7 International Tax Management Expert (TME) is an Orbitax software tool accessed from Checkpoint that provides tax professionals at multinational companies with a central, customizable entity manager and tax dashboard for their entire enterprise. Using TME s suite of productivity tools, tax professionals can create and maintain (in chart and table formats) a worldwide entity structure with tax attributes to manage the relationship between entities, model transactions, and track tax planning and compliance tasks. TME includes all of the content, features and functionality of Orbitax s two industry leading tax products: International Tax Expert and International Compliance Expert. Most significantly, you can now add your company s specific information on the system. With this user-friendly software, you can perform several valuable functions: Document and view in graphic format the attributes of your global entities. Model past, current, and future transactions in graphic and table formats. Manage your daily workflow. Record and monitor tax-related commitments for a multinational group of entities. Create and save (in a document repository) memoranda and related documents associated with those entities and transactions. Customize a global compliance project management calendar for your entire organization and all of its various divisions and entities. Export entity data from Blueprint OneWorld and import this entity data into TME. TME greatly streamlines two major tasks that a tax department in a multinational company frequently has to perform: 1. Manage the worldwide entity chart and tax attributes. 2. Ensure that subsidiaries and parent operations meet their compliance obligations. TME accomplishes both of these tasks by providing a single, integrated view of global entities, ensuring that tax processes are consistent with each another, and that any new tax provisions are appropriate and optimized. With this tool, corporate tax managers at the headquarters level can monitor tax compliance actions, track tasks assigned to staff, and share worldwide tax reporting with tax authorities and other stakeholders Thomson Reuters/Tax & Accounting. Log in to Checkpoint using your Username and Password at checkpoint.thomsonreuters.com 2. From the Tools menu, click International Tax Tools in the left navigation panel. 3. Select Int l Tax Management Expert under International Tax Tools. Finally, click Continue to launch TME Startup page in a new window. 8

9 1. Log in to Orbitax Dashboard using your Username and Password at orbitax.com 2. From your Orbitax Dashboard, click Tax Management Expert listed under My Products to launch TME Startup page in a new window. 9

10 1. From TME Startup page, click Download to save AppLauncher file on your local system. Run AppLauncher and follow the prompts for one-time installation of the software. 2. Upon installation, click Start TME on the TME Startup page to view the External Protocol Request dialog box. Click Launch Application to open TME in your local system. Note: After the one-time installation of TME on your local system, subsequent logins to TME Startup page will readily display the External Protocol Request dialog box to launch the application. 10

11 TME launches with its Home Screen displayed by default. On the Home page you will have quick access to the most important tools and functions that you will need for your entity charting, research, compliance, planning and management workflows The top toolbar gives you access to your TME Project, Settings and Help options. The blue menu bar helps you drill-down to tools and functionalities under each module-based Menu on TME. The module-based Menus are designed keeping in mind the different workflows of tax professionals. Quick access links on the Home page are organized under six major sections: Entity Chart WW Tax Calculator and Optimizer Collaboration Workbooks Research and Compliance Planning Click a quick access link to directly open the associated tool on TME. (For example, click withholding tax rates link below Research and Compliance Rates to open the Cross Border screen under the Research menu.) 11

12 TME s blue menu bar at the top organizes different tax workflow resources, tools and features into Home, Database, Entity Chart, Planning, Compliance, Research, Collaboration and Workbook menus. Hover your mouse pointer over a menu to see a list of options that you can select under that menu. The following table describes each menu s features and functions. Note: The topics in this user guide are organized according to the below described module-based Menus. Home screen contains quick access links to the most frequently used tools and functionalities on TME. The links are organized under six major sections: Entity Chart, WW Tax Calculator and Optimizer, Collaboration, Workbooks, Research & Compliance, and Planning. Database menu gives you access to TME s Tax Data Warehouse. You can Add New Database onto the server and set up Permissions for members in your team to be able to access and edit the database. Create Change Reports to include in your Playbook. Entity Chart menu contains links to Entity Data, Entity Designer, Transactions, Organizer, Corporate Rate and Withholding Tax Rate screens. Add/Import your entity structure on Entity Data screen, record your payment transactions on Transactions screens, begin charting in the Entity Designer screen, set up a repository of all tax related documents and tasks/assignments from the Organizer screens, and generate tax rate memos from Corporate/Withholding Tax Rate screens. Planning menu helps you perform tax calculations and evaluate what-if scenarios using the different tax calculators. You will find WW Tax Calculator, Transaction Calculator, Multiple Payment Optimizer, WW Tax Minimizer, Withholding Tax Minimizer, Transfer Pricing, Thin Cap and Repatriation Optimizer calculators under this menu. Compliance menu gives you access to translated Compliance Forms of all the supported jurisdictions along with tools to convert currencies, upload actual tax forms and generate certified translated copies of the filed forms. You will find a Tax Risk Manager tool which can be used with the Interest & Penalty Calculator to assess risk, adjustments and dues. Research menu provides comprehensive content such Tax News, Tax Treaties, Country Analysis (summary, snapshot, detailed country chapter, compliance and antiavoidance checklists) and Tax Rates. You can also generate Tax Memos and conduct further research using additional information from Strategies, Additional Research Sites and TME Discussion Forum. Collaboration menu lets you set up and track progress of Data Surveys, share important dates and events using Online Calendar, and share your project related tax documents on Online Share. Workbooks menu allows you to import your own entity chart templates and link them to the TME tools and features. Reach out to Orbitax Support to learn more. 12

13 1. From TME s top-toolbar, click Settings icon to access TME s Preferences window. 2. In the Preferences window, you can do the following: A. Proxy Authentication: Set up your proxy settings to enable internet access from within TME. B. Send Feedback: Submit your address along with your feedback to reach TME s team. We welcome any feedbacks, queries or suggestions that will help improve the application s ability to cater to your specific requirements. C. Entity Chart: Enable Large Chart Mode if you are dealing with a large entity structure. Read more about using Large Chart Mode in Speed-up Entity Chart Creation & Navigation. 13

14 1. From TME s top-toolbar, click the downward arrow next to Project Name to access the Project dropdown menu. 2. Select New from the Project dropdown menu to start a new project. 3. Use the tools and features in TME to perform your tax management tasks in your project. E.g., Go to Entity Data screen using the following path: Entity Chart>Entity Data screen. Click Import icon at the top right of the screen to Import Your Entity Data for charting. You can then Add/Update your entity data from within TME. Access Entity Designer screen to review the visual representation of your entity ownership structure built by the tool using your entity data inputs. You can further customize and enhance the entity chart as per your requirements. 4. You can Undo or Redo any changes that you make to your project using the two options available in the top toolbar. Note: Remember to Save your project. 14

15 1. From the Project Menu in the top toolbar, select Save to give your project a name and save the project file on your system. 2. This will open the Save File window. Note: Select Online Share in the Save File window to access files shared by your team. 3. Click Browse to name your project and save it to the desired location on your system. 4. Click OK. TME saves all project files with.tme extension. Note: If you are making changes to an existing project, press Ctrl + S from any screen on TME to quick save the changes. Note: Use Save As option to create a copy of the existing project with a new file name or rename your current project. 15

16 1. From the Project Menu in the top toolbar, select Load to display Open File dialog box. 2. In the Open File dialog box, click Browse. This will prompt you to locate and select the project file you want to open on TME. Note: Select Online Share in the Save File window to access files shared by your team. 3. Locate and select the project file on your local system using the prompt. 4. Click OK to load your project. 16

17 In the Edit Project Properties window, you can do the following: A. You can Change project logo to include your company s logo which will be used by TME while generating any outputs (reports, playbooks, etc.). B. You can Set a password to ensure safe access to your tax information included in the project file. 1. From the Project dropdown menu at the top, Load the respective project file on TME. 2. Select Edit from the Project dropdown menu to open Edit Project Properties window. 3. Below Change project logo, click Browse to select your company s logo. 4. Below Set a password, type the desired password in the two text fields. 5. Click OK to apply the above properties to your project. 17

