6 1.1 Available operations in scan function 1 1 Scan Function 1.1 Available operations in scan function The original data scanned by this machine can be sent to a computer or server, or saved on the hard disk of the machine. It may be necessary to make the following settings prior to using the scan function. For details, refer to the explanations of each function. The scan function provides the following sub-functions. Function Scan to SMB Send FTP TX Save to HDD Save to USB Memory WS Scan TWAIN/WIA Scan Description Sends a converted file to any address as an attachment. Sends a converted file to a shared folder of a computer. To use this function, specify your computer or file server as a destination. Sends a converted file to the FTP server. This function is useful when transferring a file through the FTP server. Saves the original data scanned by this machine on the built-in hard disk. The original data saved on the hard disk can be downloaded via the Web browser on your computer. Note This function is available when an optional Hard Disk is installed. Saves the original data scanned by this machine in the USB memory device connected to the machine. Imports original data by issuing a scan instruction from a computer without configuring complicated system settings, or sends original data scanned by this machine to a computer. This function is supported by Windows of Vista or later. Converts the original data scanned by this machine into a file, and imports it from a computer on the network using TWAIN/WIA-compatible applications. [Scan Functions] 1-2

8 1.2 How to scan 1 4 Specify scan transmission options. % On the main screen (Scan mode), press the + or, key to select the setting you want to change. For details on scan settings, refer to the respective columns of the following table No. Settings Purpose 1 [IMAGE FOR- MAT] Select the file type used for saving the scanned data. For details, refer to page [QUALITY] Adjust the image quality of the original ([Original Type], [RESOLUTION], [DENSITY], [Background Removal], or [SHARPNESS]) to scan the original. For details, refer to page [SCAN TO] Specify Save to HDD, Save to USB Memory, or WS Scan storage destination. 4 [SIMPLEX/DU- PLEX] Select the surface of the original to be scanned. For details, refer to page [Original Size] Select the size of the original to be scanned. Before scanning the original on this machine, specify the size of the original to be scanned. If you fail to set the original size correctly, the image may be cut off. For details on how to specify the original size, refer to page [Scan Functions] 1-4

For details, refer to page [Separate Scan] If the number of original sheets is so large that they cannot be loaded into the ADF at the same time, you can load them in several batches and handle them as one job. To scan in black and white, press the Start (B&W) key. % If you press the Stop/Reset key while scanning the original, scan processing stops, and the confirmation screen appears to check whether you wish to cancel the job. To stop sending, cancel the job. Sending starts. Related setting You can change the default options for scan transmission to suit your environment. Tips To edit the destination that has been directly entered, select the target destination on the main screen (Scan mode), then select [Check/Edit] on the displayed menu Selecting a destination from the registered addresses Selecting a destination from Favorites Select a destination registered on this machine. Selecting [Favorite] displays the destinations registered in Favorites. 0 For details on how to register an address book, refer to page When the main screen (Scan mode) or [Can Use Addr Book] is displayed, press the Addressbook key. This displays a list of destinations registered in Favorites. 2 Select the target destination, then press the Select key. 3 Press the Select key to select the destination. 4 If you select an destination, select [Finish], then press the Select key. % If you select [Add], you can add destinations. % If you select [Check/Edit], you can view information on the selected destination. Selecting a destination from Address Book Select an address book registered on this machine. 0 Up to 250 address books can be registered. 0 For details on how to register an address book, refer to page When the main screen (Scan mode) or [Can Use Addr Book] is displayed, press the Addressbook key twice. This displays the screen to enter a one-touch dial number. [Scan Functions] 1-6

