2 MONITORING DOLPHIN SOFTWARE FOR RACE NUMBERS The key to properly aligning the Dolphin times to a Meet Manager set of results is to retrieve the proper race number from Dolphin into the corresponding race in Meet Manager. It is imperative for someone to pay close attention to the race number on the Dolphin screen and mark a heat sheet with the appropriate race number. For instance, at this point, this is race #5. The meet number is 1. This individual will need to write down the race number on the heat sheet, and have that number readily available to the person doing scoring. They may also receive information about disqualifications from the official and note those on the heat sheet also. The work here is best done with two individuals at the computer setup to 1) monitor the Dolphin race numbers and DQs and 2) to work Meet Manager times and award labels. Do not write down race numbers in advance. Any start of a race will advance the race number. If there happens to be a false start and they recall the swimmers, the race number will be different from the original start of the race. PICKING TODAY S SET OF DOLPHIN RESULTS You can have multiple prior meets of Dolphin results stored on your computer. So you have to connect Meet Manager to the proper set of results. 1. Activate the Meet Manager Run screen. 2. Click Interfaces then Timer (CTSD) and then Select Data Set stored from CTSD. 3. Usually, you will click Update Data Set once, and then click Previous Meet. 4. Check the date and time you see near the top to make sure you are on today s meet. 5. If you happen to stop and restart the Dolphin software, you will get a new meet number and your race numbers will restart at 1. DURING THE MEET SCORING Select the event and heat your want to process. 2. Identify from the dolphin heat sheet, the proper race number 3. Click the Race # button or use F2. 4. 3 5. If you happen to run two different heats in the same race (see combined races, below), you may have to use the same race number more than once. 6. If there are a different number of results compared to the number entered in the race, you may get a prompt (you can click OK to get past the prompt). Those with MM5 can turn off the prompt with Preferences and then Run Screen and then Bypass Get Times Mismatch Warning. 7. Identify if any rows are off color. These indicate the two dolphin times are not consistent. a. Review the manual watch time, and pick the closest Dolphin time. b. Delete the finals time and the bad Dolphin watch time. c. Click the Calc button and accept, and Meet Manager will fill in the finals time. 8. If you are using Judges (1 st, 2 nd and 3 rd place only), the by laws indicate how to adjust times based on finish judge results and updating the finals time column. 9. Identify any disqualifications for the particular race. Mark the DQ column. A few teams will use the DQ Code column to record why a swimmer was disqualified. Most teams will copy the officials heat sheet with the DQ notes for the coaches. 10. If you have multiple heats, MM5 will identify any heats with timing issues in Red. Yellow heats were resolved, and can be cleared to green by clicking the? on the lane in question. The? will turn into a K (for OK). PRINTING AWARD LABELS 1. Award labels are easily generated. Click Labels and then Award Labels. Then select the completed events you want to print and click the printer icon. Load the labels in the printer and again click the printer icon. 2. You need to be careful to manage the events you print, so you don t generate the same event twice. You can use the Printed column to the far right of the events to keep track of the events you already printed. You may also find the Hide Printed near the top as a choice to keep you from reprinting labels for a particular event. 3. IF you are lucky enough to have a two tray printer (or two printers), you may want to setup two printers in Windows. One to draw plain paper from one tray and another printer to draw labels. To take advantage of the two printers in Meet Manager, click Preferences and then Printer Options and choose the appropriate printer for reports (plan paper) and labels. LATE RACE CHANGES 1. Sometimes a race will not have the swimmers in the proper lane. You may have to navigate to the proper event and click the Adjust button to move a swimmer to a different lane. 2. If a swimmer ends up late and swims in the next event, you can create a new heat on the adjust screen, and move the swimmer to the new heat. Then just use the same race number for two different heats. 3. Sometimes a heat never occurs, when the set of swimmers move to other heats or just don t swim. To clear a swimmer, just enter NS (no show) in Finals Time column for the appropriate event, heat and lane. 3 6/13/2015 9:02 AM
