4 1 Providing the right product information for food sold online In November 2011, the European Union (EU) published a new regulation regarding food information which has come into force on December 13, The goal of this regulation is to ensure that consumers can make informed purchasing decisions having access to information about the product such as nutritional value, ingredients, instructions for use, etc. The regulation also specifies certain labeling rules concerning colors, printing, font size and specifies that the basic product information must also be available to the consumer who buys prepackaged food online (= distance selling). EU 1169/ short summary of the distance selling chapter of the regulation: The EU Food Information Regulation (1169/2011) requires that a significant amount of food information must be available to the consumer before purchase of the prepackaged food on a website, app or via another distance sale method. This mandatory information must be available on or through the website or via another electronic channel. If the pre-purchase information is not available, the prepackaged food may not be sold. If the brand owner does not make the relevant information available for the retailer in an electronic format, it will be difficult for the retailer to sell the food on its website. A system of co-operation between the brand owner and retailer is required to ensure that accurate and complete mandatory food information is available to the consumer prior to purchase. This regulation places a clear responsibility on those involved in the supply chain to make sure that the information available on the package is also available to the consumer when buying food products online. Trustbox: the Belgilux solution to meet EU 1169/2011 Trustbox is a sub-brand of GS1 Belgium & Luxembourg and is built according to the international GS1 Source standard. This document aims to provide information on how to share product information using the trustbox Excel upload template and how to fill it in to comply with the regulation. The manual will not explain the regulation itself into detail, but references to specific parts of it on an attribute level. Please note that the starting point for entering data is (for a large part of the attributes) the data available on the physical label. 2 General information for the use of the Excel template Throughout this manual we will use screenshots and often add fictional data in order to illustrate certain aspects of entering data via the trustbox Excel template. 4

5 2.1 Connect to trustbox In order to connect to trustbox, visit and login using the credentials received by GS1 or created by your trustbox administrator. 2.2 Download the empty trustbox template Once you are logged in, go to the 'Product import' menu. Select the first template: "GS1 Source Import Template - Excel". Then click on the Download Template button. You will be prompted to download the Excel document. 5

6 2.3 Download existing products in the Excel template If you already have a product in trustbox and want to download it in Excel to modify it, or to serve as an example for other products that you have to fill in, you can download existing product data in an Excel template. To do so, click on the 'Product Exports' menu item on the left Create a template An export template is one export configuration, in which you can choose the export s format, data channel, compression, product status and schedule. You may create as many export templates as you want to fit your needs. To create a new export template, click on the Create A Template button. You will then be able to configure your export: 6

7 The following fields will need to be set: Template Name: choose whatever name you want for your export. Note that the template name will be integrated in the name of the file that is exported. Select Export Format: choose the Excel template (GS1 Source Template). 7

8 Select Compression: you can choose between no compression at all, or a ZIP file. We recommend using the ZIP file, as it will be faster to download. If you have not created an FTP account (cf 2.5.4), choosing the ZIP compression is mandatory in order to be able to download the export. Status: choose the status of the products you want to export. Suppliers will be able to choose between Loaded, Validated or Both. Recipients will only be able to choose 'Validated'. Select Export Schedule: choose the desired export schedule for this template (daily, weekly, monthly or only ondemand). o To download the products in Excel whenever you need them, choose 'on-demand'. Select Export Type: you can choose between: o o o FULL_EXPORT: export the whole product catalogue INCREMENTAL_EXPORT: export only the products that have been modified since the last export (only if you choose the daily, weekly or monthly export) DATE_RANGE: export only the products that have been modified between the two indicated dates (only if you choose the 'on demand' export). Select Filter Type: you can choose between: o o o None: do not apply any filter on the export Exclusion: select this if you want to exclude some supplier(s) from the export. Once the option is selected, you will be able to select one or more information providers to exclude Inclusion: select this if you want to export only the products of some specific suppliers. Once the option is selected, you will be able to select one or more information providers to include Trigger a manual download In order to generate a new data export based on an existing template, click on the arrow icon under the Request Export column for the desired template. The export will then be generated and you will see it displayed in the Export Request Summary section. 8

