Save as CSV STEP 2: Upload Your File Although only 3 fields are required, the more data you provide in the other columns, the better your match will be. It is recommended that you populate one of the first two custom fields with your source system ID for linking purposes You may choose to check for required fields and max length or the upload process will let you know if any rows do not meet the requirements. The first row will always be considered a header row and will not be Optimized make sure you do not have actual data in first row. New Tools button on the top Hoover s menu bar a. Add a File from the Optimizer order summary page b. Load file Hoover s Optimizer link > Yellow Add File button c. Fix Errors (as needed) If you get any errors, use the link in the message to see which rows have issues. Typically you will see the pattern and be able to fix the issue all at once. d. Validate Order Look at column headers and your sample data to ensure columns are in proper order. e. Submit File STEP 3: Download Your File a. Wait for You will receive an that your file is ready to download somewhere between 2 and 48 hours depending on size of file and back end processing traffic. b. Download File Your files will be available for downloads for 60 days c. View Reports Your reports will be visible within your active Hoover s subscription for 365 days. d. Use with Hoover s Once you have a DUNS number for your records, you can use with Hoover s to do the following: Find similar prospects Find additional contacts Find cross sell, upsell opportunities using family tree Get over 60 additional data points to append to your data in Hoover s downloads Bulk tag your records ( prospect, my territory, already a customer, former customer ) 3 Feedback? optimizeronline@hoovers.com

4 USER GUIDE PREPARE YOUR FILE In order to process your file effectively, you must follow certain guidelines in preparing your file. The current version of Hoover s Optimizer only accepts one format (.csv) and will assume your data is in a pre-defined order to conduct the match and append process. NOTE: If your data is not in the specified order, the system will attempt to match and append data anyway. This means that you will be charged credits for each company you submit and will get a poor match rate on those companies. TIP: the more data you can populate in each row of your file, the more accurate the matching process is likely to be. Hoover s Optimizer Input File Layout: Reference the following table for validation rules regarding the layout of the input file. A detailed description of the layout is provided in the following section. Field Name Max Length Input Required? 5 Order of Fields: Your data columns must be in the following order from left to right. Below are some recommended header labels, though you can choose any label you wish. However, the data in the columns must match the data indicated from left to right regardless of the label you give to that column. NOTE: If your data is not in the specified order, the system will attempt to match and append data anyway. This means that you will be charged credits for each company you submit and will get a poor match rate on those companies. Cust_Key - can contain data unique to your data file that you may want to have attached to the output data file Cust_Field1 - can contain data unique to your data file that you may want to have attached to the output data file Company_Name the name of the company to match and append. Required field - You must have a company name for each record. Primary_Addr1- first line of the street address PO_Box second line of the street address Primary_City city in which the company is located. Primary_State the state in which the company is located. Required field - You must have a state listed for each record. Primary_Zip the company s zip code Primary_Country the country in which the company is located. Currently only US companies can be used. Required field - You must have a country listed for each record. Primary_Phone phone number associated with the company NOTE: Any additional columns in the data file you submit will be deleted during the match and append process and will not appear in your optimized output file. Cust_Key and Cust_Field1 can contain data unique to your data file that you may want to have attached to the output data file. The match and append process will not use these values in any way, but will maintain the information for the optimized output file. Even if you do not put any information in either of these columns, they must remain in the file as the first two columns in the file TIP: We recommend that in one of these fields you enter a unique identifying code for each row in your data file, such as a customer ID or Account ID from your CRM. You can use this ID to upload your Optimized data into your CRM or append to your original source. 5 Feedback? optimizeronline@hoovers.com

