1 Getting Started With Blackfish Tools Welcome to Blackfish Tools This handy guide will help familiarize you with Blackfish Tools. As for our system requirements, all you need is a modern browser. Internet Explorer 7 or higher works, but for a better experience we recommend Firefox 3.5+, Safari 5+ or Chrome. What to expect In this guide, you'll learn how to: Table Of Contents 1. 2 The Admin Profile Page Personal Info The personal info section asks you to enter information that will be displayed for your admin user account. Roles The roles section presents two options, Administrator and User. Account set to administrator will be able to view and edit all components of the websites. User accounts will only be able to edit stories that they have authored. Stories This section shows all the stories that you have authored. Add a New Story This will direct you to the Create a New Story Page which will be explained in greater detail in the Stories section of this manual. Update Remember to click the update button at the bottom of the page in order to save your changes.

3 The Admin Homepage The Admin Homepage serves as the central nexus of the Blackfish site. From here, you can link to almost any component of the site, from the stories to the tags. After logging into Blackfish with your user name and password, you will be directed to this Admin page. Use this link to explore Stories, the building blocks of Blackfish Use this button to explore Blackfish s options for uploading pictures and other files Stories links to articles that everyone can see, Unpublished stories are those stored on the website that only admin users can see and edit Files only admin users can see and edit This button will direct you to a complete tag list for the entire site Use MenuSets to customize the menu options that appear on the site Use the Users and Roles options to assign what people can and can t access on the website

4 The Story Page Stories are the building blocks of a BlackFish web site. A Story page is just another word for a web page. We give you the ability (without having to do any html coding) to create Story pages using the following tools. A story page consists of the following different sections: 1 Text Text consists of; Title, Tagline, Pull Quote, and Body Text--all of which are editable using the editor Primary Image, Embedded Images, and Related Content Primary Image Stories can have a Primary Image, embedded images, and Related Content (files). Images and Related Content are optional. 3 Menu Option Body Text 2 Pull Quote Here you will find the menu options that appeared next to the story on the main menu.. 4 Related Stories Have you written other stories that relate to your current story? They can be connected by the Related Stories option and they will show up here. 5 Tags Create a unique tag for your story or choose from the existing list. Tags allow your to create collections of stories and files.

5 Story Edit Page The Story Edit page can be divided into two sections; the top - where you ll find steps 1-6 for editing specific details of your story, and the bottom - where you ll find checkboxes and drop down menus that will let you define options regarding the placement and layout of your story within the website. Create/Edit Text This page is the same as the New Story Page that was discussed previously. Choosing this allows you to edit your stories; Title, Tagline, Pull Quote, Short Description, and Description (or Body Text). Associate Tags Use this step to either create a unique tag for your story or choose from the numerous ones already created. Selected tags will show up in the sidebar of your story and allow people to view related content that s been tagged. Associate Files Allows you to add a files--jpg, PDF, DOC, etc., or let s say you choose multiple files from the entire collection of files and associate those files with your story. Associate Stories Have you written other stories that relate to your current story? You can connect them through this step or browse the collection of stories and add stories that relate to yours.. Edit Menus Are there other staff or faculty involved with this story? Use this button to link a someone else to your story. 6 Location Offers the author the opportunity to share where the story was reported from if out in the field.

6 The bottom portion of the Story Edit Page has several options for the presentation of the story. Portal Options The check boxes in this section allow you to select a portal page on which you wish your story to appear. You can choose multiple portals (by checking multiple boxes) and your story will appear on all that are checked. Page Attributes Published is by default not checked when a story is created. If you check published, the story will be included in site searches. Related Stories at Bottom when checked, will show stories that are associated with the new story to be shown at the bottom of that story. Home Page Slideshow when checked, will use the primary image from that story within the Home Page Slideshow. News when checked, means that the story will automatically appear in the News section, and any other sections that are designated. Featured will place your story on a portal page(s) that have a Featured type story column. Personal Web Page/Cruise Page/Home Page: Allows you to create personalized or template based page for the site, see the Home Page Template section for more information Date: The date determines the placement of the story in its portal. More recent stories will be at the top, older stories will be towards the bottom. Author indicates which admin user added the story. Category

