1 Release Notes for Amicus Attorney 2008 Premium Edition Service Pack 1 RELEASE DATE: June 2008 BUILD: UPDATES THESE RELEASES: Premium Edition (Builds and ) Service Pack 1 (SP1) provides the latest updates and changes to Amicus Attorney, including new features and a collection of fixes throughout the application. NOTE: Amicus Mobile requires Amicus Attorney 2008 Premium SP1. It also requires additional licensing and a separate installation of Amicus Mobile Server from the Amicus Attorney 2008 Premium Edition (SP1) CD. CONTENTS: Update Instructions New Features Fixed Issues UPDATE INSTRUCTIONS UPDATING THE AMICUS SERVER 1. Ensure that there is sufficient free disk space available on the Amicus Application Server, on the drive where your Temp folder resides. 2 GB is recommended. 2. We recommend that you back up your Amicus database. 3. Go to your Amicus Application Server and, in the Windows Start menu, choose Amicus > Amicus Attorney 2008 PE Tools > Check For Updates. This connects you to the InstallShield Update Service website. (If there appears to be no available updates, your IE security settings might be blocking the Service. See the Important Notes And Tips section below.) 4. Download the AA8011.EXE updater file from the website (about 400 MB) and save it to the following folder on the Amicus Application Server: \Amicus Attorney PE Server\SmartClient\Install\Workstation Do not choose the option to install it from the Update Service. (If you cannot download it, contact the Gavel & Gown Customer Account Services Team to request a CD.) 5. Copy the downloaded file to the following folder on the Amicus Application Server: \Amicus Attorney PE Server\SmartClient\Install\Workstation 6. Ensure that you are logged on at the Server as a user with Windows Administrator rights. The Workstation on the Server will be updated automatically at the same time as the Server is updated. 7. Ensure that all users are ONLINE and have logged out of Amicus. 8. If integrating with Amicus Accounting, ensure that all users have exited Amicus Accounting. 9. Shut down all running programs. 10. Double-click the AA8011.exe file to start the update, and follow the onscreen instructions. Wait for the update process to complete. If Offline is initialized for the firm, and any users might wish to initialize or reinitialize Offline shortly (within the next 7 days, before the next automatic weekly maintenance), log in to Amicus Attorney, go to Go to Office > Firm Settings > Maintenance - Offline, and click Refresh Snapshot. UPDATING WORKSTATIONS WITH OFFLINE COMPONENTS 1. Ensure that you are logged on at the Workstation as a user with Windows Administrator or Power User rights. 2. Shut down all running programs. 3. Navigate to the \\Amicus Server Name\Install\Workstation folder on the Amicus Application Server and double-click AA8011.exe. Follow the onscreen instructions. Wait for the update process to complete. UPDATING WORKSTATIONS WITHOUT OFFLINE COMPONENTS This procedure is NOT necessary at the Amicus Server. 1. Ensure that you are logged on at the Workstation as a user with Windows Administrator or Power User rights. It is not necessary to be physically at the Workstation the updates can be performed via a remote connection. 2. Shut down all running programs. 3. Log in to Amicus Attorney. If an update is necessary, a prompt will appear, asking you whether to apply the update now. Click OK. Wait for the update process to complete. (If you are logging in at a Version 7 Workstation for the first time after the Server was upgraded to 2008 SP1, there might be a delay of 2 or 3 minutes before the update prompt appears.) IMPORTANT NOTES AND TIPS: Internet Explorer Security Settings If the InstallShield Update Service is blocked by your IE security settings, the Service might report that there are no updates available. To ensure a correct response, we recommend that you launch IE and go to Internet Options > Security > Trusted Sites. Click Sites and add Close IE and Check For Updates again. Update Logs If the Updater encounters a problem that prevents it from completing, examine the relevant Update log for error messages. Go to the Windows Start menu and choose Amicus > Amicus Attorney 2008 PE tools > User Logs. The log file for the Server or a Workstation with Offline is named AmicusServerUpdateLog_date.log. The log file for a Workstation is named AmicusWSUpdateLog_date.log. Workstation If a manual Update needs to be performed at a Workstation, restart the computer and type the following address in Windows Explorer: \\Amicus Server Name\Install\Workstation and then double-click UPDATE.EXE. Accounting Links If the PCLaw, QuickBooks, or Timeslips Links are used, remember that whenever the Amicus Server is restarted, someone might need to log in to Windows at the Server before Amicus may communicate with the accounting application. This is not necessary if your system has been configured to handle Server restarts (see the Link Guide for details). Amicus Attorney 2008 Premium Edition SP Gavel & Gown Software Inc. 2
