3 Overview The eschooldata system organizes individual student data in two basic areas: Student Registration and Student Profile. Student Registration contains demographic data, such as address, gender, ethnicity, etc. Student Profile contains academic data, such as transcripts, report cards, assessment scores, as well as other information that may change periodically throughout the school year, such as attendance, schedules, lockers, etc. The material presented in this guide assumes the user has a basic familiarity with the esd System. For information on how to access the system or perform basic user functions, please refer to the Getting Started User Guide. Student Profile Search Page Go to Student > Profile. Select the desired building from the School menu. Click Search, without entering any Search Criteria, to display ALL students alphabetically by last name. To narrow the search results, enter search text in the Search field and select the Search filter (All, First Name, etc.), and/or use the other filters, then click Search. The default sort order can be changed by clicking on the underlined column headers (ID number, Last Name, First Name, etc.). Click once for ascending order, a second time for descending order. All screenshots in this guide illustrate a user with full access to all parts of the esd system. However, not all menus, Profile tabs, buttons or icons may be available to a particular user, based on district needs and assigned permissions. eschooldata, LLC Copyright

4 Search Page Icons Click the Excel icon to export the displayed list of students to Excel. Click the student s Name or ID Number to open their Student Profile, also known as the Student Portfolio (see page 7). Click the Contacts icon / to display the Student Contact screen (page 5). Hover over the Contacts icon to view the Guardian Alert. Click the Schedule icon to view the student s current class schedule (page 6), or click the Add/Drop icon to modify the student s class schedule (see the Scheduling Individual Students User Guide). The student will display a Summer School icon or a Dual-Enrollment icon when applicable, as indicated by their enrollment records. Click the Dual-Enrollment icon to view the Additional Enrollment Details. The student will display Custom Status Indicator icons ( column header), when applicable. Hover over the Indicator icon(s) to view the tooltip details. Click the Special Ed icon, 504 icon, or Declassified icon to view the student s IEP. Click the RTI icon to view the student s RTI or AIS Plan. A green checkmark in the LEP column indicates the student is currently classified Limited English Proficiency / ESL (English as Second Language), while an A indicates the student was previously in a LEP Accountability Subgroup. The red Contacts icon indicates that there is a Guardian Alert for that student. The Dual-Enroll icon is turned off after June 30th, until the School Year has been advanced (bit flip). The Custom Status Indicators also display in the Student Information Section of the Student Profile, when applicable. Access to the student s IEP and/or RTI/AIS Plan are permission based. 5 Student Contact Icon The Contacts icon launches the Student Contact page, which displays the Student Information, their Allergies/Alerts/Medical Conditions (if any), Guardian information, Emergency Contact information and School Contacts. Click the Expand icon next to a Contact s name to display their contact information. Users with the proper permission can click the Phone icon next to a Contact s name to update the Contact s phone number(s). Click the Alert icon to view the Guardian Alert (permissions based). Hover over the other icons to view the tooltips. To the student s Guardians and/or School Contacts, click the checkboxes to select the desired individuals, then click the icon to compose an using your native program. The is automatically addressed to the selected individuals. All sections, except the Emergency Contact, are expanded by default. Once clicked, the Expand icon changes to a Collapse icon. Click Phone Journal to open the student s Phone Journal. Click View Household to view the student s Household. If a Guardian has multiple Portal Accounts, the displayed Guardian data is pulled from the most recent account, and all accounts will be listed in the User ID(s) column. The School Contacts section highlights the class currently in session (if any). Click the Printer icon to print the Student Contact screen. Select the desired Print options (all checked by default), then click Sent to Print. School Contacts displays primary teachers from the current semester only. Co-teacher s address displays along with primary teacher's address, when applicable. Users with the appropriate permission can Edit the School Contacts. eschooldata, LLC Copyright

6 Student Schedule Icon The Schedule icon opens the student s Profile to the Schedule tab, displaying the student s schedule for the current semester. Click the Expand icons to view the other semesters. Classes that are currently in session will appear highlighted. For more information about the Schedule tab icons and buttons, see Schedule Tab on page 29. Attendance Status tallies and the student s PFA (Projected Final Average) are also included for each class. Click the PFA to display the PFA Details, which displays all the components of the average calculation. Users can Print the PFA Details. This PFA is calculated nightly. If the teacher s Gradebook has been updated during the day, the values may not match exactly. eschooldata, LLC Copyright

