1 SCHEDULE FORM SSASECT TERM: Enter the TERM CODE for the semester (or whichever year and semester combination you will be working with-ex: Year/10, 20, =Spring, 20=Summer, 30=Fall). CRN: Enter ADD at the CRN field, or the CRN of the course that you want to review. COURSE SECTION INFORMATION TAB SUBJECT: This field is required in order to add a section. In addition, the combination of Subject, Course Number and Key Block Term must identify a valid course version as maintained in the Catalog Module. The Subject field is used to identify the subject or prefix of the section to be added. Click on the Subject button or use LIST to display valid subjects. Entries are validated in the Subject Code Validation Form (STVSUBJ). COURSE NUMBER: In the Course Number field enter in the COURSE NUMBER for the course section that you want to create (ie 101). This field, the Key Block Term and Subject must identify a valid course version from the Catalog Module. If you try to schedule a section for a term restricted on the Schedule Restrictions Form (SCARRES), an error occurs. Independent Studies courses utilize the X99 course number. The Records Office creates these sections upon receipt of the INDEPENDENT STUDY contract. The Course Number field is used to identify the course number of the section to be added. Click on the Course Number button or use LIST to display valid course numbers. Entries are validated in the Subject Course Query Form where a search selection may be performed. A valid subject course combination must exist at the catalog level SECTION TITLE: (NON-DATABASE FIELD) The Section Title field will display the title of the course based on the Subject and Course Number entered in the block. If you wish to change the title of the course for this section you may do so by over typing the course title with your new section title. The new title will display whenever the section is queried on-line and it will also display in the schedule of classes.. SECTION: This field identifies the section number of a course. A Section number can only be used once to identify a Subject/Course Number combination in a term, however, multiple sections of a course can share a section number. This is a 2 digit number (ie 01, 02, 03, 04 ). The Section field is used to designate a section number to be associated with the subject course combination. A section number can only be used once to identify a subject course number combination in a term, with the exception of zero. Zero can be shared by multiple sections. Use COUNT QUERY HITS to display the Schedule Section Query Form (SSASECQ) where a search/selection can be performed.
2 CROSS LIST: (NON-DATABASE FIELD) Leave the cross list field blank unless you have cross list codes to enter in for the section. If you have codes to enter in continue creating the section. When you ve finished creating the section, save your information and then exit the SSASECT form. At the main Banner menu type in SSAXLST to access the Cross List Definition form. Directions for entering cross list codes are included on the How to Cross List Qwik Sheet. CAMPUS: Enter 1 for the campus code, unless you are creating this section for a special cohort. If this course section is part of a special cohort, then enter in the appropriate campus Code into this field. This field defines the campus on which the section is scheduled. If you attempt to schedule a course for a campus which is restricted on the Course schedule Restrictions Form (SCASRES), an error will occur. The Campus field is used to designate the campus code associated with the section. Click on the Campus button or use LIST to display valid Campus codes. Entries are validated in the Campus Code Validation Form (STVCAMP). This is a required field. STATUS: In the Status field enter A to indicate that this section is Active. This field maintains the status of a section. The Allow Registration switch on the section Status Validation Form (STVSSTS) determines whether the status entered will prevent or allow registration for this section. The Status field is used to designate the status code of a section. Click on the Status button or use LIST to display valid codes. Entries are validated in the Section Status Code Validation Form (STVSSTS). This validation form also determines if registration is permitted with the selected status. SCHEDULE TYPE: This field identifies the instructional type of the section being scheduled. It is a required field on an add. Use the LIST FIELD VALUES key to display the schedule Type Validation Table (STVSCHD). The Schedule Type field is used to designate the type of instruction for the section being scheduled. Click on the Schedule Type button or use LIST to display valid codes. Entries are validated in the Schedule Type Query Form (STQSCHD). Data elements on this form are used in Faculty Load Management. This is a required field. In the Schedule Type field, enter in E for Lecture Course. If the field prompts you to enter in another code, use the pull down menu at the right side of the field to see what schedule code is available for entry. Select the code within the table and proceed onto the next field. The Schedule Code is a predefined code established by CDHE for reporting purposes. INSTRUCTIONAL METHOD: Currently ASU does not use this field. INTERGRATION PARTNER: GRADE MODE: This field can be used to specify one grading mode for this section from the grading mode(s) defined for the course on the Basic Course Information Form (SCACRSE). The Grade Mode field is used to specify the grading mode to be used for the section. Click on the Grade Mode button or use LIST to display valid codes. Entries are validated in the Section Grading Mode Query Form (STQGMOD). Current grade modes used at ASU are: Normal (A,B,C,D,F), P/F, S/U.