18 With a handy set of Document Tools available on TME screens, you can quickly record, export, download and print all tax related transactions and documentation from TME. These tools are accessible from the top-right toolbar of the applicable TME screen. Click the Import icon to import entity spreadsheets, tax documents, forms and workbooks that you intend to use and share on TME. / / Export or Export to Excel feature lets you extract a copy of your entity charts, updated workbooks with formulas, compliance and research history to EXCEL, PDF, DOC formats (formats available as applicable to the tool being used). Download features lets you save a copy of your tax research and compliance information in PDF, EXCEL and DOC formats (formats available as applicable to the tool being used). / / Click the Print or Print Page option to take print outs of your TME documents, forms, worksheets, research and compliance comparisons of your legal entities. The Refresh icon becomes useful when you have recently updated any input on the screen, for example in the Planning calculators, to make the tool recalculate or updated the output. Use the Full Screen feature in any of the modules, for example Entity Charting, in order to increase your work-space view. 18

19 The Entity Chart menu provides the ability to build, customize and track your global entity structure. Hover your mouse pointer over the menu to access the following screens: Entity Designer screen takes your entity ownership structure from Entity Data screen and creates a visual representation in a chart form that you can further customize or update as per your needs. Capture entity data for global entity structures by importing your entity spreadsheet on Entity Data screen. Add/customize entities and tax information on this screen and see the changes automatically reflect in your entity chart in the Designer screen. Record and track your cross-border Transactions, Inter-company Agreements, and Mergers & Acquisitions using this tool. You can then have the required transactions appear in your entity chart. Create a Repository of all your tax related documents including financial statements, bylaws, residency certificates, tax returns, etc. Manage your tax related tasks from Task Manager where you can keep track of any work assigned to individuals in your company. Find up-to-date Corporate Tax Rates for your entities on this screen. Find up-to-date Withholding Tax Rates for your cross-border transactions on this screen. The Entity Data screen takes your input for your global entity structure and helps you build/enhance your entity chart. The following features allow you to customize your entity charting on TME: Ability to import excel, tax return e-file and blueprint files for updating your entity chart. Customize your entity chart by adding new entities and additional tax data fields to the spreadsheet. Track relevant entity tax data such as corporate tax rates, compliance calendar, cross-border taxes, etc. Create Filters based to display the required entity data and add sub-slides to your chart. Use Filter Explorer to apply any updates made to specific entities. Create Playbooks & Wall Charts in the PDF format as a record of your TME transactions. 19

20 You can import your entity data using filled-in excel sheets, previous years tax return e-files and blueprint tax management files. Note: TME also provides an empty excel template that you can fill-in to import your entity data. 1. From the Home page, select Entity Data using the Entity Chart dropdown menu. 2. This will display the Entity Data screen. Click Import icon at the top-right of the screen to open Import Entity Chart dialog box. 3. Browse to select the file and click Import. TME supports Excel, Blueprint and Tax Return e-file formats. Note: Click here link lets you download an empty excel template to fill-in your entity data. Use the template to record data and then import the sheet from the above dialog box. 4. The Import Entity Chart dialog box refreshes with the option to layout the slides in the Entity Designer tab after import. Enable the checkbox and click Import. 20

21 The data from the imported file will automatically populate the Entity Data and Entity Designer screens. 5. Use the Document Tools at the top-right of the screen to export or print your entity data. You can also create Filters to review and update specific entities using Filter Explorer. Note: Remember to Save the changes made to your project. 21

22 Imported data on TME can be further customized to add a new or update an existing entity, add customized columns to track additional data, and to create new tabs to include more entity specific data. 1. On Entity Data screen, click Add Entity at the top-left. (The new entity created will correspond to United States by default.) Use the Country dropdown to assign a country to the entity. 2. Hover on the cell under the Ownership column to see the Select option. Click Select to see the Ownership dialog box. 3. Select the parent entities by clicking the green arrows in the left panel of the dialog box. Specify Holding Percentage, Holding Period and Indirect ownership on the right. Click Done. Note: Use similar dropdowns, text fields and other available options in the Entity Data table to update data for all your existing entities. If you want this data to show up in Playbook, you must select it form the entity data field Note: Press Ctrl + S to quick save the changes made to your project file. 22

23 1. From Entity Data screen, click Add Column at the top-left. This will display the Add Column dialog box. 2. In the Add Column dialog box, specify Column name and Column type using the dropdowns and click OK. Note: Create customized columns by typing in a name (for e.g., Cost Sharing ) in the Column name field and selecting the appropriate Column type from the dropdown (here Attachments). 3. The new column will now be visible on Entity Data screen. Hover over a cell to add entity data in the customized column. (For e.g., Clicking Add next to Entity UK, will open Attach File dialog box.) Note: Press Ctrl + S to quick save the changes made to your project file. 23

24 You can also move and adjust the width of the columns of the Entity Data spreadsheet. 1. On Entity Data screen, click and hold the column head of the field that you want to move. Then, drag and drop it to the required place in the entity spreadsheet. This will move the required column. 2. Drag the Freeze Pane bar in the header to adjust the width of the columns. You can add additional tabs to your entity data in order to store additional entity related details. 1. On Entity Data screen, navigate to the bottom of the page to find Add Tab option. 2. Click Add Tab to open Add new Sheet dialog box. Enter a name for the sheet and click OK. The new sheet will be created and displayed on the screen. Note: Add new/customized columns in the new sheet (here, US Compliance sheet) to store entity info. Note: Press Ctrl + S to quick save the changes made to your project file. 24

25 TME makes it easy for you to update entity tax data. Besides keeping track of relevant entity tax data behind the entity chart, TME also gives you the option to overwrite any tax data that you want. 1. Add Customized Columns to track additional tax data such as Attachments, Date of Formation, Date of Liquidation, Functional Currency, State/Province Code, etc. 2. Any changes made to your entity ownership structure, transactions and tax data will be automatically updated in all the tabs under Entity Chart menu. E.g. Add a new entity to your entity chart in the Entity Designer Canvas. The new entity will get added to your ownership structure on Entity Data screen. 3. Find important compliance dates in the entity spreadsheet from Entity Data screen. Click the Calendar icon below Tax Year End to find updated Compliance Calendar for the entity. 4. Corp. Rate data field gets updated when you add an entity to the sheet. You can also overwrite the rate by clicking inside the cell and keying in your negotiated rate (overwritten data in red). Note: To undo overwritten data, click the Reset jurisdiction s actual corporate rate. icon. This will update the rate field to reflect the 5. Click the Calculator icon below Corp. 26 The Entity Designer screen takes your input from Entity Data screen and creates a visual representation of your global entity structure. The resulting entity chart can be further customized to do the following: The Top Toolbar of the Entity Designer Canvas gives you the following options: Setting Entity Chart Layout Style Configuring Entity Labels, Properties, Size, and View Adding/Showing/Hiding Transactions Setting default Designer Preferences Tools to Speed-up Charting The Left Panel contains Entity Boxes, Drawing tools & tools to add Notes/Legends/Images. Review your entity chart in the Designer Canvas. The Right Panel provides options to Edit and Organize your slides. At the top-right of the Entity Designer screen, you will find the followings options: Use Filters to create sub-slides and updated filtered entities using Filter Explorer. Generate Playbooks and Wall Charts. Use Multi-Page Layout and the Document Tools for exporting/printing the entity chart.. 26

27 The Entity Designer screen layouts your Entity Chart in the Tree View mode by default. Click the arrow next to left panel to see a tree view (overview) of your entities. A tree view of all of your entities appears in a hierarchy in the left panel. Note: Right-clicking an entity in the left panel Tree View automatically locates that entity for you in your work area, which can be helpful whenever you have a complex hierarchy of several entities or whenever an entity is not showing on the chart. (In the image below, Entity 10 is being located on the canvas.) Click to Fit entity chart to Work-Space Area Click to Expand the entity chart view Click to Collapse the entity chart view Click to set Custom View for the entity chart 27