7 Student Profile From the Student Profile Search Page, click the student s Name or ID Number to open their Student Profile (also known as the Student Portfolio). Navigate the Student Profile The Student Profile opens by default to the Profile tab. Click Show fewer (default) or Show more to collapse/expand the tabs list to maximize the page space for content. Click the desired tab to display the associated information. Users can navigate from one student s Profile to another student s Profile, using any of the navigation methods on the Navigation Bar (below the Profile tabs). Select the Search Criteria (LastName, FirstName, or IDNumber), enter the search text in the search field and click Search to display a list of students who match the Search Criteria. Or click a letter on the Alphabet bar to display a list of students whose last names start with that letter. Click the radio button next to the desired student s name to display their Student Profile. Users can also click the Prev / Next buttons to move to the previous/next student s Profile alphabetically. Click Close to close the Student Profile. The Profile tabs shown in these screenshots illustrate a user with all permissions. Users tabs will vary based on assigned permissions. If the user has filtered the Student Profile Search page, the Prev / Next buttons will utilize the filtered list. Tip: To view two students Profiles simultaneously, click the New Window icon to open the Profile in a new window, then use the Search bar, Alphabet bar or Prev/Next buttons in the new window to find and display the second student s Profile. eschooldata, LLC Copyright

8 Student Information Summary A summary section of Student Information, including photo, name, demographics, enrollment, and household, is displayed on every tab of the Student Profile, immediately below the Navigation Bar. The General section displays the student s photo and demographic information, and includes indicator icons that allow users to quickly identify critical information: Truancy Alert (next to student s name), Contacts and Guardian Alerts / ; Current Class Location ; Today s Schedule ; Medical Conditions and Allergies ; IEP, 504, RTI, LEP statuses; and Custom Status Indicators (if defined). Hover over / click these icons to display the information (permissions based). Under the student s photo will be the photo menu and one or two photo icons. Users can Add Photo and, when a photo is loaded, Delete Photo. Use the photo menu to select which uploaded photo to display. Right-click the displayed photo and select Print Picture from the shortcut menu to print the student s photo. The Current School section displays the student s current enrollment data. The Household section displays the student s household data. Click the Household surname to display the Household View page. Click the Map icon to view the map of the student s address using Google Maps. For more information on Custom Status Indicators, see the Registration Setup User Guide. For more information on Student Photos, see the Student Lockers, Photos and Buses User Guide. Click the Collapse icon to collapse the Student Information section, to maximize the page space for content. The General section includes the State ID #. eschooldata, LLC Copyright

9 Profile Tab The Profile tab displays the student s scheduling information and academic/career plans. Click Edit to update the displayed information, and the student s Current Location, Counselor, and Homeroom. Make the needed changes then click Save. The following pages provide information about the remaining Student Profile tabs, in alphabetical order. Users may not have access to all tabs, based on district needs and assigned permissions. 504 Tab The 504 tab displays the student s uploaded 504 Plans. Click 504 Log to display the 504 Log. Users with appropriate permissions can also upload new 504 Plans from this interface. 10 Achievement Tab The Achievement tab displays the Achievements that have been assigned to the student. Users can Edit or Delete existing Achievements. Click New to add a new Achievement. For more information on Achievements, including how to create new Achievement Types, see the Achievements User Guide. Click Print to print a list of the student s Achievements. Archive Report Editing Tab The Archive Report Editing tab displays the student s archived report card(s) and transcript report(s). The default view is the Edit Report Card tab. Select the applicable Scheduling Year from the menu (defaults to current year). Users with the appropriate permissions can View, Edit, and Export to XML the report cards. eschooldata, LLC Copyright