6 File Format Limitations: Your input file must have: A header row and only 1 header row. You must have this header row even if you do not give your columns any labels All 10 columns listed in the required order Only 1 company listed per row Data in each row for each of the 3 required fields: Company Name, State, Country A maximum of 40,000 rows (including header) or be under 5.7 MB ( bytes) in size NOTE: If the records in the.csv file exceed the available Optimizer credits, Optimizer will not process the file. Please contact your Account Manager to purchase additional Optimizer Records to complete this action. Required Fields: While you must have all 10 columns noted above in order, only 3 fields are required to have data in each row: Company_Name Primary_State Primary_Country NOTE: Note that currently only US records can be optimized. You will receive an error message for each row of data that contains non-us data. You will need to remove that record and re-upload the file before the file can be processed. TIP: If you have issues with your file, you will receive an error message with a link that will open a new window or tab with a list of errors by row (see below). 7 Data Definitions and Formatting Requirements by Field: For each field there are certain limits on the number of characters and types of information the system will accept. Listed below are the definitions and data formatting requirements for each column. NOTE: Do not use returns and extra lines in data entry. These line positioning elements produce errors and must be removed for the file to process correctly. Cust_Key - Unique custom identifier or flag created by your organization with internal significance, such as a customer ID number. (Note: if you use a customer ID in this field it can be used to merge the optimized output file with other data from your company.) Maximum Field Length: 30 Cust_Field1 An additional custom identifier or flag created by your organization that you wish to have attached to a company record in your optimized output file, such as the source of data, Account Representative, etc. Maximum Field Length: 30 Company_Name This is a required field, so each record in your file must have a Company Name. This can be the primary business name, registered company name, or Doing Business As name (DBA, Also Known As, AKA name). Maximum Field Length: 60 Primary_Addr1 - The first street address line where a business is physically located or has its mail delivered. Maximum Field Length: 55 PO_Box - The second street address line providing more specific information such as a post office box, building, or suite number. Maximum Field Length: 55 Primary_City - The city name where the business is either physically located or has its mail delivered. Maximum Field Length: 30 Primary_State - This is a required field, so each record in your file must have a Primary_State. 8 Primary_Zip - The postal code where the business is either physically located or has its mail delivered. Generally a 5-digit number, however, the 9-digit zip code can also be specified. Maximum Field Length: 18 Primary_Country - This is a required field, so each record in your file must have a Primary_Country. This is the name of the country where the business is either physically located or has its mail delivered. This value can be entered as US, USA, or United States. Note that currently only US records can be optimized. You will receive an error message for each row of data that contains non-us data. You will need to remove that record before the file can be processed. Maximum Field Length: 30 Primary_Phone This is the primary business phone number, generally a 10-digit number which includes area code and 7-digit number. Maximum Field Length: 20 TIP: If you receive an error message that your column lengths are over the max limit, you can use the Text to Columns feature found in the Data menu in Excel. Select the Fixed Width option to set proper length. Just remember to put the newly formatted data in new columns so you do not overwrite data in your existing data. You would then copy your correctly formatted column over your column that is too long. Creating a.csv File from an Excel File: If you are using Excel to prepare your file, you must save this file as a.csv file (comma separated values file) rather than a.xls or.xlsx file. 1. From the menu click on File > Save As. 2. In the Save as type dropdown at the bottom of the pop-up, navigate to the Comma Separated Values (.csv) option. 8 Feedback? optimizeronline@hoovers.com

9 3. Select the.csv extension by clicking on the option. The extension on your filename will automatically change to.csv. 4. Click Save. Note no formatting (e.g., colors, font) or macros will be saved in the.csv file. However, they will remain in your original.xls or.xlsx file. 5. When you receive the warning message shown below, click Yes. UPLOAD YOUR FILE To start the optimization process, you must first upload your properly formatted.csv file to the system. 1. 11 3. ORDERS PAGE: Once on the My Requests page, select Add a File 4. ADD A FILE: You will then upload your CSV file that has been formatted in the correct order. 5. FIND INPUT FILE: Navigate to the.csv file prepared according to the directions above, select it, and click Open. 11 Feedback? optimizeronline@hoovers.com

12 6. You will see a message that your file has been uploaded successfully and the path to your file in the Browse textbox. NOTE: You will receive an error message if any errors have been detected in your file. Click on the link to view the list of errors. You will need to correct these errors in your file before the file can be processed. Therefore, you will need to go back to your original file, correct the errors, and upload it again in order for the file to be processed. 7. ADD DESCRIPTION: You must add a description to your file in order to proceed. Use the description to more completely detail the nature of the input data. 13 identify what information is in the file or for what the file is to be used. The description must be less than 50 characters. 8. REVIEW COLUMNS: Be sure to review the first few lines of data shown in the modal window to verify that you have formatted your file correctly and the data is showing in the correct columns. If your data is not showing in the correct columns. Click Cancel, reformat your file, and begin the upload process again. 9. NEXT: Click Next. 13 Feedback?