3 SESSION: This field can be used to identify the session in which the section is scheduled. This is an optional field. Use the LIST FIELD VALUES key to display the Session Code Validation Form (STVSESS). ASC has adopted policies governing the use of this field. These policies are identified in the STVSESS VALIDATION TABLE documentation in the Validation Table section of this manual. The Session field is used to designate the session in which the section is scheduled. Click on the Session button or use LIST to display valid codes. Entries are validated in the Session Code Validation Form (STVSESS). This is an optional field. SPECIAL APPROVAL: This field can be used to specify the type of special approval a student must have to register. The Special Approval Severity switch on the Term Control Form (SOATERM), determines how this is checked at registration. The Special Approval Code field is used to designate the type of special approval required to register for this section. This is an optional field that works in conjunction with the special approval severity flag on the Term Control Form (SOATERM). Click on the Approval button or use LIST to display valid codes. Entries are validated in the Special Approval Code Validation Form (STVASPR). DURATION PART/TERM: This field is used to specify the part-of-term in which the section is offered. The value entered here must be valid as defined for the term on the Term Control Form (SOATERM). The default is 1. The Part/Term field is used to designate the length of the term which the section is to be offered. Values entered must exist for the term on the Term Control Form (SOATERM). Click on the Part/Term button or use LISST to display valid codes. Entries are validated in the section part of term query form (SSQPTRM). If meeting times already exist, you may not change Part/Term unless you first delete the meeting information, then change Part/Term and finally re-enter the meeting information. This allows you to change part/term without changing the days on which the course is scheduled, and avoids possible room assignments for inaccurate days. REGISTRATION DATES START DATES MAXIMUM EXTENSIONS ****Values from the Catalog (SCACRSE) will default into the following fields. Below each populated field, you will enter THE EXACT SAME NUMBERS THAT APPEAR ON THE FIRST LINE OF EACH FIELD. If the field is blank, you will leave it blank.
4 CREDIT HOURS: This field can be used to restrict a section to a single credit hr. value when the course was defined with variable credit hrs. on the Basic Course Info. Form (SCACRSE). This value must fall between the variable values. The Credit field is used to restrict the section to a specific number of credit hour or CEU s if a variable range was set on the Basic Course Information Form (SCACRSE). The value specified must fall between the variable credit range. If the continuing education flag is set to Y, then this value will specify Continuing Education Units (CEU s), not credit hours. BILLING HOURS: This field can be used to restrict a section to a single billing her. Value when the course was defined with variable billing hrs. on the Basic Course Info. Form (SCACRSE). This value must fall between the variable values. The Billing field is used to designate the section billing hours if the course was defined with variable billing hours on the Basic Course Information Form (SCACRSE). The value placed in this field must fall between the defined range for the course. CONTACT: This column contains the sum of low lecture, lab and other hours. Contact hours divided by (???) are the continuing education units for a continuing education section. This calculated value is stored in the credit hour field. The Section Total Contact field is system calculated based on the sum of the section low lecture, lab and other hours. The user may override this value if necessary. In CEU sections the Total Contact Hour value is used to calculate the CEU value for the section. LECTURE: This field is used to specify the lecture hours specific to this section. The Lecture field designates the lecture hours that will be specific to the section if the course was defined with variable lecture hours on the Basic Course Information Form (SCACRSE). The value entered in this field must fall between the defined variable range for the course. LAB: The field is used to specify the lab hours specific to this section. The lab field is used to designate the lab hours that will be specific to the section if the course was defined with variable lab hours on the Basic Course Information Form (SCACRSE). The value entered in this field must fall between the defined variable credit range for the course. OTHER: This field is used to specify the other hours specific to this section. Other hours is defined by the institution. The Other field is used to designate the Other hours that will be specific to the section if the course was defined with variable other hours on the Basic Course Information Form (SCACRSE). The value entered in this field must fall between the defined variable range for the course.