28 You can design the imported entity chart to enhance the visual representation of the entity structure according to your company specific attributes and requirements. To change the layout style of your entity chart, do the following: 1. From the top-toolbar of the Entity Designer Canvas, click the dropdown next to Apply Selected Layout icon. 2. Select a Layout Style from the dropdown. You can choose from Tree, Compact, Hierarchical and Organic layout options. 3. This will refresh the canvas with the selected layout applied to your entity chart. In the example below, Hierarchical layout is applied to the entity chart. Note: Applying a Layout style may cause the entity chart to flow beyond the workspace-view. Click Fit To Work-Space icon from the top toolbar to see all the entities in the canvas. 4. Click the Layout Lines dropdown to select the layout lines you want to be displayed in the entity chart. You can choose from Ownership Lines, Payment Lines and Labels layout line options. 5. To make sure the selected layout remains unchanged, click Lock/Unlock Layout icon from the toptoolbar. Note: The Apply Selected Layout any changes to your entity chart. icon also acts as a refresh button that you can use after you have many 28

29 To configure the labels of your entities in the chart, do the following: 1. From the top-toolbar of the Entity Designer Canvas, click the Configure Entity Label icon to display Configure Entity Label dialog box. 2. In the dialog box, click Insert Within Entity to add/configure data shown within entities. Click Insert As Footnote to display additional data as footnotes in the chart. 3. Select the entity data you want to be displayed in the chart using the dropdowns. (Below, Tax Year End under Insert Within Entity and Ultimate Ownership under Insert As Footnote have been selected.) Note: The entity data available in the dropdowns correspond to the data fields included in the Entity Data screen. 4. Review the entity labels added within the Label Input Text field. You can further edit/rearrange the labels in the Label Input Text field. 6. Click Apply to see the changes made to entity labels reflected on the Designer Canvas. 29

30 The top-toolbar of the Entity Designer Canvas gives you the option to Add/Show/Hide Transactions in your entity chart. 1. Click the Transactions icon to select an option from the dropdown. You can Add/Show/Hide Transactions, Transaction Labels and Tax View of Transactions using the available options. Note: Add Payment Transaction option lets you add cross-border payment transactions only. To add intercompany agreements or M&A transactions, visit the Transactions screen. 2. Click Show/Hide Transaction or Transaction Labels options to view Show/Hide Payment Transaction dialog box. Note: Show/Hide Tax View of Transaction option displays the Payment Format tab in the Designer Preferences dialog box, where you can set the default Show/Hide settings for different entity types. 3. In the Show/Hide Payment Transaction dialog box, use the green and red arrows to add/remove the transactions under Hidden and Showing panels. Note: The Show/Hide Payment Transaction dialog box displays the Index, Code and Type of the transaction item as specified in the Transactions screen. PT, ICA & M&AT Types refer to Payment, Inter- Company Agreement and Mergers & Acquisitions transactions that have been previously added in the Transaction tab. 4. Click Ok to show/hide the selected transactions in your entity chart. 30

31 The objects (highlighted in the image below) in the Left Panel of the Entity Designer Canvas represent Legend, Note and Image Holder objects respectively. 1. Drag and drop an object (here, Legend) from the Left Panel onto the Canvas to add it to your chart. 2. To edit an object (here, Legend), hover over the object to reveal the downward arrow icon. Right click on the downward arrow and select edit to display the Edit dialog box. 3. In the Edit dialog box, customize the contents and display of the object. (For e.g., you can Add Legend and define Legend Style Properties in the Edit Legend dialog box.) 4. Click OK to view the customized object in your chart. Note: The left panel also contains objects like new Entity Boxes and other Drawing Tools which share the same drag and drop functionality of the Legend/Notes/Image objects. The top-toolbar of the Entity Designer Canvas gives you the following options to resize your entities: Click Fit Text icon to resize entities such that it includes all the labels. Note: Configuring Entity Labels may cause the entity chart to be resized. The above feature helps fit the text labels within the entities. Click Make Same Size icon to match the sizes of all entities to the size of the selected entity in the chart. Click Increase Size icon to increase the size of the selected entity in the chart. Click Decrease Size icon to decrease the size of the selected entity in the chart. 31

32 You will find the following options in Designer Preferences window to set defaults for your entity charting: A. Entity Box Format - Specify default settings for entity box Background, Border, Size, Text Style and apply Conditional Formatting to the required entities. B. Ownership Format Specify defaults for Ownership Formatting, Lines, Holding % and Minority Ownership. C. Layout Format Define horizontal and vertical spaces between your entities. D. Designer Canvas Set default page size and orientation for your chart. E. Payment Format Design Transaction Lines view and decide what entity types you would like to see Tax View of Transactions for. 1. In order to set default designing preferences for charting, click Set Designer Preferences icon from the top-toolbar of the Designer Canvas. This opens the Designer Preference dialog box: 2. After defining the defaults in the Designer Preference window, click Set as Default to apply the default settings to your chart. Note: Settings defined in the Designer Preferences window will be available for your review under Preview. Note: Enable the checkbox next to Apply to current items to apply the default settings to existing entities. 32

33 1. In the Designer Preference window, click Conditional Formatting below Entity Box Format. 2. Click New Format to add a conditional formatting. Use the dropdowns below Conditions to specify which entities to format. Set Fill and Border under Formatting. Note: Enable the checkbox next to Apply to current items. 3. Click Set as default to apply the conditional formatting to the entities in your chart. 1. In the Designer Preference window, click Ownership Formatting below Ownership Format. 33

34 2. You can select the default line direction, color, thickness, pattern and arrow styles for the Majority, Minority and Indirect Ownership Lines in your entity chart. Use available dropdowns to make your selections. 3. Select which Ownership Lines to Show/Hide in the entity chart using the options below the last column. 3. Click Set as default to apply Ownership Formatting to the entities in your chart. Note: Enable the checkbox next to Apply to current items. 1. In the Designer Preference window, click Minority Ownership below Ownership Format. 2. Use available radio buttons and checkboxes to set formatting and display of Minority Ownership in your entity chart. Note: Review the specified settings below Preview. In the image above, Minority Ownership is shown using Footnotes. 3. Click Set as default to apply Minority Ownership formatting to the entities in your chart. Note: Enable the checkbox next to Apply to current items. 34

35 In order to speed-up building, managing and navigating through large entity ownership charts, TME provides the following two tools: Show Minimum Information (top-toolbar of the Entity Designer Canvas) and Large Chart Mode (TME Preference window) Show Minimum Information feature hides away additional entity data from your chart to let you quickly navigate through large entity structures. Its toggle feature enables you to switch from an entity chart displaying all the required labels, lines and objects to the entity chart displaying its most essential elements only. This feature can be accessed from the top-toolbar of the Entity Designer Canvas. 1. From the Project dropdown menu at the top, Load your TME project file. 2. Go to Entity Designer screen using the Entity Chart dropdown menu to view your entity chart. 3. Click Show Minimum Information icon at the top-toolbar of the Entity Designer Canvas to hide additional entity data from your entity chart. 35

36 4. This will refresh the Entity Designer Canvas with minimum information visible in the chart. (Here, Tax Return Dates and Corporate Rates have been removed from the chart.) Note: To retrieve all hidden information, click the hidden entity data. icon again. This will refresh the screen to bring back all Enable the Large Chart Mode to move the Entity Designer screen as a separate tool in a new window. This feature supports building and navigation of entity charts for over 400 entities. Note: The moved Entity Designer window can be accessed from the Entity Data screen upon your next login. 1. From TME s top toolbar, click Settings icon to open TME Preference window. 2. In the Preference window, enable the Use Large Chart Mode checkbox under Entity Chart tab and click OK. 36

37 3. To access the moved Entity Designer window upon your next login, visit the Entity Data screen under Entity Chart menu. 4. Click Show Designer button at the top-right. This will open the Entity Designer tool in a new window. Note: All features and functionalities of the Entity Designer screen are available in the new window. Note: To revert back to the integrated Entity Designer screen within TME, disable the Use Large Chart Mode checkbox in TME Preference window. The change will come in effect upon your next login. 37