11 1.3 Specifying a destination 1 2 Type in the target one-touch dial number (1 to 250) using the Keypad, then press the Select key. This displays the name of the address book you selected. 3 Press the Select key to select the destination. 4 If you select an destination, select [Finish], then press the Select key. % If you select [Add], you can add destinations. % If you select [Check/Edit], you can view information on the selected destination. Selecting a destination from Group Select a group destination registered on this machine. Multiple one-touch destinations can be grouped and managed as a single group. 0 Up to 20 groups can be registered (up to 50 destinations in each group). 0 A group destination can only be registered using Web Connection. For details on the registration procedure, refer to Chapter 2 "Configuring the Operating Environment of This Machine" in [User's Guide: Applied Functions]. 0 In Scan mode, you cannot select a group destination with a fax destination registered. 1 When the main screen (Scan mode) or [Can Use Addr Book] is displayed, press the Addressbook key three times. This displays the screen to enter a group dial number. 2 Type in the target group dial number (1 to 20) using the Keypad, then press the Select key. This displays the name of the group you selected. 3 Press the Select key to select the destination. 4 If you select a group that contains only destinations, select [Finish], then press the Select key. % If you select [Add], you can add destinations. % If you select [Check/Edit], you can view information on the selected destination. Selecting a destination from the Program Select a program registered on this machine. Program is a function used to register a combination of frequently used option settings and destination information as a recall key. 0 You can register up to 50 programs. 0 A program can only be registered using Web Connection. For details on the registration procedure, refer to Chapter 2 "Configuring the Operating Environment of This Machine" in [User's Guide: Applied Functions]. 0 In Scan mode, you cannot select a program destination with a fax destination registered. 1 When the main screen (Scan mode) or [Can Use Addr Book] is displayed, press the Addressbook key four times. This displays the screen to enter a program registration number. 2 Type in the target program registration number (1 to 50) using the Keypad, then press the Select key. This displays the name of the program you selected. 3 Press the Select key to select the destination. [Scan Functions] 1-7

12 1.3 Specifying a destination Selecting a destination from Address Book List Select the target destination from the list of address books registered on this machine. 0 If no address books are registered, this function is not available. 0 For details on how to register an address book, refer to page When the main screen (Scan mode) or [Can Use Addr Book] is displayed, press the Addressbook key five times. 2 Select [List], then press the Select key. This displays a list of address books registered on this machine. % You can narrow down the destinations to be displayed in the list using the search function. To use the search function, select [Search], then press the Select key. Enter the keyword using the Keypad, then press the Select key. If the search keyword is contained in the middle of the entered text, it will not serve as a search keyword. 3 Select the target destination, then press the Select key. 4 Press the Select key to select the destination. 5 If you select an destination, select [Finish], then press the Select key. % If you select [Add], you can add destinations. % If you select [Check/Edit], you can view information on the selected destination Searching for an address from the LDAP server When you are using the LDAP server or Active Directory of Windows Server, search for an address through the server. 0 The server must be registered in advance. The registration procedure is explained using Web Connection. For details, refer to Chapter 2 "Configuring the Operating Environment of This Machine" in [User's Guide: Applied Functions]. 1 When the main screen (Scan mode) or [Can Use Addr Book] is displayed, press the Addressbook key five times. 2 Select [LDAP Search], then press the Select key. 3 Select a search target from [Name] or [ ], then press the Select key. 4 Enter the keyword using the Keypad, then press the Select key. % If the search keyword is contained in the middle of the entered text, it will not serve as a search keyword. % For details on how to enter characters, refer to Chapter 7 "Control Panel" in [User's Guide: Introduction]. Searching starts. After a while, the search result appears. 5 Select the target destination from the search result, then press the Select key. 6 Press the Select key to select the destination. 7 Select [Finish], then press the Select key. % If you select [Add], you can add destinations. % If you select [Check/Edit], you can view information on the selected destination. 13 1.3 Specifying a destination Canceling the specified destination 1 On the main screen (Scan mode), select a specified destination, then press the Select key. 2 To cancel an destination, select [Check/Edit], then press the Select key. % To cancel an FTP or SMB destination, go to Step 3. 3 Select the desired destination, then press the Select key. 4 Press the Stop/Reset key. 5 Select [YES], then press the Select key. 6 When the cancellation of destination settings is complete, press the Back key. 14 1.4 Scan option settings Scan option settings Basic option settings such as file type and original size Specifying the file type to save the scanned original data ([IMAGE FORMAT]) Select the file type used for saving the scanned data. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [IMAGE FOR- MAT], then press the Select key. 2 Select the file type to save the scanned original data in, then press the Select key. Settings [TIFF] [JPEG] [PDF] [CPDF] [XPS] Description This is one kind of versatile image formats. This type is available for a multipage file that provides multiple pages in one file. A file type to save a file commonly used for a digital camera, which is suitable for saving photos. JPEG does not support the saving of multiple pages into one file. Most operating systems support this file format. Used to save files that are smaller in size than the normal PDF type. We recommend this option when you want to reduce file size to enable sending by E- mail. A file type that is supported in Windows Vista or later. Specifying the size of the original to be scanned ([Original Size]) Select the size of the original to be scanned. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [Original Size], then press the Select key. 2 Select the size of the original to be scanned, then press the Select key. Settings [Standard Size] [Custom Size] Description Select the original size to scan the original in the standard size such as the metric or inch size. Select this option to scan originals in custom size. Enter vertical and horizontal values. Specifying pages to save original data ([SCAN SETTING]) Select a filing page unit when an original consists of multiple pages. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [SCAN SETTING], then press the Select key. 2 Select a filing page unit, then press the Select key. Settings [Page Separation] [Multi Page] Description Select this check box to convert all pages into a single file. Select this check box to split a file for each page when sending a file. If [IMAGE FORMAT] is selected in [JPEG], [Multi Page] is disabled. [Scan Functions] 1-10

