1 Webvantage blue Client Portal General Information The Webvantage blue Client Portal allows you to provide real-time information and a communication and collaboration portal to your clients, through a web browser. Client Portal Users are restricted to applications and reports based on security settings that you define, and they are limited to information based on their client, division and product settings established in Client Contact Maintenance. Below are the applications, reports and workspace objects available. Application Options Available Options for Use Alerts Add New, View/Print/Send Alert Popups Calendar Inbox, Dismissed, Sent, Received, Filters. Standard Alerts only, no Alert Assignments. View View/Print/Send Day, Week, Month and Timeline Export Month View to Calendar Filter for Division, Product, Job Various display options. Use to communicate and collaborate on any topic. Include attachments and make comments. Alerts are sent via with a link back to the Client Portal or Webvantage Alert Inbox. Listener Support is available. If activated, a popup window will appear on the workspace when new Alerts are received. Use the Calendar to view current/open projects and assignments by Day, Week, Month, and Timeline views. Right-click to drill down to Task details including hours posted. Use the Calendar Interface feature to export Tasks from the Month View onto your Outlook or other supported Calendar. Task Drill Down to Details Search for Open and Closed Projects Details (View/Print/Send) The includes all job details but also links (where rights permit) to other job area such as Alerts, Documents, Schedules, etc. See below. 2 Alerts (View/Add to Job) Job Status Job Status provides a quick snapshot of various information for the job: Details Includes basic Job Information. People Displays the employees associated to the Job and Project Schedule. Alerts Displays the last Alert sent for the Job. Schedule Displays current Project Schedule details. Documents View, Upload, Download Creative Brief View/Print/Send Use the Documents area to view, download and upload job-related documents. Alerts may be initiated at the time of upload to inform the default contact or alert group. Includes the ability to add comments onto documents, using the document comment feature. View and print/send the Creative Brief. Use Alerts to communicate and collaborate on the Creative Brief. Client portal users may approve the Creative Brief, but cannot edit approval if done by Agency. Listener Specifications View/Print/Send Job Versions and User Forms (Change Orders) Add New/Print/Send Project Schedule View/Print/Send Standard Replies Print/Send using the Floating Action Button. View and print/send the Specifications. Use Alerts to communicate and collaborate on the Specifications. Client portal users may approve the Specifications, but cannot edit approval if done by Agency. Print/Send using the Floating Action Button. Client Portal Users can add new Job Version forms for any reason and can print/send them a part of an Alert to initiate a process or trigger an event. Client Portal Users cannot edit Job Version forms that they did not create themselves. Print/Send using the Floating Action Button. Use the Project Schedule to monitor the progress and view assignments. View and print/send the Project schedule reports. Client Portal Users can be assigned to Tasks on a schedule, so they may use the schedule to see where their tasks are on the process. Print/Send using the Floating Action Button. Setting up the Client Portal Licenses The Client Portal is limited to the number of users that you are licensed for. These licenses are PER SEAT and not concurrent. Refer to your Advantage contract or contact your sales representative for information on Client Portal licenses. The Help/About window in Advantage or Webvantage will display the number of licensed users currently available, and how many are in use. Setup Client Portal Users - Advantage Client Portal Users may be created for Client Contacts that exist in Advantage in Client Contact Maintenance. Maintenance Client Client Contact application: The Client Contact must be marked as Client Portal User. Check the Get Alerts and Recipient checkboxes if the user should receive alerts, s or both. Note that this does not allow or restrict access to the Alerts module, but indicates whether the user can receive alerts or messages. Client Portal Summary Users Guide Updated 11/15 Page 3
4 Security Setup Client Portal User application: You may need to unblock this option for yourself in Security Setup first. Unblock the Client Portal User module found under Advantage Security Setup. Client Portal Summary Users Guide Updated 11/15 Page 4
5 Use the Option toolbar to Add, Edit/Update, Delete and Change the Password for Client Portal Users. Add a new Client Portal User. o Select the Add button. The Add Client Portal User window will be displayed: o Select the Client from the dropdown. o Select the User, which will be limited to existing Client Contacts for the selected Client. Note: Only Client Contacts that have been designated as a Client Portal User will be available in the dropdown. o Enter a User Name that will be used for signing into the Client Portal. This must be a unique name across all clients and contacts. o Select a Workspace Template (see notes below on adding a Workspace Template). Leave blank if desired. o Enter a Password. o Select a default Alert Group and Agency Contact. This selection will be used for Client-initiated alerts where applicable. 6 To Edit and Update the Client Portal User s information, select the Client Portal and click the Update button on the ribbon. o Modify the Client Portal User s information and click Update to save your changes. To Delete a Client Portal User, select the Client Portal User and click the Delete button on the ribbon. To change the Client Portal User s password, select the Client Portal User and click the Change Password button on the ribbon. o If a user is locked out (failed attempts to login), reset the password to reactivate. Establish Access Select the access to Webvantage Applications for each Client Portal User. This is where you can control with Desktop Objects, Applications and Reports that the Client Portal User will have access to. On the Module Access tab select the application and determine rights. o To restrict a module, highlight the module and check the Is Blocked checkbox. o To allow access to a module, highlight the module and uncheck the Is Blocked checkbox. o Note that multiple modules may be highlighted and set at once. o To restrict the Client Portal User from accessing Client Portal entirely, check the Is Blocked from Client Portal checkbox. 