2 Purpose The purpose of TMJ Insight is, in a simple way, to offer TMJ data availability, to the customer. This will allow data to be extracted/analysed/scheduled as and when needed, without intervening delays via TMJ. General information The solution is browser-based and can therefore be accessed from all computers with an Internet connection. All customers have been set up with a local administrator, who can deal with reports, queries, users, report subscribers and subscriptions (scheduled reports). In addition, ordinary users can be set up with access to all tabs except Admin Scheduling and User Maintenance. These users cannot save parameter values etc. Finally, report subscribers can be set up who are not granted access to the portal solution but can be linked to scheduled reports as mail recipients. There is a range of tabs which individually comprises a delimited proportion of the portal s functionality. In terms of layout and function, the tabs are standardised, making the solution easier to get the grips with. Tjellesen Max Jenne TMJ Insight side 2 af 17

4 Help/documentation Help/documentation is called up by clicking: right-hand corner of all tabs. (Help), which is available in the top Selecting a language variant opens a PDF document: Adobe - Reader Download The Help can be called up wherever you are in the solution. 5 Queries Under the QUERIES tab, you can run queries: Choose the Query in the left Menu Section When Queries has no parameters, they will execute immediately and result will appear, in a new window To display a query in the same Internet window rather than opening a new one, uncheck the View query in new window field. This setting can be modified whenever required. If the selected parameter combination produces no results, a message to that effect will be displayed. To filter the result set, Click on the icon, on the relevant column and choose the wanted filtering method. Type the value, to filter by, in the field next to and finish by clicking Enter The filter can be removed by clicking the icon and choose Clear Filter Tjellesen Max Jenne TMJ Insight side 5 af 17

6 If grouping, in the result set, is wanted then drag a Column header into the grouping area ( drag and drop ). A grouping row will be formed, with totals, for those columns containing numbers. Groupings can be made on several columns, if wanted If a grouping needs to be removed then click on the grouping area icon, over the column header, in the The result set can be sorted by clicking on the relevant column header. 7 Query totals can be formed by clicking the summary sign and pick the wanted method(s). 8 Reports The REPORTS tab displays existing reports: Super reports (originals) are used as templates when setting up own report instances (duplicates). Administrators can create duplicates of both original reports and duplicates. The report instance can then be set up with the required parameter options. The report instance must be saved under a new name of your choosing (New report instance name) - (duplicate). A number of special characters cannot be used in connection with naming the reports. This message will then appear: Duplicates can always be renamed under (Rename selected report instance) (Rename) also when subscriptions etc. have been set up. 9 By clicking (View report documentation) (Documentation) documentation of the selected report is shown. Parameter options can be locked by checking the Lock field, and then ordinary portal users will not be able to see/change these parameters. Any parameters not filled in will be indicated by a red asterisk (*), since instances cannot be saved if a parameter is not selected. On reports where data can be extracted within a date range, there is the option of selecting Use Datepickers for running ad hoc reports. To call up the calendar, click the arrow to the right of the date field. This allows from and to dates to be selected from a calendar object. If the report instance is to be used for scheduling, select one of the logical date concepts. For these date concepts it is possible, having made a selection, to read the calculated dates in From date and To date. Note that all dates are calculated from the current date - 1, i.e. if date = 1/10/2007, Current Month will show From date = 1/9/2007 and To date = 30/9/2007. Exceptions to these are Today and Yesterday. The following logical date concepts may be selected: Current Period -> Vendor s current period Last Period -> Vendor s last period Current Year -> Current calendar year Current Vendor Year -> Current fiscal year Last Year -> Last calendar year Rolling Year Half Year -> Current calendar half-year Current Month -> Current calendar month Tjellesen Max Jenne TMJ Insight side 9 af 17