14 10. SUMMARY: You will see a summary of the file you are about to submit for optimization. If you want to start processing your file immediately, click Submit. If you want to wait and return later to begin processing the file, click Save As Draft. 11. IN PROGRESS: After submitting the file, you will be returned to the My Requests page and your file s status will be In Progress. Your file will be returned in anywhere from 1 hour to two days depending on size of file and traffic to our back end processing. Please allow up to 48 hours for your file to be optimized. 15 If you saved the as a draft, the status will show as Draft. o You can submit the draft for processing at any time by clicking on the Review & Submit icon in the My Requests page. o You can delete the draft at any time by clicking on the Delete Draft icon in the My Requests page NOTIFICATIONS: The submitter of the file will receive an when Processing is completed Records have been refunded due to an issue in the processing process 13. FILE & REPORT AVAILABILITY: Optimizer file drafts and.csv optimized output files will each only be available for a period of 60 days. Once a draft expires, you will need to resubmit the data. Once output records expire, you will need to re-purchase them. Therefore, we recommend downloading the optimized output within the access period. 16 MY REQUESTS The My Requests page shows the status of the files you have uploaded for processing or have saved as a draft. The following information is shown in your My Requests list: Upload Date - Auto-populated date (MM/DD/YYYY) when you originally uploaded your file into Optimizer, whether that was to begin processing or saved as a draft. Description The description given by the person who uploaded the file when the file was uploaded. File Name The original name of the.csv input file Status o Draft - Data access expires 60 days after saving into this status o Completed - Data has been processed: cleansed, matched, and enhanced o In Progress Currently data is being cleansed, matched, and enhanced o Refunded - Incomplete or unsuccessful data processing. Optimizer credits were credited back to the account o Failed - Incomplete or unsuccessful data processing. Optimizer credits were unable to be credited back to account. Please contact your account manager. Expiration Date Date (MM/DD/YYYY) when the optimized data output file will expire so will no longer be available to download. The reports will be available for the length of your subscription. 17 Download download your optimized.csv file o Reports view and save report graphs If the file was saved as a draft but has not yet been submitted for processing, you will have the following two options available Submit file submit the file for optimizing Delete delete the file from the system. It will not be optimized. PICK UP YOUR FILE AND REPORTS You will receive an once your file has been optimized. 1. You can pick up your files by going to the Tools button in the masthead. 2. 18 3. This will take you to the My Requests page. 4. From here you can: Pick up your Optimized output file by clicking on the download icon Actions column in the View graphical charts showing the breakdown of the companies in your file by location, employees, sales, and industry as well as a summary of the matching statistics for your file by clicking on the Reports icon will be asked to confirm you wish to delete the file. Click on the file name to see the original file you uploaded. in the Actions column. You Files are available for 60 days after they finished being optimized. 19 Fields Added to Your File: As part of the optimization process not only are your company records cleansed and data for the initial non-customer data fields filled in, but additional D&B data is also appended to enhance your records. Below are descriptions of the data (in order) added to your file. Header Description Values Match Code Indicates whether or not the record you submitted was matched with a D&B record. A = Match C = No match BEMFAB Marketability Match Grade Confidence Code DUNS Number Indicator describing how well the input matched D&B information: Denotes the similarity between your record and D&B information: Indicates the confidence level that your record matched the correct D&B record. In general, the 6-10 range is desired depending on an organization's needs. For example, financially dependent goals need lower risk and require a higher code The unique 9-digit Data Universal Numbering System (DUNS) number matched with this input entry. Note some DUNS numbers begin with zero(s). A = Nixie, Undeliverable Name & Address combination. D = Delist, this business has requested that they not be marketed to. M = Marketable Record. N = No Match. O = Possibly Out of Business. S = SIC 9999, Undetermined Line of Business X = Other. 21 Header Description Values Mailing Postal Code Carrier Route Code Telephone Number Chief Executive Officer Name The postal code where the business has its mail delivered. Generally a 5-digit number, however, the zip code can be as specific as a 9-digit code. The unique USPS 9-digit alphanumeric carrier route ID. This code is useful for mailing at automation rates. The business phone number, generally a 10- digit number which includes the area code, and 7-digit number. - The company Chief Executive Officer (CEO)'s first and last name. Chief Executive Officer First Name Chief Executive Officer Middle Initial Chief Executive Officer Last Name Chief Executive Officer Suffix Chief Executive Officer Prefix Chief Executive Officer Title Sales Volume US Dollars The company CEO's first name. The company CEO's middle name. The company CEO's last name. The company CEO's name suffix such as Jr., Sr., J.D., or Ph.D. The company CEO's name prefix such as Dr., Mr., or Ms.. The company CEO's formal title name. The total annual sales/revenue for this business, expressed in US dollars as a signed, decimal field. If the sales/revenue figure is collected in local currency, the local value is converted to US dollars. 22 Header Description Values Employees Here Year Started Major Industry Category The total number of employees at this business location. The year when current ownership or management assumed control of the business or the year established if no change has taken place. This data is not provided for branch locations. This code value indicates to which major industry category an establishment belongs. It is the first digit of the SIC code see 0 = Misc./public administration 1 = Agriculture 2 = Mining 3 = Construction 4 = Manufacturing 5 = Transportation/communication s/utilities 6 = Wholesale trade 7 = Retail trade 8 = Financial services/insurance/real estate 9 = Services SIC Standard Industrial Classification (SIC) code system. The US 1987 Standard Industrial Classification (SIC) code system categorizes business establishments based upon the type of activity done by that business at that location A business can have up to six SIC codes and each SIC can have four extensions. The first-listed SIC code represents the primary operations of the business. After the first SIC codes, codes are assigned in descending order according to the percentage of the revenue contributed by each function of the business. 23 Reports Reports are graphical representations of your optimized file. They include data on the match statistics of your file as well as breakdowns of the data by location, employee count, revenue, industry, and marketability. For all but the Location report, you can download the chart as a.pdf,.png, or.jpg file. To download you can either: Right click your mouse button on the image and select your output type from the pop-up menu At the bottom right of the chart, select the desired output format from the options presented 23 Feedback?