4 SETUP A NEW MEET DATABASE (copy an existing database) The easiest way to setup a meet is to copy an existing meet file, change the date and team names, and clear the old meet information in Meet Manager. 1. Copy the file using Windows explorer. 2. Use a file name appropriate for the new meet. Jon likes the date in the front of the file name for easy location (e.g CCL Training.mdb). 3. Open Meet Manager 4. Click File and then Purge and then Remove Data Selectively. 5. Click Teams and three other selections automatically activate. 6. Click OK and Meet Manager will prompt you for new meet settings. MEET IMPORT OF ENTRIES 1. Locate the two entry files in a location you can remember (a USB flash drive can be convenient). Entry files will generally be named something like JCC Entries 00x.zip. Obviously the team abbreviation will be different. 2. Open Meet Manager and pick the proper meet database. 3. Click File and then Import and then Entries. (There is also an icon on the MM home page.) 4. Select the first team entry file and click OK. 5. You may get a prompt about unzipping the file click OK. 6. You may have to select an HFILE001.HY3 item, and click OK. 7. You will see a confirmation screen. Ensure the team and meet date are correct (teams may have sent you the wrong meet entry file). 8. Click OK. 9. You will get a confirmation of the entry counts. 10. Repeat steps 3 through 9 for the other team. 11. You now have all of the entries into events, but not placed into heats and lanes. CHECKING ENTRY LIMITS You may get messages when you import the entries about exceeding entry limits. You can check the results at that time. You may also want to check the entry limits before the start of competition, given there may be late changes. 1. Click Reports and then Exceptions Report. 2. You should be on the Max Entries tab of the Exceptions report. 3. Be sure the values are 4 for Max entries including relays, 3 for Max individual entries and 2 for Max relay entries. 4. Click Create Report. A good result is a window with No athletes found with the search criteria. Otherwise you will be given a list of swimmers exceeding the entry limit. 4 6/13/2015 9:02 AM
5 SEEDING SETUP Because we use lane assignments for seeding (so the fastest half of each team compete in the first heat), we have to assign lanes to each team. The entries from all teams must be loaded before you can take this step. 1. From the Meet Manager home screen, click Setup and then Seeding Preferences. 2. Click the Dual Meets tab. 3. Click and drag each team to their assigned lanes. Typically the visiting team gets the choice of odd or even lanes. BASIC SEEDING 1. From the Meet Manager home screen, click Seeding at the top. 2. Click Select All at the top of the screen. 3. Click Start Seeding and Meet Manager will seed all of the entries. 4. If you get a message that zero events were seeded, check the SEEDING SETUP above. SCORING SETUP Because we run the meet as a dual meet, you need to select the scoring setup to generate team scores. It s just a few steps: 1. From the main MM screen, select Set up and then Entry / Scoring Preferences. A new window will appear. 2. Select the 2 or 3+ Double Dual tab. 3. Click the button for Select Teams and the Double Dual Meet window opens. 4. The primary item to select is the one marked Combined. If you want to track how the girls score and how the boys score, pick all of the items. 5. Click Save to close the Double Dual Meet window. 6. Click OK to close the Entry / Scoring Preferences window. PRINTING A MEET PROGRAM 1. Click Reports and then Meet Program. 2. Select the meet session (generally just one for CCL). 3. Click Select All at the top of the window. 4. Choose the options at the bottom. Two column formats are easier to read and make notes, but three column formats use less paper. 5. You may want to check the tab Include in Meet Program to be sure to enter 4 under Relay Athlete Names (0 8), and also select Entry Times and Line For Results (applies to 2 column format only). 6. 6 7. Once the meet program is final with combined races marked, make copies for the officials, scoring table, bullpen workers and coaches for both teams. COMBINING RACES Frequently, you will have races with many fewer swimmers than available lanes. To save times, teams will tend to adjust the automatic seeding to run events together. For a simple example, consider events 21 and 22 (15 & over 50 free) with two swimmers each. Meet Manager will default seed the two events into the two middle lanes. To adjust the meet seeding so you can swim them together: 1. Select the first race you want to combine. 2. Click on the first swimmer and drag them to the lane where you want them to compete. 3. Repeat for other swimmers in the heat/event. 4. Select the second race you want to combine. 5. Click on the swimmers you want to move and drag them to the lanes. 6. Review the heat sheet to insure the same lane isn t used twice. 7. Make notes on the heat sheet so the coaches and officials (and you) know which races are combined. If you run into a situation where non adjacent heats could be combined (example heat 3 of event 11 and the last heat of event 12 (6 & under 25 free), you can use Meet Manager to switch some heats. In this example, assume we have just two heats of event Since CCL puts the slow heats last, we don t have to change event In the Run screen, select Event Click the Adjust button. 4. Click Switch Heats at the top of the screen. 5. Enter selections to switch Heat 1 with Heat 2 (to match our example). 6. Click OK. 7. You will find the slower heat of event 12 is now adjacent to the slow heat of event Use the lane adjustment technique above to maximize the lane usage for this race. Note: Be careful to combine races of the same distance (you don t want to combine a 25 and a 50 into the same race). PRINT LANE TIMER SHEETS This should only be completed once ALL SEEDING AND RACE COMBINING IS COMPLETE. You need to decide how often you want to collect lane timer sheets to provide to the timing console. More sheets can mean quicker turnaround. It also uses more paper, and for some events you could have just one race on a sheet of paper. A simple choice is to run 4 races at a time, using the selections at the bottom of Continuous and then 4 in the input box marked # Events Break for Continuous. 6 6/13/2015 9:02 AM
