2 Upgrade und Migration Information Upgrading the components to or a Service Pack might need some preparation to avoid complications and a negative impact on productivity. See the tips and notes for each component. The upgrade of a component and migration of a workarea depends on the SAP Workforce Performance Builder Edition and includes the following steps: Desktop Edition - local workareas 1. Back up the workarea 2. Prepare the migration 3. Install the new Producer version 4. Migrate the workarea Enterprise Edition - Manager and Producer workareas 1. Steps in old Producer and old Manager version 1. Back up the database and corresponding files 2. Back up the local workareas 3. Prepare the migration 4. Check out write permissions for the resources (master author) Note Remember to check out the write permissions before upgrading Producer and Manager. 2. Steps in new Producer and new Manager version 1. Install the new Producer version 2. Upgrade to the new Manager version 3. Create a new Manager password (only for migration from 9.1) 4. Migrate the Manager workarea (master author) 5. Migrate the local workareas (standard authors) 2.1 Migrating a Workarea Migrating a workarea allows to update the workarea resources to a newer Producer version. The migration is necessary, as a newer version of the Producer includes changes in the resources and the resource structure. During the migration the resources will be changed to the new requirements, own resources will be converted. The migration does not change the content of the workarea. The migration of a workarea is required for: o a new release o a service pack Upgrade und Migration Information 2016 SAP SE. All rights reserved. 7

Note The migration is only possible for workareas from Producer version 9.1. Older workareas have to be updated at first in a Producer 9.1 and afterwards they have to be migrated to the current Producer version. Note After migration it is not possible to use the workarea in an older Producer version. Migration of user-defined resources A workarea can include user-defined resources for creating individual learning content. Typical user-defined resources are bubble types, settings or templates. During the migration, user-defined modifications and settings are kept and converted into the new resource structure. Any adaptations are not deleted. In a workarea with an up-to-date resource structure imported resources have to be migrated individually. Migration of an Instant Producer workarea The workarea migration of an Instant Producer for the Enterprise Edition is executed automatically after the program is started for the first time. The workarea migration of an Instant Producer for the Desktop Edition can be performed after the migration of the resources in the Manager workarea (see chapter Manager Workarea - Enterprise Edition ). The synchronization is executed automatically after the program is started for the first time Local Workarea - Desktop Edition The migration of a workarea for the Desktop Edition allows to update a local workarea of the Producer. Preparation for the migration Before migrating a workarea, ensure that the following requirements are met: o Backup workareas Before migrating a workarea, create an archive, which can revert to in the event of any problems. This can be done with the Export Archive... function in the Workarea > Administration menu. o Update workareas to version 9.1 Migration is only possible for workareas from Producer version 9.1. Older workareas must first be updated to Producer 9.1 and then migrated to the current Producer version. o Take a note of trainer Configurations (only for migration from 9.1) The settings of the trainer Configuration (old trainer) are not converted. Before migrating the workarea, take a note of the current configuration. After migration, restore the configuration by changing the Playback Settings accordingly. Migration of the workarea The migration of a workarea can be executed as follows: 1. Install the new Producer version. 2. Open the Producer. Upgrade und Migration Information 2016 SAP SE. All rights reserved. 8