15 1.4 Scan option settings 1 Selecting the color mode to scan the original ([Start key]) Change the color mode to be assigned to the Start key. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [Start key], then press the Select key. 2 Select the color mode to be assigned to the Start key, then press the Select key. Settings [Auto Col/GS] [Auto Col/B&W] [Full Col/GS] [Full Col/B&W] Description Change the color mode of the Start key. Start (Color): Select this option to automatically determine Full Color or Gray Scale to fit the original color when scanning the original. Start (B&W): Select this option to scan in gray scale regardless of the original color. Change the color mode of the Start key. Start (Color): Select this option to automatically determine Full Color or Gray Scale to fit the original color when scanning the original. Start (B&W): Select this option to scan the original in black or white without using neutral colors between black and white. Change the color mode of the Start key. Start (Color): Select this option to scan in full color regardless of the original color. Start (B&W): Select this option to scan in gray scale regardless of the original color. Change the color mode of the Start key. Start (Color): Select this option to scan in full color regardless of the original color. Start (B&W): Select this option to scan the original in black or white without using neutral colors between black and white Adjusting quality/density Selecting the appropriate image quality level for the contents of the original ([Original Type]) Select the appropriate setting for the original to scan it at the optimal image quality level. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [QUALITY], then press the Select key. 2 Select [Original Type], then press the Select key. 3 Select the appropriate setting for the original, then press the Select key. Settings [MIX] [TEXT] [PHOTO] Description Scan an original consisting of text and photos at the optimum image quality level. This function sharpens the edges of the text, and reproduces smoother photos. Scan an original containing a large amount of text at the optimum image quality level. This function sharpens the edges of each character, creating easy-to read images. Scan an original consisting of only photos at the optimum image quality level. [Scan Functions] 1-11

