1 Outcome Based/Fixed Bid Quick Reference Guide This guide will provide you with an overview of how to create an Outcome/Deliverable request. It covers some of the primary features to help you get up and running fast! 1 P a g e
2 How to Begin a New Request How to create a new request from scratch Please have a fully-signed work order before completing this request. Select the Create Request Button After signing into FLEX, you are presented with the Manager home screen. To begin your new request, you will need to locate and click the Create Request button towards the top left hand corner of the screen. Clicking on this button will bring you to the Request Creation screen. Log into the FLEX Manager Home Screen Select the Create Request button to begin the Request Creation Process Select Your Request Type Next you will need to select your Request type to proceed. You will see multiple request types listed. Click on the Outcome/Deliverable/MgSvc request type to begin entering your request details. Select Outcome/Deliverable/MgSvc Proceed to the Request Details Workflow 2 P a g e
3 The Request Details How to enter the details of your new request The Request Details Workflow After clicking on the Request Type, you will be directed to enter the details of your new request. These details are captured though the various stages listed at the top of the screen, including: Project Details, Sourcing, Additional Information, and Review & Submit. Project Description & Documentation Enter the Job Category and Outcome/Deliverable Title. ** Job Category and Job Family will drive what vendors are available for you to select on the Sourcing Page. Select Yes or No to the documentation question Yes = Follow along questions including the use of the attach button No = Please explain the lack of documentation. Attach the fully executed documentation Additional Details Many templates use generic titles that may not fully capture the job's Description, Scope, and Deliverables. This section is an opportunity to describe the project in more detail. This section is not required but is very helpful. Project Description, Sport Category Focus, Sub Sport Category, Style Number(s) and Name(s) are not required fields. 3 P a g e
4 The Request Details How to enter the details of your new request Outcome/Deliverable Details As part of the Details section of the workflow, you will be asked to enter the assignment start and end dates. you can do so in the Position Details section. Enter the assignment start date and end date. Please see below section on the Work Location. Select a Reason from the dropdown list. Additional descriptive text may be added in the field provided below if applicable. Enter Est. Bldg Floor/Cube for ETW, if known (optional). FOR EHQ ONLY: Select Reason for Hire and provide a detailed business rationale (referenced by your HRBP to understand the reason behind the request) Work Location All client locations are preloaded into the system, simply begin typing the Building Name. If this does not work, try the location street, city, country and the relevant locations will appear in a drop-down. Select the appropriate location. If the worker will be working offsite (not at a client location), check the Work Completed Offsite field. Select the appropriate country, state/province and enter the city name. Specify the work location using the Client Location / Work Completed Offsite fields. This drives whether facility charges are applied. Note If the Client Location or Country is not displayed within the system, please contact the FLEX Team for resolution. 4 P a g e
5 Financial and Additional Information Selecting the financials and any additional custom information Financials You will be required to enter the Financial Details for the assignment. Select the appropriate Cost Center from the drop down menu. To charge the ETW s time to an alternate cost center, click Add New to apply an alternate cost center. Select appropriate Currency. Enter the Estimated Budget (Note: this is the total amount for the entire project. The total from the deliverables is pulled down from the deliverable table but is not added in the estimated cost). Select an option for Was your need budgeted in the fiscal year plan:. Select an option for ETW will allocate time to:. Enter the Project Code if applicable. **This field is required for NIKE Technology requests. For Converse only, select GL Account from drop-down list. Entering Your Request Details Specify all of the details for your Request 5 P a g e
6 Financial and Additional Information Selecting the financials and any additional custom information Sourcing Suppliers Suppliers will populate based on Job Category, Job Family, and Work Location from the Project Description Page. Please select only one supplier, otherwise the information on the work order may be released to any additional suppliers selected. If you do not see your supplier, click on the My supplier is not listed? button. Enter in the Name of your supplier, a contact , and the Country/State the supplier s business is located, then press the Add button. Based on the project Category and Location selected during the request creation, the applicable preferred suppliers who can provide service will appear. Note: You can uncheck suppliers as desired and/or click on Request Suppliers Not Shown to request an alternate supplier. Optional functionality to establish a bidding event and dictate a deadline for suppliers to submit their bids Custom Fields After proceeding to the Custom Fields section of the Request Creation Process. Within the Custom Fields section of the request, specify if the worker will sit onsite at a NIKE Office or work off-site. Contact Information This section will capture any additional contacts for the request. It is not required. Click the Next button to proceed to review your Request. 6 P a g e
7 Review and Finalize Your Request Giving your request a final review prior to submitting Review and Submit Your Request The final step in creating your new Request is to review the information you entered on the Review and Submit page. Scroll down the page to review everything and once you are satisfied with the Request, click the Submit button. Review your Request and press the Submit button to finalize. A member for the FLEX team will reach out to you within 4 business hours to validate your request details. For immediate assistance, please see the below contact information. Note - to edit any of the information, simply click the Edit link and make any necessary changes. You may also save your Request at any time and return to it later by selecting the Save as Draft button. CONGRATULATIONS! YOU HAVE SUCCESSFULLY CREATED A NEW REQUEST.
