5 5 Eighty20 XtracT basics*: Submitting a query Go to: new users Create account Log-in and enter password** Existing users (skip to 3) 4 If you are unsure about which database you want to select, use the search function. The databases that have data relating to your search will be listed in the Database Listing box (LHS of the page). Hovering your mouse over one of these database names will display the questions in the database that relate to your search, on the RHS of the screen. This will be in the Database information box. Click on the database you d like to explore. Choose the year of the specific database you want to query (e.g. AMPS 2011B Individual). Some databases are split into Individual and Household and/ or have several years of data. Click on one of the high level branches in the All Fields box (e.g. Demographics). Continue clicking until certain variables are outlined by a blue box (e.g. Individual --> Age Groups). Drag this variable into the Selected Fields box on the RHS of the screen. It is suggested that you do not select more than 20 variables per query. Click the submit query button. Note: *Free users may not have this functionality and will only get limited temporary access Note: ** If you have forgotten your password click on Forgot Password. 6 6 Eighty20 XtracT basics*: The Build Query tab Shows all available fields that can be selected from your chosen survey. Shows existing custom fields that you have created for a particular survey (e.g. AMPS 2011B) and all custom fields shared by your company. See slides for how to create a custom field. Shows the fields most frequently used in the recent past. 4 5 Shows the most popular selected fields of the survey. If you have conducted a search by using the search function (see top right hand corner of the screen), your results will appear here. To navigate away from the search results, back to the view of all available fields in the survey, simply press the All button (1) Note: *Free users may not have this functionality and will only get limited temporary access

7 7 Eighty20 XtracT basics*: Using the online pivot table Worked example (Part I): Using the guide from slide 5, submit a query from AMPS 2011B Individual with the fields Cellphone payment mechanism and Age groups. Your screen should look like this: A E C D F B A: All of the variables you selected will be in the Your Selected Fields box on the top of the webpage. B: Drag the variables into the row or column drop zones to create crosstabs. C: You can also click on the tick boxes to put variables in rows or columns. To remove variables unselect the tick box or click on the X in the pivot table. D: Click on the open white boxes to the right of the variables in the page field to filter on that variable. You can select as many filters as you like. Move your mouse away from the drop down menu to set them. A filter narrows down the whole population to what you want it to be, and still operates if that variable is not selected as a row or a column. It is useful when there are large pieces of null data or when some parts of the population are just not applicable or of interest. E: To download this into an MS Excel Pivot Table, click on Download Excel Pivot in the upper right corner. See slide 9 for more detail F: To download just an Excel version of what is on your screen (without pivot functionality), click on Export Table button. Worked example (Part II): Create a cross tab with Cellphone payment mechanism in your columns and Age groups in your rows Note the five buttons in the middle of your screen: This is the weighted number, some call it the population or universe. It is the number that you will use when you say According to AMPS 2011, 25.6m South Africans are on a pre-paid system for their cellphone. This is how many people the survey actually spoke to. So pre-paid subscribers were interviewed in the survey, which was weighted up to 25.6m Click on this to get % of row total in your crosstab. Make sure you have something in your columns. Click on this to get % of column total in your crosstab. Make sure you have something in your rows. This shows dependence between the columns and rows and tells you if the number you found is higher or lower than what you would expect for the population. For instance, if you click on Indexing with Cell Phone Payment Mechanism in your columns and Age Groups in your rows, you will find that the index for Age and Contract is 152%. The 152% in the example is calculated by dividing the percentage of year olds who have a contract (8%) by the percentage of South Africans who have a contract (6%). Equivalently you could divide the percentage of contract holders who are (38%) by the percentage of South Africans who are (25%). This also means that the indices stay the same if the table is transposed. Note: Calculations do incorporate higher decimal places. 9 9 Eighty20 XtracT advanced*: What do all the buttons do? You will find these buttons in the Your Selected Fields box**: Click on this button to go to our trending platform. Data will be trended for as far back as we have data Note: Not every variable will be trended Click on this button if you want to group variables together or create permanent segments in the data See slides for details This will create a Pivot Table in MS Excel of your entire data run, including all the variables in the Page Field Note: You should install the Excel Add-in at the renaming prompt. It will give you additional functionality in Excel. When you do this make sure you do not have any documents open in Excel If you find you would like to add or remove a variable from your query, click this button and it will take you back to the Build query tab Note: *Free users may not have this functionality and will only get limited temporary access Note:**See slide 9 for a screen image