11 Click the Edit Transcript Report tab to View, Edit, and Export to XML the transcript report(s). Assessments Tab The Assessment tab displays the student s Assessments and Assessment details, with Assessment Components indented beneath the associated Assessment. Click the Score to edit an existing Assessment. Click the Delete icon to delete existing Assessments. Click New to add a new Assessment. 12 Attendance Report Tab The Attendance Report tab displays the student s attendance record in Daily (default view), Weekly, Monthly, and Cumulative/Custom views. Any Attendance Events assigned to the student for the selected Date(s) will display below the attendance details. The Daily attendance defaults to the current Date. Users can select a different Date, then click Search to display that date s attendance. Click the Weekly, Monthly, or Cumulative/Custom tab to view the student s attendance details by week, month or a user-specified date range (Cumulative/Custom). Click the Printer icon to print the displayed attendance. Classes with an In/Out Log Event will display an Expand icon to the left of the class details. Click the Expand icon to open the In/Out Log for the selected class. The Attendance buttons Edit, Reasons, Letter Logs, History, and Attendance Record are permissionbased. See the following pages for descriptions of each button. Click the Add Attendance Event icon to add Attendance Events (see page 16). eschooldata, LLC Copyright

13 When using the Weekly, Monthly or Cumulative/Custom views, only days with an absent or tardy status will appear in the report by default. To see all days, check Display All. Select the Weekly, Monthly or From/To Date range, then click Search to display the student s attendance. Edit Button From the Daily attendance view, click Edit to edit the student s attendance for the selected Date. When more than one class or status occurs within the same period (for example, during Minute Block periods), all applicable statuses for the period and date will display. eschooldata, LLC Copyright

14 Make the needed changes, then click Save. Reasons Button Click Reasons to view a list of Attendance Reasons and their associated codes. eschooldata, LLC Copyright

15 Letter Logs Button Click Letter Logs to view the list of Attendance Letters that have been sent for that student. Users with the proper permission can Reset the student s Letter Logs. For more information, see Resetting Letter Logs in the Attendance User Guide. Final Run Date and Final Run Done By columns populate only for final runs generated AFTER version 5.2 update. History Button Click History to view and Print the student s Daily Attendance History. The Daily Attendance History includes records for all schools and school years in the student's enrollment history. Daily Attendance History is sorted descending by School Year, ascending by Date within each year. eschooldata, LLC Copyright

16 Attendance Record Button Click Attendance Record to view the student s Permanent Attendance Record. Maximize the window or scroll to the right to print or export to Excel the displayed Permanent Attendance Record. Add Attendance Event Click the Add Attendance Event icon to add a new Attendance Event to the student s Attendance Report. Select the Event and the Reason, then select the From/To Dates (which default to the current date). Check Note and/or Verified, if applicable, then click Save. eschooldata, LLC Copyright

17 Buses Tab The Buses tab displays the student s assigned buses. Users can Edit or Delete existing bus assignments. Click New to add a bus assignment. For more information on bus assignments, see the Student Lockers, Photos and Buses User Guide. The Pick Up / Drop Off times are displayed, in 24-hour format, at the end of the Bus Stop (when available). Districts using the Transportation Module should not use this tab. For these districts, student bus information will be found on the Transportation Tab. Course Requests Tab The Course Requests tab allows users to enter student course requests. The Approved/ Pending Request section is open by default, to view the student s existing Course Requests. Additional Course Requests can be entered using the Add Course toolbar. The Buses tab may be disabled in the group security settings. For more information on Course Requests, see the Scheduling: Course Requests User Guide. eschooldata, LLC Copyright

18 To view the student s schedule for the current or next Scheduling Year, click the Expand icon next to the corresponding Student s Schedule sections. Expanding the Course and Credit History section will show all courses for this student both in progress and historic. Clicking on the column headings will allow users to easily sort this data by Course Number, Course Name, Year, Subject, In Progress, Credits, Final Grade, Local Exam, or Grade Level. The Course and Credit Summary section will show Credits Earned and Credits In Progress by Subject Area, as well as the Total Credits Earned and In Progress. eschooldata, LLC Copyright