10 Last Month -> Last calendar month Current Quarter Rolling Quarter Last Quarter Current Week -> This calendar week Last Week -> Last calendar week Today Yesterday > Today minus 1 day Last 7 Days > Last 7 calendar days Own (Administrator) report instances can be deleted. Report instances are displayed sorted under the associated super reports. Own instances can be named as preferred but it is recommended to name instances so that they are recognisable in subsequent scheduling. Own instances can be deleted (Delete selected report Instance). Original reports cannot be deleted. In the View report documentation menu item, you can click Documentation to open a document describing the selected report in terms of report fields, parameters, criteria, etc. To display a report in the same Internet window rather than opening a new one, uncheck the View report in new window field. This setting can be modified whenever required. As for Queries, parameters can be locked by the Customer Administrator by checking Lock. This will prevent ordinary portal users from being able to access this parameter. View report instance is used for viewing the report instance with the selected setup. (new window). The top line of the report view is used for: browsing through pages of the report, zooming in/out (%), searching for text instances (free text search across data, in the report). 11 The last page of the report documents which parameters were applied in generating the report. To export the report, select the required format (Select a format) and click (Export). Following an export to Excel, a small manoeuvre must be performed to implement full Excel functionality (if required). Due to the format (headings, groupings, etc.) imported into Excel, the filtering and sorting options disappear. To fix this, select the two top rows (the headings) in the spreadsheet and delete them. Next, select the entire sheet (Ctrl A or click the top left-hand corner of the spreadsheet where Column A and Row 1 meet). Finally, select Format/Cells Alignment tab. Now uncheck Wrap text and Merge cells. Click OK and the spreadsheet will offer normal Excel functionality. Tjellesen Max Jenne TMJ Insight side 11 af 17

12 Scheduled runs The SCHEDULES tab shows which report instances have been subscribed to: The fields for each report instance indicate when it will be run the next time (next run), and the setup for the schedule (setup). 13 Archive The ARCHIVE tab shows report instances that have already been run: Administrators can see all reports that have been run, while ordinary portal users can see only those reports they subscribe to. The top window shows the report batch number, run date, name and any errors. The default view is an empty result. The select dates menu item allows users to look up reports that have been run, from other time ranges. Select start and end date and then press: Get Archive. In the top window, press (Select) to select a report. This opens the bottom window showing recipient(s) of the individual report, delivery status and which file format the report was produced in. Select (Show) to display the report in its original format. The report column shows the name of the instance (as named by administrator). The delivered column indicates whether the report was correctly delivered by. A delivery error is indicated by (is not delivered); clicking (show error) displays a description of the error. 14 Admin Scheduling: For each report instance, you can select the following options: - Which users are to be subscribers. - Which format reports are to be received in (PDF/XLS) by the individual subscribers. - With which Filename and, as applicable, which Filename dateformat and which Filename extension the reports are to be produced Selecting Test subscription allows you to test the defined settings by sending an to the checked subscribers. 15 Under Scheduling you select: - Period: (Once): Standard single delivery (run the night after the selected date). (Daily): Daily deliveries. (Workdays):Delivery the night after working days. (Weekly): Weekly deliveries, the night after selected working day. (Monthly): Delivery the night after the last day in the month. (Monthly on day): Delivery monthly, the night after the selected day number of the month. (Vendor period): Delivery monthly, the night after the vendor s (shifted) period. - Start date: Default = Todays date o The schedule is not active before this date. - End date: Default = 12/31/2049 Tjellesen Max Jenne TMJ Insight side 15 af 17

16 o If an earlier date is chosen and this date is passed, the schedule will have to be deleted and a new one created. It s only possible to extend the period while the end date is not passed. - Inactive: As long as this is checked the schedule will not be activated. Selecting Save saves the selected settings. Selecting Existing schedules shows existing scheduling of the report instance: For the individual schedules, this tab contain options for editing and deleting. Selecting New schedule allows you to create new schedules for the selected report instance. If new recipients are to be set up on an instance or recipients will have to be removed, the following is done: select a schedule (Existing schedules) and then click on the icon on any schedule available. Then you will have the option to mark or remove contact persons and then click Save. The icon indicates, as under SCHEDULES, that the report is inactive. 17 Users: Under Users Administrators can create, edit and delete ordinary users. When creating a user, the following must be entered: Name -> User s name Login name -> Own choice of user ID (cannot be created if already in use) Role the role in which the user will be accessing the solution o LS K-Inv -> grants invoice-level access (if the customer has multiple accounts) o LS K-Acc -> grants access at ordinary account level. Password -> created using a minimum of 8 characters made up of a combination of both upper and lower case letters and numbers Confirm password -> password entered must be confirmed -> User s address Password can be edited/changed by local administrator and is valid for a period of 90 days. After this period of time the user is automatically asked to indicate a new one. To edit users, select a user by pressing to edit or delete the user. The default when setting up a user is for the user to have portal access. If a user is only to be a recipient of reports, uncheck Portal access. This means that no password is required.