7 1. Click Reports 2. Click Lane/Timer Sheets 3. Near the top click Select All 4. Make the proper choices for Format at the bottom 5. You probably want to deselect the Using Touch Pads option. MM5 appears to remember this setting, MM4 did not. 6. Ensure you have all of the lanes selected (you can use 1 to 12 as a default) 7. Ensure you select All Heats at the bottom. 8. Click Create Report at the top. 9. Click the printer icon to print all of the lane/timer pages. For a 6 lane meet, 4 events per page, you can run through 90+ sheets of paper. So be prepared. 10. Sort the sheets and place them on the timer clipboards with pencils and stop watches. CHANGING RELAY NAMES Typically, you will experience changes where the coach asks you to change the names of the athletes on a relay. 1. From the Run screen, navigate to the appropriate relay event. 2. Click on the Rel Names in the middle of the screen. 3. (Alternatively, you can Click Relays at the top of the run screen and select the event there.) 4. Select the appropriate relay. You may need to confirm the heat/lane or the letter number of the relay in question. 5. You may have to click the Swim ups or Show Swim ups to locate the swimmer in another age group. 6. You can double click a swimmer to move them into a relay (in order) or to remove a swimmer from the relay. 7. You can drag relay names around if the coach is just changing the order (the order is important to the coach). 8. Exit the screen when you are done with the relay names. ACTIVATING MEET MOBILE FOR YOUR MEET (MM versions 4 or above) You will need a network connection to run Meet Mobile, along with a laptop configured to access the internet. If you run into Dolphin timing problems while using Meet Mobile, try another channel on the Dolphin watches. If you still have trouble, you may want to choose to not use Meet Mobile as a test. 1. From the Meet Manager home screen, click Setup and then Meet Mobile 2.5 Publishing (or similar wording). 2. I recommend choosing Full Meet Data (recommended) and also selecting Free Heat Sheets for CCL meets. 3. You will have to click on the View Contract to Agree button to be able to proceed. 7 6/13/2015 9:02 AM
8 4. On the Active.com Account Setup screen, you will have to input a name and birth date to be able to accept the terms of the agreement. 5. Click Agree on the Active.com Account Setup screen. 6. Click the Confirm button. 7. Click OK on the window about free heat sheets. 8. Select the Publish tab. 9. Choose the Team Scoring Option (meets are typically scored combined male and female. 10. You may want to un check the Display the event time line (recommended) option, particularly if you have a number of combined races. Combined races will make the meet run faster than the calculated timeline. 11. Click Publish General Meet Information. 12. Finally, click Publish Psych Sheets and Heat Sheets. 13. You won t need the Promote tab (maybe print one copy) and you only use the Report tab if you charge for heat sheets. 14. Click the folder icon or the X at the top right to close out of the Meet Mobile publishing window. DOLPHIN WATCH SETUP FOR LANE AND CHANNEL There are typically three Dolphin watches per lane. There are three settings on each watch: 1. Lane 2. A, B or C watch setting 3. The broadcast channel (the same channel for each watch and the starter module). These must be properly set for each watch. There should be no duplicate lane/a/b/c set watches. To set a watch: 1. Turn the watch on by holding down the reset button. 2. Put the watch into settings mode by holding down both the start/stop and reset buttons for several seconds. 3. The first settings are for the lane. 4. Press the Start/Stop button to advance the lane number to the proper lane, like LANE 01. Choices are lanes 1 to Press the Reset button to move to the A/B/C choice for the lane you just selected. 6. Press the Start/Stop button to advance to setting the A/B/C choice, such as TIMER A. 7. Press the Reset to advance to the choice of the channel, like CHAN Press the Start/Stop button to advance the channel to the proper selection (0 to 15). 9. Press the Reset button to complete out of the setup mode. Setting the starter module is nearly the same, but you only have to select the Channel. The other setting is whether you are using a CTS start box or a NC start box (typically a Daktronics start box). If you need to select a different channel for the Dolphin software, switch to the Dolphin window on the laptop, and change the drop down selection to the appropriate channel: 8 6/13/2015 9:02 AM
9 Once you have all of the watches on and properly set, you should look at the Dolphin software screen on the laptop. You should see two watches for each lane showing a battery status, and the starter module status at the top right. If you have the newer setup for Dolphin watches and see lane zero, click the Scoreboard Settings button and un select the option to start at lane zero. AFTER THE MEET DELIVERING RESULTS After the meet is over, you need to deliver results from Meet Manager to the teams for use in their team management software. Luckily, all the team management software tools accept the same detail. 1. In Meet Manager, select File and then Export and then Results for Swim Team Manager or SWIMS or NCAA or USMS. 2. 