3 Introduction This document contains instructions for importing references from several bibliographic databases commonly used at École Polytechnique into an EndNote X7 library. They were tested in Internet Explorer 10 and Mozilla Firefox These directions vary according to each bibliographic database. In some cases, the Library has modified or developed filters to ensure that bibliographic data is transferred to the right fields. Moreover, there are databases that do not support diacritics (accent, cedilla, and umlaut), therefore you should manually correct the references in the EndNote library after performing the import. These import filters have been developed only for the main types of documents indexed in each database (e.g., journal article, conference proceedings). After each import, we strongly recommend you to check the quality of the imported references and to make corrections. After importing references from several databases, make sure you eliminate duplicates. The Library Catalogue Direct Connexion Connect for the first time to the Library catalogue: 1. Select Edit Connection Files New Connection 2. Click Connection Settings. 3. Fill in the form according to the following screenshot: 4. Select File Save as and save the file as Ecole Poly de Montreal.enz 3
4 Interrogate the Library catalogue: 1. Click Online Search Mode (Temporary Library) in the toolbar. 2. Choose Tools Online Search and then Ecole Poly de Montreal. 3. Run your search strategy and select the references you want to import into your EndNote library. 4. Click the right mouse button on the selected references, choose Copy References To, and then select the library where want to copy these references. 5. Click Integrated Library & Online Search Mode (books and globe) to return to your EndNote library. 6. In the window that appears, choose OK to discard the unselected references in the temporary library. 7. In the Groups Pane, select the group Copied References and click Tools Change/Move/Copy Fields... In the Change Fields tab, choose Name of Database from the drop-down list of fields, and then replace the whole field with Polytechnique Catalogue. After each import, for every transferred reference, make sure its type in the Library catalogue (e.g., book, dissertation, thesis) match up with the EndNote Reference Type. For books, retain only the figures in the field Number of Pages and eliminate ed. in the field Edition (e.g., change xx, 335 p. into 335 in Number of Pages and 5th ed. into 5th in Edition). ABI/INFORM Complete Indirect Import (with the filter ABI INFORM EPM) 1. Perform your search and select the relevant references. 2. Click Export/Save. 3. From the list Output to:, choose EndNote, Citavi, or Reference Manager. 4. Click Continue and save the file. 5. In EndNote, choose File Import File and retrieve the file from step At Import Option, pick up the filter ABI INFORM EPM and click Choose. 7. Select Import All from the Duplicates list, No Translation from the Text Translation list, then replace the whole field with ABI/INFORM Complete. Note: Delete from the beginning of the DOI (e.g., for a DOI that was imported as maintain only /erp ). 4
5 Compendex and Inspec Indirect Import (with the filter EIVillage_Compendex-Inspec EPM) 1. Perform your search and select the references to be imported. 2. Click Download and choose Detailed Record from the Record output drop-down list and the format RIS, EndNote, ProCite, Reference Manager + Download. 3. Save this file - Ex Compendex.ris OR Inspec.ris. 4. In EndNote, choose File Import File and retrieve the file.ris from step At Import Option select the filter EIVillage_Compendex-Inspec EPM. 6. Select Import All from the Duplicates list, No Translation from the Text Translation list, 7. Your references will be gathered in the Imported References group and also added to the All References group. then replace the whole field with Compendex or Inspec. Correct the journal titles containing an ampersand &, which was changed to & during the import. Correct the Conference Location if the field contains the place of publication of the conference instead of the locality where the conference took place (e.g., "Piscataway, NJ, USA" is the place of publication of IEEE conferences). Retain in Conference Location only the city and the province or the state (for Canada and the US) or the city and the country for other countries (e.g., the P.O. Box and the street are not necessary). Discard Proceedings of from the Conference Name. Sometimes the conference sponsor is transferred in Pages, so eliminate it from there. Complete Year of Conference, Conference Name, and Conference Location by using the information imported in the field Notes or by consulting the Detailed format of the reference in Compendex/Inspec and the PDF of the document. Compendex and Inspec have common references, so if you import from the two databases simultaneously, make sure you eliminate duplicates. 5
