1 The Title I Monthly Parent and Family Engagement Data Web-based System has been designed for the monthly compilation and reporting of parent and family engage- Four tabs will display in the left menu bar. Title I Monthly ment activities conducted at schools implementing the Title Parent and Family Engagement Data, CIS PD/MeetI Schoolwide Program. Also, to record CIS/CLS attendance ings Attendance Entry, Notify, and Reports. Details to meetings, training sessions and other events, as well as about the use of these four options are explained in this sending notifications to CIS/CLS regarding meeting dates user guide. times and locations. To open Title I Monthly Parent and Family Engagement Data, As a Title I staff, you will be able to view, uncertify the month and generate monthly reports for each of the schools in the Title I Program. Getting Started Log into the Employee Portal. tab on the left menu bar The Title I Monthly Parent and Family Engagement Data page will display. Your information, name and employee # will display. To view the information for a school and month, Applications Services Sites tab The Applications Services Sites page will display You can type the location number in the Schl # field or select it from the drop-down list. Type Title I Parental Involvement Compliance (PIC) Web-based System The employee number and name will change to the schoolsite staff who completed the report for that location. The Community Involvement Specialists / Community Liaison Specialists Home page will display. a location number or select from the list 1 on the Select Month field to open the list month
2 Uncertify the Month As soon as you select the location and the month, the Print button appears on the top right corner of the page and the UNCERTIFY button will appear at the bottom of page, if the month is certified. CIS/CLS End of Year Meeting; and Other events/activities, as applicable From any page in the Community Involvement Specialists / Community Liaison Specialists application, on the left menu bar, Print CIS PD / Meetings Attendance Entry tab The CIS PD/Meetings Attendance Entry page will display. The grid contains information about types of meeting, meeting date, meeting location, and Region. The columns have filters to allow searches for specific information or to narrow the search. # of employees to display. Uncertify UNCERTIFY The message Monthly Parental Involvement for this month has been uncertified successfully. will display. The disclaimer will be deselected and the Uncertify button will be removed from the page. The Community Involvement Specialists / Community When recording attendance for the CICS Training option, Liaison Specialists link will take you back to the Home a yellow folder will appear when you select the employee. [See sample below.] page. CIS PD/Meetings Attendance Entry The CIS PD/Meeting Attendance Entry page has been designed to allow staff from the Department of Title I Administration to input information regarding Community Involvement Specialist (CIS) / Community Liaison Specialist (CLS) attendance to the following meetings/ activities: District Advisory Council (DAC) General Meetings Parent Advisory Council (PAC) Regional Meetings CIS/CLS Training Sessions Folder icon 2
3 CIS PD/Meetings Attendance Entry (continued) The Notify CIS / CLS by page will display. The yellow folder is to indicate whether the CIS/CLS has compiled all of the documents required for the school year. This determination is based on a review of the documents gathered by the CIS/CLS in Section VI, Parent and Family Engagement of the Title I School-level Compliance Filing System. To indicate the CIS/CLS has all of the documents required for the school year, the calendar icon to open it date, the calendar will close Select the time of the meeting and the location, on the yellow folder A green check mark will display on the folder. This process is done once and the folder becomes read only. Notify CIS / CLS by The Notify options has been designed to allow staff from the Department of Title I Administration to send automated notifications to Community Involvement Specialist (CIS) / Community Liaison Specialists (CLS) regarding the following meetings/activities: District Advisory Council (DAC) General Meetings Parent Advisory Council (PAC) Regional Meetings CIS/CLS Training Sessions CIS Recognition Ceremony CIS/CLS End of Year Meeting; and Other events/activities, as applicable From any page in the Community Involvement Specialists / Community Liaison Specialists application, on the left menu bar, the Time field the time for the meeting (Hour and Minutes) AM or PM Set (you must click the Set button to set the time) the Meeting Location field the meeting location from the drop-down menu Select a Region to display CIS/CLS for that Region only. the Region field the region from the drop-down menu The CIS/CLS for the selected region will display on the grid. Notify tab The Notify CIS / CLS by page will display. 3
4 Notify CIS / CLS by (continued) Select CIS/CLS and type of meeting. Use the filter in each column to search by name, ID number, and/or location. Filters can be combined. [See sample below.] The page will expand to show the description field. the type of meeting by the CIS/CLS name to select it Notify CIS / CLS Meeting Attendance View Report The CIS / CLS Meeting Attendance - Report Viewer will open. Use the features in the tool bar menu to assist you in viewing, saving and printing the report. [See the section Printing the Report for instructions.] The message The message was successfully sent. will display. Reports The Reports tab is available only to Title I Administration staff. The Reports tab on the left side menu will take you to the Report Generation page. The Report Generation page was designed to include all Title I reports which will be available in the future. For now, the CIS / CLS Meeting Attendance and the Parental Involvement Activities Totals - ANNUAL REPORT are available year-to-date or monthly. Viewing the Parental Involvement Activities Totals ANNUAL REPORT. From any page in the Title I Parental Involvement Compliance (PIC) application, the Reports tab in the left side menu The Reports page will display. Parental Involvement Activities Totals - ANNUAL REPORT The page will expand to show the Parameters options, School, Month and Certified. 4
5 REPORTS (continued) Report parameters can be selected to generate specific report properties including school, month, and if the month has been certified or not. To view all the information by all the schools, leave the parameters blank and click on the View Report button. Use the features in the tool bar menu to assist you in viewing, saving and printing the report. [See the next section, Printing the Report for additional instructions.] To generate a report for one specific school, Printing the Report The report can be exported to different formats. To select a format in order to export the report, Type the school number the month or YTD from the drop-down list Yes or No from the Certified drop-down list The message Do you want to open or save Parental Involvement Activities Totals from portalreports.dadeschools.net? will display. Leave the Certified blank to view all the monthly data. the Export drop down menu the desire format View Report Open The report viewer will open. The report will display the SCH. LOC, SCHOOL NAME, Month, the questions in The report will open in the selected format. the Monthly Parental Involvement Data, and Total # for To print the report, items. To view all the months that have been reported, the + plus sign to expand the report printer icon on the tool bar menu The Print window will display. The Report will expand to display all the months that have any activity data. the 5
6 Printing the Report (continued) Verify printer name OK Note: If your print window looks different from the example above, the look and feel of the Print window depends on the computer s Operating System and printer. To Exit the Portal It is important to close the application and exit the Portal to prevent access to your Portal by others. To close the application, close the browser window. To log out of the Portal, the LOGOUT button, in the upper right corner of the page The message You have successfully logged out of the systemsuccessfully will be displayed.