19 The Course Analysis section displays an A in the periods where the requested courses have available class sections. The Summary section tallies the Credits and Requests. During the Scheduling process, the Course Analysis reflects the student s schedule as of the last scheduling run. Daily Attendance Tab The Daily Attendance tab displays the student s daily attendance details for the current school year. Click the Excel icon to export the student s Daily Attendance to Excel, or click the Printer icon to print the student s Daily Attendance. 20 Discipline Tab The Discipline tab lists all the incidents that the student has been involved in, whether as an Offender, a Victim, or both. For more information, see the Student Profile sections of the Discipline Management User Guide. ERC Tab The ERC tab displays the student s Elementary Report Cards generated in the current Scheduling Year by default. Users can Search for Elementary Report Cards by Scheduling Year, School and Calendar Events (all default to current), and View or download them in Excel or XML format. Click Run or Final Run to generate an Elementary Report Card for the selected Scheduling Year, School and Calendar Event. Click Custom ERC Report to generate a Custom Elementary Report Card for the selected Scheduling Year, School and Calendar Event. Hover over the Portal Upload star to see the Date, Time, and User who published the run. Visibility is permissionsbased for the Run and Final Run buttons. The Custom ERC Report button is always visible, but will return an Invalid Action message if the permission is not enabled for that user. eschooldata, LLC Copyright

21 Fees Tab The Fees tab allows users to enter and track student fees. For more information, see the Fee Tracking User Guide. Field Trips Tab The Student Field Trips tab displays a list of the field trips to which the student has been assigned. eschooldata, LLC Copyright

22 Groups Tab The Groups tab displays a list of groups to which the student is currently associated. Click Edit to add/remove group associations. For more information, see the Student Groups User Guide. Guidance Journal Tab The Guidance Journal tab allows guidance counselors to enter notes. Users can Delete or Edit existing Guidance Log entries, or click New to create a new Guidance Log entry. Click the Excel icon to export the Guidance Log entries. The New Guidance Log Date defaults to the current date; click the Calendar icon to select another date. Select the Guidance Log Type, enter the Entry notes, then click Save. Edit and Delete permissions are typically restricted to only those journal entries that the user created. Users with the appropriate permission can create additional Log Types at System > Codes > Journal Log Type. eschooldata, LLC Copyright