38 The ability to build sub-slides from the master slide (containing your entire global entity structure) allows you to do the following: Organize entities in the ownership structure to reflect your tax management priorities. Maintain up-to-date entity tax data and chart of your ownership structure by updating filtered slides using Filter Explorer. Generate Playbooks and Wall Charts of the required slides. Print and export large entity ownership structures using Multi-page Layout. To add sub-slides from within the Designer Canvas directly, do the following: 1. From the right panel of the Entity Designer Canvas, click the downward arrow next the green plus sign and select Add Slide or Add Blank Slide. Note: Add Slide creates copy of the currently displaying slide. 2. You can also move parent and children entity sub-trees from your entity chart to new slides. Select a parent Entity Box in the main slide to view the downward arrow. 3. From the resulting dropdown, click Make Sub-Tree to move the selected parent entity and its children to a new slide. The sub-tree slide will be visible in the right panel of the Entity Canvas. 38

39 The Filter tool in the Entity Data/Designer screen lets you create filters and generates slides based on those filters. The filtered slides can be further updated using Filter Explorer. 1. On the Designer Canvas, open the slide you want to apply your filters to. 2. From the Entity Data/Designer screen, click the Filter Tool icon at the top-right and select Filter. 2. This displays the Filter dialog box. In the dialog box, you can add filters based on two types of criteria: Group Filters: Create filters based on your entity data fields from your entity spreadsheet. Entity Data, Transaction and Ownership Filters: Create filters based on conditions that match your specified entity, ownership or transaction type. 3. For Entity Data, Transaction and Ownership Filters, select a Filter type from the available dropdown and specify the Condition for the filter. Note: Add Group Filters by selecting the entity spreadsheet fields that you want to use as a filter. 39

40 4. Enable the required checkboxes (Parents, Children, Ownership %, and Include Ultimate Parents) below and click See filtered result. This will refresh the Filter dialog box and display the filtered entities for preview. 6. Click Change Condition(s) at the top-left to make edits to your filters if necessary. 7. Click Save as New Slide to add the filtered entities as a new slide in the Designer Canvas. This will display the filtered slide (here, Slide 3) on the Designer Canvas. 40

41 Slides created by applying the Filter can be updated using Filter Explorer. This feature is essential to maintain and track any changes to your entity ownership structure and entity tax data. 1. From the Entity Data/Designer screen, click the Filter Tool icon at the top-right and select Filter Explorer. 2. This displays the Refresh Filtered Slides window. You will find a list of slides that you previously created using Filter tool. 3. Enable the checkboxes next to the slide you want to update and click Update. This will refresh the selected slides and display the updated slides in the Designer Canvas. 41

42 In order to create up-to-date reports, playbooks and wall charts of your entity chart slides, TME provides you the following options to customize and organize your slides: Switch between different slides in the Designer Canvas Edit to Rename and add a Time Stamp to your slides Organize your slides in the required order 1. In the right panel of the Entity Designer screen, double-click on a slide to display the slide on the Canvas. Note: You can also switch between slides using the Slides dropdown list at the top-toolbar of TME. 2. Click the title of the currently displaying slide in the right panel to Edit the slide s name and add a Time Stamp. Note: You can also edit slides by select Edit next to required slide in the Slides dropdown at the top. 3. This will opens Edit dialog box. Key in the desired Title for the slide and include a Time Stamp. Click OK to apply the changes to the selected slide. 42

43 4. To arrange your slides in the required order, click the Organize Slides icon at the top of the right panel in the Designer Canvas. 5. This opens the Organize Slides window. Arrange the slides by simply dragging and dropping the slides in the order you prefer. 6. Click OK to view the organized slides in the right panel of the Designer Canvas. 43

44 Export, print and share your entity chart from the Entity Designer screen using the following three options: Use the Document Tools at the top-right Build Wall Charts of the required slides (max. 34 X 44 chart) Multi-page Layout is a forthcoming feature that lets you divide a large entity ownership structure into different slides and export/print the generated slides. Reach out to Orbitax Support to learn more. Use the Wall Chart feature in the Entity Designer screen to generate a PDF record of your global entity ownership structure. 1. From the Entity Designer screen, click the Wall Chart option at the top to open the Setup Wall Chart window. 2. In the Setup Wall Chart window, select Page Type, specify your Company Name, include your Company Logo and select the Slides you want to include in your Wall Chart. Note: Click Save Settings to use the same settings while generating wall charts in future. 3. Click Generate PDF to create and download your Wall Chart. 44

45 The Playbook feature lets you create a PDF booklet of all your transactions. The generated Playbook acts as a record of your project tasks, files, entity ownership structure, and transactions. You also include an Entity Change Report to your playbook that provides synced data from the Tax Data Warehouse module. Note: You can generate a Playbook from either Entity Data or Entity Designer screens. 1. Go to Entity Designer or Entity Data screens from the Entity Chart menu. 2. Click the Playbook option at the top of Entity Data/Designer screen to open the Playbook window. 3. Click on Settings to specify Page Size, Background and Foreground. 45

46 4. Below Contents, enable the checkboxes next to the items in the left panel that you want to include in your Playbook. 5. Click a content item in the left panel to display its properties and content options on the right. (Here, Transaction Data Fields is displayed.) 6. Make your selections on the right for the required content items. Note: You can customize which Entity Data Fields, Transaction Fields, Entity Chart Slides, Change Reports to include in your playbook. Additionally, add important documents as attachments in the Document Attachments section. 7. Click Generate Playbook Doc or Generate Playbook Pdf at the bottom of the Playbook window to create and download your Playbook. Note: Click Save Settings to use the same settings while generating playbooks in future. 46

47 Add cross-border payments, inter-company agreements and mergers-&-acquisitions from the respective Transaction screen available under Entity Chart menu. Any recorded transaction will be automatically updated in the Entity Designer screen. Additionally, configure transaction labels and currency from the Transaction screens. TME provides an empty excel template that you can fill-in to import your entity transaction data. 1. From Entity Chart menu, hover over Transactions to view and select Payment Transactions. 2. This will display the Payment Transactions screen. Click Import icon at the top-right of the screen to open Import Entity Chart dialog box. 3. In the Import Entity Chart dialog box, click on the Click here link to download an empty excel template. 4. Fill the excel template with your payment transaction details. Save and close the file. Note: The required data fields for successful import include Paying Entity (Code, Name & Country), Stream, Amount, Receiving Entity (Code, Name & Country). Other data fields can be update from the Payment Transactions screen directly. See additional information in the excel sheet titled Instructions. 47

48 5. From the Payment Transactions screen, click Import icon to browse and select the filled-in excel template in the Import Entity Chart dialog box. Click Import. 6. The Import Entity Chart dialog box refreshes with the options to Replace existing entities and Update existing entities in your entity ownership structure after import. 7. Select the appropriate option. The changes made to the entities and the imported payment transactions will be visible in Payment Transactions and Entity Designer screens. 8. Click Edit link within a cell in the Payment Transactions table to edit its content. Use dropdowns and select options wherever available. Note: You can also Edit a transaction to Add Layers to the payment transaction. 9. Click Configure Currency at the top-tight of the screen to set default currency format used in your transactions. This will open Currency Format dialog box. Choose the required currency format and click Apply. Note: TME sets US Dollar as the default currency format. Use Common Currency dropdown list or use Local Currency to find the required currency format. 10. Click Configure Label at the top-right of the screen to customize the label of the selected transaction. Note: Any changes made to transaction labels will be automatically updated in the Entity Designer screen. 48

49 You can also add payment transactions directly from the Payment Transactions screen. This feature also lets you add layers to your existing payment transactions. 1. From Entity Chart menu, hover over Transactions to view and select Payment Transactions. This will display the Payment Transactions screen. 2. Click the Add Transaction button at the top-left of the screen to open Add Payment Transaction dialog box. 3. In the open dialog box, click Add Payment at the top-left to add a transaction to the table. 4. Click the Pick link below Paying and Receiving to select the paying and receiving entities. 5. Select a payment Stream using the available dropdown and specify the transaction Amount. 49