9 2.3.3 Download an export Each export will be visible in the Export Request Summary section, underneath the Export Template section. You can download an export directly from the web interface. To do so, click on the icon under the Download column for the desired export in the Export Request Summary section. 2.4 Tips & Tricks to fill in the Excel template Some attributes are described as attributename + language code or attributename + measurement unit code. In this case, the attribute needs to be filled in in two columns. The first column is the actual value of the attribute, and the second columns is the language or measurement code. Every attribute has its datatype displayed in row 6. This tells you what kind of information should be entered in the field (e.g. characters, string, countrycode, decimal, ). Rows 5 and 7 are the Spanish translation of the English headers. These rows may be hidden for easier reading of the template. If you copy-paste data from another file, make sure to paste the values only, otherwise the built-in validations from the template might generate an error when uploading the file. A values-only paste can be done by rightclicking and selecting the second paste option: 9

10 When a predefined code has to be used, a dropdown menu is available for you to choose the correct code from. Excel has a tendency to auto format fields when you do not want it to, so set the cell format to Text, not General. Text will keep leading 0s in GTINs, which is critical, and values with a period as decimal separator. 3 Understanding the template The Excel document is structured in 3 main parts, from top to bottom: Part 1 contains the name of the different sections of the product sheet. For example: 'Basic Product Information', 'Allergen Information', 'Product Origin', etc. This helps you contextualize the information you are going to fill into the fields that are under a specific section. Part 2 contains the actual attributes that need to be filled in. Rows 4 and 5 give the attribute names, respectively In English and Spanish (you may hide the Spanish rows for your convenience). Rows 6 and 7 give the datatype of the attribute, respectively in English and Spanish. The datatype is an indication of the type of data that needs to be filled in for this attribute, e.g. 'Country code', '5000 characters', 'decimal', Part 3 contains the product data that you have to fill in. 4 Entering product data into the template 4.1 Basic principles You begin by entering your product information on a given row. For example, the GTIN, target market and information provider GLN of your first product will be entered in row 8. Then, every time an attribute can take more than one value, the additional values need to be entered in the underlying row. Attributes that can take more than one value are for example multi-language attributes, allergens, nutrients, etc. Let's take two examples to clarify this: 10

11 Multi-language attribute You have begun encoding your first product in row 8. You have entered the GTIN, target market, information provider GLN and information provider name in columns A to D. Now you want to enter the Product variant description in French and Dutch. You will fill in information in the first language in row 8, columns E & F (information + language code). Then you will enter the information in the second language in row 9, columns E & F, as shown in the illustration hereunder: Allergens Let's continue with the first product being filled in from row 8. If it contains allergens, you will need to fill in columns AK to AP ('Allergen Information'). If you have an allergen statement in multiple languages, you will fill in columns AK & AL in row 8 for the first language and in row 9 for the second language. You will then fill in the allergen specification agency and allergen specification name only in row 8. You will then proceed to enter the first allergen in columns AO (allergen type code) and AP (level of containment) in row 8. If there is a second, third, fourth, allergen, you will fill in columns AO and AP in rows 9, 10, 11, until you have filled in every required allergen for this product. This is shown in the illustration hereunder: 11

12 The same method should be applied for all the other fields for which multiple languages or multiple information are needed, most notably nutrients. 12

