5 TOPIC 1. INTRODUCTION Document Objective The objective of this document is to provide guidance on how to maintain a company s GS1net catalogue using the Browser Template. Note: Microsoft Office 64-bit Version - The GS1net Browser Template is not compatible with a 64-bit installation of Microsoft Office. You will need to be using the 32-bit version of Microsoft Excel (this is the default install). Please Note: When carrying out changes to your GS1net data, it is important that you communicate what you are about to do/doing, to the GS1net Team at your retailer so they understand why these updates are coming through to them. 6 TOPIC 2. UPLOAD DATA TO GS1NET This topic shows you how to upload the changes/additions you have made in your Browser Template to GS1net. You can also follow these steps if you are populating your GS1net catalogue for the first time. Please Note: When carrying out changes to your GS1net data, it is important that you communicate what you are about to do/doing, to the GS1net Team at your retailer so they understand why these updates are coming through to them. Step 1. Create Delimited Data File [DDF] in Browser Template 1) Go to menu option Add-Ins (Microsoft Excel 2007 or later only) -> GS1net -> Create GS1net Delimited Data File. Green /Amber: There are no Block Errors. The file will upload to GS1net for processing. It is recommended you view the validation report for any Amber validation. Red: The data contains Block Errors which prevent (block) the whole file from being sent to GS1net. Users must resolve all Block Errors (go back to your Browser Template, fix the issue, re-create the file) and reload to Validator. Page 7 of 38

View Data Load Status Report (DLSR) If the upload produces either a Green or Amber status, the data is then forwarded to GS1net. The DLSR is generated as part of the final step in loading data into GS1net. Note that if your upload contains both item and price records, separate DLSRs will be generated for each record. A DLSR without errors is verification of a successfully upload to GS1net. The DLSR can be received via an attachment. The subject of the report will be Supplier Report - Load Status Report for file. It is very important to read this report and ensure there are no final errors in your upload. You can also view DLSR online in GS1net: go to Main Menu -> Data Load Status -> Select report -> View/Download Report. See screenshots below. Page 8 of 38

10 TOPIC 3. DOWNLOAD DATA FROM GS1NET This topic shows you how to download your whole or partial catalogue from GS1net. You will load it into the Browser Template in order to make changes, corrections or product additions. Step 1. Request GS1net download 1) Log into GS1net Note: User ID and Password are case sensitive. Figure 17 GS1net Sign On 2) At Main Menu, select Search Items Figure 18 Main Menu 3) Enter search criteria. If you want to request a full catalogue search, press Reset on the left hand side menu to ensure there is no criteria entered. 4) Click Search on the left. Time taken to update the Status depends on the size of the download requested. 15 TOPIC 4. ADD A NEW PRODUCT RECORD This topic shows the steps to add a new product record to your existing GS1net catalogue. Note you will need to load all levels of the products packaging, typically the BASE_UNIT_OR_EACH and the CASE. Step 1. Download catalogue from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Step 2. Add new Item record in Browser Template In the ITEM tab, add your new item information using the Action Code ADD. Note: Entry of the Item records should follow sequence CASE, PACK_OR_INNER_PACK then BASE_UNIT_OR_EACH, i.e. the higher level of hierarchy must go above the lower level. Add price record(s) of the new GTIN(s) in Browser Template In the PRICE tab, add your product s price information using the Action Code ADD. Notes: There must be a corresponding Item record at tab ITEM. The new Price record ADDed MUST have fields 99=Price Type ID and onwards to the right blank, as these fields are generated by Browser Template automatically at the next step. Ensure your Recipient GLN is correct for your trading partner contact GS1 if you need to confirm. Figure 31 - Price data for 2 retailers Step 4. Upload Data to GS1net Refer to TOPIC 1. UPLOAD DATA TO GS1NET. Step 5. Publish the New Item(s) to Retailer You need to publish the new item to your retailer, so that they can automatically receive updates of any changes you make. Users can either opt for Auto Publication (most commonly used) or Manual Publication. Page 15 of 38