50 6. Click Add Layer at the top-right of the dialog box to add a layer to your payment transactions. 7. This will add a second layer to your payment transactions. Specify Paying, Receiving, Stream and Amount details to the added payment layer and click Finish. Note: You can add up to five layers to your payment transactions from the Payment Transaction dialog box. Note: To add a layer to an existing payment transaction, click the Edit link within Paying, Receiving, Stream or Amount cells in the Payment Transaction table to open Payment Transaction dialog box. Follow steps 6-7 from above to add the layer to the selected transaction. Keep track of debt, R&D, license, technical services and other inter-company agreements in the Inter-Company Agreements screen. 1. From Entity Chart menu, hover over Transactions to view and select Inter-Company Agreements. 2. This will display the Inter-Company Agreements screen. Click Add Transaction to add an agreement to the table below. 50

51 3. In the newly added transaction row, enter the Transaction Date, Paying Entity, Receiving Entity, Payment Stream and Amount. Note: Use the dropdown list in the cell below Stream to specify transaction type. 4. Click a cell in the table to edit its contents. 5. Click Configure Label at the top-right of the screen to customize the label for inter-company transactions. Note: Any changes made to transaction labels will be automatically updated in the Entity Designer screen. Record mergers, acquisitions, liquidations or sale of entities, etc. using the M&A Transaction Type templates available in the Mergers & Acquisitions screen. 1. From Entity Chart menu, hover over Transactions to view and select M&A Agreements. This will display the M&A Transactions screen. 2. Click Add Transaction to view M&A Transaction Type templates from the resulting dropdown. 3. Select a transaction type from the Add Transaction dropdown to open the template in a new window. (Here, Change Ownership template opens.) 4. Fill the template in the new window and click OK to view the transaction in the table. 5. Attach transaction related documents by clicking Add below Attachment. 6. To make changes to a transaction, hover on the cell below Label to view and click Edit link. 7. Click Configure Label at the top-right of the screen to customize the label for mergers and acquisitions. Note: Any changes made to transaction labels will be automatically updated in the Entity Designer screen. 51

52 The Organizer is a mini-project management feature that helps you find documents and easily organize your tasks using the tools: Repository and Task Manager. Use these tools to track all tax related assignments and store important tax related documents. Further, save a copy of your tax files to your Online Share database. Manage a database of important entity related documents (including agreements, financial statements, forms, board minutes, certificates, etc.). The Repository screen allows cataloguing and storing all important entity related documents. 1. Click Repository under Organizer from the Entity Chart menu. This will display the Repository screen. 2. Click Add Item at the top-left of the screen to add a new document in the table below. 3. Click inside the cell below Title to give your file a name and select a Description from the dropdown list. 4. Click the Click to Attach link below File/Link. This will open the Attach File dialog box. 52

53 5. In the Attach File dialog box, click Browse to locate and select the file. Additionally, enable the checkbox next to Copy to Online Share to store the document to your Online Share database. 6. If you enabled Copy to Online Share, click the corresponding dropdown field to choose a location for your file in your Online Share database. 7. Choose a folder (here, TME Surveys and Survey) from Online Share to store your file in. You can also create a new folder in Online Share by clicking New Folder icon. 8. Click OK. This will add your file to the Repository (and Online Share). 9. Choose the appropriate entity using the dropdown below Entity. Note: You can edit/remove the attached file by clicking the Edit or Remove icons next to the file. Note: Documents and folders added to Online Share can also be accessed from the Online Share screen under Collaboration menu. 53

54 Catalogue and track all tax related assignments and tasks from Task Manager screen. You can add and assign tasks, set deadlines, and track the completion status of the assigned tasks using this tool. 1. Click Task Manager under Organizer from the Entity Chart menu. This will display the Task Manager screen. 2. Click Add Task at the top-left of the screen to add a new task in the table below. 3. Click inside a cell to update task data. You can add a Task and provide the Description, Deadline, Status and Assigned To data for your task. Note: Click Add Column at the top-left of the screen to store additional task related data in customized columns. 4. To mark Complete status, click the downward arrow before a task. Select Mark as Complete option. This will put a green tick symbol before the Task. Note: You can also Add sub items to your Task using the above dropdown menu 54

55 Find Corporate Tax Rates for the entities in your entity ownership structure. 1. From the Entity Chart dropdown menu, select Corporate Tax. This will display Corporate Tax screen. 2. Click Find Corporate Rates at the top-left of the screen to open Entity List dialog box. Note: The entities listed match your entities from the Entity Data screen. 3. Use the green and red arrows to select the entities you want corporate rates for. Click All next to the green arrow to find corporate taxes for the entities in your ownership structure. 4. Click Done to view the Corporate Tax Rates results on the screen. Note: You can generate Corporate Tax Memos for an entity by clicking the Calculator Effective Tax Rate. icon below 55

56 Find withholding tax rates applicable to cross-border payments in your entity ownership structure. Note: The entities available for Paying and Receiving match your entities from the Entity Data screen. 1. From the Entity Chart dropdown menu, select Withholding Tax. This will display Withholding Tax screen. 2. Click Find Withholding Rates at the top-left of the screen to open Find Withholding Rates dialog box. 3. In the dialog box, select the Paying and one or more Receiving Entities. Note: For one receiving and multiple paying countries, click the Switch icon placed between the paying and receiving fields. This will reverse the payment direction and you will be able to see multiple countries selected under Paying Entity. 4. Specify the Payment Stream, Ownership % and Holding Period (Months) using the available dropdowns under Conditions and click Search. This will display the result in the Withholding Tax screen. Note: You can generate Withholding Tax Memo for a payment transaction by clicking the Calculator icon below Withholding Tax. 56

57 The Database menu gives you the ability to maintain a secure repository of and track changes to your global entity ownership structure using a tax data warehouse. This tool enables tax departments to maintain and access up to date information on their global entities and intercompany transactions instantly. Hover your mouse pointer over the menu to access the following screens: Master screen lets you Create Tax Databases with the ability to Upload or Retrieve entity data for any given point in the tax year. Allow multi-user access with pre-defined permissions. Generate Entity Change Reports to include in your Playbook. Permissions screen can be used to grant multiple users access to the Tax Data Warehouse with pre-defined sharing modes. You can perform the following tasks from the Master screen under Database menu: Setup multiple tax Databases on your desired SQL server. Track and Save Changes to the entity ownership structure from within the Database. Upload or Retrieve entity charts for any tax year period with user-friendly Import/Export features. Generate Entity Change Reports to include in Playbooks. 1. From the Master screen under Database menu, click Connect to Database to display the Data Warehouse Connection Wizard. 57

58 2. Select a Data Warehouse to set up your Database. You can host your Database on your own SQL server or use Orbitax Hosted Data Warehouse. Note: For further details on how to set up TME Tax Database on Your Own Data Warehouse, reach out to Orbitax Support. 3. This will connect you to the Warehouse. Click New Database at the top-right of the Master screen to create your Database. In the resulting dialog box, provide a Title and choose appropriate settings for your Database. 4. Click OK. This will refresh the screen and connect you to your newly created Database. 5. Populate your Database using the Import from entity chart option. This will display Master Database Time Stamp window. Note: Please ensure that your Project contains your Entity Chart before importing into the Database. See how to Import Entity Data. 6. Master Database Time Stamp window lets you add a time stamp to the imported chart. This feature helps you keep track of successive imports and exports from your Database. Provide a Time Stamp using the Calendar and click Next. 7. On the next page of the Master Database window, select the Entity Data fields that you wish to populate into your Database. Additionally, add Comments. 8. Click Next. This will upload and save your Imported Entity Data onto the Database. 58