10 10 Eighty20 XtracT advanced*: What do all the buttons do? You will find these buttons in the middle of your screen: Click on this button to switch rows and columns in the table. Using the worked example: Cellphone payment mechanism moves to rows (from columns) and age group moves to columns (from rows). Click on this button to show Not Applicable responses. XtracT s default is to not show Not Applicables. Using the example: Click on % row. For the total population you will have: 73% Pre-paid, 6% Contract and 3% for Contract and Top-up. Click on the checkbox for Hide N/A and the N/A responses appear (18%)*** Click on this button to create an Excel spreadsheet of what is on your screen. Options 1 5 in slide 8 will each be on a separate sheet within the workbook **** Click on this button to use the full screen to display your data, which makes it easer to view if you have multiple variables in your columns. B C: Drag selected fields which you would like to combine into the box on the right. D ( and / or ): Choose whether you want observations that fall into all the selected fields ( and ), or observations that fall into any of the selected fields ( or ). (see next slide for more details) E: Name your custom field and the segment of your custom field. F: You can create more than one segment within a custom field. G: You can share the custom field with your company. H: Before completing your custom field, it is advisable to click here to check that the segment size seems reasonable. 16 16 Eighty20 XtracT advanced*: Creating a segmentation part I Worked example (Part IV): Once you have submitted the query as shown in slide 5, you can now create a segmentation using custom fields. We want to create 2 segments: Young with Contract and Older with Contract 1a 4a 4b 1b 3 2 1c Step 1 Step 2 Step 3 Step 4 Labelling: (1a) name your custom field: Cell Contract Segmentation, (1b) your first segment: Young with Contract and your second segment: Older with Contract Drag Age Groups: 15-24, Age groups: and Cellphone payment mechanism: Contract into the first segment (1b). Next, drag Age Groups: and Age groups:50+ and Cellphone payment mechanism: Contract into the second segment (1c)** Combine fields using and. Note: Variables within the same field are automatically treated with or. So selecting and will mean that the first segment includes all of those who are age OR AND have a contract (since a person cannot be aged and ) Click on show segment sizes to make sure the segment sizes seem correct (4a), then click Share this with my company to share the segmentation (4b) Note: *Free users may not have this functionality and will only get limited temporary access Note: ** You will need to scroll down on the inner scroll bar to see where to drop your fields

17 17 Eighty20 XtracT advanced*: Creating a segmentation part II Once you click on Save custom you return to your query results: Your custom field can now be dragged into the pivot table. You can also export it into Excel The next time you want to use the variable, you will find it by clicking the custom button on the Build Query tab (see slide 6) To adjust or change your custom field, click on the wrench icon ( ) and it will recreate it in Custom Fields Warning: Segments need to be mutually exclusive. The system cannot double-count observations, e.g. if you create a custom field with a segment of Pick n Pay shoppers and a segment of Spar shoppers, there will be some respondents who shop at both stores. The system will only include these observations in the first segment and results will be deceptive. Note: *Free users may not have this functionality and will only get limited temporary access

18 18 Eighty20 XtracT advanced*: Creating an OR field (a custom filter) Worked example (Part V): Once you have submitted the query as shown in slide 5, you can now create an OR field using custom fields. We want to create an OR field of those who are 25 and older 1a 4a 4b 1b Step 1 Step 2 Step 3 Step 4 Step 5 Labelling: (1a) name your custom field: Age >= 25 and (1b) name your Or field Yes Drag Age Groups: 25-34, Age groups: and Age groups: 50+ into the segment drop zone Combine fields using or Click on show segment sizes to make sure the segment sizes seem correct (4a), then click share this with my company to share the OR field (4b) Save custom, which will take you back to the Query Results tab (see slide 17 for more information) Note: *Free users may not have this functionality and will only get limited temporary access

19 19 Eighty20 XtracT advanced: Time saving tricks Time-savers for Excel Instead of sorting data in Excel, sort in XtracT and then export that table Do multi analysis in XtracT and then export to Excel (Excel is not well suited for multi analysis) Trends Use the trends tool to get data over several years, instead of running the query for each year If you want to build the same query for another year without selecting all the variables again, click on trend these fields (see slide 9). Once AMPS trends has loaded, at the top right hand corner of the screen, there is a drop down menu called Pivot options. Use this to select the year you want data for. Search Use the search function in the Build Query tab to get to the data you are looking for quickly Password If you forget your password, click on Forgot password on the log in page and it will be sent to you again Multiple fields ( ) These can be expanded and collapsed to select one at a time or all at once

20 20 What s NEW in Eighty20 XtracT 2.0 Create numerical fields for numerical variables: See real values for means and sums of numerical data. See the total number of individuals counted and the number weighted to the population. See numerical percentages for row, column and index. No longer rely on binned data. This is an especially useful tool for the Income and Expenditure Survey. New charts available for numerical fields Use a numerical variable as a base value to incorporate it into any crosstab you ve set up.

