1 Chapter 1 : What is an Appendix Page How to Write an Appendix Page for Your Book Each appendix must be labeled with a letter (A, B, C, etc.) according to where it appears in the paper. The first appendix referred to in the paper would be named Appendix A The second appendix referred to in the paper would be named Appendix B. Building a Customized Table of Contents Summary This step-by-step article describes several different numbering systems that you can use in documents that contain both chapter headings and appendix headings. Microsoft Word does not support multiple heading-numbering schemes in a single document or master document. When you work with documents that contain both chapter headings and appendix headings, the headings must not use the same heading style level. Chapter Headings and Appendix Headings When you design a document that contains both chapter headings and appendix headings, you can use different heading style levels to apply the different number formatting to each section. For example, to define a chapter and appendix heading-numbering scheme that resembles the following Chapter One: This is the title to the first chapter Chapter Two: This is the title to the second chapter Appendix A: This is the title to the first appendix Appendix B: This is the title to the second appendix follow these steps: Select one of the styles, for example, Chapter 1 the last style choice. Under Level, click 7. Under Number style, click A, B, C, In the Number format box, Appendix A should be displayed, with the "A" highlighted. In the Number format box, type a blank space after "Appendix A". Click the More button. In the Link level to style box, click Heading 7, and then click OK. You can now apply Heading 1 to all paragraphs that are chapter styles and Heading 7 to all paragraphs that are appendix titles. Heading styles are predefined with certain paragraph and character formatting attributes. You may have to modify these styles by using the Style command on the Format menu to obtain the intended appearance. Inserting Page Numbers for Chapters and Appendixes To insert page numbers of the style ", A-1" that work with these heading styles, follow these steps: Make sure that the document contains a section break of some type. The section break type that you want is typically Next Page. Use the section break to separate the main document area from the appendix area. If there is not a section break there, move your insertion point to a blank area above your appendix, and then follow these steps: On the Insert menu, click Break. Format page numbers to include chapter numbering. To do this, follow these steps: Move the insertion point to the page that contains the first chapter title. On the Insert menu, click Page Numbers. Select the intended location for the page number by using the options provided in the Page Numbers dialog box. Click the Format button. Click to select the Include chapter number check box. In the Chapter starts with style box, click Heading 1, and then click OK. Click OK in the Page Numbers dialog box. To format page numbers to include appendix numbering, follow these steps: Move the insertion point to the page that contains the first appendix title. In the Chapter starts with style box, click Heading 7. In the Page numbering box, click Start at, and then click 1, so that each chapter or section begins with the number 1. Click OK twice to return to your document. Building a Customized Table of Contents To build a table of contents that includes both the chapters and the appendixes, and which also uses the defined page-numbering style, follow these steps: Place the insertion point where you want the table of contents. On the Insert menu, point to Reference, and then click Index and Tables. Click the Table of Contentstab. Click the Options button. In the TOC level boxes, type 1 in the text box to the right of Heading 7. This configures Word to consider Heading 7 to be a Level 1 entry in the table of contents. Link the level to the Appendix H1 style. Select the 1, 2, 3 number style. Type the word Appendix in front of the number in the long Number Format field and delete the closing parenthesis after the number in that field. Set the indentations and tab positions I set the alignment at 0 cm, and the indentation and tab stops at 3. On the Define New List Style dialog box, select 2nd level then select your formatting options for this level of numbering. Click Format at the lower left of this dialog box, then select Numbering to open the Modify Multilevel List dialog box. Select 2 as the level to modify. Link the level to the Appendix H2 style. Type the word Appendix in front of the number in the long Number Format field and delete any punctuation after the number in that field. You should end up with Appendix 1. On the Define New List Style dialog box, select 3rd level then select your formatting options for this level of numbering. Select 3 as the level to modify. Link the level to the Appendix H3 style. On the Define New List Style dialog box, check the preview box to make sure all the indenting is correct and aligned as you want it. When I was setting this up, some of the indenting went out-of-whack. Repeat for any other levels that are out of alignment. That should sort it out. The worst is over. Add some short paragraphs just a few words to represent short headings, and longer text to see how it wraps on to the next line. Apply Appendix H1 style to the paragraphs you want to be the main Appendix headings, Appendix H2 style to those you want to be sub-levels of the Appendix H1 heading, and Appendix H3 for those you want to be sub-levels of Appendix H1 and H2 headings. Mix them up a bit and apply different styles to see how the numbering changes accordingly. Select Insert Table of Contents. On the Table of Contents dialog box, click Options. Type 1 in the empty box next to Appendix H1. Type 2 in the empty box next to Appendix H2. Type 3 in the empty box next to Appendix H3. Click OK twice to exit the Table of Contents