23 Health Tab The Health tab displays the student s health information. Due to the federal HIPAA laws, access to this tab is usually limited to the Health Office and the district/building administrators. For more information, see the Health Management User Guide. IEP Tab The IEP tab displays the student s uploaded IEPs. Click IEP Log to display the IEP Log. Users with appropriate permissions can also upload new IEPs from this interface. 24 Lockers Tab The Student Lockers tab displays information on the student s current locker assignments. Users can View and Delete existing locker assignments for distinctive scheduling years, using the Scheduling Year menu. Click New to assign a new locker to the student for the selected Scheduling Year. For more information, see the Student Lockers, Photos and Buses User Guide. Performance Maps Tab The Performance Maps tab allows users to view and edit the various Performance Map Types (Early Warning Map, Graduation Map). 25 Phone Journal Tab The Phone Journal tab allows users to record details of phone calls regarding the student. Users can Delete or Edit existing Phone Journal entries. Click New to create a new Phone Journal entry. The New Phone Journal Date defaults to the current date; click the Calendar icon another date. Select the Log Type, enter the Entry notes, then click Save. to select Edit and Delete permissions are typically restricted to only those Phone Journal entries that the user created. Previous Course Tab The Previous Course tab will automatically display all courses previously taken at the school the student is enrolled in. Users can View and Edit all Previous Courses, and Delete those Previous Courses that were added manually. Click New to manually add a Previous Course. Click the Excel icon to export the list of Previous Courses to Excel. For transferred students, users can manually add courses taken in the previous district. Courses added here can be used in class rank calculations and printed on transcripts. For more information on Previous Courses, see the Grade Reporting User Guide. 26 Progress Report Tab The Progress Report tab displays the student s Progress Reports generated in the current Scheduling Year by default. Users can Search for previous Progress Reports by Scheduling Year and Calendar Events. Users can View existing Progress Reports; open them in Word, Excel or XML ; Delete them or Publish Portal/Un-Publish Portal. Click Run or Final Run to generate a Progress Report for the selected Scheduling Year and Calendar Event. Hover over the Portal Upload star to see the Date, Time, and User who published the run. For more information on Progress Reports, see the Progress Report sections of the Grade Reporting User Guide. From the Student Profile, users can Delete or Publish Portal/Un-Publish Portal only Progress Reports which were generated for that individual student. The Progress Reports will display translated Comments when: the Comments table includes comments matching the Primary Household Language, AND the Household has the Translation Required flag enabled. Registration Tab The Registration tab displays the student s Registration information. Users with the proper permissions can access the buttons on the right below the Student Information section. 27 Report Card Override Tab The Report Card Override tab allows users to make changes to the student s Report Card. All override options available on this tab will flow back into the applicable Teacher Gradebooks. For more information, see Report Card Override in the Grade Reporting User Guide. Report Cards Tab The Report Cards tab displays the student s Report Cards generated in the current Scheduling Year by default. Users can Search for existing Report Cards by Scheduling Year, School and Calendar Events (all default to current); open Report Cards in Word or View them onscreen; download them in XML or Excel formats; Delete them or Publish Portal/Un- Publish Portal. Click Run or Final Run to generate a Report Card for the selected Scheduling Year, School and Calendar Event. Hover over the Portal Upload star to see the Date, Time, and User who published the run. For more information on Report Cards, see the Report Cards sections of the Grade Reporting User Guide. From the Student Profile, users can Delete or Publish Portal/Un-Publish Portal only Report Cards which were generated for that individual student. 28 Reports - Final Runs Tab The Reports - Final Runs tab displays the XML Files (Final Runs) of the student s various Grade Reporting documents for the selected Scheduling Year (defaults to the current year). Click the applicable tab to display the student s Progress Reports, Report Cards, Transcripts, PRCs (Permanent Record Cards), Standards-Based Reports and ERCs (Elementary Report Cards). Users can View any existing file, open the file in Word or XML format, export the file to Excel /. Users can Delete or Publish Portal/Un-Publish Portal only those Final Runs which were generated for that individual student. Hover over the Portal Upload star to see the Date, Time, and User who published the run. For more information, see the Grade Reporting User Guide. The Progress Reports and Report Cards will display translated Comments when: the Comments table includes comments matching the Primary Household Language, AND the Household has the Translation Required flag enabled. Tip: When using the Transcript View to generate PDFs of transcripts, select the printer option "Save as PDF" to reduce the size of the file that is generated. RTI Tab The RTI tab details the student s AIS Plans, both Active and Dismissed. Users can View and Delete the student s AIS Plans., Edit For more information on AIS Plans, see the AIS User Guide. eschooldata, LLC Copyright

29 RTI Referrals Tab The RTI Referrals tab allows users to Edit or Delete existing RTI Referrals, or to create New referrals. For more information on RTI Referrals, see the Academic Intervention Services User Guide. Schedule Tab The Schedule tab displays the student s current MP schedule (default) and allows users to set/change the student s schedule. Check Fully Scheduled to mark the student as fully scheduled. Click the Excel icon to export the student s schedule to Excel. Students with NO Course Requests (who have a Schedule AND have their Scheduling School/ Grade set) will automatically be flagged as Fully Scheduled. Users can set/change the student s schedule using the Scheduling buttons. 30 Click the Generate Invoice icon to create an invoice of the student s Fees and Fee Payments, then click Send to Print to print the invoice. Select a class or classes and click the icon to launch your native application, and automatically populate the Compose message with the addresses of the teachers associated to the selected class(es). eschooldata, LLC Copyright

31 Select a class or classes and click the Assignments Reports icon to view the student s assignments for the selected class(es). The Report Parameters default to the current Marking Period. To view other Marking Period assignments, check the desired Marking Period(s) and click Update Parameters. Select a class or classes and click the Attendance Report icon to view the Period Attendance report for the selected class(es). To print the Period Attendance Report, click the Printer icon. eschooldata, LLC Copyright