6 Computers & Applied Sciences Complete (EBSCO) Direct Import 1. Open the EndNote library into which you want to import the references. 2. Perform your search and for each reference you want to export, click Add to Folder or select the entire page of results by clicking on Share and Add to Folder: Results. 3. Select Folder (next to the top right corner of the page) or on Go to: Folder View (located in the box Folder has items). 4. Click Select / deselect all. 5. Click Export, select Direct Export in RIS Format (e.g. CITAVI, EasyBib, EndNote, ProCite, Reference Manager, Zotero) and then click Save. 6. In Mozilla Firefox, if the box Ouverture de delivery appears, choose Ouvrir avec Autre EndNote X7. 7. The references are sent directly into the EndNote library. then replace the whole field with Computers & Applied Sciences Complete. Remove the HTML tags that may be present in the fields Title and Abstract. Fill in Year of Conference, Conference Name, and Conference Location using the information found in the Title, Abstract, and Notes. Derwent Innovations Index Direct Import 1. Execute your search, select the references to import, and click on Add to Marked List. Attention: If you click Save to: EndNote, only the results selected on the current page will be exported, even if you have also selected results from other page(s). 2. Click Marked List at the top of the screen or on the number beside the symbol of the Marked List. At Step 2 section, select all the fields you want to export. In addition to the fields in bold, you might want to select the Abstract and IPC fields. This way, you will transfer the international classification codes in the Keywords field of EndNote. 3. At Step 3 section, click Send to: Endnote. 4. The references are sent directly into the EndNote library. 5. Select the imported references. Continue with Tools Change/Move/Copy Fields In then replace the whole field with Derwent Innovations Index. Check the data transferred by comparing it with the information about the patent in Derwent. The fields Application Number, Date, and Patent Number may contain multiple data for 6
7 each country where the patent was issued. Retain only the information pertaining to the patent you want to cite (e.g., the US patent) and eliminate the data for the same patent granted in other countries. Additionally, discard data unrelated to the respective field (e.g., the date(s) that may be found in the Application Number field). In the field Year, enter the year when the patent was granted in the chosen country. Emerald Indirect Import (with the filter Emerald EPM) 1. Perform your search and choose a tab (e.g., Journals, Books). On each page of results, select the pertinent references, pick up a marked list or the list Session, and click the Go button next to Add to the marked list. The Session list can include up to 10 references, so create an Emerald account in order to create marked lists of more than 10 references. 2. Go to Marked lists from the menu on the left side of the screen. Choose the one where your references have been added. 3. Select the references from the list and click Export options. 4. Click Download file (under Export a text file (RIS format)) and save the file. 5. In EndNote, choose File Import File and retrieve the file from step At Import Option, pick up the filter Emerald EPM and click Choose. 7. Select Import All from the Duplicates list, No Translation from the Text Translation list, then replace the whole field with Emerald. Remove the HTML tags that may be present in the fields Title and Abstract (e.g., correct the titles including an ampersand (&) that was transferred as & ). Check the authors' names, since the last name and the first name can be inverted. Some references may have only in the URL field after importation. Retrieve and fill in the complete URL of the document. 7
8 Ergonomics Abstracts (EBSCO) Direct Import 1. Open the EndNote library into which you want to import the references. 2. Perform your search and for each reference you want to export, click Add to Folder or select the entire page of results by clicking on Alert / Save / Share and Add to Folder: Results. 3. Select Folder (next to the top right corner of the page) or on Go to: Folder View (located in the box Folder has items). 4. Click Select / deselect all. 5. Click Export, select Direct Export in RIS Format (eg. CITAVI, EasyBib, EndNote, ProCite, Reference Manager, Zotero) and then click Save. 6. If the box Ouverture de delivery appears, choose Ouvrir avec Autre EndNote X7. 7. The references are sent directly into the EndNote library. then replace the whole field with Ergonomics Abstracts. Make sure to check all imported records, since many errors can arise out of direct importation. Sometimes the hyphen "-" is transferred as " " in the Title and Abstract fields of EndNote references. Fill in Conference Name and Conference Location fields using the information found in the Alternate Title and Notes. Google Scholar Direct Import 1. Click Google Scholar Settings. 2. Under Bibliography manager, select Show links to import citations into EndNote, and then click Save. This way, the Import into Endnote option will be available under each search result. 3. Select the EndNote library into which you want to import the references. 4. Perform your search and click the link Import into Endnote for every reference you want to transfer to your EndNote library and choose Open. 5. Select the imported references. Continue with Tools Change/Move/Copy Fields In then replace the whole field with Google Scholar. Check attentively the imported references, which might contain many errors as a result of the direct import and of the lack of consistency of bibliographic references in Google Scholar. Usually, the references imported from Google Scholar do not contain much information. For each reference, complete the important fields, such as Volume, Issue, Pages, Abstract, DOI, URL, Conference Name, Conference Location, etc. 8