59 You can make and save changes to your Time-Stamped Entity Data from within the Database. To update your Database, do one of the following: A. Push updated entity data into the Database using Import from Entity Chart option. This makes it easy for you to update and maintain data on a periodical basis. Refer to Set Up Your Tax Data Warehouse to learn more. B. Retrieve existing data and make Changes to Entity Chart in the Database. Track any changes to prior period using this feature. 1. Connect to your Database in the Master screen. 2. Use the Tax Year Period selector bar at the top to set the range of existing data you wish to retrieve and update. 3. Click Retrieve next to the bar to display the required data on the screen. Note: You can also use Filter Tool to extract specific entity data from the defined period. 4. To make modifications to the retrieved entity data, use the options available under Changes to Entity Chart dropdown. 5. Use the Export to Entity Chart option to generate a slide of your updated time-stamped entity chart which can be accessed in the Entity Designer screen. 59

60 To generate Entity Change Reports, do the following: 1. From the Master screen under Database menu, click Report icon at the right to display the Report dialog box. 2. In the Report dialog box, select Change Report from the Reporting Format dropdown. Note: You can also generate other reports, for e.g., Entities by Data Fields by selecting the appropriate option from Reporting Format dropdown. 3. Provide a Start Date and an End Date using the interactive calendars next to Reporting Format. 4. Click Display to view the generate Entity Change Report in the table below. 5. Click Export to extract the generated Entity Change Report to Excel. Note: All generated Entity Change Reports can be also included in your Playbook. See how to insert an Entity Change Report into Playbook. 60

61 The Tax Data Warehouse is built to be shared and managed by multiple users in a tax department. You can set the permission levels granted to other users to ensure secure access to your master database. This will enable other users to access the entity data through a common interface and allow them to efficient use the data in their respective tax workflows. 1. From Database menu, select Permissions to display the Permissions screen. 2. Click Add User at the top to display Add User dialog box. 3. In the Add User dialog box, enter the Name and Address of the user you want to grant access to. 4. Select a Permission Type by clicking the appropriate radio button. 5. Click OK to add the user. This will display the newly created user s details in the Permissions table. Note: You can Edit/Delete the access for an existing user by clicking the Edit icon for the corresponding user in the Permissions table. 61

62 The Planning menu provides a series of features to calculate worldwide tax for the current and future years under various assumptions and scenarios. The integrated optimizer feature can recommend alternative ways to repatriate earning to the US at the lowest possible worldwide tax cost. Hover over the menu to access the following planning calculators: Calculate detailed US and non-us taxes for any number of years (historical, current and future) and the impact of various what if scenarios, including changes in entity structure and cross border transactions, using WW Tax Calculator. Ability to link to your entity chart and tax rates allows the calculator to use the most up to date entity list, ownership structure, entity types and corporate and withholding tax rates. Transaction Calculator helps you determine the total tax cost of an anticipated crossborder transaction. The Multiple Payment Optimizer page contains advanced Tax Calculator and Optimizer tools which help you look at the total tax cost of alternative tax strategies taking into account the entity type, taxable income and tax attributes in each of the entities. Find best ways to minimize the global tax cost for your payment transactions using the WW Tax Minimizer. Analyze the impact of local country laws on Transfer Pricing ratios and plan your intercompany transactions according. Determine how much of the interest paid on corporate debt is deductible for tax purposes using the Thin Capitalization calculator. Under Planning menu, select WW Tax Calculator to open the tool on TME. 2. To create a base case, click Add at the top and select Add Scenario. This will display the Add Scenario dialog box. 3. In the Add Scenario dialog box, enter a name in the Scenario Name field (here, Base Case ). 4. Enable the checkbox next to Add Scenario to select Tax Projection Template and click OK. This will load WW Tax (Non US) workbook on the screen. 5. Click Import Entity Chart in the left navigation panel to import your entities into the template. In the resulting Select Entities dialog box, select the entities you want to perform calculations for. 6. The WW Tax (Non US) workbook will be updated with information for all imported entities. From the resulting Corporate screen, choose Search Current Rates By Multiple Countries option and click on Select All. 3. Click Search. 106 Use the Cross Border feature to find withholding tax rates applicable in the required countries and the total tax costs for your anticipated cross border transactions. 1. Select Cross Border Rates from the Rates tab under the Research menu to view Cross Border screen. To choose only one paying country, select the country from Choose a Country dropdown under Paying. Then, choose all countries from Choose Countries dropdown under Receiving. Note: For one receiving and all paying countries, click the activated switch icon placed between the paying and receiving fields. This will reverse the payment direction and you will be able to see multiple countries selected under Paying. 2. Click icon under Withholding Tax % column to switch to the Withholding Tax Minimizer tool to find the best route for your cross-border payment with reduced WHT tax dues. 6. Click icon under Tax Cost (Benefit) column to switch to the Transaction Calculator tool to calculate the total tax cost of your anticipated crossborder transaction. 7. Click icon under Tax Treaty column to switch to Treaties tab where you can access the translated Treaty document and related commentaries. 8. Click icon under Rate Memo column corresponding to the required cross-border transaction to generate a WHT Tax Memo. This will redirect you to Rate Memo screen. 108 Use the VAT Rates screen to find Value Added Taxes and other local taxes applicable in a country. 1. Select VAT Rates from the Rates tab under the Research dropdown menu. Note: To find Individual Rates select Individual Rates from the dropdown instead. 2. View the VAT Rates table for all the countries supported by TME arranged in alphabetical order. Additionally, enter the required country name in Search Country field to find country-specific VAT Rates in the table. 3. 109 The Advanced Search screen lets you find countries satisfying your company s tax search criteria. 1. Select Advanced Search from Rates option under the Research dropdown menu to view the Advanced Search screen. Here, select a paying country from Choose a country dropdown under Paying. Then, click Select All link from Choose a country dropdown under Receiving. 2. Click Check All under Payment Stream. Then, choose the required values from Holding % and. Holding Period dropdowns. 3. Under Search Criteria on the right, use the Relationship dropdown along with the two value fields placed next to each available search criteria to specify your condition. 109

112 The Tax Memo Generator automatically creates memos with calculations for tax return due dates, interest and penalties, NOL carry-forwards, transfer pricing ratios, thin cap limitations, etc. Use the Rate Memo screen to generate, print and download: (a) Corporate Tax Memo and (b) Withholding Tax Memo. 1. Select Rate Memo from the Tax Memos tab under the Research dropdown menu. The Rate Memo screen is displayed. Select the radio button next to Corporate Tax under Memos Types. Note: To generate a WHT Memo follow the steps described below choosing WHT Memo type instead. 2. Select the required country from Choose Country dropdown and enter your actual projections in Taxable Income field. Note: Once you have chosen the country where your entity is located, TME updates the rates fields on the screen with the rates applicable in that country. 112

113 3. If you want to edit the default CTR Rates, enable the checkbox next to Change Default Corporate Tax Rates and make the desired changes in the rates fields. 4. Click View Memo. TME performs calculations using your inputs and displays the generated Corporate Tax Memo on the screen. 5. To save/download/print the generated memo, scroll up and use Download/Print Page options at the top of the screen. You can download the memo as a PDF, a Doc or an HTML file. To calculate interest and penalties applicable in the local country for different infraction types, follow the steps provided in the Interest & Penalty Calculator section described under Research>Analysis>Country Chapter. You can then download or print a memo of the results by switching to the Interest & Penalty screen under Tax Memos. Note: You can also access the Interest & Penalty calculator under the Compliance Module which takes your input from Tax Risk Manager screen, performs calculations and generates memos. To see how the transfer pricing ratios are calculated for different TP methods in the local country and how a change in the transfer pricing amount will impact the variance between the actual and target ratios, follow the steps provided in the Transfer Pricing Ratio Calculator section described under Research>Analysis>Country Chapter. You can then download or print a memo of the results by switching to the Transfer Pricing screen under Tax Memos. Note: You can also access the Transfer Pricing calculator under the Planning Module where you can evaluate what-if scenarios and export/print your results. To see how the local country s thin capitalization rules will impact the total tax cost of making interest payments from the local entity to your company, follow the steps provided in the Thin Capitalization Calculator section described under Research>Analysis>Country Chapter. You can then download or print a memo of the results by switching to the Thin Capitalization screen under Tax Memos. Note: You can also access the Thin Capitalization calculator under the Planning Module where you can evaluate what-if scenarios and export/print your results. To determine how to best utilize your losses in the local country, follow the steps provided in the Net Operating Loss Carry Forward Calculator section described under Research>Analysis>Country Chapter. You can then download or print a memo of the results by switching to the Net Operating Loss Carry Forward screen under Tax Memos. 113