32 Select the Print format: Print By Course, Print By Term, Print By Matrix, Print Add/Drop. Select the As Of date (defaults to tomorrow s date) and the additional Print options at the top of the Student Schedule, then click the Printer icon to print the student s schedule. When Print By Term or Print By Matrix is selected, click the Printer icon at the top of the Student Schedule to print all terms (including all Mini Courses), or click the Printer icon next to the desired Term to print only that term s schedule (including Mini Courses that fall within that Term). When multiple Bell Time Schedules exist, the Print By Matrix format allows users to select which Bell Time Schedule to print (the default is the DEFAULT Bell Time). Users can Print Locker Information, Combination and Padlock ID on all Print formats EXCEPT Print Add/Drop. The system will retain the user s last Print Locker Information selections (via a cookie), and display them when the page loads. The Partial Schedule icon indicates the student is partially scheduled for the selected class. Click the Days hyperlink to view the Partial Schedule details, which includes all meeting times for the selected class. When a student is partially scheduled from a day code in ANY meeting time of a class that has multiple meeting times, the Partial Schedule icon appears on ALL meeting times of that class. When a student is partially scheduled from ALL days of a meeting time in a class that has multiple meeting times, that meeting time will not appear on the student s schedule. 33 Special Education Tab The Special Education tab displays all of the special education records and available links related to the student Special Education, IEP, Discipline, Procedural Documents and History. Users can Edit or Delete existing Log entries, and click Add to create new Special Education, IEP, Discipline, Procedural Document or History Records. 34 Standards-Based Progress Report Tab The Standards-Based Progress Report tab displays the student s Standards-Based Progress Reports. Users can Search for Progress Reports by Scheduling Year, School and Calendar Events (all default to current). Users can View existing Reports; open them in PDF or XML format; Delete them or Publish Portal/Un-Publish Portal. Click Run or Final Run to generate a Standards-Based Progress Report for the selected Scheduling Year and Calendar Event. For more information on Standards-Based Progress Reports, see the Generating Standards- Based Reports section of the Standards Based Grade Reporting User Guide. From the Student Profile, users can Delete or Publish Portal/Un-Publish Portal only Standards- Based Progress Reports which were generated for that individual student. Hover over the Portal Upload star to see the Date, Time, and User who published the run. (Not shown for clarity, see screenshot below for example.) Standards-Based Report Card Tab The Standards-Based Report Card tab displays the student s Standards-Based Report Cards. Users can Search for Reports by Scheduling Year, School and Calendar Events (all default to current). Users can View existing Reports; open them in PDF or XML format; Delete them or Publish Portal/Un-Publish Portal. Click Run or Final Run to generate a Standards-Based Report Card for the selected Scheduling Year and Calendar Event. 35 Status Summary Tab The Status Summary tab displays the Summary of all the student s statuses by default. Select a Status Type to view only statuses of that type. When viewing a single Status Type, users can Edit, Delete or create a New status. For more information, see the Student Status User Guide. Teacher Journal Tab The Teacher Journal tab displays the Teacher Log entries created by the student s teachers. Users can Edit or Delete existing Log entries, and click New to create a new Log entry. The New Teacher Log Date defaults to the current date; click the Calendar icon another date. 36 Today s Schedule Tab The Today s Schedule tab displays the student s schedule of classes for the current date (default). Classes that are currently in session will appear highlighted. 37 Transcript Tab The Transcript tab displays all of the student s Transcripts generated in the selected Scheduling Year (defaults to current). Users can View Transcripts onscreen, download them in XML or Excel formats, Delete them, or Publish Portal/Un-Publish Portal. Select the desired Transcript Options, including Courses in Progress, Template, and Scheduling Year, then click Run, Final Run, RunStyle2, or RunStyle3 to generate a Transcript. Hover over the Portal Upload star to see the Date, Time, and User who published the run. 38 Transcript Override Tab The Transcript Override tab displays all of the student s current and prior courses. Users with the proper permissions can override course details (Credit Attempted, Credit, Weight, Final Grade, Credit Recovery, Exclude Course Options) and assessment details (Date and/or Exclude Course Options). Click Save to save the changes. Click Transcript Comment to add student-specific comments that will display on that student s transcript. Users can Edit or Delete existing Comments.
