.mil unclassified address. If you enter an unclassified address that is not a.mil address, account approval may be delayed. Note: When applying for a DRRS-N account on the SIPRNET, the User Details section contains two additional fields: SSN and Confirm SSN. The user has the option of either providing the Social Security Number (SSN) to DRRS-N Customer Support or sending the SSN directly to the USFF Security Officer by separate secure correspondence, such as SIPRNET . If the user chooses the latter course, the Enterprise Administrator should enter as the user s SSN. Figure 1-2: User Details Section 5. In the User Account section, enter the user name (FirstName.LastName format) and password for the account, and confirm the password by entering it again. Then select the user's parent organization, government affiliation, paygrade, and rank, using information provided by the user. Finally, if the user s government affiliation is Contractor, enter a classified address, also provided by the user, at which the user can receive classified messages. See Figure 1-3: User Account Section on page 1-4 for an example. Tip: When creating the password, follow the instructions in the lower-left corner of the User Account section. In the Security Classification & Registration Information section, enter the name, phone number, and address of the user s Command Security Officer. Also, enter the user's planned rotation date and the justification for creating the new account. If the user's planned rotation date is unknown, check the Unknown check box. Figure 1-4: Security Classification & Registration Information Section 7. Expand the Roles area if it is not expanded already. This area contains the Role Assignment section, which is used only if the account was created for an enterprise level user, an account approver, or if the user is being granted access to the AMFOM Mapper or the PFOM Mapper (PersonnelFOM). 17 Chapter 1: Identity Management Registering New Accounts ENTERPRISE ROLES A user at the enterprise level is typically someone who is a DRRS-N software developer or a member of DRRS-N Ashore Customer Support. If this is the case, select one of the Enterprise Roles defined in the following table.. Table 1-1: Enterprise Roles Role Developer Enterprise Administrator Manager Definition The user is allowed to do the following: Use the Framework Administration function to register modules and configure the application framework. Use the Bulletins function to create and schedule bulletins to be displayed so that DRRS-N users can be notified of important information concerning the application. User roles are not visible. The user is not allowed to do the following: Create accounts. Reset passwords. Update any of the user details or user account information. Search for and assign primary and secondary units. The user is allowed to do the following: Create accounts. Reset passwords. Assign user roles. Edit user details and user account information. Search for and assign primary and secondary units. Create, modify, and delete system messages. Create, modify, and delete Release Notes. Create, modify, test, and re-initialize modules. Allows the user to edit the framework configuration settings. Allows the user to create, modify, and delete a bulletin. The user is allowed to do the following: Edit user details from the "My Profile" screen. Edit user details and user account information. Create new users. Reset passwords. View the roles assigned to a user. Assign roles to the NMETL Assessment and AMFOM Mapper modules. Search for and assign primary and secondary units. Create, modify, and delete system messages. Create, modify, and delete Release Notes. The user is not allowed to approve accounts. PROFILE MANAGEMENT The only role that can be assigned at the Profile Management level is the Account Approver role. This role can be assigned in conjunction with the enterprise level Developer and Enterprise Administrator roles. It is reserved for DRRS-N Ashore Customer Support personnel who have the authority to activate DRRS-N Ashore accounts when they have been approved by the USFFC IA Manager. AMFOM MAPPER The AMFOM Mapper is an application used by Aviation Maintenance subject matter experts only. Selecting a role for the AMFOM Mapper grants the user access to the AMFOM Mapper application with the permissions assigned to that role. The AMFOM Mapper roles are defined in Table 1-2: AMFOM Mapper Roles. DRRS-N Software Administration Manual Version