From the Research menu, click Strategies to display Strategies screen. All available strategies can be accessed under Strategy Documents on the left. 2. Click the radio button next to a Strategy Document in the left panel. This will display the document. Note: The documents also contain links for additional tax content review. 116 Under the Compliance menu, you will find translated compliance forms for over 100 countries, tools to keep track of uncertain tax positions by entity, and calculate deferred tax liability including applicable interest and penalty amounts. Hover your mouse pointer over the Compliance menu to access the following screens: Forms screen gives you access to original and translated compliance tax forms for over 100 countries. Create a certified translation of your existing filed forms. Translate and Compare all tax related documents including audit notes, financial statements, etc., with currency conversions using Convert Currency feature. Use the Interest & Penalty Calculator screen to calculate interest and penalty amounts by entity for all four possible types of infractions. Tax Risk Manager screen lets you deal with uncertain tax positions in accordance with Fin 48 regulations. Orbitax maintains an updated database of key worldwide tax return forms translated into English. From the Forms screen in TME, you can perform the following tasks: Find worldwide tax return forms translated into English including corporate income tax, value added tax, withholding tax, local tax and registration forms. Translate existing foreign tax forms into any language and compare the translated version side by side with the original language version Translate any PDF document, electronic or scanned, including audit notes, financial statements, local country laws, tax returns, etc. into the desired language Create a certified translation of the tax return form you filed in the local country Quickly perform currency conversions of amounts in your tax related documents 116

117 1. Select Forms under the Compliance menu. After the page refreshes, you will see results for US tax forms displayed on the Forms screen by default. 2. Select the required country using Choose a country dropdown at the top-left of the screen and click Done. 117

Click Fix Spacing to remove extra spaces in the translated version of the form. Use Download/Print options to download/print the original and translated versions of the form. You can choose to download/print both versions side-by-side or each version separately. Click Select FX Rates to set the exchange rate for the currency conversion if any in the translated form. Use the central scrollbar provided to compare the two versions of the document side by side. To edit the translated version of the form, simply click on the required spot in the Revised Document on the right and make the changes. 4. Click at the top-right of the screen to go back to Forms screen. 120

121 You can create a certified English translation of the actual form you filed in the local country and convert currencies using the required FX Rates to reflect the actual amounts in the certified translation. 1. Click icon under Compare column corresponding to the required form from the table in the Forms screen. 2. The Compare Options popup opens. Select the radio button next to Compare your document and upload the already filed tax form using Choose File option. Note: Enable the checkbox next to Treat as scanned if your document is a scanned pdf. 121

122 3. Compare Options popup will refresh. Now, select the language of the actual form using the dropdown available and enable the checkbox next to Create a Certified Translation. 4. Click Compare to view the two documents side by side. Compare/Translate Forms screen opens with the actual form displayed on the left and the certified translation on the right. 122

123 5. To convert currencies in the certified translation, click Select FX Rates. The Convert Currencies popup opens where you can specify settings for the exchange rate you want to use. Specify the local currency using From Currency dropdown. Then, specify the currency you want to convert the amounts to using To Currency dropdown. For the exchange rate you want to use, choose either Spot Rate or Average Rate. The Exchange Rate field refreshes using your inputs and displays the rate for the currency conversion to be used in the certified translation. Enable the checkbox next to Apply to All to perform conversions for all amounts in the actual form using the specified exchange rate. Enable the checkbox next to Show Notes to include the inputs specified for the exchange rate used. Click Add Note to add another note to the document. 6. Click Done to convert the currencies in the certified translation of your document. 7. Use Download/Print Page options to download/print the certified translation of the actual filed form once you have made the necessary edits and finished the required currency conversions. 123

124 Translate and compare your PDF documents, including audit notes, financial statements, local country tax laws, etc. using Translate and Compare features from the Forms screen. 1. Click Translate at the top of the Forms screen. 2. This opens the Translate Document popup. Here, specify the settings for the required translation. Upload your document using Choose File option. Enable the checkbox next to Treat document as scanned if your document is a scanned PDF Enable the checkbox next to Auto Detect Language. Note: This feature will be live soon. Specify the original language of your document using From Language dropdown. Then, specify the preferred language of translation using To Language dropdown. 3. Click Translate to view the original and translated versions in Translate Form screen. 4. From Translate Form screen, click Select FX Rates to convert currency in the translated document. 124

Enter a Scenario Name (typically, tax year) and choose between Start from Existing Scenario or Start New Scenario. Click OK. 4. From the left panel, click Add Calculation Item to add an interest and penalty calculation for an entity. This will open Add Calculation Item dialog box. 126

127 5. In the dialog box, provide an Issue Code to the issue instance and select the Entity. Note: To calculate total deferred tax liability, the Issue Code and Entity should match the values specified in the Tax Risk Manager tool. 6. Select the infraction type from the Calculation Type dropdown list and click OK to view the updated worksheet in the IPC Template workbook. Note: Each Issue is assigned its own sheet. Also, updated worksheets include updated Entity Info, Ownership, Summary by Entity, Individual Calculation Summary and Issue (by code). 7. Enter the tax dispute amount in the cell adjacent to Dispute Amount below Identifies. The tool will then perform calculations and display the interest and monetary penalties below Interest Section and Monetary Penalty. Note: You can overwrite existing data in the worksheet if it applies to your specific case. 8. Scroll down to view the Results. Note: Use the Memo icon at the top-right of the screen to generate Interest & Penalty Memos by Issue. You can download and print the generated memos using the Documents Tools. 127

128 Track uncertain tax positions of your entities, which is a requirement under FIN 48 regulations, using the Tax Risk Manager tool. The tool provides you with in an excel-like environment to calculate deferred assets and liabilities, and assess the effect of interest and penalty amounts. 1. Select Tax Risk Manager under the Compliance menu. This will display the Tax Risk Manager screen. Note: Ensure that your entity data is loaded onto TME for the Risk Manager to perform calculations by entity. See Import Entity Data for steps to add your entity spreadsheet to TME. 2. Click Add at the top-left and select Add Scenario. This will open Add Scenario dialog box. 3. Enter a Scenario Name (typically, tax year) and choose between Start from Existing Scenario or Start New Scenario. Click OK. 4. From the left panel, click Add Issue to add a potential tax risk issue for an entity. This will open Add Issue dialog box. 128

129 5. In the Add Issue dialog box, provide an Issue Code to the issue instance and select the Entity. 6. Click OK to view the updated worksheet in the Tax Risk Manager workbook. Note: Each Issue is assigned its own sheet. Also, updated worksheets include updated Entity Info, Ownership, Issue Summary and Issue (by code). 7. Provide additional details about the possible risk below Issue (Title, Issue year, Description, etc.). 8. Below Step 1: Input Taxable Income, input your Current Tax Income (Filing position) and Worst Case Taxable Income to find out the Difference for Tax Impact. (In the example below, the Tax Impact for Entity 4 Uruguay is 175.) 129

