1 How to mark assessments Overview This document describes how assessors can: locate, group and order assessments mark assessments take over marking an assessment override an assessment mark export assessments for auditing. Requirements You need to have a user account with site admin or assessor privileges on your FinPa LMS site. Note The terminology for different components of the learning management system may differ in your site, as each is a customisable term able to be changed through System settings Terminology. For example Assessor may be Marker in your system. In this guide, the terms used are the default terms, for example Courses, Classes, Participants, Participant groups, Assessor, Trainer. 2 Search for assessments When you log in using a user account that has admin role privileges, you will reach the Management screen, also known as the dashboard. In order to access the assessments for a course, follow these steps. 1. Click on the Assessments tab. Last revised: 27th July 2015 Finpa Australia 2 P a g e

3 The Assessments screen displays showing a range of search fields. 2. Use the search fields to find the assessments you need to mark. To search by participant name or number, enter all or part of a participant s name or number in the Student / Trainee name / number: field. To search by assessor, enter all or part of a assessor s name in the Assessor name: field. To search by Date marking completed, populate the From: and To: fields using the drop down calendars. To search by Date submitted, populate the From: and To: fields using the drop down calendars. To search by Course, click the expand button to view the list of courses, then click the checkbox against the relevant course. To search by Class, select the relevant class from the drop down list. To search by Participant Groups, click your cursor in the Participant Groups: field and select the relevant group for the drop down list. Note: You can use a combination of search fields to search for assessments. For example, you could search for assessments submitted by a specific participant, within a certain date range which are still unmarked. 4 3. Select the relevant option from the drop down list in the View: field. 4. Click Search. The search results display in the assessment list table beneath the search fields. The status of an assessment will be either: Marking pending The assessment has not been marked. Marking in Progress The assessment is currently being marked by an assessor. Done The assessment has been marked Satisfactory and no further action is required. To be re-submitted - The most recent submission was marked Not yet satisfactory and the participant is required to resubmit. Last revised: 27th July 2015 Finpa Australia 4 P a g e

5 Order assessment search results Once you have a list of search results you are able to order the search results according to your needs. In order to order the assessments, follow these steps. 1. In the assessment list table (search results) click any column header to order the search results by that heading. In the image below, the Date submitted heading has been clicked, causing the results to be ordered by date submitted (most recent to least recent). Clicking the Date submitted heading again will re-order the results again, from least recent to most recent. Last revised: 27th July 2015 Finpa Australia 5 P a g e

6 Group assessment search results Once you have a list of search results you are able to group the search results according to your needs. This function helps you to form the list of assessments you require. For example, using the grouping function, you can easily locate all submissions of a specific assessment within a course that was submitted after a particular date (e.g. all submissions of Assessment 2, Assist with compliance with OHS and other relevant laws submitted after Jan 12, 2014). Grouping results helps you to create a list of assessments that match a preferred marking order. You can group assessments by any number of preferences, including: by assessment to mark the same assessment for multiple participants by submission time to mark early submissions first by course and participant to mark all submissions together from a participant, so the participant can have all submissions back around the same time and keep a continuous chain of thoughts by fully submitted submissions to have a higher chance of issuing competent result for a full course or unit. The recommendation is for the training organisation to create an assessment filtering, grouping and ordering policy, and coordinate marking for best efficiency and competency results. 7 In order to group assessments, follow these steps. 1. Enter the relevant term(s) for your search in the fields and click Search. The search results display beneath the search fields. 8 2. Drag one of the table headings to the first row of the table that contains the words Drag a column header here to group by that column. This groups the results according to the header and lists the groups alphabetically. 3. Click the plus button to reveal the results within each group. (You can click the minus button to hide the results again.) Note: To group by a different category, drag the header back to its original position and drag a new header into the top row. 9 4. To group assessment results using multiple categories, drag more than one header to the top row of the table in the order you want to group the results. For example, you could group assessments by course and subject which would group all submissions of a specific assessment within a course together. The image below shows an example of this. With the grouped results expanded, you can see a list of all submissions of Assessment 3 for Develop and use complex spreadsheets. Note: You can change the order of the headers to change the way assessments are grouped. For example, in the image below you could drag the Subject header in front of the Course header in the top row of the table to group the assessments by subject first and then by course. 10 Mark an assessment Once you have located and organised the assessments you want to mark, you can begin marking. In order to mark assessments, follow these steps. 1. 11 The individual assessment screen displays, showing all participant details, course and assessment details, course documents if any (such as assessor guides), and participant's previous attempts. 2. To begin marking, click Start marking. Once Start marking is clicked, the assessor s name appears against the Marked by: field and the Course status: changes to In progress. 13 Once Start marking is clicked, assessor feedback displays to the right of each assessment question. 3. Review the participant s response by following either of the steps below. For text entry and multiple choice assessment questions, the participant s answer appears beneath each question on the screen. For downloadable assessments, click the Uploaded files link to access the participant s completed assessment. Last revised: 27th July 2015 Finpa Australia 13 P a g e

