2 We re excited to introduce a new service to you, our valued contracted providers! Kaiser Permanente HealthConnectTM Online- Affiliate (KP Online-Affiliate) offers you readonly access to the electronic medical records of Kaiser members for whom you provide care. This new access allows you to provide a greater continuity of care to Kaiser members. KP Online-Affiliate is the most recent addition to KP HealthConnectTM, our comprehesive and integrated electronic health record. KP HealthConnectTM links our members securely to their health care teams, personal health information, and the latest medical knowledge. Purpose of the Reference Guide This quick reference guide has a three-fold purpose: explaining what kinds of information you can access with KP Online-Affiliate walking through the steps of activating your affiliate account showing you how to use basic functionality in KP Online-Affiliate What Kinds of Information Can I Access with KP Online-Affiliate? KP Online-Affiliate is unlike any program of its kind, combining elements of claims and referral tracking with instant and secure access to the health records of your Kaiser Permanente patients. With KP Online-Affiliate, you can view claims status (service dates, deductible, copay, billed amount, allowed amount) review patient demographics verify insurance coverage and benefit information view a patient s clinical information (Kaiser Permanente records only) Questions about KP Online-Affiliate registration? 3 Activating Your Account Although signing up for your affiliate account involves only five steps (in three phases), activating it may take some time as approvals and communication happen behind the scene. You are an important part of extending excellence in patient care to our members. We appreciate your patience in this process. What to expect: There are three phases for activating your account: Phase 1 Registration (Step 1) Phase 2 Security questions set up and Confirmation (Step 2) Identity verification (Step 3) Provider associations (Step 4) Phase 3 Request for access (Step 5) Phase 1 1. Launch Internet browser 2. Type providers.kp.org/scal into the address line (or click the link if viewing online) to go to the Community Provider Portal (CPP) 3. Press ENTER. The CPP home page appears 4. Click Online Affiliate located in menu bar on left 5. Click Registration in the activity menu on the bottom left 6. Under New User Registration click Step one of User Registration Process 2

4 Phase 1 (cont d) Registration The Step 1 of 5 screen appears: 7. Complete the following sections: a. Personal Information b. Work information c. Sign on information d. Security check 8. Read and click the checkbox for Terms and Conditions 9. Click Register account (below Terms and Conditions) Your registration is being processed. When your registration has been processed, you will receive an containing your Online Affiliate User ID. 3

5 Phase 2 After your registration is received, you will receive an with your Online Affiliate User ID and a link to the Kaiser Permanente Online Affiliate users page. 1. Click the link to Kaiser Permanente Online Affiliate users page The Sign On screen appears 2. Type the User ID you received in the 3. Press TAB 4. Type the password you chose in registration 5. Click the Sign on link Security Questions & Confirmation Step 2 of 5 Online verification screen appears 6. Choose and answer five (5) security questions 7. Click the Submit button 4

6 Phase 2 (cont d) A link to Online Verification should appear Verification Now it s time to verify your identity 8. Click the online verification link 9. Click the Begin Verification button The Online verification form appears 0. Complete home phone, address, city, state, and zip code fields 1. Click the Continue button 5

7 Phase 2 (cont d) You will see a series of windows asking you to verify information 12. Click the radio button by each response 13. Click the Submit button Note: You have 90 seconds to answer each verification question. A completion screen will appear once you have successfully completed verification 14. Once your verification is complete, click Add Providers link to add your provider associations Add Provider Associations Step 4 of 5 Provider Association screen appears 15. Complete the fields in the Add association section 18. Click the Submit button Your provider associations are being reviewed by Kaiser Permanente. When your association has been approved, you will receive an . 7

9 Phase 3 Once your provider associations have been approved, you will receive an containing a link that will allow you to complete your request for access on the affiliate site. Request Access What having access means: As an online affiliate provider, you are acknowledging agreement to access only those patient records to which you have a professional business or clinical need. This ensures compliance with Kaiser Permanente s policy on minimum necessary. The policy establishes a process to limit uses, disclosures, and requests for PHI to what is necessary for the intended purpose(s) of the use, disclosure or request. Kaiser Permanente will periodically monitor and/or audit patient records that are accessed by online affiliate providers. 1. Click the link in the to the affiliate site The Sign On screen appears 2. Type your User ID 3. Press TAB 4. Type your password 5. Click the Sign on link Step 5 of 5 Connect access screen appears 6. Click the Request access to KP HealthConnect Online-Affiliate button 8

10 Phase 3 The Request access to KP Healthconnect Online-Affiliate (OLA) screen appears 7. Complete the fields 8. Click the Submit button You will be notified by mail when your access and your set up, are complete. 9