3. Open the workarea by clicking on Workarea > Select Workarea A dialog box opens automatically. Here the automatic migration can be started (Migrate Workarea button) or the manually check of the migration settings before migrating (Show Details button). 5. In most scenarios, it is recommended to keep the default migration settings and simply choose Migrate Workarea. Special customizations can be done by changing the recommended migration settings, click the Show Details button and make the required changes in the Details dialog box. Next, start manual migration by pressing Migrate Workarea in the Details dialog box. For further information on the settings, see the chapter 'Migration Dialog Box'. 6. The migration is now executed. 7. Click OK in the progress dialog box once the migration is completed. 8. Once migration is completed, a folder with log files opens. The folder contains archives with the changed and removed resources, as well as log information. The folder is located in the workarea folder. 9. Click Restart in the dialog box. Restarting the Producer is necessary so that the new resources and configurations can take effect. Note Do not import the outdated resources of the log folder into the workarea again Manager Workarea - Enterprise Edition In order to update the workarea in an authoring environment with a Manager workarea and a number of local workareas, the master author must perform the update in one local workarea and afterwards deploy it to the other local workareas. This achieves a consistent use of the needed resources. Preparation for the migration Before migrating a Manager workarea, ensure that the following requirements are met: Caution These requirements must be met to avoid errors during the migration process and in the migrated workarea. Note Refer to SAP Note for information on how to clean up deleted files in a database. o Backup Manager and Producer workareas Before migrating a workarea, create an archive, which can be reverted to in the event of any problems. This should be done for the Manager workarea on the Manager as well as for the local workareas of the authors. o Update workareas to version 9.1 The migration is only possible for workareas from Producer version 9.1. Older workareas must first be updated to Producer 9.1 and then migrated to the current Producer version. o The migration of a Manager workarea is only possible from Manager version 9.2. Note the following: Upgrade und Migration Information 2016 SAP SE. All rights reserved. 9

o Upgrade Manager Upgrade the Manager 9.1 to the version 9.2 or 9.x. The Manager can handle the new resources and resource structure. o Create new passwords With the Manager 9.2 the password encryption is optimized and old passwords are expired. Create a new password for logging onto Manager. This is necessary for all master and standard authors. The creation of a new password is only necessary for non LDAP-based users. Further information about upgrading Manager is available in the Operations Guide. o Save write permissions centrally Save all write permissions of the resources to the server. The write permissions are necessary for the master author to migrate the resources. This can be done by selecting a resource and clicking Finish editing. o Take a note of the trainer configuration (only for migration from 9.1) The settings of the trainer Configuration (old trainer) are not converted. Before migrating the workarea, take a note of the configuration. After migration, the configuration can be restored by changing the Playback Settings accordingly. Migration steps for the master author The migration can be executed by the master author as follows: Steps in old Producer and Manager version 1. Open the workarea in the old Producer. 2. Open the workarea by clicking on Workarea > Select Workarea... If the authentication dialog box appears, enter the user data with the new password. 3. Start editing resources to get all write permissions. Select the Resources tree and click on Manager Workarea > Start editing all objects Close the Producer. 5. Click Shut down in the dialog box. Do not return the write permissions. 6. In Manager, delete all resources from the trash to prevent the objects from being restored. Steps in new Producer and Manager version 1. Upgrade the Manger to the new version. 2. Install the new Producer version. 3. Open the Producer. 4. Open the workarea by clicking on Workarea > Select Workarea The authentication dialog box appears. Insert the user data with the new password. Note Log on with the user data as used for the checkout of the write permissions to avoid permission errors. Switching Producer versions may cause the authentication dialog box to appear twice. Enter the user data again. 6. A dialog box opens automatically. Here the automatic migration can be chosen (Migrate Workarea button) or to manually check the migration settings before migrating (Show Details button). If the write permissions are missing or cannot be retrieved for the current user, choose Load from Manager in the dialog box, in order to carry out the migration by downloading the resources directly from the manager. As with compound documents, book pages can be inserted as image or as text which can be set in the Documentation Settings -> Included Objects Screen Images Tooltips Screen titles are used as tooltips in Microsoft Word, PDF and HTML documentation output, to further enhance the accessibility of generated documents Cross-Project Links in Compound Document Cross-project links are handled as bookmarks in the compound document, to enable chapter spanning navigation in the generated document Arrow Macro Color The color can be defined for the documentation arrow within the macro editor SAP SE. All rights reserved. 31