130 9. The tool then presents seven different probabilities to come up with a Tax Due amount for Cumulative Probability of Occurring values. Step 2: Calculate greater than 50% likelihood amount illustrates this calculation and gives the tax due where cumulative probability is greater than 50%. (In the example below, is the Additional Tax Due Resulting From Audit where cumulative probability is 55%.) 10. Step 3: Calculate Deferred Tax Liability is updated with the Additional Tax Due from Step 2. To calculate total Deferred Tax Liability, perform further calculations in the Interest & Penalty Calculator screen. 11. Once you have calculated the interest and penalty amounts, come back to Tax Risk Manager and click Refresh Interest & Penalty link in the left panel. 12. This will refresh the Issue worksheet and add any interest and penalty dues applicable to your Deferred Tax Liability amount. 131 The toolbar at the top-right of Tax Risk Manager and Interest & Penalty Calculator screens provide the following options: Click to Export TRM/IPC Templates along with the formulas and calculations to Excel. Click to Recalculate when you change a parameter. Click to Protect a template to ensure intact formulas and calculations. Click to use the Mapping Tool in the templates. Click to generate Interest & Penalty Memos. Click to Print a filled-in template. Click to switch to Full Screen mode. The Export To Excel feature in the Tax Risk Manager and Interest & Penalty Calculator screens lets you extract the updated (with formulas and calculations performed) workbook to Excel. 1. From Tax Risk Manager/Interest & Penalty Calculator screen, click Export To Excel icon at the topright. This will open Export To Excel dialog box. 2. Enable the checkbox next to Copy Current Workbook With Formula and click Save or Open. Note: The workbook is by default titled as TRM Calculation Template or IPC Calculation Template. 3. Open the exported excel spreadsheet in Excel to find all TRM/IPC data and formulas intact. You can change values in the cells to perform further calculations. The Mapping Tool allows you to link your own imported workbooks and entity chart templates with the workbooks and planning templates on TME. Reach out to Orbitax Support to learn more. 131

132 The Collaboration menu provides a series of features to collect and store tax relevant documents and information and maintain a calendar of tax filing dates around the world. Once the required information is brought into the tool, any updates to the existing information can be completed automatically. With this tool tax departments can maintain and access up to date information on their global entities and intercompany transactions instantly. Hover your mouse pointer over the Collaboration menu to access the following screens: Online Share screen gives you the ability to collect, store and update relevant documents which can then be shared with other users. Conduct Data Surveys to gather the required information from respondents around the world. Assign specific entity data fields to respondents and track the Progress of all your surveys. Setup an Online Calendar for tasks related to important filing deadlines, mandatory form submissions or gathering requested tax information. Track Status for each task and send out Reminders to task owners. The Online Share screen provides a set of features that allow you to create, upload and store relevant tax data in a database which can be accessed commonly by users within a tax department. Perform the following tasks to utilize the features and functionalities on this screen: Store data in Folders with user-defined Sharing modes. Add New Files to existing folders along with the ability to access them from within relevant areas in TME. Track any modifications made to the shared data by other users. 132

133 From the Online Share screen, you can store and share important tax related files. Share projects, charts, documents, forms and workbooks created/updated elsewhere on TME using this database. 1. In the Online Share screen under Collaboration menu, click the Create New Folder option. 2. A New Folder is added to the Online Share database. Enter a Name for your folder in the text field and click outside the table to view the newly added folder. Note: You can Rename or Delete a folder by clicking on the downward arrow the displayed table. before the required folder in 3. Double-click on a Folder Name to open the Folder. Once inside a folder, you can create sub-folders or add files to the existing folder. 4. Click the Add File option at the top to display the Open dialog box. From the dialog box, browse and open the file you want to add it to the active folder. 5. Track any modifications made to the files in the Database using the information provided under Modified Date and Modified By columns. Note: Files in the Online Share database can be accessed by other users from Add/Open/Attach options elsewhere on TME. Users can then make changes as required and Export/Save it back into the appropriate Online Share folder. 133

134 The Data Surveys screen allows you to assign and collect data from respondents around the world. Sending surveys also enables respondents to provide documents that will be automatically stored in the online database within specific user defined folders once submitted. Use the following options available on the Data Survey screen to create, assign and track progress of your surveys: Create surveys using Start a New Survey or Start from a template options Assign Surveys in two modes: Shared or Traditional Track Progress and completion Status of all assigned surveys To create surveys on the Data Surveys screen, you can choose to Start a New Survey by uploading your own file or Start from a template that you saved previously. 1. From the Data Surveys screen, click the Start a New Survey option at the top. This will display the Attach File dialog box. Note: Click Start from a template option if you wish to use a previously used survey template. 2. In the Attach File dialog box, Browse and select the survey file/worksheet that you want to use. Note: You can also Load a previously shared file from the Online Share database. Click OK. 3. This will open the file in the Survey window. 4. Use the Survey window to assign the survey file to respondents using one of two modes: Shared or Traditional. 134

135 Once a survey worksheet is loaded onto the Data Surveys screen, you will be asked to customize and assign the survey in the Survey window using one of two modes: Shared Survey: This option lets you assign specific data fields from the Survey worksheet to be filled by your respondents Traditional Survey: Use this option to assign the entire Survey worksheet to all your respondents. 1. In the Survey window, choose a mode (Shared or Traditional) next to Survey Mode. 2. Under Step 1, select the cells you wish to assign to a respondent and right click to confirm. Note: This step applies only to Shared Survey mode. For a Traditional Survey, click on Select the entire sheet option above the Survey worksheet. 3. The assigned cells will be displayed for your review in the field above Step

136 4. Under Step 2, enter the Address of the respective respondent and click the Assign button. 5. For a Shared Survey, repeat Step 1 and Step 2 to assign multiple cells to multiple respondents. 6. Customize the assigned survey using the below options provided in the Survey window: Survey Information Enter a Name for the survey, Owner s ID and add a Survey Message Participant s view Select the View Only Assigned Cells option to restrict the participant s view of the Survey worksheet. You can also select the View All Cells option to allow complete view only access to the participants. Notifications - Choose to either receive notifications when all respondents have completed the survey or every time an individual respondent completes the survey assigned to them. From Select your own Server or TME Server to send s to respondents. Attachments with this survey Include any additional attachments that you wish the participants to have access to. 7. Click on Send Survey to finish the process of assigning surveys to participants. Note: You can also save the assigned survey as a Survey Template to be used in future. 136

137 The Data Surveys screen displays all assigned surveys under two tables: Ongoing and Completed. 1. All assigned surveys can be tracked using the auto-updated information in the Ongoing Surveys table. 2. Check the Progress bar and the Status update to find out how far the assigned surveys have been finished. 3. Once the respondents have submitted their assigned survey data, the finished surveys will be visible below Completed Surveys table. 137

138 The Online Calendar screen allows you to add online calendars listing out various forms that need to be filed along with the due dates for mandatory submissions. The following tasks can be performed on this screen: Add Tax Calendar(s) Add Events to your calendar Manage the Online Calendar and send out Reminders to task owners Track Status of calendar events 1. From the Online Calendar screen, click the Add Calendar option to display Add New Calendar dialog box. 2. In the dialog box, give a Title and select a Sharing Mode for the new calendar. 3. Click OK. This will create and display the new calendar in the Online Calendar table listing. 4. To Edit the Sharing Mode for a calendar, click the downward arrow next to the calendar in the table. 5. To share the calendar with respondents, click the link option under Sharing Mode. Copy the Link from the resulting dialog box and share it with your respondents. 138

Below Populate due dates, select the appropriate radio button. You can choose to provide your Compliance Due Dates or let TME insert the dates from its updated database. 5. Click Next to refresh the wizard. You will now be able to see the available Calendar Events that can be added to your calendar. Note: You can also Add Additional Events to include in your calendar 6. Click Done. 139

140 Once your Calendar is set up with the required Calendar Events, you can then send out Reminders to the assignees and track the completion Status of each calendar event. 1. From the Online Calendar screen, click the required Calendar Title. This will launch the selected calendar on the Online Calendar Cloud in a new browser window. 2. Your Calendar Events are organized and displayed on the Online Calendar Cloud screen by date. 3. Use the calendar options such as the Yearly Calendar (at the top of the left panel) and the Event View/Calendar View options at the top to customize the Calendar Display. 4. Click Add New Event option at the top to add more calendar events. 5. Identify pending Calendar Events using the Legend in the left panel. Each event in the calendar is marked (by color) with a status. 6. Use Import/Export options at the top-right to update/download your calendar using Excel templates. 7. Click an Event to send out Reminders or to update its status to Completed. 140

Click Add Reminders option at the top to send out reminders to the respective task owners. 3. Upon the completion of a task, click Edit Item at the top to change the Completed status to Yes.