3 NEW FEATURES Amicus Mobile Amicus Attorney 2008 Premium Edition now includes support for Amicus Mobile, an add-on product for users seeking real-time connectivity on their handheld device to their Amicus Files, Contacts, Notes and Stickies, Phone Calls, Messages, unposted Time Entries, and more. It allows Amicus users to stay connected when away from the office. You can do time entries, make notes or add appointments on a file, record phone calls and even send stickies to colleagues. And it works both ways. If your assistant takes a phone message for you, the message appears in the Call Center on the mobile device. You can even continue working offline when out of range and unable to connect. Amicus Mobile uses the calendar, tasks, contact manager and built into the device to complement the workflow. This information is shared with Amicus Attorney through integration with Outlook. Amicus Mobile runs on any Pocket PC or Smartphone with Windows Mobile 5 or Windows Mobile 6. It requires separate installation from CD, configuration, and licensing. Integration enhancements Initializing A new button in your Outlook Basics Preferences allows you to initialize immediately. (Otherwise, initialization will occur at the first 5-minute polling interval, after you exit Amicus and log back in). Synchronize Now While synchronization occurs every 5 minutes, certain attributes of your unsaved list, such as unread status or removals, are refreshed only every 15 minutes. If you wish to do a full refresh of the list that includes new , as well as updating all attributes, click Synchronize Now on the Amicus Attorney 2008 Premium Edition SP Gavel & Gown Software Inc. 3
4 Amicus Toolbar in any of the Communications views. For example, you might have just read, moved, or deleted some in Outlook and want those changes reflected in Amicus right away. Smoother workflows Improvement to workflow when saving a single item. attachment subfolder names In order to ensure shorter, unique names, a new naming convention is now used for the automatically created subfolders to which attachments are saved: \Today s date\first 20 characters of message subject_encoded message ID (Subfolders created prior to updating to SP1 are not renamed during the update. No change is required.) Administrative task enhancements Offline Refresh When applying an Amicus Attorney update, instructions might indicate that, if Offline is initialized for the firm, you should refresh the snapshot of the Firm Database. This will ensure that any new Offline users get the updated database schema. This function does not need to be performed otherwise. Go to Firm Settings > Maintenance - Offline and click Refresh. It is not necessary for users to be online or logged out before performing this action. Note that the Offline feature, while enabled, automatically creates a new snapshot of the Firm Database once per week (Saturday) for efficiency. Record Unlocking As users work with the database, they constantly open and close records. Each time a user opens a record, that record is locked so that only that user can change it. When the record is closed, it is then unlocked. Occasionally, a record may remain locked after being closed for example, if a user s computer is turned off while Amicus Attorney is running. To unlock records, first ensure that all other users have exited Amicus Attorney. Then go to Firm Settings > Maintenance - Utilities and click Unlock All. WARNING: Unlocking records is an emergency function. Unwarranted use of emergency functions may result in data loss. Make sure that you use this function only if the situation meets the criteria described. Tutorial Refresh In rare cases, the Tutorial Office might not open properly, or its sample data might not be adjusted relative to today s date. If this occurs, you can rebuild the Tutorial files for the firm. To refresh the Tutorial, go Firm Settings > Maintenance Utilities and click Refresh. WARNING: This is an intensive process that might affect application performance for users who are currently logged in. Now supported The following have been tested and are now supported for use with Amicus Attorney 2008 Premium Edition: Windows Server 2008 on the Amicus Application Server or Amicus Attorney Workstation Windows XP Pro on the Amicus Application Server, for up to 5 users only Windows Vista SP1 on the Amicus Application Server or Amicus Attorney Workstation WordPerfect 14 (X4) for document assembly and document management Amicus Attorney 2008 Premium Edition SP Gavel & Gown Software Inc. 4
5 FIXED ISSUES Preferences 17989: The Display in the Communications Outstanding view received during the last NNN days option (in the Outlook - Basics Preferences dialog) is not applied correctly to Unsaved . (Items from the oldest day are not shown.) 17993: attachments are automatically saved to the default attachments location even if you choose the Never auto-save attachments option (in the Outlook - Auto Preferences dialog) : A zero value is accepted in the Show NN occurrence(s) of Repeating Events in List View option of the Calendar - Display Preferences dialog. (This causes Daily Checks to notify Amicus Administrators that that one or more Events could not be processed.) Favorites 17999: In the Files view of Favorites, the right-click Print command does not work on Files selected in the list : Although you can add to your Favorites list Notes that were sent to you as Stickies by other Firm Members, they are deleted from the list when you exit Amicus. Files 18532: A Time Stamp cannot be inserted on the Summary, Main Note, and Status Report views of File Details. People 17142: If adding a new Contact from the information in a Phone Call, their phone number might not be formatted properly in the new record. Time 18112: In Time Entry Details, if you add or edit the duration and then Tab out of that field, the duration reverts to its original value : Posting several Time Entries separately but quickly might cause a large red X to appear : While running two Timers simultaneously, opening the Time Entry Details or stopping a Timer might occasionally cause an error. Calendar 17422: Restrictions may be set on an Event such that the only Firm Member granted editing rights is not allowed viewing rights. Communications 18450: In the Communications Index, using the right-click Reply command on a selected Phone Message has no effect. Integration 18044: If Amicus Managed Documents mode is enabled, the Save Attachment button in the Details dialog for a Saved might be disabled : The Outstanding and Today views of Communications, and Today s Overview view of Dailies, might not promptly refresh the list of unsaved to reflect those that have been recently read or deleted in Outlook : The AmicusTimeEntry column in Outlook does not indicate whether a Time Entry has been created on a Saved : When an you created from Communications, Contacts, or Files in Amicus is automatically saved, it is not associated with your Contact (assuming that you sent the to one of your Contacts, or on a File that has only a single Contact assigned) a: If Amicus Managed Documents mode is enabled, and you have set Amicus to automatically save the underlying whenever you save an attachment from the Unsaved Details dialog (in the Outlook - Auto Preferences dialog), an error occurs instead. 