13 4.2 Entering product data step-by-step GTIN The Global Trade Item Number is the unique identifier for your product. It is generally the number that is found on the barcode, referred to in the past as the EAN code. The GTIN should have 14 digits. If your product's GTIN doesn't have 14 digits, please enter leading zeros in order to get to 14 digits. Example: Your GTIN is => You should enter Target Market Enter the country code of the country where the product will be commercialized. Use BE if the product is sold in Belgium only or both Belgium and Luxembourg. Use LU if the product is sold in Luxembourg only Information Provider GLN Enter the GLN (Global Location Number) that identifies the party providing the information about the trade item. This is the number that uniquely identifies your company (or a certain division of your company) on a global scale. The GLN is based on a GS1 company prefix. Use the GLN your company is registered with in trustbox. Ex: Product Variant Description + language code and Effective Date & Time Free text assigned by the manufacturer to describe the production variant. Examples are: package series X, package series Y, with a language code. If this attribute is filled in, an effective date and time also need to be given in the format YYYY-MM-DDTHH:MM:SS. Ex: T12:30: Product Name + language code Consumer friendly short description of the product suitable for compact presentation. Ex: 'Brand X Chocolate Cookies 200gr' Consumer Marketing Description + language code Consumer-friendly marketing detailed description of the product. Ex: "Refreshing drink with natural sweeteners" GPC Category Code 8-digit code specifying a product category according to the GS1 Global Product Classification (GPC) standard. You can find out a product's GPC code by using the GS1 GPC Browser: 13

14 Ex: Regulated Product Name + language code The prescribed, regulated or generic product name or denomination that describes the true nature of the product. For example for a food product in order to distinguish it from other foods according to country specific regulations. Ex: "Chocolate cookies" Functional Name + language code The functional name describes the use of the trade item by the consumer. It should help clarify the product classification associated with the GTIN. Ex: "salad dressing", "drill", "soup", "beer", etc Brand Name The recognizable name used by a brand owner to uniquely identify a line of trade item or services. This is recognizable by the consumer Language Specific Brand Name + language code An alternate form of the brand name for a specified language URL Uniform Resource Locator (URL) that references a World-Wide Web resource providing information about the product. Ex: Product Information Type Code + language code Code specifying the type of product information available at the specified url. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "WEBSITE", "AUDIO", "MARKETING_INFORMATION" Image Link URL Uniform Resource Locator (URL) that references a World-Wide Web resource providing an image of the product. Ex: Image Type Code Code specifying the type of images available at the specified url. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "PRODUCT_IMAGE" Image Pixel Height 14

15 The number of pixels along the vertical axis of the image Image Pixel Width The number of pixels along the horizontal axis of the image File Size + measurement unit code Measure of the size of the file, expressed as value and unit of measure code. Ex: "300" + "KB" Party Contact Role Code Code specifying the role of the party or contact. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "BRAND_OWNER" Party Contact Name The name of the party or contact expressed as text Part Contact Address The address associated with the party / contact type. For example, in case of a contact type of CONSUMER_SUPPORT, this could be the full company address as expressed on the trade item packaging or label GLN The GLN associated with the party / contact type Communication Channel Code Code specifying the type of communication channel. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: " " Communication Channel Name The name of a specific communication channel. Ex: " address" Communication Channel Value The value associated to the chosen communication channel. Ex: "info@company.com" Allergen Statement + language code 15

16 ! The The separator, should be used between the declaration of every allergen. The idea is to have an exact copy of the ingredients containing allergens, or the actual allergens mentioned in Bold, Italic or Capital letter in the ingredient statement. This could allow retailers to map the allergen information to the ingredient statement, and making it possible to highlight the allergen information in the ingredient statement on their website (preferably in Bold). use of the allergen statement is optional! Textual description of the presence or absence of allergens as governed by local rules and regulations, specified as one string. Declare here the ingredient or processing aid listed in annex II of the EU 1169 regulation or derived from a substance or product listed in annex II causing allergies or intolerances used in the manufacturing or preparation of a food and still present in the finished product, even if in an altered form as declared in the ingredient list Allergen Specification Agency Agency that controls the allergen definition. The value in trustbox should be "EU". This attribute should only be filled in once per product Allergen Specification Name Free text field containing the name and version of the regulation or standard that contains the definition of the allergen. The value in trustbox should be "1169/2011". This attribut should only be filled in once per product Allergen Type Code Code specifying the type of allergen. A list of the 14 mandatory allergens can be found in section 5.2 at the end of this document. A complete list of all the accepted allergens can be found in the GS1 Global Data Dictionary: Note: this attribute's value has to be chosen from a dropdown menu in the cell. 16