16 1.4 Scan option settings 1 Specifying the resolution to scan the original ([RESOLUTION]) Select a resolution at which to scan the original. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [QUALITY], then press the Select key. 2 Select [RESOLUTION], then press the Select key. 3 Select the resolution to scan the original, then press the Select key. % [400 e 400 dpi] and [600 e 600 dpi] are available when an optional Hard Disk is installed on this machine. Tips The finer the scan resolution, the larger the data volume will be, which will result in longer transmission time. When sending the original by , check whether the amount of data is limited. Adjusting the density of the original to be scanned ([DENSITY]) Scan originals by adjusting the density according to the original. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [QUALITY], then press the Select key. 2 Select [DENSITY], then press the Select key. 3 Press the * or ) key to adjust the image density. Adjusting the background density of the original to be scanned ([Background Removal]) Adjust the background density of an original with a colored background such as a newspaper or an original made from recycled paper. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [QUALITY], then press the Select key. 2 Select [Background Removal], then press the Select key. 3 Press the * or ) key to adjust the background density. Sharpening the border between texts ([SHARPNESS]) Sharpen the edges of images to improve legibility. Smoothen the rough contours of images or sharpen blurred images. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [QUALITY], then press the Select key. 2 Select [SHARPNESS], then press the Select key. 3 Press the * or ) key to adjust the degree of edge enhancement for an image. 17 1.4 Scan option settings Specifying the method to use to scan the original Scanning both sides of an original ([SIMPLEX/DUPLEX]) Select the surface of the original to be scanned. 1 On the main screen (Scan mode), press the + or, key to select the current setting of [SIMPLEX/DU- PLEX], then press the Select key. 2 Select the side to scan the original, then press the Select key. Settings [1-sided] [2-sided] Description Scan a single side of original. Scan both sides of the original. 3 If you select [2-sided] in Step 2, select the binding margin of the original, then press the Select key. Settings [Long Edge] [Short Edge] Description Select this option when the binding position is set to the left of the original. Select this option when the binding position is set to the top of the original. Scanning a number of originals in several batches ([Separate Scan]) If the number of original sheets is so large that they cannot be loaded into the ADF at the same time, you can load them in several batches and handle them as one job. In [Separate Scan], you can switch between the ADF and Original Glass to scan the originals. 0 This function is available when an optional Hard Disk is installed. 1 Load the original. NOTICE Do not load more than 50 sheets at a time into the original tray, and do not load the sheets up to the point where the top of the stack is higher than the, mark. Doing so may cause a paper jam involving the originals, damage the originals, and/or cause an ADF failure. 2 On the main screen (Scan mode), press the + or, key to select [Separate Scan], then press the Select key. 3 Select [ON], then press the Select key. 4 Press the Start key. The original is scanned. 5 Load the next original, then press the Start key. % If necessary, select [Change Settings] to change the option settings according to the new original. 6 Repeat Step 5 until all originals have been scanned. 7 After all originals have been scanned, select [Finish], then press the Select key. 18 1.4 Scan option settings Other option settings Changing the sender's address ([From]) 1 On the main screen (Scan mode), press the + or, key to select [From], then press the Select key. 2 Enter the sender's address (using up to 320 characters) using the Keypad, then press the Select key. % For details on how to enter characters, refer to Chapter 7 "Control Panel" in [User's Guide: Introduction]. % To correct the entered contents, press the Back key. Changing the subject of an ([SUBJECT]) 1 On the main screen (Scan mode), press the + or, key to select [SUBJECT], then press the Select key. 2 Enter the subject (using up to 64 characters) using the Keypad, then press the Select key. % "From (model name of this machine)" is specified by default for the subject of an . % For details on how to enter characters, refer to Chapter 7 "Control Panel" in [User's Guide: Introduction]. % To correct the entered contents, press the Back key. Related setting The default subject of an can be registered or changed using Web Connection. For details, refer to Chapter 1 "Using Web Connection" in [User's Guide: Applied Functions]. Changing the message text of an ([Body]) 1 On the main screen (Scan mode), press the + or, key to select [Body], then press the Select key. 2 Enter the message text (using up to 256 characters) using the Keypad, then press the Select key. % The default message text of an is blank. % For details on how to enter characters, refer to Chapter 7 "Control Panel" in [User's Guide: Introduction]. % To correct the entered contents, press the Back key. 20 2.1 Scan to function 2 2 Sending Original Data as an Attachment (Scan to ) 2.1 Scan to function The Scan to function converts original data scanned by this machine into a file supported by a computer, and sends it to any address as an attachment. Using this function, you can send a file in the same way as when sending an , enabling easy operation and installation. If the LDAP server or Active Directory of Windows Server is used for user management, an address can be searched via the server. [Scan Functions] 2-2

55 7.1 WS Scan function 7 7 Sending with Web Service (WS Scan) 7.1 WS Scan function This function imports original data by issuing a scan instruction from a computer without configuring complicated system settings, or sends original data scanned by this machine to a computer. This function is supported in an operating system of Windows Vista or later (Windows Vista/7/8/8.1/Server 2008/Server 2008 R2/Server 2012/Server 2012R2). [Scan Functions] 7-2

