PDF lets you capture information - from any application, on any computer system - and share it with anyone around the world. The Problem - it is very easy to create PDF files that are completely useless in a prepress environment and do not achieve the desired result. How to make a PDF to X-1a standard from QuarkXpress: The Solution - define a set of rules that exclude the use of certain PDF functions that are irrelevant for printing purposes and to enforce other functions that improve its usefulness in prepress. This set of rules is called PDF/X, a series of well defined subsets of the PDF standard that promise predictable, reliable and consistent PDF files. PDF/X-1a files are the simplest way of setting up a file for print. By supplying a PDF/X-1a file you can be confident the document will be printed: predictably and correctly without requiring costly rework without experiencing delays with fewer processing errors in proofing and prepress Your PDF/X-1a file needs to have: All fonts embedded 3mm of bleed Crop marks Centred pages All colour data as grayscale, CMYK or properly named pantone spot colours (eg PANTONE 300 c). If you are familiar with InSite you ll already know just how fast and efficient it is. If you haven t used InSite, this step-bystep guide will help get you started.

Once you have been added to our InSite database, you will receive an containing your login details and a link connecting you to our InSite web page. After logging in with your username and password you can save this to your bookmarks bar or favourites, it is advisable to take a note of your username and password for future reference. How to log on to InSite Please ensure that Java is installed on your computer as this programme is required to successfully run InSite. Uploading Your Files After you have placed your order with your Sales Executive or a member of the Customer Services Team you will receive an email from InSite containing a secure link to your job.

5 Uploading Your Files After you have placed your order with your Sales Executive or a member of the Customer Services Team you will receive an from InSite containing a secure link to your job. You do not require your login details for this function. If you are not the person uploading the artwork, please forward this to the relevant person. You can either drag and drop your PDF file/s into the bottom pane of this window or alternatively browse for your PDF files by using the icon. Multiple files can be uploaded simultaneously. Special instructions can be added to the notes section (top pane of this window). This can be useful when supplying corrected pages or if you need a file enlarged etc. Once you have added the required PDF files press the Upload button at the bottom of this window. Your files are automatically refined and a preflight check applied. Warnings will be flagged in yellow - these can be ignored at your discretion as your file will continue to be processed. Errors will be highlighted in red - these are serious and a page/s of your upload will fail to refine. An accompanying message will highlight the reason for the error, e.g. font not embedded (any pages which have red errors will need to be fixed and re-uploaded). gpscolour.co.uk

Viewing Proofs An email will be sent to you when your files have been refined and are ready for viewing. This email will contain a link to take you back to your job.

Alternatively, once your upload is complete you can login to view your proofs immediately - you do not have to wait on the email notification. Select the Preview button to view your files.

The sequence in which the pages appear can be altered in the View drop down window.

Simply scroll though and check your pages via the navigation bar or drag each page with the mouse (like flicking through a book).

6 Viewing Proofs An will be sent to you when your files have been refined and are ready for viewing. This will contain a link to take you back to your job. You will require your username and password to access your proofs. Alternatively, once your upload is complete you can login to view your proofs immediately - you do not have to wait on the notification. Select the Preview button to view your files. This is the easiest way to use InSite. A flipbook preview window will open and load images of your refined pages for approval. The sequence in which the pages appear can be altered in the View drop down window. Selecting All Pages displays the files in alphabetical order, while selecting Cover or Text will show these pages only and they will be displayed in the imposition running order (i.e. the order the pages will appear in the final printed job). Simply scroll though and check your pages via the navigation bar or drag each page with the mouse (like flicking through a book). Arranging Pages or Uploading Corrected Files Click on the Pages tab on the job window then click on Arrange Pages button. This will allow you to put your files in the correct running order. This is useful if you want to transpose a page or if you have uploaded corrections, just drag the new page from the left hand pane and drop it into the position you want it to appear in your job on the right hand pane. This feature is also useful when uploading corrected files. Again, drag the required corrected page from the left window and place it over the old page on the right. Once happy you have arranged your files in the correct order, click the Save button at the lower right corner.

Approving, Rejecting and Removing Pages The quickest and easiest way to approve pages is to click on the Preview tab in your job window. Here you now see your pages in preview mode.

New pages can then be uploaded to replace the rejected pages. Switch to Full Screen mode, found on the top right corner of this window, this will enlarge the pages for proofing purposes.

You can approve or reject pages individually by moving the mouse over the left or right hand panes and select the required action.

It is recommended you check your pages for bleed by clicking on the Registration button. Advanced Users Smart Review can be used for a more in-depth view of your refined files. Located in the Summary tab, Smart Review also lets you view, approve or reject pages but has a host of additional features that let you check colour densities, sizes, bleed and so on. Smart Review also has the facility to add general or specific annotations which are ed to GPS notifying them that a correction is required or a replacement file is due.