7 This is a drop down style selector. You have four options to choose from: Person, Portal, Project, and Gallery. Person will place the story in the People Directory. Also, when this is selected and Update has been clicked, the Person Sub Category drop down will appear below it. This will allow you to define a subcategory for the story in the Directory: Faculty, Staff, and Graduate Student. Partners, Portals, Blogs, and Poems are other options for categorization Banner This drop down allows you to select the banner graphic that s appropriate for your story, i.e. if you are creating an Undergraduate story you would then select the Undergraduate banner from the drop down. Make sure you click Update or the choice will not be applied. As always, changes will only be saved when the Update button in the bottom left corner is clicked.

8 Story Templates Blackfish provides many templates for pages that allow quick and easy production of an array of pages Home Page Template Home pages are the central nexus of Blackfish. Home pages provide viewers with a variety of stories and information in a clear, organized manner. They also have customizable banner pictures and menu sets. Gallery Galleries are perfect for sharing and displaying images as well as video. The selected image/video will be displayed in the middle, with other options from the gallery down below.

9 Cruise Template The Cruise Page gives the user the ability to customize their menu and their banner picture in order to display the research vessel. Personal Web Pages Personal Web Pages allow users to turn stories into their own personal web pages. A personal web page allows users to customize their banner and their menu set.

10 Creating a Story 1 Create & Edit Story Text There are two required fields for stories: a unique title and the Page 1 section which serves as the body text. There are other, optional fields that can make the layout more interesting, such as the Pull Quote and Tagline fields. You can also add Meta Keywords and Meta descriptions to your story to make it more accessible to search engines. Fill out the fields and click Update at the bottom of the page. 2 Associate Tags The Title and Page 1 fields are mandatory Tag clouds can be a useful way of connecting other files and stories with your story. To add a tag, select Search and then choose from the list of existing tags. Check the ones you want and then click the Add Selected Tags button below. The selected tag(s) will then show up on the lefthand sidebar of your story page. You may also create a new Tag by selecting the Create a new Tag option.when a tag is clicked it will take the user to a page showing all of the stories and files that have that tag. 3 Manage Files You can add a single tag with the green button, or check several boxes and add many tags at once. When creating a story images can be used to enhance the impact of the story s message. We ve given you the option to put in images in a few different places. First, there s the Primary Image. This image will reside either all the way across (Wide Layout format) the Description or Body Text area or be displayed at about half the size in the upper right hand corner with the text wrapping around the image. The smaller image format is automatically chosen as the default setting. The manage files option allows you to add, associate and embed files and pictures into your story.

11 The Manage Files page allows you to designate a photo as a primary or embedded image. Select the P button to make a picture a story s Primary picture. Select E1 or E2 to assign a picture as an embedded picture. 4 Associate Stories This step lets you relate your story to other stories within BlackFish as well as remove stories that you no longer want to have related with your story. If you currently have stories related to yours they will show up under the Associated Stories title. Click on the Search link and below that the all the stories are revealed. You can also search for particular stories using the search text field. Both options will reveal a primary image thumbnail for each story, it s title and a checkbox. If you see a story that you d like to relate to, check the checkbox (note: you can check multiple stories) and then click on the blue linked text Add Selected Stories. This will relate these stories to your story and they will show up on the lefthand sidebar of your story page. Remove a story by selecting a story and pushing the remove story option below. 5 Selecting MenuSets The Edit Menu portion of the Edit and Review interface is used to assign templates for the menus that appear on the stories. See the Creating and Editing MenuSets section for more details. As you can see on the right, the MenuSet Selection tab allows the user to assign a a menu from the various choices.

12 6 Location The Location page allows you to post your current location at the time of a story. This is a useful feature for those writing from the field, who may want to share their location in the field.