16 A. Auto Publication (Recommended) The Auto Publish function automates the publication of new items to trading partners. It can be set up by GS1 during the GS1net Ready process with the supplier s permission. The key features of Auto Publish: Notes: Suppliers must nominate trading partners for Auto Publication Only new items are auto published existing items that are un-published will not be auto published Publication is always at the highest level of the hierarchy A price message for an un-published item will trigger the auto publication feature (assuming that the trading partner has previously been included within the Auto Publish list and the Publish with Price option is selected) Auto publication does not apply when an item is re-set for publication after previously being published and then un-published to a trading partner B. Manual Publication Manual publication via the Maintain Publications screen remains active for all trading partners, including trading partners listed within the Auto Publish list. Notes: Only publish the new item(s). If you update a published item, the updated information will be automatically synchronised with your trading partner. Publication should always be at the highest level of the hierarchy. When the notification is sent to the Retailer it contains all levels of the hierarchy. Step B.1. The Retailer Publications - Item List screen shows all catalogue items that are ready for publication. Notes: 1) For an item hierarchy, only the highest-level item and its orderable unit items are listed. You should publish ONLY the highest-level item in the hierarchy. 2) The Retailer is already receiving publications for any yellow-highlighted items. 3) Use the Item Search Filters to condense your list. For example, to display only items in a specific Classification Code, enter or select the Classification Category Code / Name and then, on the left side for the page, click Search (Apply Item Filters). MINOR CHANGE TO ITEM DATA (<20%) This topic shows how to reflect minor product changes on GS1net, for example, minor changes (<20%) on product dimensions, gross weight and net weight etc. To find if the product attribute can be changed, please refer to GS1net Data Dictionary However, this topic does not cover pack size changes. Please refer to TOPIC 5. GTIN CHANGE (INC. PACK SIZE CHANGE) for pack size changes. Step 1. Download catalogue from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Step 2. Change Item Data Example: Change a Product s Width from 290mm to 291mm. 1) Locate the GTIN you wish to change 2) Place CHANGE at column [1=Action]. 3) Change Product Width 290 to ) Change column [75=Effective Date] to when the change takes effect. 5) Figure 64 Change Item Data via BT Step 3. 20 TOPIC 6. GTIN CHANGE (INC. PACK SIZE CHANGE) According to the GTIN Allocation Rules ( different GTINs are necessary to distinguish between the different pack sizes. This topic shows the processes to reflect a pack size change on GS1net. It also covers the scenario where all GTINs associated to the item are changed (i.e. the old product and it s CASE are being replaced by a new product). Scenario 1. Change to the Pack Size Example: A Case quantity change requires a new GTIN be assigned to the new Case (i.e. Case of 6 is now a Case of 12) Step 1. Download product hierarchy from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Note, at item search step, to narrow the search, you can search by the Supplier Assigned Item ID of the item. Step 2. End Date old Case GTIN and its price in the Browser Template 1) On the ITEM tab, i) Locate the old Case GTIN. ii) Place CHANGE at column [1=Action]. iii) Enter the end date at column [78=End Availability]. 2) At tab PRICE, for all price records of the old Case GTIN, i) Place MODIFY at column [1=Action]. ii) Enter an end date at column [10=Effective End Date].Note the end date must be a future date. iii) Enter text LAST_ORDER_DATE at column [11=Effective End Date Context]. Note, if this field is defaulted in the Browser Template configuration, it will be hidden. Step 3. Upload Changes to GS1net Refer to TOPIC 3. UPLOAD DATA TO GS1NET. Step 4. Unpublish the old GTIN hierarchy to all customers. 1) At Main Menu, click Maintain Publications. Page 20 of 38

