1 How to add classes, courses and participants Overview This document describes how you can add participants to a Course/unit via a class. Usually, a Class is created first, and then Courses/units are allocated to that class for delivery to participants. Participant(s) are then added into the Class in order to start the Courses/units and begin learning. Requirements You need to have a user account with site admin privileges on your FinPa LMS site. Note The terminology for different components of the learning management system may differ in your site, as each is a customisable term able to be changed through System settings Terminology. For example Course may be Module in your system. In this guide, the terms used are the default terms, for example Courses, Classes, Participants, Participant groups, Assessor, Trainer. 2 Add a new class When you log in using a user account that has admin role privileges, you will reach the Management screen, also known as the dashboard. To add a new class, follow these steps. 1. Click on the Classes icon or the Classes tab to access the Classes screen. Last revised: 27 th July 2015 Finpa Australia 2 P a g e
3 2. When a Class is selected from the Class list on the left (the orange highlighted row in the image below), its details will be shown in the panel on the right. The Class details show the Courses/units allocated to that class and the current list of participants in the class. 3. To add a new class, click on the New class link (circled in image below). 4 4. In the Add new class panel on the right, type in a meaningful class name. 5. Select the Open radio button for the class Status. (Closed indicates that the class is no longer active.) 6. Click on Save. Last revised: 27 th July 2015 Finpa Australia 4 P a g e
5 7. Once a class has been added, the details of the class will appear in the panel on the right. The class name, and the courses/units and participants for this class, can now be edited using the Edit links circled in this image. Last revised: 27 th July 2015 Finpa Australia 5 P a g e
6 Add courses/units to a class For a class to be useful to participants, courses/units need to be added into it. To do this, follow these steps. 1. Click on the Edit link beside This class is undertaking the following courses / units. Last revised: 27 th July 2015 Finpa Australia 6 P a g e

8 3. From the list of available courses/units, select the course(s) or unit(s) to be added to this class. Note: Start and end date fields can be filled in or left empty. Start date indicates when the course should start. Participants added into the class cannot access the course until this date. Once the end date has been reached, participants will no longer be able to access the course, regardless of their progress. An empty end date indicates that the participant has an unlimited time frame to complete the course. Duration indicates how long the course is available to participants in the class, from the start date. 4. Click Save to confirm all changes. Last revised: 27 th July 2015 Finpa Australia 8 P a g e
9 Add participants to a class To populate the class with individual participants, or a previously created participant group, follow these steps. 1. Click on the Edit link beside This class does not have any participants. Last revised: 27 th July 2015 Finpa Australia 9 P a g e
10 2. From the Participant groups/participants panel which appears (see below), select one or more participants/groups who are to be moved into the class. These participants may be students and/or trainers. 3. To move selected participants to the class, click the Move selections to this list link under Approved (see image below). 4. 11 5. To return to the Classes management screen, click on Classes in the links at the top left of the screen (circled in red below). 12 Search for existing class To search for an existing class, follow these steps. 1. Click on the Classes icon or tab on the management screen, or from the top left of screen. 2. In the Class field, enter the full class name or a partial class name to search for all classes that match the name, then click Search. Last revised: 27 th July 2015 Finpa Australia 12 P a g e
13 Allocate class when creating new participant Classes can be allocated to a participant when their participant account is first created. To allocate class(es) when creating an account, follow these steps. 1. Click on the Participants icon or tab on the Management screen. Last revised: 27 th July 2015 Finpa Australia 13 P a g e
14 2. To create a new participant, click on the New link, (circled in red below) 3. Enter the participant s details in the Add new participant panel on the right. 4. In the Allocate classes section of the details panel, from the list of available classes, select the ones to be allocated to this participant. 5. Click Save. 16 Allocate class to existing participant To allocate class(es) to an existing participant, follow these steps. 1. Click on the Participants icon or tab on the Management screen. 2. Use the Search function to search for the participant. Select the participant. Their details will appear in the panel on the right. 3.