7 The C/D/P Access tab is read-only information to indicate the Client, Divisions and Products that the Client Portal User is associated with. This is driven by what is available to that user in Client Contact maintenance. Client Portal Users will be limited to accessing information for the client, divisions and products listed. To edit this list, make change in Client Contact Maintenance. Following is a list of the applications, reports and desktop objects available in Client Portal where security may be established. Most applications provide view and print/send access only. Some applications (as noted) allow for new records to be added by the Client Portal User. 8 Client Portal General Settings (Located in Webvantage/Security) Webvantage Client Portal Settings contains options that you must define prior to giving access to your clients. Options include: Indicating the Webvantage and Client Portal Host/Folder names. This information is used when providing Alert links back to the appropriate program. Client Portal Default Logo For All Clients Client Portal Default Wallpaper For All Clients Client Portal Administration by Client Allows individual settings by individual Client for: o Wallpaper (Standard) o Theme (Standard) o Logo (Custom/Upload) o Wallpaper (Custom/Upload) Workspace Template Setup. Advantage Setup (prerequisite) In order to create Workspace Templates you must have the option Create Workspace Template activated on the Group Settings tab (Security Setup Group Setup). Client Portal Settings From the Webvantage Menu access Security Client Portal Settings to access the Client Portal General Settings screen. Host/Folder Name o Enter the Host/Folder Names for Webvantage and Client Portal. Client Portal Customization Client Portal Summary Users Guide Updated 11/15 Page 8
9 Default Client Portal Settings Information o Select the default Logo and Wallpaper for the login screen and desktop. The selection here will apply to All Clients that do not have a specific Logo and Wallpaper. If a selection is not made, the default Wallpaper and blue logo will be displayed. Client Portal Administration by Client To select specific Logos and Wallpapers for individual clients, select the client from the dropdown (above Logo section). Select the 'Enable Agency Branding' to override the 'Default Client Portal' Settings per Client. o Upload your logo or your client s logo and matching wallpaper to customize and brand the Client Portal site. The following options are available to customize wallpapers, themes and logos per client: o Logo select a default logo for the client. Client Portal Summary Users Guide Updated 11/15 Page 9
10 o Background - Decide if the Background should be Wallpaper or a Solid Color. Wallpaper select from a listing of pre-defined Wallpapers for the client. Solid Color select the background color from a color grid for the client. o Theme - Select a default Theme for the client. The theme can be selected to match your Wallpaper or solid color background, and logo. Workspace Options Float Objects - Select if the Workspace Objects will be 'stationary' or 'float' on the workspace. o Float - When the 'float' menu is used, all the Workspace Objects on the desktop can be moved around the desktop and resized as desired. All Workspace Objects will also be included in the 'Favorite' icon on the toolbar, along with any applications marked as 'Favorites' in Workspace Manager. The 'Favorite' icon will appear even if 'Favorites' isn't activated within the Workspace Manager. o Stationary - The Workspace Objects are displayed within the panels selected within Workspace Manager and cannot be adjusted. Menu - Select how the Webvantage Application Menu will be displayed: o Horizontally (Full Menu) o Vertically (Short Menu). Click to Open App Menu - Use this option to display the menu options by clicking on the Menu. Click to Open User Menu - Use this option to display the 'Workspaces' by clicking on the Menu. Enable Weather - Use this option show current weather, located when hovering over the date on the menu bar. Note: If there is a delay when signing into Client Portal, disable the Enable weather option. Setup Workspace Template Use the special Client Portal Workspace Manager to setup a Workspace Templates that can be applied to Client Portal Users (in Client Portal Security). Click the Setup Workspace Template button. Click the Add button to create a new workspace. o Enter a workspace name and click the Save button. Design the Workspace by selecting Desktop Objects to include. o There are two panels to add Desktop Objects to the workspace. The panes are used to arrange the objects when the floating object option is not used. If the user decides to float objects, the placement of objects within the panes does not matter. o Click Add Objects on the panel to add the Desktop Objects to. The available objects will be displayed. Highlight the objects and drag and drop into the panel. Client Portal Summary Users Guide Updated 11/15 Page 10
11 o To remove an object from a panel, highlight the object and click Delete Selected Objects for that panel. o When done, click the Save button. After the Workspace has been created, click Save Template to create the Workspace Template. Enter the Template Name and click the Save button. The Workspace Template will now be available within Client Portal Security to assign to Client Portal Users. The Client Portal User also has the ability to create/edit his/her own Workspace using the Manage Workspaces within Client Portal. Options: Create Workspaces. Add Objects. Add Favorites (select applications to add to favorites). Set Float option (determines whether the objects will float or be docked within panes). Short Menu or Full Menu.