10 a. If you are sending results to a league office or SWIMS, you can make appropriate check box changes and export ALL teams. b. If you wish to export just the home team results, select the Team abbreviation at the top, and click OK. 4. You will be presented with a Export File Progress window identifying the count of athletes, teams, entries, relays, relay names and splits exported. You will click OK. 5. You will next presented with a prompt on where you want to store the file. Choose your location so you find them for e mailing to the correct individual(s) (a USB flash drive can be convenient). 6. You will be presented with a confirmation message on the export of the results. 7. Send the results to the appropriate individuals. BACKGROUND SETUP & ADVANCED OPTIONS COMPUTER SETUP SUGGESTION Because it can become hot at a swim meet, you should consider a cooling pad. Experience teaches us that a computer that overheats will shut down as a safety measure. A powered off computer makes it very difficult to run Meet Manager. And you won t have any way to capture the Dolphin times until you can get a computer running. This is also why it is recommended to record the Dolphin watch times on the Lane/Timer sheets. TIMING RESET ALTERNATIVES 1. Starter or designee stops and resets from the starter module. 2. Computer operator resets from a laptop. COMPUTER SETUP ALTERNATIVES A. You can run the entire meet with one laptop screen. See below for instructions to make the Dolphin race number always visible. B. Add a second screen to the laptop with an extended desktop and position the Dolphin window on the second screen for constant availability. C. Run the Dolphin meet on one laptop, and network the results to the Meet Manager laptop (this makes the reset alternative 2 easier to manage). This is the general setup for CCL champs at OSU. SET MEET MANAGER TO SHARE ONE SCREEN WITH DOLPHIN 1. Open Meet Manager 2. Start the Dolphin Software 3. Position the Dolphin screen so the Race number is near the bottom of the screen. 4. Activate the Meet Manager window 5. Click the Meet Manager icon at the top left of the screen, and select Restore. If Restore is greyed out, you are all set to go to the next step. 10 6/13/2015 9:02 AM
11 6. Click the Meet Manager icon once again, and select Size. 7. Press the down arrow once and then click the up arrow 15 times. The bottom of the Meet Manager window will rise from the bottom of the screen. Press enter when you can see the race number from the Dolphin window. 8. NOTE: ADDITIONAL RESIZE REQUIRED ON THE RUN SCREEN. 9. Click the Run selection in Meet Manager. 10. Click the Meet Manager icon once again, and select Size. 11. Press the down arrow once and then click the up arrow 15 times. The bottom of the Meet Manager window will rise from the bottom of the screen. Press enter when you can see the race number from the Dolphin window. 12. Meet Manager should remember this setup until you close Meet Manager. It does not remember window placement like other Windows programs. USING TWO LAPTOPS This setup is for an experience Windows user. It requires networking the two laptops together and creating a share on the Dolphin laptop for the Meet Manager laptop to see. 1. Network the two computers together. The easiest solution is a crossover network readily available at computer stores. This eliminates the need for a router or switch. 2. On the Dolphin computer, setup to share the C:\CTSDolphin folder. The other computer will only need read access to the folder (for those that are security conscious). 3. On the Meet Manager computer, get to the Run screen. 4. Navigate to Interfaces and then Timer (CTSD) Pool 1 and then 5. On the Select Meet window, you will need to choose Update Data Location and navigate to the share on the Dolphin computer. 6. Click the Update Data Set location and select the meet number with today s date. MEET MANAGER MEMORIZED REPORTS If you find a report setup that is particularly useful, you can use Meet Manager options to memorize the setup. A memorized report is easy to activate the memorized report settings. Let s walk through saving the Lane Time report without the using touchpads option and four events per sheet. 1. Click Reports. 2. Click Lane/Timer Sheets. 3. Pick the main session of the meet at the top. 4. Set the lane numbers at the bottom of the sheet. 5. Un check the Using Touch Pads option. MM5 appears to remember this setting, MM4 did not. 6. Set the lanes to the proper range (1 to 6, or 1 to 8). 7. When all of the settings are correct, click Memorize at the top of the screen. 8. Enter in a name for the report. My choice was Lane Timer 4 Events Per Page. 9. Click OK to save the report. 11 6/13/2015 9:02 AM
12 To use a memorized report, click Reports and then Memorized Reports at the very top. Find the report you want to use, and click Run Report. You should see the same settings in play when you saved a report. If the memorized settings aren t quite right, change the settings and click Memorize again. You can replace the memorized report, or create a new version with different settings. SETTING THE LANE TIMER SHEET COLUMN HEADERS You can setup the Lane/Timer sheet to clearly show where to write the watch times (in contrast to the Dolphin times). This has to be done once for a particular laptop, and it s set for all future Lane/Timer sheets. 1. Click Setup and then Language Preference and then Keywords. 2. Pick the item Official Time (this phrase will not appear if you have Touch Pads selected for the Lane/Timer sheet). 3. You have 25 characters to use, so the suggestion is: a. <== Dolphin b. 5 spaces c. Watch ==> 4. Click OK to save your changes. 5.