Generate Compound Document via Toolbar Compound documents can be generated directly via the Producer toolbar. 3.9 Desktop Assistant Naming The navigation content types have been renamed: The Context Assistant is now called Context Help. The Process Assistant is now called Guided Tour., Navigator New Desktop Assistant Look and Feel The new Desktop Assistant layout provides an improved content representation, offers an optimized overview and faster access to the offered contents: The object description is shown as a preview in the main window for each object A default content type can be defined for the instant start of a simulation mode or documentation Project details are displayed within the same window to reduce the application overlay Context help and request content can be accessed via the new sidebar submenu When a Desktop Assistant is busy, an icon indicates the loading progress within the side bar and the main window Scrolling is supported within the project and step list Search hits are highlighted Components: Navigator 2016 SAP SE. All rights reserved. 32

3.9.3 Sticky Notes Sticky notes can be created by end users from within the Desktop Assistant sidebar to add personal information and links to their application context. The created note will appear automatically when the user is working in the same application. The option has to be enabled within the central settings of the Desktop Assistant. Type of change: New Feature, Navigator Creation of Navigation Projects To make it easier to create Guided Tours and Context Help, navigations can now be recorded and edited directly within the application. Bubble size, orientation and position as well as the text can be changed directly after the object has been recorded. In addition, explanations can be inserted from the recording bar., Navigator Auto-Generate on Content Publishing When content is published manually or automatically by using publishing rules, the Desktop Assistant is generated automatically to ensure the latest updates are included., Navigator Force Next Step Button in Guided Tours It is now possible to force the display of the Go to next Step button in any step of a Guided Tour. This means the Guided Tour can be also used to explain new and updated interfaces or object groups. This setting can be activated within the property sheet., Navigator 2016 SAP SE. All rights reserved. 33

3.9.7 Force Display of Context Help It is even possible to force the display of Context Help bubbles when the user has disabled the Context Help in the sidebar. This means the display of information can be ensured, especially for compliance-relevant, new, updated or critical fields. This option can be set within the Advanced section in the macro properties., Navigator Focus Layer The focus layer, which is used to emphasize the current step in a Guided Tour, can now also be set on step level. This allows you to switch individual layers off for modal dialog boxes, for example, or use them for explanations. The setting can be activated within the property sheet., Navigator Context Help Display Variants The Context Help now offers three display variants for different use cases: Icon: Shows an icon next to the object. When the mouse cursor hovers over a bubble, further information is displayed. Tooltip: Displays information when the mouse cursor hovers over an object. Bubble: Shows information by default next to the object., Navigator Record Context for Other Objects Adding and updating context information for objects other than navigations has been improved. Each individual context can be updated, replaced or deleted separately if more than one context is assigned to an object., Navigator 2016 SAP SE. All rights reserved. 34

Guided Tour Handling The general handling has been improved: A Guided Tour can be closed directly from within the object bubbles. The look and feel of the exception dialog box has been improved. There is now a zoomable preview of the required step. The message shown at the end of a Guided Tour can be disabled within the style macro Convert Simulations into Guided Tours When a simulation is converted into a navigation project, any hotpots contained in the simulation will be converted into explanations., Navigator Hide Context Help during Guided Tour Playback To reduce the number of screen elements, the Context Help can be disabled globally, which means it is not displayed during the playback of a Guided Tour. Forced Context Help elements are still shown. The setting can be activated in the global settings under Navigator -> Controls and Behavior -> Hide Context Help in Guided Tour., Navigator Replace Regular Expressions The Replace Page Key Attribute dialog has been enhanced and now uses regular expressions for search terms. This allows you to replace multiple page key values in one go. In addition, a preview has been added for checking the values before they are replaced., Navigator 2016 SAP SE. All rights reserved. 35

