2 Guidance for Assessors Task Format The task is on-demand and paper-based but learners will complete the task on a computer and submit printouts or paste screen shots into a single document and print out all the evidence together at the end as the final evidence for marking. Adapting the task The task has been designed in a way that enables centres to adapt it to meet local needs. This means that centres may adapt the context of a task. For example centres may change the stimulus material, names and type of events but not the purpose or audience of a task. Where centres adapt a task they must use the mark scheme provided by Gateway Qualifications. Time allowed Learners should be allowed up to hour to complete the task. If unforeseen technical difficulties arise, the centre may use its discretion on extending the time limit for learners but this must be documented. Resources A PC must be made available to each learner on a : basis. Learners will need access to a printer and suitable software to complete the task. It is the responsibility of the centre to ensure that appropriate hardware and software are available to learners. Hole punches and treasury tags must be made available by the centre to collate printouts. Preparation It is recommended that the ratio of learners to printers is no more than 0:. Centres must set up a separate user area (on computers or servers used by learners) for each learner sitting the task. These user areas must not be accessible to learners at any time other than during the assessment. Learners must not be able to save files produced during the assessment in a central location where anyone can access them. Each user area must be allocated sufficient storage space to allow learners to save their work. The secure data files required for the task will be made available via the QuartzWeb portal. Only the data files should be saved in the separate user area and not the assessment paper. It is not acceptable to store secure data files in a shared area or in a central location where anyone can access them. Functional Skills ICT Entry 3 Assessor Pack Page of

3 Centres must ensure that data files are in a format accessible to each learner. The files should be downloaded, tested for compatibility with the software to be used by learners and then copied into learners secure test user areas. Learners must not be given access to data files prior to, or at any time outside the official time allocated to the completion of the task. Learners must have sufficient workspace to allow them unrestricted access to the computer and to carry out non-computer activities such as checking and collating their printouts. The workstations should be arranged to prevent learners viewing each other s work. Functional Skills ICT Entry 3 Assessor Pack Page 3 of

4 In Preparation for the Task: Candidates should be allowed up to hour 5 minutes to complete the task. The data files listed below must be available on portable media (such as USB memory stick). Each candidate should have their own portable media. Centres should contact Gateway Qualifications if there is any difficulty in doing this. 5 Before the Assessment During the assessments, learners must only have access to the internet where required. It is the assessor s responsibility to ensure that access to the internet is limited to the time required to complete relevant questions/tasks. Learners are required to have offline access to software. They will not be required to send s, but must have access to suitable software which allows them to create an , copy to more than one recipient and add attachment(s). Learners may bring a dictionary, pencil and ruler with them into the assessment room. No other materials are permitted (e.g. memory sticks, CDs, etc). During the Assessment During the assessment, learners must only have access to the files required for the assessment. The assessor: may read the task to learners. may respond to questions to explain difficult words. must not give solutions to any part of the task. The assessor will be required to formally observe learners as part of the assessment process for parts of this paper. Learner s work will take the form of printouts. Each printout must bear the learner s name, learner number and centre name. Any printout not clearly identified as instructed must not be marked. The assessor who is supervising should be conversant with the software and system to be used by learners to deal with technical difficulties that may arise. Learners must not have access to pre-prepared templates or other files during the assessment. Learners may move from their workstation (where the printer is in the same room) to collect their printouts from the printer. Communication between learners is not allowed at any time during the assessment. Printing Printers should be in the same room as the learners. If this is not possible, another responsible person should collect and deliver printouts to the learners. It is the responsibility of the centre to ensure correct ownership of each printout. All printouts must be secured together in the correct order to the inside left page of a coversheet using a treasury tag. Functional Skills ICT Entry 3 Assessor Pack Page 5 of

6 There is no requirement to print in colour. However, adequate differentiation is needed on monochrome printouts, e.g. sectors of a pie chart can be distinguished. There is no limit to the number of time learners may print, although only final versions should be marked. After the Assessment Centres must ensure that the learner work is saved and secure from unauthorised access. Centres should safeguard this work in case it is required to be reprinted. After the assessment, all learner work should be copied to a storage medium and kept secure by the Examinations Officer. If more than one session is held, any common user areas accessible to learners must be cleared of all work saved during the assessment immediately after each session. Learners user areas should be removed at the end of the assessment. Marking Assessors must use the mark scheme to mark the task and record the result on the Candidate Record form. Working safely The assessor must ensure that safe working practice occurs during the assessment. Leaners must make sure that they are sitting comfortably, and the workstation environment is free from hazards. The assessor may provide health and safety support and assistance during the assessment. Contingency Planning It is strongly recommended that: technical help is available during the test to deal with computer crashes, printer problems and other possible complications a number of spare computers are available so as to allow learners to move to another machine if necessary alternative printing facilities are available for use if necessary up-to-date virus prevention measures are in place.