6 Notes/Stickies 11149: If you set a new Note to be sent as a Sticky, you cannot change your mind and simply save it as a Note instead. (You cannot remove the Firm Member and so must Cancel the Note.) 13966: If a Note is associated to a Library Page, clicking the Library Page link in the Note Details does not open the Library Page : In a Note Details, the Convert To drop-down list does not include Library Page : Upon adding a new Note from the blank box above a long list in the Notes module, the list might scroll down automatically, leaving the newly added Note out of sight. Document Assembly 18139: When generating a Word document from a Document Template that was converted from Amicus Attorney Small Firm Edition or Versions 4 or 5, the merge process completes but then selecting Save and Add to Amicus in the Save Options dialog might cause an error ("The Amicus 7 Tasks Toolbar is required ). NOTE: If you encounter this problem, uninstall Amicus PE Merge Toolbar (from Windows Add/Remove Programs, or Programs and Features) and then reinstall the Toolbar (from the Documents - Document Assembly Preferences dialog). Document Management 18151: In an User-Managed Documents environment, if you leave the Shared Documents path blank in the Document Management dialog of Preferences, opening a Document Details causes a back slash to be inserted at the beginning of the document file path, preventing you from being able to open the document. Reports 18032: The Calendar > My Events - Selected Category List does not show events for the Category that you select : In Reports that can be limited by data range, typing in a From date that is earlier than today causes the To date to change also : The Calendar > Tri-Fold Daily Pocket Calendar report does not sort Appointments by Start Time. Offline 10602: The message that appears when you are working Offline and then fail in an attempt to go Online is uninformative : If your network connection to the Amicus Application Server is restored while you are working Offline, a prompt appears, asking whether you would like to go Online. However, clicking Yes might cause Amicus Attorney to close : If you go Online after changing the Main Note or Summary in a File and choose to merge that change, text in the File might be duplicated : While Offline, you cannot generate documents based on templates that reside in subfolders of the main document templates folder (e.g. \convert1). Miscellaneous 12604: When you are working Offline, access to the Administration functions from the View menu is not disabled /18038/18062: Amicus Attorney might lose its network connection intermittently in a wireless or VPN environment, or whenever you disconnect a USB device from your computer. If you have Offline installed and initialized at the Workstation, Amicus will go Offline at this time : If you have an Appointment Reminder open when an "Amicus has detected that this is not your customary workstation for Outlook Contacts and Calendar synchronization..." message arrives, that message is hidden behind the Reminder and you cannot use any Amicus controls : If the Navigation Pane is hidden, navigating to some modules (e.g. Notes) via the Amicus Floating Toolbar or the notification area (system tray) of the Windows Taskbar causes an error : Logging in to Amicus might take a long time if you have a great number of Internet Explorer Favorites, especially when accessing Amicus via VPN. 7 18153: Occasionally, some module buttons (People and below) might not be shown in the control panel upon login. WORLDOX Link 18191: An Amicus File Type containing an apostrophe (e.g. Worker s Compensation) cannot be mapped to a WORLDOX Profile. Amicus Accounting Integration 18183: If a Client in both Amicus Attorney and Amicus Accounting has only a Cell Phone number, editing that Client in Amicus Accounting will cause Amicus Attorney to terminate unexpectedly : Upon exchanging to Amicus Attorney an Amicus Accounting Client who has an apostrophe in their last name (e.g. O'Reily), Amicus Attorney might terminate unexpectedly : If a File is locked in Amicus Attorney, initialization of the integration with Amicus Accounting might partially fail. PCLaw Link 17964: In rare cases, you might not be able to change the Company name in a Company People record. QuickBooks Link 18189: If the QuickBooks Link is configured to do secondary name matching, and a customer's name in QuickBooks does not match the equivalent primary Client's name in Amicus Attorney, initialization might fail. ISSUES FOR AMICUS ADMINISTRATORS ONLY: Other Administration 12496: Conversion: Default File Types that were deleted in Version V reappear in Version 2008 Premium Edition : If a Repeating Event fails Daily Checks because its end date is before 1900, attempting to open that Event from the certain events were not processed properly sent to Amicus Administrators causes an error : If Amicus is configured to perform automatic backups and a backup fails (e.g. due to insufficient disk space), the Sticky sent to Amicus Administrators might appear empty and, when closed, cause an error : Conversion from Small Firm Edition or Version 4 or 5: Only the first 100 characters of a File s Full Matter Name are converted.