14 4. Click the Not Satisfactory or Satisfactory radio button to score the answer. 5. Type your feedback in the Feedback: text box. Last revised: 27th July 2015 Finpa Australia 14 P a g e

15 You can also upload any files that are relevant to your feedback for the question. This is an optional step that may be useful to support your feedback. For example, if the participant s answer is not satisfactory, you might attach information to assist them with the question. Alternatively, if the participant s answer is satisfactory, you might provide them with information for further reading or an article on a related topic. Another use of this function is to attach a marked-up version of a participant s downloadable assessment. For example, you could save their assessment, add comments in Word and reupload the assessment with your comments here. 6. To upload assessor files, click the Browse button. 7. Select the file and click Upload. The uploaded file will appear under the Assessor files: heading and you will be able to upload further files. 8. If you need to stop marking an assessment before you have completed marking it, click Save as draft and Close. This will save the marking that you have completed so far. You can save the current marking as a draft and move onto another assessment, there is no limit to the number of assessments an assessor can have in progress at one time. 9. Once you have marked each individual question, type any overall feedback in the Overall feedback field at the bottom of the screen. 10. Click Complete marking. 17 Once you click Complete marking, a pop-up box will display with the message This will complete the marking. Are you sure? 11. Click OK. A Saved your changes notification displays at the top of the screen and the assessment details fields automatically update. This information is automatically calculated based on the scores given for each question. If the Subject result is Competent, the Subject status will show Done, and no further action is required for the assessment. If the Subject result is Not yet competent, the Subject status will show To be re-submitted and the participant will be required to resubmit the assessment. Once the assessment is resubmitted, begin the process for marking an assessment again. Once you have completed marking an assessment, an to the participant is automatically generated, informing them that the assessment has been marked and prompting them to log in to view their results. 18 12. Once you have completed marking an assessment click Get next available. This takes you to the next assessment in the assessment list you generated earlier, without you having to go back to the list. For example, if you grouped assessment results by Course and then Subject, clicking Get next available will take you to the next assessment in that list, as shown in the image below. 19 Therefore, the recommended workflow is: create the intended assessment list using preferred grouping and ordering mark the first assessment continue through the list using the Get next available button. Override an assessment mark Once an assessment has been marked in the system, the Override mark button will display. There may be times when you need to override the mark given for an assessment. You can use this button to override the current mark given for the assessment. To override an assessment mark, follow these steps. 1. In the assessment screen, click Override mark. 20 A pop-up box will display with the message Are you sure you want to override this mark? 2. Click OK. 3. Make the required changes to the score and/or feedback for any of the questions. 4. Once you have finished making the changes, click Complete marking and follow on from step 8 in the previous section. Take over marking Once an assessor begins marking an assessment, their name is assigned to it as the assessor. If a different assessor needs to complete marking the assessment, they must take over marking. This may be required if the original assessor is not able to complete the assessment. In order to take over marking an assessment, follow these steps. Once an assessor begins to mark an assessment, their name is assigned to it and appears in the assessor field. 22 If you open an assessment that is assigned to another assessor, the Take over marking button will display. 1. Click the Take over marking button. A pop-up box displays with the message Are you sure you want to take over this marking? 2. Click OK. Your name will replace the previous assessor s name as the assessor for the assessment. At the same time, the Save as draft and Complete marking button will appear and the Take over marking button will disappear. Note: The assessor who clicks the Complete marking button is the person who is fully responsible for marking the assessment. Last revised: 27th July 2015 Finpa Australia 22 P a g e

23 Export assessments for auditing All submissions and marking are time stamped and recorded against the participant and assessor. You can export the list of assessment results according to any group and/or order you require to assist with auditing. The list can be exported as a CSV, Excel or PDF file. In order to export a list of assessments, follow these steps. 1. In the Assessments screen, complete the relevant search fields and click Search to search for the assessments you require. The search results display beneath the search fields. 2. Group and/or order the search results according to your requirements. The image below shows search results for all assessments that were submitted by student7670, grouped by Status. This is a quick and easy way to identify which of this participant s assessments have been marked satisfactory, are currently being marked, are waiting to be assigned to an assessor and need to be resubmitted. 3. 25 The file opens in the appropriate program. The image below shows an example of an assessment list exported to an excel file. The naming convention for exported files is: <name in the View field>_assessments_list_yyyymmdd. For example, the excel file below is All_Asessments_List_ xls.
