2 Before getting started, make sure you select your YMCA center from the list in the homepage. 2
3 START A TEAM Our ecampaigner website allows participants to form teams. Teams are useful for groups of campaigners to come together to reach a group goal. Examples could include, but are not limited to, volunteers fundraising together for program scholarships, department staff campaigning together, or employees at a company fundraising for the Y. It is not required for a campaigner to be part of a team. To start a new team (as a team captain): Step 1: Get started 1) After selecting your YMCA center in the homepage, click on Start a Team (top orange selection menu) 2) Enter a Team Name and a fundraising goal amount for your team 3) Click Next Step 3
4 Step 2: Select Options 4) You will now be asked to set your personal fundraising goal. 5) Click Next Step 4
5 Step 3: Provide Details 6) If you re a returning user, enter your user name and password under Returning User. If you re a new user, click on Join as a New Participant. 7) You will be asked to enter your personal information and to create a username and password. This is how you will log in to your participant center in the future. Make sure to write down your login and password so you have it at hand when you re ready to fundraise online. 8) When you re done filling out your information, click on Next Step. 5
6 Step 4: Review 9) Click Complete Registration You will receive a confirmation and access to your participant center. As a team captain, you will also be able to manage your team. Congratulations! You are now a team captain. Be sure to communicate with your potential team members and let them know your team name and the YMCA center it is associated with. You will now have a personal campaigner page that you can configure in the participant center. From the participant center you can also add contacts, send out s to your friends and family, keep track of your progress and thank your donors as gifts come in. As the team captain, you will also receive alerts when new team members join your team. 6
7 JOIN A TEAM You may choose to participate as part of an existing team, instead of creating your own team. Being part of a team allows you to keep track of your progress, as well as the progress of other team members. Each team is associated with a YMCA center, so any donations made on your personal page as a member of a team also automatically get credited to your team and your center. Step 1: Get Started 1) After selecting your YMCA center in the homepage, click on Join a Team (top orange selection menu) 2) Type in the name of the team provided by the team captain or leave the team name blank. 3) Click Search for a Team 4) Make your selection and click Join 7
8 Step 2: Select Options 5) You will now be asked to set your personal fundraising goal. 6) Click Next Step 8
9 Step 3: Provide Details 7) Enter your contact details. 8) You will also be asked to create a username and password. This is how you will log in to your participant center in the future. Make sure to write down your login and password so you have it at hand when you re ready to fundraise online. 9) Click Next Step 9
10 Step 4: Review 10) Click Complete Registration You will receive a confirmation and access to your participant center. As a team member, you will also be able to see how your team is doing. Congratulations! You are now a team member. Be sure to visit your participant center to add contacts, send out s to your friends and family, keep track of your progress, and thank your donors as gifts come in. 10
11 REGISTER AS A CAMPAIGNER If you don t want to create a team or be part of a team, you also have the option of campaigning on your own. Think you might change your mind? No problem! You can register as a campaigner today and still join a team later. Note: You cannot become a team captain after registering as a campaigner. If you want to be a team captain, see Start a Team Step 1: Select Options 1) After selecting your YMCA center in the homepage, click on Register as a Campaigner (top orange selection menu) 2) You will now be asked to set your personal fundraising goal. 3) Click Next Step 11

15 Once you have completed your ecampaigner registration process (as a team captain, team member, or solo campaigner), you can access your participant center through the username and password you created. The participant center is the online portal where you can check your fundraising progress, add contacts, friends and family, monitor your progress, and update your personal page. You can also join a team if you have not already. However, you cannot form a new team after you have registered as a campaigner. If you selected the wrong YMCA center during registration or just need to confirm which one you are registered under, refer to the right hand column to see which center you are associated with. Click Change Team Membership to select a different center. Joining or Changing Teams 1) If you need to change teams or join a new team, click Change Team Membership on the right hand column. 2) Select the action you wish to perform under I want to: 3) Type in the name of the team or the team captain s name. 4) Select the team you wish to join and click Join 15
16 Personal Page You can edit your personal page by clicking on the Personal Page tab at the top of the page: - Here, you can create a title for your page and edit the text area (use a story about why the Y matters to you). A good title includes your name, so donors know this is your unique page. Examples: Join me in Supporting the Y Mary Smith or Mary Smith s Fundraising Page. - You can also include a photo or video by selecting Photos/Video from the right hand column. If you choose not to upload your own photo, the photo to be displayed in your profile will be a default image. If you would like to see your personal page as a donor would see it, click View Personal Page. You can also copy the personal page URL and share it on social media. Tip: Click URL Settings and create a shorter link. If you would like to make your page private, you can also do so under URL Settings. Private pages can only be accessed by people who have the direct URL to your page. 16
17 You have the ability to send messages to friends and family. From your participant center, click on the tab at the top of the page. You will go through a step by step process where you will: 1) Select an template, or choose Other to start off with a blank message. 2) Compose the message. If you have selected a template, you can edit the text and will have to fill in the blanks for some parts of the message. 17