21 21 Eighty20 XtracT NEW features: Using the online pivot table with numerical fields Worked example (Part I): Using the guide from slide 7, submit a query from IES 2011 Persons with the fields Income from work, Gender and Settlement type. Your screen should look like this: E A B D C A: You can choose to show or hide the Row Col check boxes. B: Drag the variables into row or column drop zones to create a crosstab. C: Drag a numeric variable (e.g. Income from work) into the Numeric fields drop zone to create a column with its numerical data. For example, if you put Settlement type in your rows then you can calculate the mean income from work for each settlement type. D: Drag a variable into the Base value drop zone to show numeric data with respect to every block in your crosstab. If you have nothing in your columns you will see the same result as before, but if you have something in your columns (e.g. Gender ) then separate data will be shown for each segment. E: Click to see the new set of options for columns and numeric fields. (See slides 22 and 23)

You can now choose to see them simultaneously in your table. Note that the Value button should also be selected for these options to be visible. F: This check box is an alternative to the Base value drop box. A variable can serve as columns and a base or as a numerical field and a base.

23 23 Eighty20 XtracT NEW features: Using the online pivot table with numerical fields G: This is the numerical sum of the values in this field. G H I J K L M N H & I : These are usually the same they show the mean value excluding cases where there is no value. e.g. the mean income from work for individuals who do some work. J: This is the mean value including zeros and nulls e.g. this gives the mean income from work for the whole population. K & L: These values represent the sum as a percentage of its row or column sum. M: This gives the number of individuals in the population with a valid response to the base variable. The mean excl. zeros and nulls (H) equals the sum (G) divided by M. N: N is the number of individuals actually surveyed who responded to this question. Note: when you create a base variable, it behaves like a numeric field within the columns. Once a base variable is activated then options G, H, I & J will appear in the columns tab.

26 26 Analysing the XtracT results in MS Excel: Looking at your results 1. Analyse Results Now you are ready to analyse the data. Your Excel spreadsheet will have two sheets "Chart" with a graph of the results, and Pivot with the results in tabular form. Around the chart you will see the variables you selected in your online database query. With Excel 2010 (and previous versions of MS Excel), you can click on these variables and use the "dropdown" boxes to refine the analysis. You can also drag-and-drop fields to the x-axis ( Axis Fields") and the y-axis ( Legend fields"). To see the results in tabular form, go to the sheet titled "pivot". This sheet contains a pivot table of the results of your query. Again you can drag-and-drop fields into the table. For help on using pivots tables and pivot charts use the Excel Help on the spreadsheet, go to the help section on our website to find tutorials. 2. Save Analysis The worksheet will save automatically as you open it using the same name you used for the data extract. If you would like to save it under a different name, select "Save As" from the "File" menu. 3. New Query If you would like to run a new query, return to the website and start over. Time saving trick If you simply want to add a variable you may have forgotten to your query, click on the link on the top left of your pivot table and you will be able to add any variables you like You just need click the Download Excel data button again

27 27 Analysing the XtracT results in MS Excel: Multiple response analysis Explaining multiple response questions and analysis A multi answer question is one where a respondent can give more than one response. For instance, in the AMPS survey, where survey respondents are asked what Whisky they drink, they can select more than one brand. In comparison, a question about age can only have one response. This creates specific issues for analysis, since the respondent can answer yes to several options, the total doesn t add up to 100% Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Step 7 For Excel 2010/ 2007 select Add-Ins Eighty20 Tools Multiple Response Analysis A pop up appears on the screen. Select any multiple response questions to analyse (the top box in the pop up on the screen). If there is nothing in the top box, your data is not multiple response data. If you have more than one multiple response question, you can select as many as you like. The second box asks you to Select any columns you want. Once again, if you have nothing there, you have not selected any single response data. Once again, select as many as you like. In the bottom left ( Data ) you need to select if you want weighted numbers or respondent observations, (see slide 10 for the difference between the two). In the bottom right ( Calculation ) you need to select how you want the data, Normal (numbers), % of Category or % of Row. You can select all 3 calculation options, but it will appear on 3 separate sheets. If you want to filter further, i.e. you want to know Whisky drinkers by race but only for Cape Town, click on the Show filters selection button at the bottom left of the box. Click on the variable heading (e.g. Metropolitan Area) in the List of available filters box, and then click Cape Town. Click Add filter. If you wanted a group of variables (e.g. LSM 7-10) for either the category/column heading, or the filter area, you must first group those variables on the original pivot table, then select Multiple Response Analysis and those additional fields will be in both areas. Time saving trick Do multi analysis in XtracT and then export to Excel (Excel is not well suited for multi analysis)