24 Match Dashboard The Match Dashboard shows a graphical chart of two key matching statistics of your input file: Match Confidence Code and Match Rate. The first graph shows the Match Confidence Code. This illustrates the number of submitted companies matched based on their confidence code High Match % of the input data matched D&B records. 6-7 Medium Match % of the input data matched D&B records. 4-5 Low Match % of the input data matched D&B records. 24 Feedback? optimizeronline@hoovers.com

25 The second chart shows the Match Rate. This illustrates the number of duplicates found in your file. Single Match the combination of data you input for that company matched only one record in the D&B database. Multiple Match multiple records were found in your files that match to the same company (based on DUNS number) in the D&B database. This likely happens because you have duplicates in your input file. Marketability The Marketability report shows a bar chart of companies by their BEMFAB Marketability score, which indicates how well the input matched D&B information. A = Nixie, Undeliverable Name & Address combination. D = Delist, this business has requested that they not be marketed to. M = Marketable Record. N = No Match. O = Possibly Out of Business. 26 Location The location report shows a heat map of the distribution of the companies in your optimized output file by US state. The darker the color on the map, the more companies there are in that state. 26 Feedback? optimizeronline@hoovers.com

27 Employee Count The Employee Count report shows a bar chart of the number of employees at each company site in your file. If there are multiple sites for a particular company, the number of employees is given for an individual site, not the total number of employees at that company. The number of companies is charted against the following employee ranges: 0 or not available 1 2 to 5 6 to 9 10 to to to to to to 999 1,000 to 5,000 5,000 to 10,000 Over 10, Feedback? optimizeronline@hoovers.com

28 Revenue The Revenue report shows a bar chart of the company revenue in US dollars. If revenue was collected in a local currency, the data is converted to US dollars based on the date of the financial figures/statement of the record. The number of companies is charted against the following revenue ranges: $0 or not available $1 to $2,500 $2,500 to $5,000 $5,000 to $7,500 $7,500 to $10,000 $10,000 to $50,000 $50,000 to $100,000 $100,000 to $250,000 $250,000 to $500,000 $500,000 to $1,000,000 $1,000,000 to $3,000,000 $3,000,000 to $10,000,000 $10,000,000 to $500,000,000 Over $500,000, Feedback? optimizeronline@hoovers.com

29 Industry The Industry report shows a pie chart of the distribution of companies across their two-digit primary US SIC codes of the companies in your optimized file (see INTEGRATING WITH HOOVER S Now that you have an optimized file, there are several ways in which you can use this additional information to make your work on Hoover s more efficient. USE WITH BUILD A LIST / DOWNLOADS If you have downloads, you can upload a list of 25 DUNS numbers and have access to a lot more data you can use to further segment your list, find additional prospects, and refresh your data Prospect: Use the segmentation data in your file to find similar customers using Build A List SIC Code, Revenue, Number of Employees Cross Sell Up Sell: Upload up to 25 DUNS numbers of your best customers and download their family tree details through Build A List to determine additional cross sell / up sell opportunities. Enrich Record: Upload up to 25 DUNS numbers and download contacts, financial trend data, additional firmographic data USE WITH BUILD A LIST PRO ADD ON 29 Feedback? optimizeronline@hoovers.com