18 Registering New Accounts Chapter 1: Identity Management Refer to the DRRS-N AMFOM Software User Manual for detailed descriptions of these roles. Table 1-2: AMFOM Mapper Roles Role Browser Drafter Releaser Definitions Gives the user view only permission for all AMFOM Mapper functions. Allows the user to submit mission suite assignments to configurations, and to capabilities and tasks. The user can also submit changes to threshold settings. All other functions are view only. Gives the user submission and approval authority for all AMFOM Mapper functions. PERSONNELFOM (PFOM MAPPER) The PFOM Mapper is an application used by Personnel resource subject matter experts only. Selecting a role for the PFOM Mapper grants the user access to the AMFOM Mapper application with the permissions assigned to that role. The PFOM Mapper roles are defined in Table 1-3: PFOM Mapper Roles. Table 1-3: PFOM Mapper Roles Role PFOM Admin PFOM User Definitions Gives the user the ability to assign additional PFOM user roles to other PFOM users, including users who are assigned to the PFOM Admin role. Refer to the DRRS-N PFOM Software User Manual for descriptions of the roles that can be assigned by PFOM Admins. Gives the user access to all PFOM Mapper functions, but with no approval authority. 8. Expand the Search for Primary Unit area if it is not already expanded. This is where you select the primary unit of assignment, the duty station that the user provided. Figure 1-6: Search for a Primary Unit 9. Enter the unit name or Unit Identification Code (UIC) of the user's primary unit of assignment and click Search. If the unit is found, its name is displayed below the Unit Name or UIC field. If you enter a partial name or UIC, the search function treats it as a "Starts With" search and returns every unit name or UIC it finds that begins with those letters or numbers. 19 Chapter 1: Identity Management Registering New Accounts 10. Click the in the Action column beside the user's primary unit of assignment to select it. The unit is displayed beneath the Selected Unit heading. Figure 1-8: Primary Unit of Assignment Selected If you select the wrong unit, click the to delete the unit and repeat steps 8 and 9. Also, you can click the to send an message if you are unsure of the selection. 11. Click the drop-down arrow at the end of the Unit Role field and select the Unit Role, as provided by the user. Table 2 2 provides definitions of each role. Table 1-4: DRRS-N Ashore Unit Roles Unit Role Unit Viewer Unit User Unit Commander Unit Administrator Can only view approved assessments. Description Can view and change the assessments of capabilities and NMETs, and save assessment changes, but cannot submit assessment changes. Can reset passwords and change the roles of any user assigned to their UIC. Can also change the reporting method. 12. If a secondary unit or units of assignment need to be selected, expand the Search for Secondary Units area if it is not already expanded. 13. Search for and select the secondary unit or units of assignment just as you did for the primary unit of assignment. 14. Click Submit. Two messages are generated. One is forwarded to the USFF Security Officer to review for approval. The other, minus any PII information that was submitted, such as the user s SSN, is forwarded to DRRS-N Customer Support to notify them that a new account request is being reviewed for approval. Note: Requests can take between five and 10 business days to process. When the message is received, the USFFC Information Assurance (IA) Manager validates the security information via the Joint Personnel Adjudication System (JPAS) or the Joint Clearance Access Verification System (JCAVS). One of the following will occur: Approval Upon approval of the user's security information, the USFFC IA Manager forwards the approval to DRRS-N Customer Support for the purpose of account approval and activation. The user is then notified of account creation and access via a SIPRNet e- mail message. Disapproval If the user's security information is not approved, the USFFC IA Manager sends an message to the user and to DRRS-N Customer Support with the reason for denial of access. It is the responsibility of the person requesting the account to rectify any discrepancy or discrepancies by contacting their unit's Security Officer. DRRS-N Software Administration Manual Version

20 Searching for Accounts Chapter 1: Identity Management 1.3 Searching for Accounts The Search function searches all system accounts, enabling Managers, Enterprise Administrators, Unit Commanders, and Unit Administrators to quickly view and edit user information and account status. It is always a good idea to check a new user's profile immediately after entering it into the system. 1. From the Main Menu, select Admin Identity Management User Search. The User Search window opens. See Figure 1-1: User Search Window on page 1-3 for an example. 2. In the fields on the left side of the Search Criteria section, enter information on which you are basing your search, such as the user's last name, first name, account user name, and unclassified and/or classified addresses. Tip: These fields are not case-sensitive. 3. In the Status field, select one of the following: All to ignore the approval status during the search New to search only for users whose account registration has not been approved yet Approved to search only for users whose account registration has been approved Inactive to search only for users whose account registration is inactive 4. In the Locked field, select one of the following: All to search regardless of whether the user's account is locked or unlocked Unlocked to search only for those users whose accounts are unlocked Locked to search only for those users whose accounts are locked 5. In the Last Modified field, click the arrow at the right end of the field and select one of the following: All to ignore a "last modified" date Yesterday to search for users whose profiles were modified since yesterday Last Week to search for users whose profiles