28 28 Analysing the XtracT results in MS Excel: OR filters Explaining an OR filter Sometimes you want to analyse the number of respondents who belong to ANY of several variables This creates specific issues for analysis, since respondents may be part of more than one of the categories which could lead to double counting if you simply summed the number of respondents To solve this problem, we use an OR filter Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Note For Excel 2010/ 2007 select Add-Ins Eighty20 Tools Create OR Field A pop up appears on the screen. The top box of the pop up will show All fields in pivot table. Click the variable you want to create an OR field from (e.g. Age groups) Select the field within the variable you want in your OR Field (e.g. Age groups: 25-34) and click the Add to OR field button Add as many fields as desired to create your OR field Name your OR field at the bottom of the popup, in the Name for new OR field section Select Finished and your OR field will be included in the original pivot table and use it as you would any other field in your pivot table If you forget which fields you have used to create your OR field, select the audit button in the OR field selection pop up Time saving trick Select the Enable One Click select in the OR field selection which will add the field as it is selected automatically Create an OR field directly in XtracT and then download the Excel data, see slide 15

30 30 Troubleshooting* Here is a list of problems you might encounter and some solutions. If you have any questions that are not on this page, or you would like us to guide you through a problem, please contact us at info@eighty20.co.za, or call Problem #1: I can t drag fields into the Selected Fields box SOLUTION : You are probably using Internet Explorer 6. This programme is more than 10 years old. Get an upgrade. Problem #2: I am registered, but I still can't access some databases SOLUTION : Certain databases are proprietary, and have access restricted by the owner. FinScope and FutureFact are examples. Please contact us if you would like access to these databases. Not all databases are available on all payment plans. Call us. Problem #3: I can't download the add-in or it does not work SOLUTION : Some fire-walls will not allow an "exe" file to download, or it stops them from being run. Try downloading the ZIPPED version in the troubleshooting section of the website. Note: *there is a more comprehensive section on this on our website

31 31 Troubleshooting* Problem #5: UCT Students I have the ERROR CODE 8005 SOLUTION : If you are using Excel 2007, the problem may be a conflict with the COM Add-Ins you have installed. To resolve the conflict it is necessary to de-activate the COM Add-Ins. Follow the Steps 1 to 4 to de-activate your COM Add-Ins: 1. Select the Office button ( rose in upper left screen), then select Excel Options, then select Add-Ins 2. Go to the Manage drop down and select COM Add-Ins and click Go 3. Click on the tick box for each entry with a tick on it 4. Click OK If you want to re-activate the COM Add-Ins after using the Eighty20 Add-Ins: 1. Select the Office button, then select Excel Options, then select Add-Ins 2. Go to the Manage drop down and select COM Add-Ins and click Go 3. Click on the tick box to activate the COM Add-Ins you want to activate 4. Click OK Note: *there is a more comprehensive section on this on our website

32 32 Troubleshooting* Problem #6: Excel asks for a password when I close it SOLUTION : Are you using 'Google Desktop Search'? Then you may need to install a file that can be found in the troubleshooting section of our website Download and Install: Password Prompt Fixer Helpful Tips Cross-tabulating by too many fields greatly reduces the credibility of the results. Cross tabulating by more than three fields is likely to produce unreliable results. (Note that this is not true of the Census - there is no sampling involved, and therefore no scope for statistical error) Press Ctrl-F to quickly search for a key word in the webpage for data you are looking for Be cautious when moving data cells, that you move them to the correct place, if you place a data cell in the wrong place your data will be meaningless It is often not as simple as adding two values together to get a total market number. You might have to reload the spreadsheet again, e.g. if you query the PeoplePanel database for people who listen to Rock and people who listen to Rap, and then add those two numbers, you are adding the people who listen to both. You need to exclude each field and then add those numbers If you deselect certain criteria in a pivot table and put it back in the table, remember that you have effectively put on a filter that will affect all the data you analyse until you remove that filter

34 34 Excel 2007 Excel 2007 and the Eighty20 Add-in If you have downloaded the Add-in, but can t find it in on the top menu bar in Add-Ins, or are struggling to load the.exe into Excel 2007 please do the following to activate it manually: 1. Download the.exe from our website 2. Run and install it 3. Open Excel 4. Click on the Office Button in the upper left corner of Excel 5. Click on 'Excel Options' on the bottom right of that new menu 6. Select 'Add-Ins on the left hand side of the screen 7. On the bottom left select Manage 'Excel Add ins' and then 'Go' 8. On the new menu select 'Eighty 20' and click OK 9. Then you should see it if you select 'Add Ins' on the menu bar on the top of Excel
