1 eschoolplus Advanced Search, Filter and Sort ADVANCED SEARCH Advanced Search is used to search for student information using specific search fields. Students who match your search criteria will be selected. The system compares your search criteria against the corresponding fields in the records being searched and selects only those records containing the data that matches. If your criteria returns a single student record, the system checks your User Preference to determine whether you may navigate to the Student List or go directly to the appropriate student detail page. When using the Advance Search tab, you have the option to create a favorite search you want to use again. You may also update your search criteria and customize your display results. Advanced Search Filter Description: Search Field Area Field Name Condition Value ADVANCED SEARCH AND FILTER Last update: 8/01/2013 Author: Information System x2734 Description Search the screen you want to use to filter records. Information from the search screen to filter records. The conditions available depend on the data type being searched. Exact results (=) or falls within the requested category (contains, starts with, <, <=, etc.) Result/Answer; The value you want to use to filter data. Go to: 1. Discipline Center > Incident Summary 2. Click Search a. Enter the following search criteria. Discipline Search for a specific Incident ID or duplicate Incident entries. Search for a specific incident code associated with the action code for a particular campus. 1 of 8

2 Schedule/Course Request/Eligibility Search for students with a specific course request. If you need to find students with next year course requests, you must select next school year. Search for students that are scheduled in a specific course with a status of Active or Locked. The building, course, course section and school year will need to be updated for each specific search. Search for summer school class list. Search for students with an Ineligible status for UIL purposes. 2 of 8

3 Search for a list of Career Center students whose eligibility is Ineligible for UIL Search for students with a modeled schedule. Search for students with a preserved schedule. Search for students with no course requests. 3 of 8

4 Search for a list of student with blank grades. (Elementary) Grades Search for students with a report card grade of 69. (Elementary) SSP Search for retained students with no SSP by building. 4 of 8

5 ELL Search for ELL students by building. Custom Search Criteria The name explains what you can do in this section. You will notice all the different tables in this section, and how each of them has several different options for each to filter the records of your search. As you can see, you can add several rows to filter out your search. In this example, there was a Custom Search made named Active H that searches for active students with last names that start with H and reside in building 2. There are many more filter options, and you can use any of them to your liking on how you want to search for students. If you want to start over with a new custom search, click the Clear Criteria button. A dialog box will appear asking you to confirm, to clear your Custom Search Criteria, click Yes. To delete a row in a saved Custom Search, check the box on the right of the table under the Delete column, then click the Search button at the top of the page. The row will be deleted from that search and saved. List Field Display Section This is the section where you can adjust what s in the output. You can add more information to reports by selecting Custom. Default or Custom List (unlabeled field) Select whether you want to display the default fields for search results or a custom list of fields. 5 of 8

6 Select: Default - to display Student Name,, Building, Grade, Gender, House/Team, Counselor. Custom - to select the fields that you want to display for search results. Custom searches always include Student Name,, and Grade. Example: This adds the building #, birthdate, grade, and gender of the students being searched. This would be the output. These fields you select will also appear on reports you decide to run. Area If you select a field from a table that stores more than one record per student, students will be listed multiple times. For example, if you select to include contact information, a student will be listed twice if the student has two contact records. Field Name Select the field you want to display. The student name, student ID, and grade are always displayed so you do not need to select these fields. Tip: If you select to include fields from the Master Schedule, your filter should include the Master Schedule school year or your results will include scheduling information for prior years. To clear the fields, click the button Clear All Fields. If you want to delete one of the fields, check the box under the Delete column and click the Search button. That field will be deleted and saved. Search Results To view that student, click on the name of the student in the Student Name column. This is also where if you made changes in the List Field Display Selection section above, then those fields (or changes) will appear here in this table. Search Favorites is where you can use the custom searches that you have already defined. Note: If your search returns several pages of students, mouse over a page number under Number of records found, you will see the first student that appears on that page along with the last student that appears on that page. The names will be separated by a (hyphen). 6 of 8

7 Helpful Notes SEARCH FAVORITES To create a search favorite follow these steps: 1. Select your search criteria. 2. Type your Custom Search Name in the appropriate box. 3. Click Search. a. Once you click Search your current request will be saved as a favorite. b. You may edit your saved request by re-entering your search name. Your current search will overwrite your previously saved search once you click Search. c. You may delete a favorite search by selecting the custom search favorite then click Delete Favorite. REPORTS To create a report in PDF or Excel format, follow these steps. 1. Once you receive your advanced search result (Student List), click Report. 2. You will be directed to the Student Report screen. 3. Select your Report Option format (PDF/Excel). 4. Use the Sort and Break Setup option to customize and sort the way you want your search result displayed on the report. Example: Some screens allow you the ability to sort and perform a page break on the first sort ability. The screenshot sorts students by Grade, then Student Name and provides a page break for each grade level. 7 of 8