Request Content per URL If no mail client is available on the user's machine, a URL can be used for the request content option. The application name and executable are passed automatically. The URL has to be entered within the central Navigator settings., Navigator Caching The caching logic has been optimized by removing and replacing the stale interval option with the Use Caching option. The lesson.js is now the indicator for any updates. If the lesson.js has been updated on the server, the cached files are checked for updates as well. If there are newer files on the server, the local files will be overwritten. In addition, the default path for the caching folder can be changed. The path can be changed within the Navigation Playback Settings., Navigator Multifile Support Multifiles can now be read by Navigator to avoid the need to publish simulation and navigation content separately., Navigator Form Mode Style The bubble style of the Form Mode bubble can be changed within the central settings via Navigation Playback Settings -> General -> Form Mode., Navigator 2016 SAP SE. All rights reserved. 36

Mini Icons A further icon set is shipped with enlarged icons. This new style can be created within the Style Editor., Navigator Form Mode in Context Help The form mode can now also be used for the Context Help. The option is located in the properties for a screen macro. Components: Navigator Cross Browser Support for URLs Newly recorded navigation projects using the URL as page key attribute can now be played back in different browsers (Internet Explorer, Firefox and Chrome). This is supported for re-recognition on page level only. Type of change: New Feature Components: Navigator 3.10 Content Publishing Publishing via Command Line Publishing via command line allows to automate the publishing process according to existing publishing rules. The command line is created by specifying the workarea and the ID of the respective publishing rule. Multi deployment is now also supported; further publishing rule IDs can be added that are separated by commas or semicolons. Further details can be found in the Producer Online Help in the publishing rules section SAP SE. All rights reserved. 37

Publish to SuccessFactors Learning It is now possible to publish directly from Producer to SuccessFactors Learning solution (from build version b1508 onwards). The manifest file (imsmanifest) will be written directly to SucessFactors Learning. Please note that the actual content - in SCORM 2004 th Edition format - needs to be published to a webserver separately SCORM Publishing SCORM publishing has been optimized as follows: The option Include Documentation does only refer to Producer generated documents. Externally created and imported documents will now be included automatically. To keep the LMS tracking data reference, the same ID is used in the imsmanifest.xml when updating and exporting courses. Text units are included in SCORM export when they are linked to a book page by using the Template for text units option Clean Up Target Folder When the option Clean up Target Folder is activated and the location contains non-producer files, a prompt appears asking to confirm the deletion of the target folder. In addition, deleted files are not deleted permanently anymore - they are moved into the trash instead SAP SE. All rights reserved. 38

3.11 Content Playback Presentation Modes The presentation modes have been optimized as follows: The first step is not executed automatically in Guided Presentation mode. The last screen waits for a presenter action before it is closed. An information is shown in the Free Presentation Mode if F1 is pressed for a hotkey action. The F1 highlight color now uses the Help Color parameter which can be found within the central settings -> Playback Settings -> General -> Highlights. The next step is now always shown in the Free Presentation Mode even if an edit field does not contain any input value New Hotspot Highlight Effect For recorded hotspots there is now a dedicated highlight effect which will apply to all hotspots throughout a simulation automatically. Besides the automatic use the author can also decide to use the hotspot highlight effect in general by specifying the corresponding setting in Settings > Playback Settings > General > Highlights > Effect > Hotspot Visibility of Buttons in Player Bar New settings were introduced in order to specify which buttons should be offered to the learner within the player bar, be it for simulation and/or for book playback. It is now possible to specify the visibility of the Help and of the Exit button within the settings. Settings > Playback Settings > trainer - Global / book reader > Control bar > Show Help/Exit button 2016 SAP SE. All rights reserved. 39

Library improvements The library display has been improved by the following topics: The filter list in the library is ordered alphabetically. Tooltips are shown for any content types which are listed as results of a library search. Hovering above items in the library view, a tooltip including the full name of the corresponding item is being displayed. The logo displayed in the library view now contains a link that will display the library root on click. Groups displayed in the library view can now be expanded by clicking the corresponding group name. It is no longer necessary to exactly hit the expand icon besides the group icon SAP SE.