22 5) To Unpublish the items, select the GTIN, click Remove Publication(s) on the left. 6) Successful unpublication. Step 5. Download the updated product hierarchy from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Note, at item search step, to narrow the search, you can search by the Supplier Assigned Item ID of the item. Step 6. 23 In the ITEM tab, on row of the old Case GTIN item record, place action code CHANGE at column [1=Action], remove data from column [138=GTIN of Base Unit], [139=Number of Base Units], [110=Child GTIN] and [111=Child Quantity]. Step 7. Add the new Case (and its price) and link to existing Base Unit 1) In the ITEM tab, start on a new row, place action code ADD at column [1=Action], enter item data of the new Case GTIN. 2) At tab PRICE, on a new row, place action code ADD at column [1=Action], enter price data of the new Case GTIN. Step 8. Upload Changes to GS1net Refer to TOPIC 3. UPLOAD DATA TO GS1NET. Step 9. Re-publish the new hierarchy Note the re publication will be done automatically with Auto-Publication enabled. If you have not enable d Auto-Publication, you will need to manually publish, see TOPIC 3. UPLOAD DATA TO GS1NET, Step5B. (we recommend Auto-Publication is enabled contact GS1 if you want this done). Scenario 2. All GTINs associated to the item change. Step 1. Download catalogue from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Note, at item search step, to narrow the search, you can search by the Supplier Assigned Item ID of the item. Step 2. End Date the old Case & Base Unit GTINs and its price. 1) In the ITEM tab, i) Locate both old Case GTIN and Base GTIN. ii) Place CHANGE at column [1=Action]. iii) Enter the end date at column [78=End Availability]. 28 TOPIC 7. CORRECTING A PRODUCT ON GS1NET This topic shows you how to correct a mistake on ITEM data, i.e. if the ITEM data was entered incorrectly in GS1net, for example, the Trade Item Description contained a spelling mistake. To find if the product attribute can be corrected, please refer to GS1net Data Dictionary Step 1. Download catalogue from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Step 2. Correct Item Data in Browser Template Example: Column [13=Trade Item Description], the word Jeans was entered by mistake. We are going to correct Jeans to be Beans. 1) Locate the GTIN you wish to make correction(s). 2) Place CORRECT at column [1=Action]. 3) Replace Jeans by Beans at column [13=Trade Item Description]. In this example, the word Jeans was mistakenly entered instead of Beans within the initial upload. To rectify the error, a new upload is made using the CORRECT action code. 29 TOPIC 8. MAKE A PRICE UPDATE This topic shows you how to update a price record if there is a price update, for example, a change to List Price, a change to pricing terms, etc. In general, we need to end date the existing price record, then add a new one. Step 1. Download catalogue from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Step 2. Update price records in Browser Template 1) At the existing price line, I. Place MODIFY at column [1=Action]. II. Enter an end date at column [10=Effective End Date].Note the end date must be a future date. III. Enter text LAST_ORDER_DATE at column [11=Effective End Date Context]. Note, if this field is defaulted in the Browser Template configuration, it will be hided. 2) At a new row, I. Enter action code ADD at column [1=Action]. II. Populate new price record as usual. Note: The start date of the new price record must later than the end date of the old price record. At column [14=Reason for Price Action], enter PI for price increase or PD for price decrease. IMPORTANT: there must be no entry to column [99=Price Type ID] and onwards. These Price Type IDs will be generated by Browser Template in next step. Step 3. Load price update to GS1net Refer to TOPIC 3. UPLOAD DATA TO GS1NET. Page 29 of 38

30 TOPIC 9. DISCONTINUEING A PRODUCT FROM YOUR CATALOGUE In this topic, we are going to show how to discontinue a product from your catalogue to all customers in GS1net. Note the GTIN will become inactive in GS1net and no longer subject to GS1net fees (however the record itself will still stay in GS1net). Step 1. Download catalogue from GS1net. Refer to TOPIC 2. DOWNLOAD DATA FROM GS1NET. Step 2. End date the GTIN in Browser Template 1) In the ITEM tab, locate the GTINs you want to discontinue. 2) Place CHANGE in column [1=Action]. 3) Enter the End Availability Date in column [78=End Availability]. Note: There is no action required for the Price record. Step 3. Load update to GS1net. Refer to TOPIC 3. UPLOAD DATA TO GS1NET. Page 30 of 38