were modified within the last week Last Month to search for users whose profiles were modified within the last month 6. In the Created On field, click the arrow at the right end of the field and select one of the following: All to ignore a "created on" date Yesterday to search for users whose profiles were created since yesterday Last Week to search for users whose profiles were created within the last week Last Month to search for users whose profiles were created within the last month 7. In the Last Login field, click the arrow at the right end of the field and select one of the following: All to ignore a "last log-in" date Yesterday to search for users who have logged into their accounts since yesterday Last Week to search for users who have logged into their accounts within the last week Last Month to search for users who have logged into their accounts within the last month 1-8 Version DRRS-N Software Administration Manual

In the Unit Name/UIC field, enter either the unit name or Unit Identification Code (UIC) of the user's unit if you want to include that in the search. Click the down-arrow at the right end of the field to see the list of primary and secondary units to which the current user is assigned. Click one of the units in the list to insert it into the field. Also, you can select one of the following beneath the field: All to include all units to which the user is assigned Primary to include only the user's primary unit of assignment Secondary to include only the user s secondary unit or units of assignment 9. In the Roles field, select none, any, or all of the following: Tip: Selecting none of the choices is the same as selecting all of the choices. No Role to search only for users who are not assigned a role Unit Viewer to search only for users who are assigned to the Unit Viewer role Unit User to search only for users who are assigned to the Unit User role Unit Commander to search only for users who are assigned to the Unit Commander role Unit Administrator to search only for users who are assigned to the Unit Administrator role 10. Click Search. The results display in the Search Results section. The following figure provides an example: Figure 1-9: Results of a Successful Search for a User Account 1.4 Reviewing Account Status Once you have your search results, the Status and Locked columns in the Search Results area show you whether the user's account is approved or locked. To modify these settings, you must edit the user's account. See Section 1.5: Editing Accounts on page 1-10 for more information. The Status column displays Approved if the USFF Security Officer approved the account or Inactive if the account is not approved. The check box in the Locked column contains a check mark if the user's account is locked. DRRS-N Software Administration Manual Version

22 Editing Accounts Chapter 1: Identity Management 1.5 Editing Accounts Once you have completed a user search (See Section 1.3: Searching for Accounts on page 1-8), any of the user accounts displayed in the Search Results area can be edited by clicking in the Action column, which displays the Edit Profile window. To edit a user s account, do the following: 1. Expand the User Organization Details area if it is not already expanded. This area is divided into the following sections: User Details User Account Account Security Classification 2. In the User Details section, you can modify the user's salutation, first name, middle name, last name, commercial phone number, DSN (Defense Switched Network) phone number, and the user s unclassified address (SIPRNET systems only). Figure 1-10: User Details Section 3. In the User Account section, you can reset the password for the account, and confirm the password by entering it again. Alternatively, you can click Reset Password in the gray shaded box in the lower-right corner of the User Account section to send a systemgenerated password to the user s account. You can also modify the user's parent organization, government affiliation, paygrade, and rank, using information provided by the user. If the user s government affiliation is Contractor, you can modify the user s classified address. See Figure 1-3: User Account Section on page 1-4 for an example. Tip: When resetting the password, follow the instructions beneath the Confirm Password field. In the gray shaded box in the lower-right corner of the User Account section, you must enter a reason for modifying the user s account in the Reason for Update field, such as resetting the password. If the Reason for Update field is blank when you click Submit, an error message is displayed. You can also activate and deactivate accounts by selecting the Change Status tab, and when accounts are locked you can unlock them by selecting the Unlock tab. Also, you can modify the user's planned rotation date and the justification for creating the new account. If the user's planned rotation date is unknown, check the Unknown check box. This area contains the Role Assignment section, which is used only if the account was created for an enterprise level user, an account approver, or if the user is being granted access to the AMFOM Mapper, the PFOM Mapper, or both. If the user needs access to either or both of these applications, make the appropriate selections. Refer to Step 7 on page 1-4 for definitions of these roles. Figure 1-13: Role Assignment 6. Expand the Search for Primary Unit area if it is not already expanded. This where you can modify the user s primary unit of assignment. The unit replaces the unit that was displayed beneath the Selected Unit heading. 