18 3) You can edit the SUBJECT line and the text in the BODY of the page. In our templates, you can just enter your personalized information before you re ready to send. Otherwise, feel free to start from scratch and change all of the message to meet your specific needs. Please note: once you re done editing the template, make sure any texted initially highlighted in yellow is updated and no longer highlighted. 4) If you are sending this message in bulk to all of your contacts or a specific group, click on Include Personalized Greeting. This includes a default salutation and the first name of each recipient (for example, Dear Pat). If the recipient is not already a contact within your address book, the word "Friend" will display with the salutation instead (Dear Friend). Note: If you check the box Include Personalized Greeting, do not manually type in a greeting as well. (That is, you do not want the message to start with two lines: one that says "Dear Pat" and have that line followed immediately by a "Hey Pat" line.) Be sure to put your name in the end of the message and remove the yellow highlight by clicking on the highlight image on top. Don t worry about pasting the URL to your fundraising page as that populates automatically upon sending the . Click NEXT. 18
19 If you are not ready to send the , click on Save as Draft and you ll be able to access it later, by clicking on Drafts in the right-hand side. 5) Select your recipients under Available Contacts. Click on Next and, after reviewing all details, click on Send. If you don t have any contacts uploaded, click on Add Contact and enter their first and last name and address. The new contacts you added will now appear under Available Contacts. 6) Preview your message and send it out to the selected participants. Under the tab, you can also view sent messages, saved drafts (unsent messages), and manage contacts. These options are all found on the right hand column. 7) If you would like, you may add contact lists saved as a.csv file or by importing contacts from Gmail, Yahoo, Outlook, AOL, Apple, or Hotmail. In either case, to get started, click on Import Contacts. 19
20 IMPORTANT: Make sure your spreadsheet is saved as a.csv format. To do that, open your spreadsheet and click on Save as and select CSV (comma delimited). Your spreadsheet should only have three columns: First Name, Last Name and Address. 7.1 Contacts list saved as a.csv: Select the last option File-based import for Hotmail, Apple, Outlook, AOL. Click on Choose File and then hit Next in this page and the next. 20
21 If you would like to import all contacts from your list, select all contacts. If you would like to import only certain contacts, click on import some contacts. Then click on Next See below: Now click on Finished. All the contacts you uploaded from the.csv file will now show under Available Contacts. 21
22 7.2 Import contacts from Gmail or Yahoo: Select the option Gmail or Yahoo!. Click on Next in this page and the next. If you would like to import all contacts from your list, select all contacts. If you would like to import only certain contacts, click on import some contacts. Then click on Next. Now click on Finished. All the contacts you uploaded from your Gmail or Yahoo! Account will now show under Available Contacts. 22
23 Progress To manage your campaign progress, click the Progress tab at the top of the page. The progress page is where you can see how much you have raised and edit your fundraising goal. You can view donations that have come in to your page here. You will be able to enter offline gifts on your own, if you wish to do so. In order to have your progress total include your offline donations, click on Enter New Gift. You can enter cash and check gifts. If you received a pledge with credit card information, enter this gift as if it was cash. Do not enter a donor s credit card information. To enter your personal donation, click on Enter New Gift and enter your own credit card information. This will process and charge your credit card. If you already turned in your pledge card and do not wish to have it charged again, you may enter your personal donation as cash. Offline donations will only show online if you enter it as a new gift or contact your executive director about it. 23
24 FAQ Q: How do I create my ecampaigner page? A: First decide if you want to be a team captain, team member, or solo campaigner. This getting started guide contains instructions for each of these options. Q: How do I manage my ecampaigner page after I create it? A: Log in to the Participant Center with the username and password you chose during registration by entering them in the top right corner of the page. Q: What if I lose my registration or forget my login? A: Under the login box, click Forgot Password. You can retrieve your password by supplying your username and address. If you forgot your username, you can retrieve it by providing the address you used to register. Q: What kind of picture and personal statement should I use for my personal page? A: Use a picture of yourself or of a Y program that is important to you. Your personal statement can be your Y Story. Q: How can I see if a donation has been made on my page? A: Log in to the Participant Center and click on the Progress tab. Q: I signed up for ecampaigner. Why am I not receiving s or notifications? A: Make sure the s are not arriving in your spam folder. Whitelist s arriving via convio.net in your software if you are having this problem. Also, confirm that the address you used to register is free of errors. Q: One of my donors made an offline gift by cash or check. Can I still get credit for it on my Y Champions page? A: Yes. To apply this to your fundraising goal, contact your center executive director and he/she will attribute those offline donations to your page throughout the campaign. In case you receive offline donations but don t contact your director, your progress will only show your online gifts. Q: How do donors designate their donation to my YMCA center? A: Your campaigner page is already associated with your YMCA center. Any donations made through your page are automatically designated to your center. Q: I m still stuck. Can I get assistance with my ecampaigner page? A: For any other questions regarding ecampaigner, please contact your center Executive Director and they will be able to assist you or look for additional support from the YMCA Association Development team. 24