5 LINK IDENTIFIER This field can be used to link other sections of the same course which must be taken concurrently. Enter a code in this field, then enter same code in link connector field for linked section on Schedule Detail Form (SSADETL). The Link Identifier field is used to designate the code used to link courses that must be taken concurrently. This action will link sections together and will create an error message at registration should a student try to register for one linked course without the other. Note: Registration link errors must be defined for the term via the Term Control Form (SOATERM) in order for the system to generate error messages for linked courses at registration. ATTENDANCE METHOD The Attendance Method field is used to designate the method of attendance accounting to be used for the section. Click on the Attendance Method button or use LIST to display valid codes. Entries are validated in the Attendance Accounting Method Validation Form (STVACCT). This validation form also specifies the intervals at which attendance should be calculated. This is an optional field. WEEKLY CONTACT HOURS Currently, this field is left blank. DAILY CONTACT HOURS Currently, this field is left blank. PRINT This field is used to specify whether the section should be printed in reports or should be displayed on the Web-based Class Schedule. The Print checkbox is set to default in the print mode. The Print Checkbox is left unchecked when the CRN is not to be displayed anywhere. GRADABLE This field is used to specify whether or not the section is gradable. It is a required field and "Y" - Yes, Gradable, is the default value. The Gradable checkbox is used to designate if the course can be graded. If checked - "Y", the course can be graded. If unchecked - "N", the course cannot be graded. Note: If the lab and lecture sections are on course and are grades as one course, then one of the sections, either the lab or the lecture, must be defined as a not gradable and the credit hours/billing hours must be changed to zero(0). These also invloves defining the course as variable credit in the Basic Course Information Form(SCACRSE). VOICE RESPONSE and SELF SERVICE AVAILABLE Indicates whether a section is available to Web and Voice Response Telephone Registration. "N" denotes course is not available, "Y" denotes course is available. The Voice Available checkbox is used to designate if the course is available through the voice response system. TUTION and FEE WAIVER This field can be used to specify that this section be exempt from the assessment of tuition and fees as defined on the Registration Fees Process Control Form - SFARGFE (See Field Usage Notes). The
6 Tuition/Fee Waiver checkbox is used to designate a section as having the option of being offered for a tuition and/or fee waiver as defined in the Registration Fee Process Control Form (SFARGFE). If checked - "Y", all rules on (SFARGFE) which are over-rideable will be ignored during fee assessment. If unckecked - the null value or "N", all rules on (SFARGFE) will be applied. This checkbox does not update and does not affect exisitng sections and/or registration. SECTION ENROLLMENT INFORMATION TAB: ENROLLMENT DETAILS MAXIMUM This field is used to set the maximum enrollment for a section. When the Capacity severity switch is set to 'W' or 'F' on the Term Control Form - SOATERM, the system issues warnings when enrollment exceeds this number. The Maximum field is used to designate the maximum enrollment for the section. This field is used in Location Management when attempting to assign class rooms large enough to satisfy the section enrollment. When the capacity severity switch is set to "W" or "F" on the Term Control Form (SOATERM), the system issues warnings when enrollment exceeds this number. Click on the Maximum button or use COUNT QUERY HITS to take the user to window 3, Reserved Seats information. ACTUAL The Maximum field is reduced by the number of students who register for the CRN. The results are shown in the Actual field. REMAINING This field indicates the number of seats that remain for the CRN, after students have registered for the course. MEET: (NON-DATABASE FIELD) The Meet field is used to designate a meeting time for the specific section. Click on the Meet button or use LIST to display valid codes. Entries are validated in the Meeting Time Code Validation Form (STVMEET) which defines the days of week and begin and end times for the meeting codes. These values will default in the meeting time block if a meeting time code is entered. This field will also help prevent instructors from being attached to non-existent session identifiers. MEETING TIME MEETING TIMES AND INSTRUCTOR TAB MEETING DATES TAB MEETING TYPE Meeting Type field will default to CLASS. Through the pull down menu, selections for Clinical (CLIN) and Lab (LAB) are available.