33 Chapter 3: Framework Administration The Framework Administration menu item gives DRRS-N Ashore enterprise-level users access to functions that allow them to perform a collection of functions on all of the modules in the DRRS-N Ashore application and configure the Framework Administration module. 3.1 Module Registration The Module Registration function gives DRRS-N Ashore enterprise-level users the ability to determine which modules are displayed in the DRRS-N Main Menu. To access the Module Registration function, click Admin Framework Administration Module Registration in the DRRS-N Main Menu. The Module Registration function currently displays a table that contains the following information for each DRRS-N Ashore module: Table 3-1: Module Registration Column Definitions Column Module Details Protocol Server Port Web Root Service URL/Test Page Definition The name of the module and, if provided, a short description of its functions. 39 Chapter 4: Bulletins Bulletins appear on the DRRS-N home page and are visible to users when they first log in. Bulletins are intended to alert the user to sudden and unexpected application problems. 4.1 Adding a Bulletin To add a bulletin, do the following: 1. Access the Add or Edit a Bulletin page by doing either of the following: Click Admin Bulletins Add a Bulletin on the DRRS-N Main Menu. From a Bulletins web page, click in the Bulletins menu. The Add or Edit a Bulletin page is displayed. See Figure 4-1: Add or Edit a Bulletin on page In the Title field, enter a title for the bulletin. 3. In the Message field, enter the message that you want DRRS-N users to read. 4. In the Starts On and Ends On fields, enter the date and time when you want the bulletin to become active and the date and time when you want it to end, respectively. Tip: Time is entered as Coordinated Universal Time (UTC), which is the same as Greenwich Mean Time (Zulu time). DRRS-N Software Administration Manual Version

In the Approved On field, enter the date on which the bulletin was approved. c. In the Approver Name field, enter the name of the person who approved the bulletin. 6. To enable the bulletin, click the Enabled check box. 7. If you want to specify the period during which the event that is described in the bulletin occurs, you can enter this date and time in the Occurs On field. This field is optional. Leaving it blank defaults to the date and time entered in the Starts On field. 8. Click Save. The screen refreshes. A Delete link is displayed next to the Save button so that you can delete this bulletin without having to go to the Bulletins home page. See Section 4.2.2: Deleting a Bulletin for more information about deleting bulletins. 9. Click Bulletin Home. 45 Chapter 5: Reporting Method U.S. Navy units are required to report their readiness status using the Status of Resources and Training System (SORTS) Joint Report-Navy, also called SORTSREPNV, reporting method. The Navy intends for this reporting method eventually to be replaced by DRRS-N. However, until DRRS-N is implemented throughout the fleet, the Navy requires each unit to continue to report its readiness status using the SORTSREPNV reporting method. While SORTSREPNV reporting is required, units on which DRRS-N is installed have several choices in how they comply with this reporting requirement. The Reporting Method field gives the Unit Commander the ability to select the reporting method for each unit. This field is visible only to the Unit Commander and Unit Admin. 47 Chapter 6: FOM Mapper Account Administration DRRS-N Ashore provides Mapper applications for the Personnel, Aviation Maintenance, Supply, and Ordnance Figures of Merit (PFOM, AMFOM, SFOM, and OFOM). These applications are used to do the following: Create relationships between METs, resources, and RespOrgs. Specify threshold values that determine the readiness status of resources. This section describes procedures specific to administration of the SFOM and OFOM Mappers. Access to these Mappers is controlled through the Innovative Readiness Reporting Initiative (IRRI) using Microsoft Internet Explorer (version 5.5 and above) or an equivalent Internet browser through a URL assigned by the System Administrator. A user name and password are required to log in. Note: The specific URL depends on the URL of the facility. Contact DRRS-N Ashore Customer Support for the correct address for your command. Access to the PFOM and AMFOM Mappers is controlled through the user s DRRS-N Ashore account. See Section 1.2: Registering New Accounts for information about accessing the PFOM and AMFOM Mappers. Users who need to access to the SFOM and OFOM Mappers must register for an IRRI account and request access to the desired Mapper module or modules during the registration process. Once a user's account is activated, the user can do either of the following: Log on to IRRI and select a Mapper module from the IRRI Site Map. Log on directly to the Mapper.