dialog. Click OK when asked if you want to replace the existing Table of Contents. If you were setting this up in a template, delete the paragraphs you added for testing. Bibliography Definition An appendix contains supplementary material that is not an essential part of the text itself but which may be helpful in providing a more comprehensive understanding of the research problem or it is information that is too cumbersome to be included in the body of the paper. A separate appendix should be used for each distinct topic or set of data and always have a title descriptive of its contents. Tables, Appendices, Footnotes and Endnotes. Appendices are always supplementary to the research paper. As such, your study must be able to stand alone without the appendices, and the paper must contain all information including tables, diagrams, and results necessary to understand the research problem. It is appropriate to include appendices for the following reasons: Including this material in the body of the paper that would render it poorly structured or interrupt the narrative flow; Information is too lengthy and detailed to be easily summarized in the body of the paper; Inclusion of helpful, supporting, or useful material would otherwise distract the reader from the main content of the paper; Provides relevant information or data that is more easily understood or analyzed in a self-contained section of the paper; Can be used when there are constraints placed on the length of your paper; and, Provides a place to further demonstrate your understanding of the research problem by giving additional details about a new or innovative method, technical details, or design protocols. General Points to Consider When considering whether to include content in an appendix, keep in mind the following: It is usually good practice to include your raw data in an appendix, laying it out in a clear format so the reader can re-check your results. Another option if you have a large amount of raw data is to consider placing it online and note that this is the appendix to your research paper. Any tables and figures included in the appendix should be numbered as a separate sequence from the main paper. This is why non-textual elements should not carry over the sequential numbering of non-textual elements in the body of your paper. If you have more than three appendices, consider listing them on a separate page at the beginning of your paper. This will help the reader know what information is included in the appendices [always list the appendix or appendices in a table of contents]. The appendix can be a good place to put maps, photographs, diagrams, and other images, if you feel that it will help the reader to understand the content of your paper, while keeping in mind the study should be understood without them. An appendix should be streamlined and not loaded with a lot information. If you have a very long and complex appendix, it is a good idea to break it down into separate appendices, allowing the reader to find relevant information quickly as the information is covered in the body of the paper. All appendices should be summarized in your paper where it is relevant to the content. Appendices should also be arranged sequentially by the order they were first referenced in the text [i. There are very few rules regarding what type of material can be included in an appendix, but here are some common examples: Correspondence -- if your research included collaborations with others or outreach to others, then correspondence in the form of letters, memorandums, or copies of s from those you interacted with could be included. Interview Transcripts -- in qualitative research, interviewing respondents is often used to gather information. The full transcript from an interview is important so the reader can read the entire dialog between researcher and respondent. The interview protocol [list of questions] should also be included. Non-textual elements -- as noted above, if there are a lot of non-textual items, such as, figures, tables, maps, charts, photographs, drawings, or graphs, think about highlighting examples in the text of the paper but include the remainder in an appendix. Questionnaires or surveys -- this is a common form of data gathering. Always include the survey instrument or questionnaires in an appendix so the reader understands not only the questions asked but the sequence in which they were asked. Include all variations of the instruments as well if different items were sent to different groups [e. Raw statistical data â this can include any numerical data that is too lengthy to include in charts or tables in its entirety within the text. This is important because the entire source of data should be included even if you are Page 4
5 referring to only certain parts of a chart or table in the text of your paper. Sample calculations â this can include quantitative research formulas or detailed descriptions of how calculations were used to determine relationships and significance. Appendices should not be a dumping ground for information. Appendices are intended to provide supplementary information that you have gathered or created; it is not intended to replicate or provide a copy of the work of others. For example, if you need to contrast the techniques of analysis used by other authors with your own method of analysis, summarize that information, and cite to the original work. In this case, a citation to the original work is sufficient enough to lead the reader to where you got the information. You do not need to provide a copy of this in an appendix. Format Here are some general guideline on how to format appendices. If needed, consult the writing style guide [e. Appendices may precede or follow your list of references. Each appendix begins on a new page. The order they are presented is dictated by the order they are mentioned in the text of your research paper. Sections can have their own page layout, headers and footers, page numbering, borders and columns that are