7 START DATE: (Section Meeting Start Date) The Start Date field is used to designate the start date of the section. Format is (DD_MON_YY). This date will default in from the previous screen Part of Term designation. END DATE: (Section End Date) The End Date field identifies the end date of the section meetings. The format is (DD_MON_YY). This date will default in from the previous screen Part of Term designation. START TIME: This field defines the Begin Time of the course section being scheduled. It is a required field and is in the format HHMM using military times. The SSRSECT (Schedule of Classes) converts this time to standard times. The Start Time field is used to designate the starting time associated with the section and is an important data element when attempting to assign a class rooms through Location Management. Valid time codes are HHMM-HHMM (military time). END TIME: This field defines the End Time of the course section being scheduled. It is a required field and is in the format HHMM using military times. The SSRSECT (Schedule of Classes) converts this time to standard times. The End Time field is used to designate the ending time associated with the section and is an important data element when attempting to assign classrooms through Location Management. Valid time codes are HHMM-HHMM (military time). MEETING TIMES AND INSTRUCTOR TAB MEETING LOCATION AND CREDITS TAB AUTO SCHEDULER This is a schedule status code for use with Scheduling Tool Interface. SCHEDULER PEFERENCE PARTITION DETAILS Currently, ASU does not use this field ROOM ATTRIBUTE BUILDING This field defines the Building where the course section will be scheduled. It is not required when scheduling course section meeting times. It is required when scheduling course section meeting rooms.
8 The Building field is used to designate the building in which the section will be held. Click on the Build button or use LIST to display valid codes. Entries are validated in the Building Query Form (SLABQRY). ROOM This field defines the Room where the course section will be scheduled. It is not required when scheduling course section meeting times. It is required when scheduling a course section meeting building. The Room field is used to designate the room in which the section will be offered. Click on the Room button or use LIST to display valid codes. Entries are validated in the Room Query Form (SLQROOM). SCHEDULE TYPE The Schedule Type will default in from the first screen Schedule Code. OVERRIDE INDICATOR Only use the Override field if you have already scheduled the Building and Room for another course at the same day/time. NOTE: If you use the override field, enter in O for override. You will have to alter your course schedule as some courses will be double booked. HOURS PER WEEK The Hours per Week field will default in. The actual weekly hours will automatically default into this field. The number of days the class meets x the actual hours the class meets (beginning and ending times) = the Hours per week. SESSION CREDIT (The session credit hours) The Session Credit field is used to designate the number of credits to be associated with the section sessions not to exceed the total number of section credits. This value also as SESS CRED in the Faculty Instructional Assignment Block of the Faculty Assignment Form (SIAASGN). It is used when calculating the following values on the forms: INST CRED Instructor Credits and GEN Generated Credit Hours. SESSION INDICATOR: (Section Indicator) The Sess Ind field is used to designate the meeting time/instructional sessions for a section. The default is always 01. INSTRUCTOR BLOCK SESSION INDICATOR (IND) The Session Indicator field is used to assign a faculty member to a session, as defined in the meeting time window. The default value is 01. This will prevent a non-existent session identifier from being entered.
9 FACULTY ID (NON-DATABASE FIELD) The Faculty ID field is used to identify the ID number associated with the Faculty member that is to instruct the session/section. Click on the ID button or use LIST to display the Faculty/Advisor Query Form (SIAIQRY). PERCENT RESPONSIBILITY (% RESP) Faculty members percentage of responsibility to the assignment. The % Responsibility field is used to designate the Instructional Workload and the session credits. This value also appears as %RES in the Faculty Instructional Assignment area of the Faculty Assignment Form (SIAASGN). It is used in calculating the following on (SIAASGN): CACL WL- Calculated Workload; INST CRED Instructor Credits; WEEKLY CONTACT Weekly Contact Hours; TOTAL CONTACT Total Contact Hours; GEN Generated Credit Hours; FTE Percent of full time equivalence which the assignment represents. The percent of responsibility for an individual instructor cannot exceed 100%, but the total responsibility for multiple instructors can exceed 100% a warning message will be displayed. If the percent of responsibility and percent of session for the section do not equal 100% a warning message will be displayed. (If there are 2 instructors assigned to teach the course, then each will be set to 50%). OVERRIDE(O) (Override Indicator) The Override checkbox is used to determine if the faculty(s ) schedule will be checked for conflicts. Valid entries are O - Override instructor conflicts and Null check conflicts. PERCENT SESSION (% SESS) Faculty session percentage of responsibility of instructional assignment. The % Sess field is used to designate the percentage of faculty responsibility for a section during a session. The value also appears as %SES in the Faculty Instructional Assignment area on the Faculty Assignment Form (SIAASGN). It is also used in calculating the following values on this form: WEEKLY CONTACT Weekly Contact Hours; TOTAL CONTACT Total Contact Hours. %SESS for an individual instructor cannot exceed 100%. If %SESS for the section does not equal 100% a warning message will display at auto help. If %RESP and %SESS for the section does not equal 100% a warning message will display at auto help. (If there are 2 instructors assigned to teach the course, then each will be set to 50%).