30 If you have our Build A List Pro (BAL Pro) add-on you can use the DUNS numbers added to your optimized file to exclude or exclude these companies in your Build A List work: Upload a list of the DUNS numbers from this file to include or exclude those companies as criteria in BAL Pro. If you exclude the companies, you will not see these companies in the results or your download file. When exporting your BAL Pro results, on a list-by-list basis upload the list of DUNS numbers to exclude companies with these DUNS numbers from your results and output file Set the list of DUNS numbers as a Global exclusion file so that these companies are always excluded from the results you see and the files you download from BAL Pro USE WITH BULK TAGGING With the Hoover s Bulk Tagging feature, anyone can apply up to 30,000 tags to companies of interest. TIP: If you open up your CSV file using Excel, Excel will strip off leading zeros in D&B s nine digit DUNS number. To get the leading zeros back, you can use the following formula in the cells next to your DUNS number =TEXT(A1, ). To change the format from number to text, you will can then, select the column with the corrected data (column B). Right click on the column and select COPY. Right click again on the column again and select PASTE SPECIAL then select, Values. You can now delete the column with the incomplete DUNS numbers and load the correct DUNS number into Hoover s Build a List or your CRM. 30 Feedback? optimizeronline@hoovers.com

31 Use with BAL / Downloads 1. Go to Build a List and expand the Company Information section 2. Manually enter up to 25 DUNS numbers in Build a List 3. Enter any additional criteria 4. Save search if want to refresh data in future 5. Down load data. Use with BAL Pro: Uploading a List of DUNS Numbers into the Criteria section of BAL Pro 1. You will first need to create a file from your optimized file that has only DUNS numbers. Your optimized file contains many columns of data beyond the DUNS number. a. Open your optimized file b. Remove all data columns other than your DUNS numbers c. Remove the header row of the file d. Save the file as a.csv file (see Prepare your File Creating a.csv File from an Excel File for detailed instructions) 2. 32 3. In the Company Information panel, choose whether you want to include the companies represented by the list of DUNS numbers in your results or exclude them from your results. You must do this before you upload your file. 4. Click the Browse button to locate and select your file of DUNS numbers for uploading. Remember the file must be a.csv file. 32 Feedback?

33 5. Click Open to select the file. 6. Click the Upload Your File link. Your file will not be uploaded for use in BAL Pro unless you click this link. 7. You will see your successfully uploaded file listed on the screen. 33 Feedback?

34 Uploading into BAL Pro for Inclusion/Exclusion 1. You will first need to create a file from your optimized file that has only DUNS numbers. Your optimized file contains many columns of data beyond the DUNS number. a. Open your optimized file b. Remove all data columns other than your DUNS numbers c. Remove the header row of the file d. After clicking the Export button in your BAL Pro Results page, you will be taken to the Choose File Exports Options page. 3. In the first section (Refine Download Results), click the + sign next to Company Exclusion Options in the Advanced Refinement Options area to show additional exclusion options. 4. 36 Uploading file for BAL Pro Global Suppression 1. In My Hoover s, navigate to the My Global Files section of the page (in the middle column). 2. Click on the Manage My Global Files link. 3. 37 4. Click on the checkbox to put a check in the checkbox for all files you wish to make available for Global exclusion. 5. The companies represented by the DUNS numbers in the selected file(s) will automatically be excluded from all of your BAL Pro download files. 6. If you would like to include the companies represented by the DUNS numbers in the selected file(s) for a particular download, on the Choose File Export options page during the export process, in the first section entitled Refine Download Results, click on the Company Exclusion Options in the Advanced Refinement Options area. 7. 38 Uploading file for Bulk Tagging: 1. In My Hoover s, go to the My Tags panel (middle panel). 2. Click on the Add Tags via File Upload link. 3. You will be taken to a page explaining how to create a file that can be tagged. Note that this file can only have a list of DUNS numbers, no other fields and no other headings, and must be a.csv file. You will first need to create a file from your optimized file that has only DUNS numbers. 40 8. You can add more than one tag by simply clicking into the textbox to the left of the Add button and either selecting another tag from the dropdown or typing in one of your own.