9 ProQuest Dissertations and Theses Indirect Import (with the filter ProQuestDT EPM) 1. Perform your search and select the relevant references. 2. Click Export/Save; from the list Output to:, choose EndNote, Citavi, or Reference manager. 3. Click Continue and save the file. 4. In EndNote, choose File Import File and retrieve the file from step At Import Option, pick up the filter ProQuestDT EPM and click Choose. 6. Select Import All from the Duplicates list, No Translation from the Text Translation list, 7. The name of the database ProQuest Dissertations and Theses is automatically transferred during the import in the Name of Database field. Note: Change the contents of the Thesis Type field according to your needs, in French or English. PubMed (Medline) Indirect Import (with the filter PubMed (NLM) EPM) 1. Execute your search and select the relevant references. (If you do not make a selection, all references will be imported.) 2. Click Send to; at Choose Destination select File, at Format choose MEDLINE and at Sort by select Recently Added. 3. Click Create File and save the text file. 4. In EndNote, choose File Import File and retrieve the file.txt from step At Import Option pick up the filter PubMed (NLM) EPM and then click Choose. 6. Select Import All from the Duplicates list, No Translation from the Text Translation list, 7. Select the imported references. Continue with Tools Change/Move/Copy Fields In then replace the whole field with PubMed (Medline). The filter PubMed (NLM) EPM transfers the full title of the journal into the Journal field and the abbreviated title into the Alternate Journal field. For styles in medicine for which the abbreviated journal title should appear in the citations, use the filter PubMed (NLM), which transfers the abbreviation into Journal and the full title into Alternate Journal. Check the contents of the field which contains the full journal title and remove its subtitle (e.g., For European Spine Journal: Official Publication of the European Spine Society, keep only European Spine Journal). Check information in Pages. 9
10 Direct Connexion It is also possible to import quality references from PubMed (Medline) through direct connexion. By default, EndNote X7 is configured to allow searching PubMed using EndNote Search option. However, EndNote search interface is less complex than that of PubMed and the results will definitely be less rich and accurate. SciFinder Scholar Indirect Import (with the filter SciFinder (CAS) EPM) 1. Run your search and limit it from the start at the CAPLUS database (Refine by: Database), then select the relevant references and click Export. 2. In the Export window, select the Tagged Format (*.txt) under Citation Manager and then click Export and save the file. 3. In EndNote, choose File Import File and retrieve the file.txt from step At Import Option pick up the filter SciFinder (CAS) EPM and click Choose. 5. Select Import All from the Duplicates list, ANSEL from the Text Translation list, and then click Import. 6. The name of the database (CAPLUS) is automatically transferred during the import in the Name of Database field. For every imported reference, make sure its type in SciFinder database match up with the EndNote Reference Type. Cut the location (city and country) where the event was held from Conference Name and paste it into Conference Location. 10
11 Web of Science Indirect Import (with the filter Web of Science EPM) 1. Execute your search, select the references to import, then click on Add to Marked List. Attention: If you click Save to: EndNote, only the results selected on the current page will be exported, even if you have selected results from other page(s). 2. Click Marked List at the top of the screen or on the number beside the symbol of the Marked List. At Step 2 section, select all the fields you want to export. In addition to the fields in bold, it is generally recommended to select the Abstract, Document Type, Keywords, Page count, IDS Number, and Language fields. 3. At Step 3, click Send to: EndNote. 4. Click Send and save the file. 5. In EndNote, choose File Import File and retrieve the file.ciw from step At Import Option, pick up the filter Web of Science EPM and then click Choose. 7. Select Import All from the Duplicates list, No Translation from the Text Translation list, then replace the whole field with Web of Science. Other Databases Many other databases offer the option to import references into EndNote libraries using direct or indirect importation. You can verify if EndNote provides a filter associated to a certain database at All in all, regardless of the database and the type of importation, we strongly recommend you to always check the imported references in order to make sure that the information was transferred properly into the correct fields. 11
