1 Gradebook Export/Import Instructions Introduction Canvas gives the option to export the gradebook to a CSV file. You can open this file in a spreadsheet program and add or change grades, add columns and then upload it again to the Canvas gradebook to present it to your students. It is recommended to export the Canvas Gradebook first so you start out with the right file structure in your spreadsheet. For the export/import process to run smoothly your computer has to comply to some conditions so the Canvas gradebook and your Spreadsheet program are aligned. This document first outlines a possible process to do so. Each step will be documented in more detail with examples from a Windows 10 computer with Microsoft Excel 2016 situation. It is necessary that you have some basic spreadsheet and computer skills in order to understand this instruction. The process outlined 1. Make sure the Canvas course language is set to English (United Kingdom). This is also the default. 2. Configure your spreadsheet program to use your computer operating system separators. 3. In your operating system set the decimal separator symbol to a point and the list separator to a comma. 4. Export the Canvas Gradebook to a CSV file (under Actions menu in the Gradebook) 5. Save this file on your computer. Don t open it yet but first make a copy with your file explorer for backup. 6. Double click on the Canvas gradebook csv file. If you have followed steps 1 to 3, you should see the data in columns. 7. Make your desired changes. When changing grades use a point as decimal separator. You can add columns after the first 5 mandatory columns. Columns marked as read only will not be updated after upload. They can be deleted for a better overview. 8. Save your file as a comma separated CSV with UTF-8 encoding. 9. Import your modified file to the Canvas Gradebook (under Actions menu in the Gradebook). 10. Follow the dialogue Canvas presents. It takes some time for an import to finish. Use F5 key to refresh the Gradebook and see the progress. Step by step examples 1. Make sure the Canvas course language is set to English (United Kingdom). This is also the default so you don t have to take any action. TECHNICAL BACKGROUND: THE COURSE LANGUAGE IN CANVAS DETERMINES WHAT THE EXPORT FILE WILL USE AS DECIMAL SEPARATOR. FOR EXAMPLE NEDERLANDS WOULD USE A COMMA INSTEAD OF A POINT. THAT ALSO FORCES YOU TO USE A DIFFERENT SEPARATION CHARACTER FOR THE PROCESS TO WORK, THEREFORE A WHOLE DIFFERENT SCENARIO. Page 1 of 7

2 2. Configure your spreadsheet program to use your computer operating system separators. For Microsoft Excel 2016 this can be done by choosing Options under the File menu. This will open a window. Choose the Advanced section and check the option Use system separators. 3. In your operating system set the decimal separator symbol to a point and the list separator to a comma. This can be done in Windows 10 by clicking the start button and type control panel and hit Enter. In the window that will open search for the Region option and open it. This will show a window like below. Click on the [Additional settings] to open the Customize Format window. Here you can set the Decimal symbol to a point and the List separator to a comma. 3 TECHNICAL BACKGROUND: THE SETTINGS IN STEP 2 AND 3 SET YOUR SYSTEM TO WORK TOGETHER WITH YOUR SPREADSHEET PROGRAM IN A CONSISTENT WAY TO SUPPORT THE FORMAT OF THE GRADEBOOK FILE THAT CANVAS USES. SINCE THE RELEASE OF MAY YOU CAN ADJUST THE LIST SEPARATOR THAT CANVAS USES TO A SEMICOLON, SO YOU DON T HAVE TO CHANGE YOUR EXCEL SETTING IF YOU USE A SEMICOLON. YOU CAN CLICK ON YOUR ACCOUNT, CHOOSE SETTINGS AND SET THE FEATURE OPTION USE SEMICOLONS TO SEPARATE FIELDS IN GRADEBOOK EXPORTS TO ON Page 3 of 7

4 4. Export the Canvas gradebook to a CSV file. Open the Canvas Gradebook by clicking on Grades in your Course menu. In the gradebook under Actions click on [Export]. 5. Save this file on your computer. These actions depend on what Browser you use to work with Canvas. Don t open the file yet but first make a copy with your file explorer for backup. This can be used for future reference or in case something goes wrong in the next steps. 6. Double click on the Canvas gradebook csv file you saved on your computer. If you have followed previous steps, in Microsoft Excel 2016 this should look something like below. 7. Make your desired changes in the spreadsheet. The first 5 columns should not be deleted if you want to upload this file again. You can add new columns after the first 5 mandatory columns. They will be imported as a new assignment in Canvas. Grades in these columns will be presented to your students. A students will only see his own grades. Page 4 of 7

5 Grades in the assignment columns can be changed. If you add or edit grades be sure to use a point as decimal separator. Read only columns that appear in the CSV file are columns calculated by rules or percentages set in Canvas. Any changes made to these columns will be ignored when you re-upload the file to your course. You can even delete these columns from the spreadsheet for better overview. 8. Save your file as a comma separated CSV with UTF-8 encoding. In Microsoft Excel 2016 you can press CTRL-S or choose [Save] from the File menu. Depending on your changes you will get the following question. Click [Yes]. TECHNICAL BACKGROUND: IF YOU HAVE FOLLOWED THE PROCEDURE, MICROSOFT EXCEL 2016 WILL SAVE THE FILE AND KEEP THE UTF-8 ENCODING AND COMMA SEPARATED FILE THAT THE CANVAS GRADEBOOK NEEDS FOR IMPORT. IF YOU USE DIFFERENT PROGRAMS OR SETTINGS IT IS GOOD TO CHECK YOUR FILE AFTER EDITING AND SAVING IT, BY OPENING IT WITH A SIMPLE TEXT EDITOR LIKE NOTEPAD AND CHECK THAT IT IS STILL COMMA SEPARATED AND HAS UTF-8 ENCODING. It is wise to check your edited CSV file the first time to ensure settings of your computer and Canvas are aligned. On a Window 10 computer you can do so by right clicking the file and choosing [Open with] from the menu. Next choose [Notepad] from the list. Opened in a text editor your CSV file should look something like in the screenshot below. This depends on how many, and what assignments you have in your course. Notice that: Page 5 of 7

6 - the Canvas assignment names also have an ID. These should not be changed. - the file should still be comma separated. - in the grade columns empty fields should show no space, just a comma. - decimal grades should use a point as decimal separator. If this is all correct, close the file without saving and go to the next step. 9. Import your modified file to the Canvas Gradebook by choosing Grades from the course menu and under Actions click on [Import]. A dialogue will be presented where you first can choose your CSV file and with the [Upload data] button you can start the upload to the Canvas gradebook. 10. Follow the dialogues Canvas presents. For all changes you made, Canvas presents a From To situation for you to check. If you added columns, Canvas will ask you how you want them to be configured as an assignment. In most cases you can choose to add a column as a new assignment and give in the highest possible grade in the Points Possible field. It will then also be added to the Assignment menu. Page 6 of 7

7 After clicking Save changes, Canvas will warn you that it takes some time for an import to finish. Use the F5 key to refresh the gradebook and see the progress.