17 For every allergen type from the 14 listed at section 5.2 that is present in the product, it is mandatory to detail the presence via the Allergen Type Code and Level of Containment Code attributes. If one of the 14 allergen types is present, please indicate the type of allergen and the level of containment via the dropdown menu in the cell. If there is an explicit mention on the packaging that a particular allergen is absent from the product, then the level or containment should be indicated as 'FREE_FROM'. This section is mandatory, even if the allergens are already highlighted in the ingredients statement. Ex: "AE", "AA" Level of Containment Code Code specifying the level of presence of the allergen. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "FREE_FROM", "CONTAINS" Here is what the Allergen Related Information section should look like for a product containing multiple allergens: Warning Statement + language code 17

18 Text that outlines special requirements, warning and caution information printed on the package. Includes information on precautions to be taken before preparation or consumption of a food product. Repetitions for the same language are allowed Nutritional Claim Code Code specifying a nutritional claim applicable to the product. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "ADDITIVE_FREE" Nutritional Claim Statement + language code Free text field for any additional nutritional claims. Repetitions for the same language are allowed Health Claim Description + language code Free text description of a health claim according to regulations of the target market. Repetitions for the same language are allowed Dietary Claim Code Code specifying a dietary claim applicable to the product. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: " APPROVED_BY_ASTHMA_AND_ALLERGY_ASSOC" Regulatory Compliance Code Code specifying a specific government regulation that the trade item is in compliance with. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "PERIOD_SAFE_TO_USE_AFTER_OPENING_SYMBOL" Is Packaging Marked With Regulatory Compliance Code Indication whether a regulatory compliance code is present. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "YES", "NO" Accreditation Code Code specifying a type of recognition, endorsement or certification received for the product by following the guidelines of the accrediting agency, often expressed as a symbol or statement on the packaging. Note: this attribute's value has to be chosen from a dropdown menu in the cell. Ex: "BIO_LABEL_GERMAN" Accreditation Text + language code 18

19 Text specifying a type of recognition, endorsement or certification received for the product by following the guidelines of the accrediting agency, often expressed as a symbol or statement on the packaging. MAY be used as alternative to the code if no code is available. MAY be used in combination with the code when dynamic information needs to be added, such as a certificate identifier Consumer Usage Instructions + language code Free text containing the usage instructions of a product, which are normally held on the label or accompanying the product. This information may or may not be labeled on the pack. Repetitions for the same language are allowed Consumer Storage Instructions + language code Expresses in text the consumer storage instructions of a product which are normally held on the label or accompanying the product. This information may or may not be labelled on the pack. Repetitions for the same language are allowed Net Content + measurement unit code The quantity of the trade item contained by a package, usually as claimed on the label. In case of multi-pack, indicates the net content of the total trade item. For fixed value trade items use the value claimed on the package, to avoid variable fill rate issue that arises with some trade item which are sold by volume or weight, and whose actual content may vary slightly from batch to batch. In case of variable quantity trade items, indicates the average quantity. Ex: "750 MLT", "20 PC" Drained Weight + measurement unit code The weight of the trade item when drained of its liquid. Has to be associated with a valid UoM. This statement should be exactly the same as the one written on the product packaging. We This should be an exact copy of the ingredient statement on the package. Use the same writing method as on the label (e.g. commas as separator, only capitals for first letters of vitamins and numbers). The percentages can be included in this statement. E.g. tomatoes (20%), water, salt. This also applies for categories. advise to enter information only if it is also available on the package Additives Statement + language code A free text field describing any additives that have to be specifically included on the label to conform to legal requirements Ingredient Sequence 20

Ex: "Per 1/3 cup (42 g)" Serving Size + measurement unit code Measurement value specifying the actual serving size. When specified, servingsize establishes the basis for all contained NutrientDetail records. Ex: "100 GRM" To enter the nutrient information for a given serving size or nutrient basis quantity, please fill in either Serving Size & Measurement Unit Code (columns CU + CV) or Nutrient Basis Quantity & Measurement Unit Code (columns CW + CX) in the first line of this particular product. Next, fill in the nutrient information for this particular serving size or nutrient basis quantity in columns CZ to DD. Every new nutrient should be entered in the underlying row.