independent from other sections in the document. Step Change the format of the heading to the one you want for your document by using the controls in the font section of the Home tab. Step Select your heading text again, right-click on Heading 1 in the Style section and select "Update to Match Selection. Step Use the Heading 1 Style for all the top-level headings in your document -- for example appendices, chapter titles and bibliographies. You can use the same tool to create secondary and tertiary headings, if you want sub-headings in your appendix. Table of Contents Step Browse to the Reference tab in the menu bar. For example, you can choose to show page numbers or not, and determine which headings are included in the table. If you then make changes to the rest of the document -- such as headings changing or adding pages -- you can update the table. Page Numbering Step Select the Insert tab of the menu bar, click "Page Number" and choose where you want to enter the page number -- at the top of the page or at the bottom. This opens the header and footer Design tab where you can further define the page numbering. Step Select the header for the first page of your appendix. In the Navigation section of the Design tab click "Link to Previous" to turn off the link to the previous section, so you can define a new numbering scheme. Select "Format Page Numbers" to bring up a dialog box that allows you to choose the numbering format -- Arabic numerals, Roman numerals, or alphabetic -- and what number to start with. Page 6
7 Chapter 6 : Writing an Appendix - Adding Non-Essensial Information to Papers Appendix information may include tables, figures, charts, letters, memos, detailed technical specs, maps, drawings, diagrams, photos, or other materials. If the book is scientific or medical, the appendix can include data â graphs, charts, statistics, etc. To Supply Original Materials In biographies or memoirs, authors can include original materials such as letters, personal documents, photographs, s, lists, etc. This is a lot like that! Look to some of your favorite books on your shelves for examples. Appendix Page Examples In his cultural critique of how media and societal thought interact, Neil Postman includes a notes section, a bibliography, and an index in the back matter of Amusing Ourselves to Death. Tolkien, Charles Williams, Humphrey Carpenter includes several appendices. The first appendix includes additional biographical information on the people featured in the book. These details are saved for the appendix section rather than bog down the story. The second appendix is the bibliography â a list of all the books referenced in the story and used for researching the famous authors. The third appendix lists sources for the quotations used throughout the story â again, rather than bog down the body text. The last appendix serves as an acknowledgement page. In many cases, however, the research project will yield much more information. The problem with this bulk of material is where to include it. If it is only loosely related to the topic, adding it to the main text might distract from the central argument and result in an unfocused piece of writing that is structurally messy and cluttered. A written text must also function independently of its appendix. The central topic must be addressed within the main body of the text and all supporting arguments must not depend on material located in the appendix. The purpose behind writing an appendix is not to create a place for information that cannot be conveniently accommodated in the main text. To write an appendix it is important to understand the two major perspectives that must be served in any successful piece of writing. In fact, to successfully structure and write an appendix, the writer needs to have a clear understanding of the purpose of the writing in order to make decisions about which material should remain in the body of the work, and which material should be sent to the appendix. When making decisions about writing an appendix and whether material should be placed in the appendix or incorporated in the main argument, the following question needs to be answered: Is this information or material essential to the central argument and topic? If it is, then it must be included in the main text. If, however, it is too lengthy or too detailed it might be better to summarise it, including the essential points in the main text, and then writing an appendix to place the complete material in its own dedicated section. This can apply to anything from lengthy quotations and long lists to detailed procedures and excessive raw data. The second question to be answered when preparing to write an appendix is this one: Is it more helpful for the reader that this information be included in the main text or placed in a separate section? Again, it might be best for a reader to have all the essential information in the main text, instead of having to refer to an appendix, which can often be inconvenient and impractical. However, if this means that the main text will be difficult to read because lengthy and detailed material will interfere with the general flow of the argument, then the writer should write an appendix and relegate material to this appendix. The reader should then be given a solid summary within the main text and a reference to the appendix where the material is available in full. When writing an appendix, deciding how material should be structured and organised must balance the demands and needs of both writer and reader. Preparing to write an appendix An appendix is an addition to the main text, but this does not mean that it serves as a repository for essential information that cannot be conveniently placed within the main text. This is because readers - depending on their needs - may never consult the appendix. For readers that do access the appendix, information for further exploration of the topic or detailed analysis of procedures or other related information should be easily accessible.
