1 Celcat Room Booker Getting Started Guide Celcat Room Booker allows users to make requests for ad-hoc room bookings for meetings and other non-timetabled events in rooms which have been designated as bookable. Events involving students and course elements should be booked through the Timetabling offices as normal. Once a request has been submitted, the Timetablers will authorise or reject the request and confirmation will be sent back to the requester. This Room Booker tool is useful for seeing at a glance the availability of a number of bookable rooms simultaneously. Go to Internet Explorer or Firefox (not available in Google Chrome)

2 Celcat Room Booker: Logging in 3. Select the correct Celcat Database for the date of your booking, each year generally runs from the start of September each year. Enter your usual username and password. If you are not able to login, please contact your College s Timetabling Team for advice. 3. Press the login button.

3 Celcat Room Booker: Searching for a Room Select Date (1) and number of weeks (2) Select Start and End Times (3) Set desired Room capacity (4) Select Site if you want to narrow the search (5) Hit Search button (6)

4 Celcat Room Booker: Making a Room Note: If one hovers the mouse over a room the full name will pop-up Available rooms are returned in the column on left, displayed first by your Favourites followed by Recently Booked and then Other Matches. Select the preferred available room and a booking pane will pop-up. See next page...

5 Celcat Room Booker: Submitting the Room Request If you are happy with the details, press the Book button to submit your request (1) You will be asked to confirm the room Booking request (2) A confirmation message is sent back with Booking Reference (3) 3.

6 Celcat Room Booker: Viewing usage map using keyword filter Lecture Select Filter(1) Apply desired Zoom/display type (2) Insert search Term (3) Tick Intensive box and then press Go button (4) Note: depending on the amount of data to return it may take up to 20 seconds to display this view If you have not selected Favourite rooms you can quickly filter to your college rooms by selecting Filter on Name, entering your college prefix i.e., CAM, LCC, WIM in the field and pressing the 'Go' button. The number of rooms displayed is determined by the Max Room on Usage Page setting on the Options page.

9 Celcat Room Booker: Bookings shows the status of rooms requested 3. Select Bookings button (1) Booking Requests will be listed (2) You can apply filters to see different data sets (3) Note: this is an Administrators view normal users will only see their own requests.

10 Celcat Room Booker: Setting Personal Preferences and 10 Favourite rooms Go to Options button (0) Enter your name and (1) Fill in Capacity percentage to specify the room capacity near-miss parameters (2) Select which view should be your start page (3) Define the number of rooms to show (4) Select your Top 10 favourite rooms (5), Click Save (6) Warning: Cookies containing your Favourite Rooms will be automatically deleted periodically or if you choose to delete them when clearing your browser history. They are also browser-specific so won t be transferred between different browser (e.g. IE -> Firefox).