31 TOPIC 10. PRODUCT RANGE REDUCTION FOR A SPECIFIC CUSTOMER This topic shows how to remove a product from a specific customer s range in GS1net. In general, we need to unpublish the product to that customer. 1) At Main Menu, click Maintain Publications. Figure 43 Maintain Publication 2) Enter search criteria to search trading partner whom you intend to unpublish product, click Search. 3) Select trading partner, click Maintain Retailer Publications. 32 4) The Retailer Publications - Item List lists all catalogue items that are ready for publication. Use the Item Search Filters to condense your list and then, on the left side for the page, click Search (Apply Item Filters). 5) To Unpublish the items, select the GTIN, click Remove Publication(s). QUICK GUIDE FOR MAINTENANCE PROCESSES The following is a quick guide which steps you through the process of downloading GS1net data, making changes/additions, and then re-uploading to GS1net. A more detailed guide can be found in the preceding sections of this document. Please Note: When carrying out the below changes, it is important that you communicate what you are about to do/doing, to the GS1net Team at your retailer so they understand why these updates are coming through to them. Section A Download catalogue from GS1net 1. Log in to GS1net 2. Search Items in your Main Menu 3. Create Item Extract in DDF [text] format, save to directory *\Browser Template Vx.x\Download 4. Open your Browser Template spreadsheet, select GS1net>Import GS1net DDF. 5. Locate the file saved at directory *\Browser Template Vx.x\Download, click Process. 6. A dialog box will pop up giving the success of the import. Note any highlighting or user formatting is cleared and overwritten to the Browser Template. Section B Upload Data to GS1net 1. In the Browser Template, select GS1net > Create GS1net DDF and select OK when it has completed. A DDF file will be saved to directory *\Browser Template Vx.x\Upload 2. Log in to the GS1net validator 3. Click on Upload Catalogue and Browse for the DDF file created (in your Upload folder) 4. Click on Upload. 5. A confirmation screen will show that the file has been sent to GS1net. Select OK. 6. Review GS1net validation report via the Activity Log. If the status is red, fix the Block Errors in the Browser Template, recreate a DDF file, and upload data again. 7. Review GS1net Data Load Status Report. If the report contains an, fix data and upload again. Contact GS1net support for further assistance. Section C Add a New Product Record 1. Download and import DDF file from GS1net. Refer to Section A Download catalogue from GS1net. 2. Enter new product information in the Browser Template. Add the new CASE (and its price). 7. Upload Data to GS1net. Refer to Section B Upload Data to GS1net. 8. Re- publish the new hierarchy (not required if you have Auto Publish enabled). Section F All GTINs associated to the item are changing 1. Download and import DDF file from GS1net. Refer to Section A Download catalogue from GS1net. When searching for data to download, you can search by the Supplier Assigned Item ID of the item. 2. Update price record in the Browser Template 1) At the existing price line, i) Place MODIFY at column [1=Action]. ii) Enter an end date at column [10=Effective End Date].Note the end date must be a future date. iii) Enter text LAST_ORDER_DATE at column [11=Effective End Date Context]. Note, if this field is defaulted in the Browser Template configuration, it will be hided. 2) At a new row, i) Place MODIFY at column [1=Action]. ii) Enter action code ADD at column [1=Action]. At column [14=Reason for Price Action], enter PI for price increase or PD for price decrease. IMPORTANT: there must be no entry to column [99=Price Type ID] and onwards. These Price Type IDs will be generated by Browser Template in next step. 3. Upload Data to GS1net. Refer to Section B Upload Data to GS1net. Section I Discontinuing a Product from Your Catalogue [End Date an item] 1. Download and import DDF file from GS1net. Refer to Section A Download catalogue from GS1net. 2. On the ITEM tab, locate your GTINs to be discontinued, enter the End Availability Date into column [78=End Availability] for all GTINs you are discontinuing, enter the action code CHANGE. 3. Upload Data to GS1net. Refer to Section B Upload Data to GS1net. Section J Product Range Reduction for a specific customer [Unpublish an item] 1. On GS1net Main Menu, click Maintain Publications. 2. On the Retailer Search/List page, enter the search criteria to find the Retailer you are to remove item(s) publication with. 3. Unpublish [select Remove Publication] the GTIN of the ITEM that you do not want to supply to that Retailer. Page 36 of 38

37 FAQ Q1. I have many columns in my Browser Template that I am not using, how do I reduce the number of columns/attributes? You can configure the BT to remove columns you don t need and can build in default values for other data. This makes the BT much easier to use. Please call the GS1net Support Team who can configure the BT for you to make it simpler. Q2. If I have loaded the wrong Child GTIN, how do I fix this? Because this is such a significant change to the product hierarchy, it can t be actioned unless the product hierarchy is unpublished from all retailers. Unpublish the GTIN hierarchy > Download the GTIN hierarchy from GS1net > Import to Browser Template > CORRECT the Child GTIN > Upload to GS1net > Re publish the GTIN hierarchy. Q3. My Load Status Report is coming back saying Duplicate price identifier found. This occurs when you have copied and pasted the same Price Type ID to a new price you are adding. This ID should always be unique. The rule is, if you are ADDing a price, ensure you have nothing in the Price Type ID columns for that row. Q4. I have tried to load my file to the Validator but it is not showing in my Validator Activity Log and I have not received the validation s? This can occur when you have a circular reference in your BT. This can occur when you have a GTIN where you have the same Child GTIN (i.e. on the same row in your BT both GTIN and Child GTIN are identical). You need to fix this and then re-create the upload file. Q5. How can I get face-to-face training on how to use the Browser Template?
