30 Folders and metadata Taxonomies (metadata, tags) are a key component to improve many business processes Improve findability of your content and increase user adoption Rethink how you classify your information o File name, document title property, categorization, content type, document type, pre-defined tags, user-defined tags, etc. o Focus on task-oriented terminology Avoid browser restrictions Plan for securing your information Organizational taxonomy reuse

31 Value of metadata Scenario: Word document created from someone else s Word document, filed in a folder structure o New Word document inherited hidden properties such as Author, Title o The only identifying item describing the new document properly is the file name and perhaps the folder it s stored under Improve the findability of this document: Change document properties (title and author, etc) Define and add metadata fields (pre-defined, free-from) to further describe document

34 Navigation Make it as easy as possible for the user to navigate the site Despite being able to Search many users still favour simple navigation Avoid listing an item in both the Global Navigation and Current Navigation

35 Global Navigation, Current Navigation Top Link Bar/Global Navigation and the Quick Launch/Current Navigation can be moved around with SharePoint Designer

36 Global Navigation Keep Global Navigation consistent across the site and inheriting from parent site wherever possible Avoid scrolling (horizontal or vertical) by limiting the number of items Attempt keep item names a similar size (e.g. 20 characters including blanks) and consistent with terms used in your organization

37 Global Navigation 3 levels Out of the Box o Edit MasterPage (v4.master) in SharePoint Designer o Ensure Show Subsites is checked in Global Navigation setting

38 Current Navigation Use meaningful headers Change the standard headers like Libraries and Lists Order the Headers so the section that will be used the most is at the top Keep these headers and the order of them consistent on other sites Keep the labels for the links meaningful but short (e.g. they should not wrap over more than two lines) Avoid scrolling (horizontal or vertical) by limiting the number of items