13 Adding Files To add a file to the Neptune site click the New File button. When clicked you will see the Create File screen. At left is the Create File screen. Here you will need to give the item a Title, and a Description. A text editor has been provided for the Description field (shown at left). Next select the file type you wish to upload: Once you ve determined the type of file you ll be uploading click the Choose File button. You ll then be prompted to locate the file on your computer. Select that file and then click the Create button to complete the process of uploading it into BlackFish. Once your file has been added to site, it can be accessed by going to the Admin home, and selecting the Files option. Here you will be able to search for Files, which are organized from most recent to oldest. You can also filter for files that are published and unpublished on the site, or for content specific files. To edit a File, simply click on it, and then select the Edit button on the right hand side, under the Download/View Button.

14 Creating and Editing Menu Sets Blackfish tools gives the user the ability to create and edit various menus throughout the site. In order to edit menus, start at the Admin Homepage. A Menu Set is a menu that appears on a website that helps direct website traffic to different sections of the website. On the left is an example of a menu set on Neptune s Homepage This menu set appears on the main page of the website, and directs visitors to many different areas of the sites, such as general information about Neptune and various projects Neptune is involved with. To the right is a menu that has been created specifically for the Visions 2012 expedition. It features options that direct visitors to mission specific fields, such as the students and partners involved in the project. Both of these menus are examples of how Blackfish s Menu Sets allow the user to tailor menus to their specific needs and wants.

15 Creating a New Menu Set In order to create a new Menu Set, start by selecting the Menu Set option from the Admin Homepage. This will bring you to the Menu Set List, which shows all the Menu Sets present on the site. Use the New MenuSet button to create new menu On the Create MenuSet page, you will be asked to provide a title for the Menu Set. This title will not be shown to viewers of the website and will only be used for organizational purposes. After creating a new MenuSet, you will be able to add Menus to the set. These Menus will appear on the website. The Menus listed here correspond to the Menus viewable on the website. This MenuSet controls the Menu that appears on the Neptune Homepage. Editing Existing Menu Sets In order to edit Menu Sets, simply click on the Edit button of an existing Menu Set, this will enable you to add or delete Menu options from the Menu Set.

16 Adding Menus to Stories Once you have created a MenuSet,it will not immediately appear on the website. First, you will need to select which stories you want it to appear on To do this, go to the specific story that you wish to add a MenuSet to. Click the Edit button and go to step 5 of the Edit and Review Page, Editing MenuSets. Creating SubMenus Some Menus have menus within them, called sub menus. These submenus appear when the cursor is moved over the menu option. In the case on the right, when the option About is scrolled over, a submenu with more specific options appears.to create submenus, click the Edit Button on the desired MenuSet, and then click on the specific Menu that you wish to add a sub menu to.

17 Users and Roles On Blackfish, there are two different types of user accounts, Administrator s and Users. Administrator accounts are able to access and edit all parts and components of the website. They can view all files, and edit all stories, including stories that they aren t designated as the author. User accounts are accounts with limited access, they can only edit the files and stories that they add to the site, or the files that they are designated as the author. Administrator User Can access ALL files and stories on Blackfish Can only access files that they authored The User Homepage You can reach the User List by clicking the Users button on the Admin Homepage. The Admin Homepage has a comprehensive list of all Users for the Blackfish site.

18 Creating a New User To create a new User, simply click the create New ShiroUser button at the top of the list. Assigning Stories to User Accounts In order to assign an article to a User account, you must assign them as the author of the story. To do this, go to the particular story and press the edit button. On the Edit and Review page, there will be a section entitled Author. Change this to the desired User. This name will not show up to website viewers as the author, but it does mean that the User will be able to make changes to that particular article. Without being assigned authorship, the User cannot make changes. Assigning Roles As mentioned earlier, you can edit roles by changing them on User profile. You can also view user s roles in the Roles section of the website. To reach the roles section of the website, access the Admin Homepage.Click on users, then select which role you would like to edit.from here you may also create new roles. Use the New ShiroRole to create a new role for Blackfish. Click on the Administrator or the User buttons to edit those roles. Below you can see the User permissions, along with the people who have that role assigned to them.