57 7.2 Preparation for WS Scan Computer side: Operations required to use this function Install a scanner driver required for WS scan transmission in a computer. Then, configure operations to be performed after scan transmission, in the scanner driver. This example shows a procedure for Windows 7. Before installation, from the Start menu, select [Control Panel] - [Network and Internet] - [Network and Sharing Center] - [Change advanced sharing settings], and check that [Network Discovery] is enabled. 1 From the Start menu, click [Computer] - [Network]. This displays the devices connected to the network. 2 Right-click the scanner icon of this machine, and select [Install]. % Depending on the settings on the computer, the UAC (User Account Control) dialog box may appear. Check the details, and proceed to the next step. % If both of the scan and printer functions are enabled in the Web service settings of this machine, this machine is represented by the printer icon. % In Windows 8/8.1/Server 2012/Server 2012 R2, click [Network] - [Add devices and printers] on the toolbar. In the displayed window, select the device name of this machine, then click [Next]. The driver is installed automatically. When the confirmation dialog box appears, click [Close]. 3 From the Start menu, click [Devices and Printers]. 4 Right-click the icon of this machine, then click [Scan properties]. 58 7.2 Preparation for WS Scan 7 5 Click the [Events] tab, and specify the operation (how to save original data) of a destination computer at scan transmission (WS Scan). Settings [Select an event] [Actions] Description Select [Scan]. Select the operation of a destination computer when performing a scan transmission on this machine. [Start this program]: Starts the application for WS Scan that is installed on a computer selected as a WS Scan destination, and displays the scanned original data in the application window. Select the application to be started from the list. [Prompt for which program to run]: Displays a list of applications for WS Scan installed on your computer (destination computer) in the screen of the computer that performed a scan transmission. [Take no action]: Saves original data in the following folder as a file without starting the application. On your computer, select Start - [Documents] - [Scanned Documents]. 6 If necessary, right-click the icon of this machine, then click [Scan profiles] to change the default scan settings. % For details on the scan settings, refer to page On the Control Panel of this machine, select [SCAN TO] - [Scan to DPWS] on the main screen (Scan mode), and check that the target computer is displayed. The settings on the computer are then completed Machine side: Option settings (for administrators) Using SSL communication If a communication that uses the Web service is encrypted with SSL in your environment, configure SSL communication settings. The computers on the network, in which this machine is designated as the Web service scanner, appear as the destinations. 5 Select a destination computer, then press the Start key. % When you select a destination computer and press the Select key, the details of the destination are displayed. Sending starts. 6 Use the destination computer to handle the application for importing original data or check files saved by a scan transmission. % When using a scan transmission from this machine, start the application on a destination computer to import original data, or save original data in a specific folder. 60 7.4 Importing data from a computer Importing data from a computer Operate this machine through the application on a destination computer, and import the scanned original data. The imported original data can be edited or saved in a computer. This section explains an example using Windows 7 and [Windows Fax and Scan] application software. 1 From the Start menu, click [All Programs] - [Windows Fax and Scan]. 2 Click [New Scan]. The [New Scan] dialog box appears. 3 Specify the desired items from among the following to fit the original to be scanned. Settings [Scanner] [Profile] Description Displays the scanner name of this machine. To switch other scanner, click [Change...]. Select a profile to fit the original you want to load onto this machine. [Photo]: Select this option to scan an original that consists primarily of photos. [Documents]: Select this option to scan an original that consists primarily of text. [Last used settings]: Select this option to scan an original using the previous settings. [Add profile...]: Select this option to create a new profile other than the options above and add it as an option. Selecting [Add profile...] displays the [Add New Profile] window. [Scan Functions] 7-7

61 7.4 Importing data from a computer 7 Settings [Source] [Paper size] [Color format] [File type] [Resolution (DPI)] [Brightness] [Contrast] Description Select the position to set the original. [Flatbed]: Select this option to load the original on the Original Glass. By selecting [Flatbed], you can use [Preview], which is a scan function. [Feeder]: Select this option to load the original into the ADF. When [Feeder] is selected in [Source], specify the size of the original to be scanned. Select either [Color] or [Gray Scale] as the color mode to scan originals. The original is scanned in the selected color mode regardless of the original color. Select a file type to save a file. [BMP]: Used to save an image file adopted by the "Paint" software supplied with Windows. This type does not support a function that compresses data to be saved, so the file size is larger than JPEG or PNG. [JPG]: Used to save files frequently used with digital cameras, which is available for saving photos. JPEG does not support the saving of multiple pages into one file. [PNG]: Used to save an image file with no quality degradation when compressing a file. Note that some files cannot be displayed in old Web browsers. [TIF]: This is one kind of versatile image formats. This type is available for a multi-page file that provides multiple pages in one file. [XPS]: A file type that is supported in Windows Vista or later. Specify the resolution at which to scan the original. Specify the brightness with which to scan the original. To specify the brightness level, drag the slider, or type in a numerical value. Specify the contrast at which to scan the original. To specify the contrast level, drag the slider, or type in a numerical value. 4 Click [Scan]. % If you select [Flatbed] in [Source], click [Preview] before saving data as a file, and check the image of the scanned original. If necessary, trim a displayed image, or adjust [Brightness], [Contrast], or [Resolution (DPI)]. After checking the scanned original, click [Scan]. The original is scanned, and displayed in the application window of [Windows Fax and Scan]. [Scan Functions] 7-8
